When should I use italics in scientific writing?

I noticed that proper nouns, such as names of theorems or techniques are often set in italics in scientific writing but not always. Are there rules about it, for example each proper noun should be set in italic the first time it occurs?

A contrived example

There are many different methods for adding two numbers:

Very Simple Addition (VSA) works by calculating a+b .

Unnecessary Complicated Addition (UCA) works by calculating -(-a-b) .

VSA is the method used by everyone but the British who use UCA because of tradition along with their foot-inch based measurement system.

The Style Manual of the American Psychological Association (APA, 2009, pp. 104-106) is very clear on the use of italics. Note especially the bold section (bold emphasis mine):

Use italics for titles of books, periodicals, films exception: italic words in the title (reverse italicization) genera, species, and varietes introduction of a new technical term (after a term has been used once, do not italicize it) a letter, word, or phrase cited as a linguistic example ("words such as big and little ") words that could be misread ("the small group", meaning a designation, not group size) letters used as statistical symbols or algebraic variables some test scores and scales periodical volume numbers in reference lists anchors of scale ("health ratings ranged from 1 ( poor ) to 5 ( excellent )") Do not use italics for foreign phrases and abbreviations common in English chemical terms trigonometric terms nonstatistial subscripts to statistical symbols or mathematical expressions Greek letters mere emphasis. (Italics are acceptable if emphasis might otherwise be lost; in general, however, use syntax to provide emphasis.) I've been writing both in APA and MLA style, and I have never needed to emphasize words. Scientific discourse is encouraged to be neutral and self-constrained, and there are other, semantic, means to direct the reader's attention.

Italics are a common way to emphasize words. As such, it's best to use italics sparingly. A text where every proper noun is italicized gets very annoying to read; it'd be like listening to a commercial. If you're writing for a specific publication, check their style guide.

Italics are used to emphasize words in general writing, but in technical writing you may have to use them for other forms of distinctive treatment. For that reason, I do not use italics (or bold) for emphasis. Generally, I use bold to highlight terms that I think the reader won't know. I only use italics when my style guide calls for them. I generally ignore Chicago, MLA, and so forth for rules regarding distinctive treatment, unless my own style guide doesn't say anything. Even then, I discuss the style rules I use with the other people on my team before I put them into force.

Remember that concise, clear, and consistent documentation is our goal. Correct style is subservient to that goal. Other technical writers may question your choice, but readers won't be conscious of it.

When writing a paper, do I use italics for all titles?

Simply put: no .

APA's Publication Manual (2020) indicates that, in the body of your paper , you should use italics for the titles of:

  • "books, reports, webpages, and other stand-alone works" (p. 170)
  • periodicals (journals, magazines, newspapers)

Beyond APA's specific examples, know that certain types of titles are almost always written in italics. 

A general rule of thumb is that within the text of a paper, italicize the title of complete works but put quotation marks around titles of parts within a complete work. 

The table below isn't comprehensive, but it's a good starting point

Title of a short story

On an APA-style  reference page , the rules for titles are a little different.  In short, a title you would italicize within the body of a paper will also be italicized on a reference page.  However, a title you'd place in quotation marks within the body of the paper (such as the title of an article within a journal) will be written without italics and quotation marks on the references page.

Here are some examples:

Smith's (2001) research is fully described in the Journal of Higher Education.

Smith's (2001) article "College Admissions See Increase" was published in the Journal of Higher Education after his pivotal study on the admissions process.

When to use quotation marks

In APA Style papers, use double quotation marks in the following cases:

To refer to a letter,

word,

phrase,

or sentence as a linguistic example or as itself

the letter “j”

the singular “they”

answered “yes” to the question

Students wrote “I promise to uphold the honor code” at the top of the test page.

To present stimuli in the text (long lists of stimuli may be better presented in a table, where quotation marks are not needed)

The stimulus words were “groceries,” “cleaning,” “overtime,” and “office.”

To reproduce material from a test item or verbatim instructions to participants (if instructions are long, present them in an appendix or set them off from text in

The first item was “How often do you feel happy with your body?” The second item was “How often do you exercise?”

First use of a word or phrase used as an ironic comment, as slang, or as an invented or coined expression

considered “normal” behavior

Around the title of a periodical article or book chapter when the title is used in the text (do not use quotation marks in the reference list entry)

When not to use quotation marks

Do not use double quotation marks in the following cases in APA Style papers:


To highlight a key term or phrase (e.g., around a term for which you are going to provide a definition); instead,

is defined as “the act of noticing new things, a process that promotes flexible responding to the demands of the environment” (Pagnini et al., 2016, p. 91).

To identify the anchors of a scale;

instead,

ranged from 1 ( ) to 5 ( )

a Likert scale (1 = to 5 = )

To refer to a numeral as itself because the meaning is sufficiently clear without quotation marks

To hedge or downplay meaning (do not use any punctuation with these expressions)

You may have wondered in the middle of typing up a research project : Do I italicize  a song title? What about a painting?​ Even the most experienced writers have a problem remembering the proper punctuation for certain types of titles. Books are italicized (or underlined) and articles are put in quotation marks. That's about as far as many people can remember.​

Many teachers require students to use Modern Language Association style for research papers and essays covering language arts, cultural studies, and the humanities . There is a trick to remembering how to treat titles in MLA style, and it works well enough that you can commit most types of titles to memory. It's the big and little trick.

Big Things vs. Little Things

Big things and things that can stand on their own, like books, are italicized. Little things that are dependent or that come as part of a group, like chapters, are put into quotation marks. Think of a CD or an album as a major (big) work that can be divided into smaller parts, or songs. The individual song names (small part) are punctuated with quotation marks .

For example:

  • The Sweet Escape , by Gwen Stefani, includes the song "Wind It Up."

While this is not a perfect rule, it can be helpful for determining whether to italicize or surround an item in quotation marks when you have no resources at hand.

Furthermore, italicize or underline any published collection, like a book of poetry. Put the individual entry, like a poem, in quotation marks. However: a long, epic poem that is often published on its own would be treated like a book. The Odyssey is one example.

Punctuating Titles of Works of Art

Creating a work of art is an enormous task. For that reason, you can think of art as a big accomplishment. That might sound a bit corny, but it will help you remember. Individual works of art, like paintings and sculptures, are underlined or italicized:

  • Michelangelo 's David
  • The Last Supper

Note that a photograph—although not any less significant or important—is often much smaller than a work of created art, and is placed in quotation marks. Following are guidelines for punctuating titles according to MLA standards.

Titles and Names to Italicize

Works to put in italics include:

  • A sculpture or statue
  • A TV Series
  • A cartoon series
  • An encyclopedia
  • A newspaper

Titles to Put Into Quotation Marks

When deciding how to handle smaller works, put quotation marks around:

  • A short story
  • A commercial
  • An individual episode in a TV series (like "The Soup Nazi" on Seinfeld)
  • A cartoon episode, like "Trouble With Dogs"
  • A newspaper story

Journal Article- No DOI

Note: All citations should be double spaced and have a hanging indent in a Reference List.

A "hanging indent" means that each subsequent line after the first line of your citation should be indented by 0.5 inches.

If an item has no author, start the citation with the article title.

When an article has one to twenty authors, all authors' names are cited in the References List entry. When an article has twenty-one or more authors list the first nineteen authors followed by three spaced ellipse points (. . .) , and then the last author's name. Rules are different for in-text citations; please see the examples provided.

Cite author names in the order in which they appear on the source, not in alphabetical order (the first author is usually the person who contributed the most work to the publication).

Italicize titles of journals, magazines and newspapers. Do not italicize or use quotation marks for the titles of articles.

Capitalize only the first letter of the first word of the article title. If there is a colon in the article title, also capitalize the first letter of the first word after the colon.

If an item has no date, use the short form n.d. where you would normally put the date.

Volume and Issue Numbers

Italicize volume numbers but not issue numbers.

Retrieval Dates

Most articles will not need these in the citation. Only use them for online articles from places where content may change often, like a free website or a wiki.

Page Numbers

If an article doesn't appear on continuous pages, list all the page numbers the article is on, separated by commas. For example (4, 6, 12-14)

Library Database

Do not include the name of a database for works obtained from most academic research databases (e.g. APA PsycInfo, CINAHL) because works in these resources are widely available. Exceptions are Cochrane Database of Systematic Reviews, ERIC, ProQuest Dissertations, and UpToDate.

Include the DOI (formatted as a URL: https://doi.org/...) if it is available. If you do not have a DOI, include a URL if the full text of the article is available online (not as part of a library database). If the full text is from a library database, do not include a DOI, URL, or database name.

In the Body of a Paper

Books, Journals, Reports, Webpages, etc.: When you refer to titles of a “stand-alone work,” as the APA calls them on their APA Style website, such as books, journals, reports, and webpages, you should italicize them. Capitalize words as you would for an article title in a reference, e.g., In the book Crying in H Mart: A memoir , author Michelle Zauner (2021) describes her biracial origin and its impact on her identity.

Article or Chapter: When you refer to the title of a part of a work, such as an article or a chapter, put quotation marks around the title and capitalize it as you would for a journal title in a reference, e.g., In the chapter “Where’s the Wine,” Zauner (2021) describes how she decided to become a musician.

Italics and Quotes for Titles: A Guide

We’ve all been there. We’re writing along, solidly in the groove, when the Formatting Wall appears around a seemingly safe corner. Abruptly halting, you wonder: How the heck am I supposed to format this title?

Titles come in many shapes and sizes, but they all have rules for formatting that you master with just a little work. Italics, quotes, even plain text: they all apply in certain situations. How do you know which is which?

Use italics to set apart the title of a standalone work or a “container work”—that is, a work that has other, smaller works within it. Examples of titles that should be italicized include:

  • Academic journals
  • Music albums
  • Large musical compositions such as symphonies and operas
  • Anthologies of poems
  • Art exhibitions

For example:

My brother insists that Fists of Fury is the best movie ever made.

Have you read the latest issue of Scottish Archaeology Journal ? It’s riveting!

I know it’s not a popular opinion, but I think La Boheme, by Giacomo Puccini, is an overrated opera.

I can’t believe the TV show Supernatural is in its fourteenth season.

Use quotation marks to set apart the title of a subsidiary work or a work that is part of a bigger piece (one where the title of that bigger piece would be italicized). Examples of when to use quotes include:

  • Book chapters
  • Articles (published in a journal)
  • Short stories
  • Song titles
  • TV episodes
  • Works of art (including paintings, drawings, sculptures, and performance art)

Why do I have to read Hemingway’s “ A Clean, Well-Lighted Place ” in every English class?

And so you can easily demonstrate which is the work “inside” the other work with proper punctuation:

I love everything by the Beatles, but I think “I Should Have Known Better” from A Hard Day’s Night is an underrated classic.

The highlight of the recent exhibition, Pin-Ups: Toulouse-Lautrec and the Art of Celebrity, had to be Steinlen’s “ Cabaret du Chat Noir .” It was fascinating to see in person what I’ve seen on a wall in every undergraduate dorm across the country.

There are, of course, exceptions. A few types of publications and creative works stand a little apart from the general categories of “standalone/wrapper work” and “subsidiary work.”

For example, dissertations are typically standalone documents, but their titles go in quotation marks.

How to Remember

A relatively easy way to remember these rules involves whether a work is “big” or “little.” If it’s a grand, sweeping thing that might contain other bits within it, like a book or journal, then use italics. If it’s a smaller thing that might itself be contained within something else, like a newspaper article or work of art in an exhibition, then it goes in quotes.

Oh, and don’t forget to capitalize those titles correctly , in addition to formatting them right.

When to Use Italics in Your Writing

Of all the typographic styles, italicization may look the most dynamic. Perhaps it’s the way the words slant to the right, as if striding confidently to a business meeting. Or perhaps we’re overthinking this. The point is that italics are a useful, versatile part of writing. But when should you use them?

Key occasions for using italics include:

  • To emphasize something.
  • For titles of standalone works, such as books and movies.
  • For vehicle names, such as ships.
  • To show that a word is borrowed from another language.
  • For the Latin “scientific” names of plant and animal species.

Let’s take a look at each of these to see how they work in practice.

Italics for Emphasis

Like bold fonts or underlining, italics are often used for emphasis . This means we can use italics to stress or draw attention to a particular word or phrase:

Italicization is the best way to emphasize something.

Here, italicizing best shows that we feel strongly about italics.

Generally, italics are the standard form of emphasis in academic writing. This is because they look more formal than bold formatting . However, always check your style guide if your university or employer has one, since some organizations have different rules about emphasizing text.

Italics in Place of Quote Marks

It would be unusual to italicize a full quote rather than placing it in quote marks. However, some people do use italics to set single words apart in the same way you might with quotes. For example:

Quote Marks: The word “italic” comes from a Greek word meaning “Italy.”

Italics: The word italic comes from a Greek word meaning Italy .

As with emphasis, if you are using a style guide, you may want to check whether it allows this. Otherwise, though, italics can be helpful if using too many quote marks makes your writing look cluttered.

When to Use Italics for Titles

Another common use of italicization is for titles. Not your own headings – you can italicize these, but that’s a matter of stylistic preference – but the titles of published works, such as books. For instance, if we mentioned a work by Charles Dickens in an essay, we would write it like this:

Queen Victoria read The Old Curiosity Shop in 1841.

By using italics, we set the title text apart from the rest of the sentence.

It’s not just books that you should do this for. Typically, the same applies for any self-contained media product or publication (i.e., something published by itself rather than as part of a collection). This includes the titles of:

  • Books and book-length poems
  • Academic journals (i.e., the journal title itself, not individual article titles)
  • Magazines and newspapers
  • Movies, radio programs, and TV shows
  • Plays and other stage shows
  • Music albums and other published audio recordings
  • Paintings, statues, and other works of art

Titles of shorter works, by comparison, are often placed in quotation marks . However, the rules for presenting titles do vary between style guides.

Italicizing Vehicle Names

You can use italics for the names of individual vehicles, such as a ship or space rocket. For instance, we would italicize the following vehicle names:

The sailors boarded the HMS Belfast in silence.

The Titanic sank during her maiden voyage.

Here, we italicize Belfast and Titanic because they’re the proper names of specific ships. We do not italicize the initials preceding names of ships (e.g., HMS, RMS, USS). In addition, you should only italicize the names of individual vehicles. If you’re writing the name of a brand or make of a vehicle (e.g., Ford Escort or Boeing 747), by comparison, you don’t need italics.

Italicizing Non-English Words

Make sure to italicize any non-English words you use in English-language writing. This shows the reader that the word was borrowed from another language. For instance, we could say:

In Germany, this feeling is known as Waldeinsamkeit .

The exact rules for when to italicize foreign words may vary depending on the style guide you check. For instance, most style guides make exceptions for words that are now fairly common in English even if they are still loanwords, so you would not usually need to italicize terms like “raison d’être.”

If in doubt, though, you can always check a good dictionary (e.g., the OED or Webster’s). Assuming you can find the word in the dictionary, it should be widely used enough in English to write without italics.

Italicizing Species Names

Binomial nomenclature (i.e., the Latin names given to plant and animal species) is usually italicized. For example, we could say:

Nobody wants Amorphophallus titanum growing in their garden.

As above, you should also capitalize the first word (i.e., the genus) in scientific plant and animal names, but not the second term (i.e., the species).

Other Uses for Italics

There are occasions when you may want to use italics not covered above. In fact, italics are useful for most situations where you need to make some part of a text distinct. One example comes from creative writing, where some people use italics to indicate an unspoken thought. For instance, we could use italics to show a character’s inner monologue:

Jeff sat silently in the doctor’s office. It wasn’t his usual doctor, so he was already nervous before the needle appeared.

“Don’t worry,” said the doctor. “It won’t hurt.”

Easy for you to say, Jeff thought. It’s not you at the sharp end of that thing. But he kept this to himself, instead uttering a meek “OK.”

However you use italics, though, there are two main rules to follow:

  • Try not to use italics for too many different reasons in a single document. For instance, if you are writing something with a lot of titles and foreign words, you may want to find a different way of formatting emphasis.
  • If you use italicized text for any part of a document, apply it consistently. So, for instance, if you’re using italics for loanwords in one part of an essay, you’ll want to do the same throughout the document.

An MLA in-text citation provides the author’s last name and a page number in parentheses.

If a source has two authors, name both. If a source has more than two authors, name only the first author, followed by “ et al. ”

If the part you’re citing spans multiple pages, include the full page range. If you want to cite multiple non-consecutive pages at the same time, separate the page numbers with commas.

Place the parenthetical citation directly after the relevant quote or paraphrase , and before the period or other punctuation mark (except with  block quotes , where the citation comes after the period).

If you have already named the author in the sentence, add only the page number in parentheses. When mentioning a source with three or more authors outside of parentheses, use “and others” or “and colleagues” in place of “et al.”

  • According to Smith and Morrison , MLA is the second most popular citation style (17–19) .
  • APA is by far “the most used citation style in the US” (Moore et al. 74) , but it is less dominant in the UK (Smith 16) .

Combining citations

If a sentence is supported by more than one source, you can combine the citations in a single set of parentheses. Separate the two sources with a semicolon .

Livestock farming is one of the biggest global contributors to climate change (Garcia 64; Davies 14) .

Consecutive citations of the same source

If you cite the same source repeatedly within a paragraph, you can include the full citation the first time you cite it, then just the page number for subsequent citations.

MLA is the second most popular citation style (Smith and Morrison 17–19) . It is more popular than Chicago style, but less popular than APA (21) .

You can do this as long as it remains clear what source you’re citing. If you cite something else in between or start a new paragraph, reintroduce the full citation again to avoid ambiguity.

For sources with no named author , the in-text citation must match the first element of the Works Cited entry. This may be the name of an organization, or the title of the source.

If the source title or organization name is longer than four words, shorten it to the first word or phrase in the in-text citation, excluding any articles ( a, an, and the ). The shortened title or organization name should begin with the word the source is alphabetized by in the Works Cited.

Follow the general MLA rules for formatting titles : If the source is a self-contained work (e.g. a whole website or an entire book ), put the title in italics; if the source is contained within a larger whole (e.g. a page on a website or a chapter of a book), put the title in quotation marks.

If a source does not have page numbers but is divided into numbered parts (e.g. chapters, sections, scenes, Bible books and verses, Articles of the Constitution , or timestamps), use these numbers to locate the relevant passage.

If the source does not use any numbering system, include only the author’s name in the in-text citation. Don’t include paragraph numbers unless they are explicitly numbered in the source.

Note that if there are no numbered divisions and you have already named the author in your sentence, then no parenthetical citation is necessary.

If your Works Cited page includes more than one entry under the same last name, you need to distinguish between these sources in your in-text citations.

Multiple sources by the same author

If you cite more than one work by the same author, add a shortened title to signal which source you are referring to.

In this example, the first source is a whole book, so the title appears in italics; the second is an article published in a journal, so the title appears in quotation marks.

Different authors with the same last name

To distinguish between different authors with the same last name, use the authors’ initials (or, if the initials are the same, full first names) in your in-text citations:

Sometimes you might want to cite something that you found quoted in a secondary source . If possible, always seek out the original source and cite it directly.

If you can’t access the original source, make sure to name both the original author and the author of the source that you accessed . Use the abbreviation “qtd. in” (short for “quoted in”) to indicate where you found the quotation.

In these cases, only the source you accessed directly is included in the Works Cited list.

You must include an MLA in-text citation every time you quote or paraphrase from a source (e.g. a book , movie , website , or article ).

Some source types, such as books and journal articles , may contain footnotes (or endnotes) with additional information. The following rules apply when citing information from a note in an MLA in-text citation :

  • To cite information from a single numbered note, write “n” after the page number, and then write the note number, e.g. (Smith 105n2)
  • To cite information from multiple numbered notes, write “nn” and include a range, e.g. (Smith 77nn1–2)
  • To cite information from an unnumbered note, write “un” after the page number, with a space in between, e.g. (Jones 250 un)

If a source has two authors, name both authors in your MLA in-text citation and Works Cited entry. If there are three or more authors, name only the first author, followed by et al.

If a source has no author, start the MLA Works Cited entry with the source title . Use a shortened version of the title in your MLA in-text citation .

If a source has no page numbers, you can use an alternative locator (e.g. a chapter number, or a timestamp for a video or audio source) to identify the relevant passage in your in-text citation. If the source has no numbered divisions, cite only the author’s name (or the title).

If you already named the author or title in your sentence, and there is no locator available, you don’t need a parenthetical citation:

  • Rajaram  argues that representations of migration are shaped by “cultural, political, and ideological interests.”
  • The homepage of The Correspondent describes it as “a movement for radically different news.”

Yes. MLA style uses title case, which means that all principal words (nouns, pronouns , verbs, adjectives , adverbs , and some conjunctions ) are capitalized.

This applies to titles of sources as well as the title of, and subheadings in, your paper. Use MLA capitalization style even when the original source title uses different capitalization .

Italics and Quotation Marks

Q. I am the managing editor of a business journal. Many of the authors I edit put the word “learn” in quotation marks when it applies to AI. For example, “The algorithm can be trained to ‘learn’ how people interact.” Does CMOS approve of this usage, or does it prefer to allow AI to learn like the rest of us, free from quotation marks?

A. CMOS would approve (or rather its editors would), but only if the author needs to make a point about the nature of learning and isn’t simply trying to be clever, and provided the device isn’t overused (once is usually enough). A bit of editorial pushback along those lines might get your authors to drop the quotation marks. If that doesn’t work, you might remind them that it’s called artificial intelligence for a reason. Using so-called scare quotes around learn (or respond or any other word normally associated with living beings) would tend to belabor the obvious. (For more on scare quotes, see CMOS 7.57 .)

Q. If direct internal dialogue is set in italics, should the comma before the dialogue tag be set in italics or roman? CMOS 6.2 is very fuzzy on this. For example: “I lied, he thought, but maybe she will forgive me.” Imagine that the dialogue itself is set in italics. Should the first comma be italicized?

A. Good question! The comma after “lied” would be required both with the speaker tag (“I lied, he thought”) and without (“I lied, but maybe . . .”), so it could be said to belong to both the dialogue and the narrative. But adding quotation marks (as if the dialogue were speech) will suggest an answer:

“I lied,” he thought, “but maybe she will forgive me.”

I lied, he thought, but maybe she will forgive me.

The comma and period that are inside the closing quotation marks in the first version are in italics in the second version, whereas the comma after thought stays in roman. The difference is minuscule (without the bold for italics, would anyone notice?), and our solution is arbitrary. But it’s easy enough to understand and apply, so maybe we’ll make it a rule someday.

Q. Are reverse italics [i.e., roman text in an otherwise italic context] used when a legal case includes names of newspapers that would normally be italicized on their own? Thank you!

A. The name of a newspaper or other periodical would be italicized in the name of a court case—just like the name of any other entity. The Bluebook , a widely used citation guide that we recommend for citing court cases and the like (see CMOS 14.269 ), includes a relevant example: Seattle Times v. Univ. of Wash. (see section B10.1.1 in the 21st ed. of The Bluebook [2020]).

That Bluebook example is intended to illustrate two principles: (1) an initial The in the name of a party to a cited case can be omitted (a rule that applies to both names in the Seattle Times case), and (2) abbreviations can be used for certain terms, including state names and words like “University.”

And though that example isn’t supposed to show the use of italics for case names (which in Bluebook usage depends on context), it does suggest that a newspaper name within the name of a court case doesn’t merit any special typographic treatment. That’s probably because the name “Seattle Times” is, in this context, that of a publishing company rather than a publication (publications don’t argue cases, but their publishers do).

Q. Hello, I’m wondering how to style the name of a television program that has been assimilated into the cultural lexicon so that references to it are not truly references to the show. In particular, an author said, “When I landed at the airport, it was as if I had entered the Twilight Zone.” (He makes many references to this.) I feel it should be capitalized but not italicized, but I can’t find anything to say one way or another. Can you help? Thanks!

A. In your example, you’re right—the reference isn’t to the television show; rather, it’s to the fictional realm made famous by the show. So we agree with your treatment. Had your example been worded instead as follows, italics (and a capital T for The ) would have been correct: “When I landed at the airport, it was as if I had arrived on the set of The Twilight Zone .”

Q. Would you italicize “x” in a phrase like “x number of dollars”? It seems like a variable, but I wasn’t sure if this casual use merited italics.

A. When an ordinary expression is borrowed from a specialized discipline like math, any basic convention that would be recognized by nonspecialists can often be retained, even in casual usage. For example, Chicago style is to italicize the n in “ n th degree” (see CMOS 9.6 ); by extension, we would write “ x number of dollars” (with the letter x in italics). As you suggest, these letters act like variables, which in math are usually italicized.

Another approach that’s common in published works is to use a capital X (normally without italics): “X number of dollars.” A capital X can stand in for anything that’s unknown or mysterious in some way—as in “X factor” or “X marks the spot”—and it’s arguably easier to read than a lowercase x . But either choice should work well as long as you’re consistent.

Q. Should sounds made by animals or objects be italicized when they aren’t part of dialogue (e.g., “quack,” “choo choo,” etc.)?

A. Though not required, such italics might have their place. Italics are common in fiction for unspoken discourse (as for a narrator’s thoughts). Such italics signal to readers that the words come from somewhere other than the narrative or dialogue. Consider also the convention used by many video captioners of italicizing words spoken off-screen. Meow. (Sorry, our editorial assistant must be hungry again.) If you do end up deciding that italics would work for you, try not to overuse them.

Q. Should the common name of a species from a non-English language be treated as a foreign word and italicized, or should it be left in roman type? I’m thinking of the bird known as a po‘ouli in Hawaii, which is elsewhere called the black-faced honeycreeper. Should po‘ouli be italicized?

A. Though it’s not listed in Merriam-Webster (as of July 5, 2022), the name po‘ouli seems to be relatively well established in recent English-language publications that discuss that bird ( sadly reported extinct in 2021 ); in fact, a Google search for “black-faced honeycreeper” brings up “po‘ouli” first, suggesting it’s more common now than the common English name. So you shouldn’t need italics to refer to a po‘ouli except when using the name as a word (as in the first sentence above and the last sentence in your question).

But if you were to refer to, for example, a Deutscher Schäferhund —the German name for a German shepherd—italics would help signal that the German name would not normally be used in an English-language context (except, for example, to let readers know what that name is).

In sum, sometimes it’s necessary to go beyond the dictionary as a rough gauge of a term’s familiarity in English contexts. For the glottal stop (or ‘okina ) in po‘ouli , see CMOS 11.70 (under “Hawaiian”). For advice on capitalizing dog breeds, see this Q&A .

Q. Robots are being named and even developing personalities, not just in fiction, but in the real world. Should their names be italicized—i.e., “I told Benjamin to wait at the coffee shop,” where Benjamin is a robot with artificial intelligence?

A. Italics for robot names could be fun in fiction; however, that doesn’t seem to be the convention either in fiction or in real life. (An exception is generally made for named spacecraft and the like, including the robotic Mars rover Perseverance ; see CMOS 8.116 .) Before you decide what to do, consider asking some robots to weigh in.

Q. Should the apostrophe in an italicized word in possessive plural form be italicized? Example: If I italicize the possessive form of the word pirates , would the apostrophe also be italicized?

A. That depends. If you’re referring to the plural possessive form of the word pirates as a word, then italicize the whole thing, including the apostrophe: pirates’ . But if you’re using italics for emphasis, leave the apostrophe in regular text. For example, “It was the pirates ’ ship, not mine, that sank.”

The difference, however, between ’ and ’ will go unnoticed by most readers—even those of us who scrutinize such things for a living—so let’s switch to the singular to confirm our choices. To refer to the possessive pirate’s as a word, you’d put the whole thing in italics (as it is styled in this sentence). But for emphasis—that is, to single out the pirate ’s ship as opposed to some other ship—italics are best reserved for pirate alone (as styled in this sentence, between the dashes). Even in the singular, this is an extremely fine distinction that will go unnoticed by many. But it recognizes that the possessive ending can be considered independently of the word to which it attaches, as “belonging to” would be in “the ship belonging to the pirate .” That final period, in case you’re wondering, isn’t in italics.

Q. Hello CMOS ! A book I am copyediting contains a text message inside quotation marks (as in, My friend then texted me: “Have you read XYZ?”). The text message in question contains a book title. Would you set the book title in italics, or leave it in roman, as it presumably was in the original text message? Thanks for your help!

A. For the text message to be fully believable, it needs to feel like a text message. So leave the italics out. If you’re afraid of ambiguity, use the narrative to supply the missing context (“She was referring to the book by So-and-So”). But in ordinary fictional dialogue, apply the italics to help your readers; it’s understood that people don’t speak in edited text, so you don’t have to worry about authenticity. You Want Italics Where? 14 Places The Chicago Manual of Style Asks for Italics

Italics are like fancy dress for words. Seeing a word in italics is like going into your local grocery store and seeing someone working there in a samurai costume. “Well,” you think, “ you’re certainly here to tell me something.”

There are quite a lot of places we want to dress up words with italics. For some of us, there are too darn many places. As The Chicago Manual of Style ( CMOS 17, 7.50) admonishes us, “Overused, italics quickly lose their force.” But if we follow a manual like CMOS , it does say that we have to use italics in quite a few places. Here’s an exhausting—but not entirely exhaustive—list of where to use (and not to use) italics.

  • For emphasis. But, as CMOS 17, 7.50 admonishes, “only as an occasional adjunct to efficient sentence structure.” Some of us really like adding emphasis, but it’s a bit like laughing at your own jokes. You don’t need it if the words pack enough punch by themselves—which, generally, they should.  
  • In place of underlining. But if you’re presenting transcriptions of handwritten letters, you may prefer to keep underlining as underlining—especially if there’s also double underlining, or if you want to add your own emphasis: “We wish you would come as soon as possible to retrieve your nasty little dog, which has destroyed all the rose bushes ” [italics added].  
  • For titles of books, magazines, and albums (but not of short stories, songs, or poems—unless they’re book-length poems). Basically, if it’s a whole publication of its own that you can hold in your hand, it gets italics; if it’s just a part of one of those, it goes in quotes. However, if a play or novel is included in an anthology, it still gets italics. And, on the other hand, even if you’re holding in your hand the one-sided twelve-inch extended-play single of “I Was Made for Lovin’ You” by Kiss, it’s still not in italics, because it’s just one song, even if it does go on for almost eight minutes.
  • Not for the periods or commas following those titles, in most instances. The following punctuation is not part of the title, after all. This is where the eagle-eyed editors really get their bragging rights. Don’t believe me? Just search “italicized period” on Twitter to find all the editors posting their wins. This principle also holds true when you’re using italics for emphasis: the punctuation is only italicized if it’s part of what’s emphasized (“Your mom is arriving tomorrow ?” “ Yup! ”).
  • Not for words in those titles that would normally be in italics. Got that? Italics are like an on/off switch: if it’s already on, you have to turn it off to signify italics-within-italics, such as when a title uses a scientific name (see below about those): Winnie the Ursus arctos : A Child’s First Taxonomy Book . The exception is when a book title mentions another book’s title within it; then you use quotation marks: Fear and Loathing in Kant’s “Critique of Pure Reason”.  
  • For abbreviations of those titles. The Chicago Manual of Style is, for short, CMOS , not CMOS. Enough said.  
  • For words taken from other languages. The counsel of CMOS 17, 7.53, is “Use italics for isolated words and phrases from another language unless they appear in Webster’s or another standard English-language dictionary.” But, they add, “If a word from another language becomes familiar through repeated use throughout a work, it need be italicized only on its first occurrence.” And on top of this, “This rule does not extend to proper nouns, which can generally appear in roman type (except for titles of books and the like).” The trick here is the question of how familiar the word is. Because the English language has stolen so much of its vocabulary from other languages, and because italics are so very self-conscious, if there’s any question whether italics are necessary, it’s safer not to use them, as the CMOS Shop Talk blog (But, per Chicago Style, we always italicize the Latin sic , as in “He said he was totally thicc [ sic ].”)  
  • For words qua words. That means when you’re talking about the word itself as a word rather than using it for its meaning. For example, “Pulchritude is beauty, but the word pulchritude is rather ugly.”  
  • For the names of ships. For example, “The USS Enterprise may have seemed to go where no one has gone before. However, the Ever Given tried the route never taken: a sharp right turn into the desert. It didn’t get far.”
  • For certain scientific names. This includes genes ( BRCA1 ), the first three letters of enzyme names ( Bam HI), and genus and species of living things ( Cannabis sativa spontanea )—but not higher levels such as kingdom, phylum, class, order, or family (e.g., Cannabaceae). Sometimes the common name of something is also its scientific name—we seem to do this especially to things that could kill us, like Boa constrictor , Tyrannosaurus rex , and E. coli . In such cases, check your reference dictionary: if it allows a lower-case common use, you don’t need italics for that (“Have you seen my pet boa constrictor?”); otherwise, you do (“That man is an absolute E. coli ”).
  • In various ways in legal citations. This includes titles of articles and chapters, certain formal legal terms, and names of cases in running text—but not in citations. If you’re working with legal citations, you should have a copy of The Bluebook . If you’re not, count your blessings.
  • For certain mathematical constants and variables. You may run into a few of these in ordinary text, such as e = mc ² , or the p value of a study’s results and the n of its subjects. But, look, mathematical text doesn’t stop at italics. It veers off into a wide variety of different type faces. If you’re editing equations, you’ll know all about that already. If you’re not, keep walking, eyes forward, whistling a happy tune.
  • For stage directions. If you’re editing plays, you probably know this, but if you’re editing a book that just happens to quote from, say, Shakespeare’s Winter’s Tale , it behooves you to know that it’s to be set like this:

Well may I get aboard! This is the chase: I am gone for ever. Exit, pursued by a bear

  • For rhyme schemes. CMOS singles these out for special mention. For instance, you would use abab to indicate a quatrain of alternating rhymes, like this:

Roses are prickly, Anthuriums are phallic; Chicago is stickly On matters italic.

An Easier Way to Check Italics

The list of rules and exceptions is daunting, and that’s just following one style manual. What if you then have to consider house styles and industry conventions or individual client preferences? And then there are all the situations where you shouldn’t use italics, such as terms that require italics only on first use and not using italics at the end of the sentence? Even for those with the sharpest eyes and memories, it’s hard to avoid tripping up.

  • The title of a book is in italics.
  • The title of a  journal  is in italics.
  • The title of a journal article is not in italics  or in quotation marks.

English has a lot of grammatical rules to keep in mind. From the usage of commas to capitalization, knowing how to write properly is an important skill to hone for those in school and beyond. Whether you are writing research papers or formal letters, you’ll come across instances of italicization. Knowing when to italicize is an important skill to master.

Let’s take a look at how italics came to exist and when to italicize. With this guide, you’ll soon be an italics pro!

The history behind italics.

Italics is when a typeface is slanted to the right. Like this!

Italics are used to distinguish words from other parts of the text and draw attention. Like underlining, it can create emphasis; therefore, you wouldn’t want to both underline and italicize the same word. Yet, underlining and italicizing may often be used interchangeably.

Underlining was the precursor to italicizing. Once word processors and printers became more sophisticated to handle italics, it has become a popular alternative to underlining.

When To Italicize

With this being said, using italics isn’t always a choice of personal preference. There are rules and guidelines to follow to know when to italicize. Let’s take a look at some of the rules!

7 Rules For Italics

1. emphasis.

Want a word or phrase to stand out in a block of text? Try writing in italics. Example: I went to grab pizza with friends today. It was so delicious that I ate an entire pie. (Notice how you read the word “so” with more emphasis than the rest of the words in that statement).

2. Titles Of Work

The titles of works should be italicized (or underlined). Examples include:

  • Books – The Adventures of Huckleberry Finn
  • Newspapers – The Los Angeles Times
  • Movies – The Dark Knight
  • Magazines – People
  • Plays – A Streetcar Named Desire
  • Works of Art – Frida Kahlo’s The Two Fridas
  • TV/radio programs – Friends
  • CDs/albums – Drake’s Views

3. Articles

Based on the above, you may be questioning, “Are articles italicized?” Articles are shorter forms of work. As such, they are put into quotation marks rather than italicized. For example, you could write something like: In his article “A Mystery Explained” for The New York Times, the author exposed the details of the crime.

4. Foreign Words

If you’re writing in one language but you want to introduce a word in another language, you may consider italicizing it. For example, “The word for war in Spanish is guerra.”

5. Names Of Trains, Ships, Spaceships

Words that are names of transportation vehicles (with the exception of cars) are italicized. For example, the space shuttle Challenger is in italics.

6. Words As Reproduced Sounds

If you want to write out the way something sounds, then you can leverage italics. To depict, “The bees went bzzz in my ear.” This doesn’t mean that you would write verbs that are sounds in italics. (i.e., “There was a loud thud.”)

7. Words As Words

When you are writing a word to use it as a word for reference, then you can put it in italics. For example, “He defined close in context of the situation as being within 6 feet of each other.”

Examples for when to use italics.

There are various writing formats that have slightly different rules. When you’re writing a scholarly paper, you may be advised to write in MLA format or APA format.

The MLA format may allow for interchangeability between italics and underlines. In the APA format, these are some examples of when to use and when not to use italics — and they aren’t always in line with the examples above. In APA format, for example, you should not use italics just for emphasis.

So before writing any scholarly paper, it’s useful to double check the rules for italics according to the specific guidelines.

Use Italics

  • First introduction to a new term – i.e., “ Communism is defined as, ‘ a form of government…’”
  • Titles of book and web pages – i.e., “ Eleven Rings by Phil Jackson”
  • English letters used as math symbols – i.e., “Solve for the variable x .”
  • Anchors of scale – i.e., “Rate your experience on a scale of 1 ( extremely dissatisfied ) to 10 ( extremely satisfied )”
  • First use of words in a different language – i.e., “She was the crème de la crème .”

Do Not Use Italics

  • For the title of book series – i.e., “the Dan Brown series”
  • Punctuation around italics – i.e., “( extremely dissatisfied )”
  • Words from foreign languages that are in the dictionary of the language you are writing – i.e., “per se”

Things To Remember

This list of rules and exceptions can feel overwhelming. And there’s still more to learn and remember on top of the points above! Keep in mind:

  • Don’t italicize the titles of songs, chapters in books, or poems. Instead, use quotations. For example, you could write: On the Drake album Views, I really like the song “Fire & Desire.”
  • Don’t italicize religious texts – i.e., the Torah or the Koran. Instead, these are capitalized.
  • Don’t underline and italicize together like this . (That sure is painful to read!)

Although there is a lot to remember when it comes to what to italicize, the good news is that you can always research whether or not something should be italicized online or refer back to this list!

Italics Or Not? That Is The Question

As a student, it’s important to fine tune your grammar skills now so that when you graduate and enter the workforce, you can produce exemplary work every time!

As mentioned, when writing research papers or any other academic paper, your professor will share what standards they want you to abide by. Whether it’s MLA or APA formats, you can look up the rules for when to italicize before and during the writing process.

Then, when you edit, be sure to check all your usages of underlines, italics, and quotation marks to ensure they are implemented correctly!

What about MLA format?

All research papers on literature use MLA format, as it is the universal citation method for the field of literary studies. Whenever you use a primary or secondary source, whether you are quoting or paraphrasing, you will make parenthetical citations in the MLA format [Ex. (Smith 67).] Your Works Cited list will be the last page of your essay. Consult the OWL handout on MLA for further instructions.

Note, however, the following minor things about MLA format:

  • Titles of books, plays, or works published singularly (not anthologized) should be italicised unless it is a handwritten document, in which case underlining is acceptable. (Ex. Hamlet , Great Expectations )
  • Titles of poems, short stories, or works published in an anthology will have quotation marks around them. (Ex. "Ode to a Nightingale," "The Cask of Amontillado")
Tip If you're using Microsoft Word, you can easily include your name and page number on each page by following the these steps:
  • Open "View" (on the top menu).
  • Open "Header and Footer." (A box will appear at the top of the page you're on. And a "Header and Footer" menu box will also appear).
  • Click on the "align right" button at the top of the screen. (If you're not sure which button it is, hold the mouse over the buttons and a small window should pop up telling you which button you're on.)
  • Type in your last name and a space.
  • Click on the "#" button which is located on the "Header and Footer" menu box. It will insert the appropriate page number.
  • Click "Close" on the "Header and Footer" window.
That's all you need to do. Word will automatically insert your name and the page number on every page of your document.

What else should I remember?

  • Don't leave a quote or paraphrase by itself-you must introduce it, explain it, and show how it relates to your thesis.
  • Block format all quotations of more than four lines.
  • When you quote brief passages of poetry, line and stanza divisions are shown as a slash (Ex. "Roses are red, / Violets are blue / You love me / And I like you").

Do You Italicize Article Titles?

No, typically you don’t italicize article titles. Instead, you may enclose article titles in double quotation marks (MLA 9: “Article Title”) or simply use regular font without quotation marks (APA 7: Article title). The exact format for article titles depends on the style guide you’re using. Different academic disciplines use different style manuals that follow differing rules. However, generally, you do italicize the larger work of which the article is a part ( Journal/Magazine/Newspaper Title ) . 

Let’s look at how MLA 9, APA 7, and Chicago styles handle title formatting for articles.

MLA 9 Style for Article Titles

Since journal, magazine, and newspaper articles are part of a larger standalone work, you use regular font (not italics) for article titles and double quotation marks in MLA 9 style.

Here is a template for a magazine article in MLA 9-style:

Author Last Name, First Name. “Title of the Article.” Magazine Title , Publication Month. Year, pp. #-# or URL.

Here is an MLA 9-style reference list entry example for a magazine article:

Parker, James. “An Ode to My Thesaurus.” The Atlantic , July-Aug. 2022, https://www.theatlantic.com/magazine/archive/2022/07/an-ode-to-my-thesaurus/638453/

Notice the regular font for the magazine article and the italics for the magazine title:

  • Article title: “An Ode to My Thesaurus”
  • Magazine title : The Atlantic

MLA 9’s style manual uses the term containers for larger standalone works. For example, a book is a container for a chapter. Here are more container examples:

  • Container –> Item in container
  • Album –> Song
  • Book –> Chapter
  • Journal –> Article
  • Television show/series –> Episode
  • Newspaper or Magazine Publication –> Interview

Standalone works or containers are italicized . That includes the titles of the following:

  • Journal Titles
  • Magazine Titles
  • Newspaper Titles
  • Photo/Image/Painting
  • Television series
  • Webpages/Websites

Works contained within a standalone work should be enclosed in double quotation marks. In the works-cited entry, these titles are placed before the container’s, or standalone work’s, title. Titles of works that are part of larger standalone works include the following:

  • Book chapters
  • Interviews in a magazine
  • Journal articles
  • Magazine article
  • Newspaper article
  • Short stories
  • Song on an album
  • Webpage/Website articles

APA 7 Style for Article Titles

Since journal, magazine, and newspaper articles are part of a larger standalone work, you use regular font (not italics) for article titles in APA style.

Here is a template for a journal article in APA 7-style:

Author Last Name, First Initial. Middle Initial. (Publication Year). Title of the journal article: Subtitle of article. Title of the Journal, VolumeNumber (IssueNumber), Page#-#. URL.

Here is an APA 7-style reference list entry example for a journal article:

Jacoby, W. G. (1994). Public attitudes toward government spending. American Journal of Political Science, 38 (2), 336-361. https://doi.org/10.2307/2111407

Notice the regular font for the journal article and the italics for the journal title:

  • Article title: Public attitudes toward government spending.
  • Journal title : American Journal of Political Science

In APA 7, you italicize titles of sources that stand alone. Standalone sources are not part of another work. Standalone works that you italicize in APA include:

  • Journal Titles ( not journal articles)
  • Magazine Title
  • Music Album ( not a song on the album)
  • Newspaper Title
  • Podcast ( not a podcast episode)
  • Television Series
  • YouTube Video

Works that are just a part of another work, like a chapter in a book, are not italicized. Sources that are part of another work and in regular font in APA include:

  • Edited Book Chapters
  • Journal Articles
  • Magazine Articles
  • Newspaper Articles
  • Podcast episodes
  • Songs on an album
  • Television episodes

Chicago Style (17th ed. notes-bibliography format)

Since journal, magazine, and newspaper articles are part of a larger standalone work, you use regular font (not italics) and quotation marks for article titles in Chicago style.

Here is a template for a newspaper article in Chicago-style:

  • Author First Name Last Name, “Newspaper Article Title,”  Newspaper Title , Publication Month Day, Year, URL.

Bibliography:

Researching the white paper:.

The process of researching and composing a white paper shares some similarities with the kind of research and writing one does for a high school or college research paper. What’s important for writers of white papers to grasp, however, is how much this genre differs from a research paper.  First, the author of a white paper already recognizes that there is a problem to be solved, a decision to be made, and the job of the author is to provide readers with substantive information to help them make some kind of decision--which may include a decision to do more research because major gaps remain. 

Thus, a white paper author would not “brainstorm” a topic. Instead, the white paper author would get busy figuring out how the problem is defined by those who are experiencing it as a problem. Typically that research begins in popular culture--social media, surveys, interviews, newspapers. Once the author has a handle on how the problem is being defined and experienced, its history and its impact, what people in the trenches believe might be the best or worst ways of addressing it, the author then will turn to academic scholarship as well as “grey” literature (more about that later).  Unlike a school research paper, the author does not set out to argue for or against a particular position, and then devote the majority of effort to finding sources to support the selected position.  Instead, the author sets out in good faith to do as much fact-finding as possible, and thus research is likely to present multiple, conflicting, and overlapping perspectives. When people research out of a genuine desire to understand and solve a problem, they listen to every source that may offer helpful information. They will thus have to do much more analysis, synthesis, and sorting of that information, which will often not fall neatly into a “pro” or “con” camp:  Solution A may, for example, solve one part of the problem but exacerbate another part of the problem. Solution C may sound like what everyone wants, but what if it’s built on a set of data that have been criticized by another reliable source?  And so it goes. 

For example, if you are trying to write a white paper on the opioid crisis, you may focus on the value of  providing free, sterilized needles--which do indeed reduce disease, and also provide an opportunity for the health care provider distributing them to offer addiction treatment to the user. However, the free needles are sometimes discarded on the ground, posing a danger to others; or they may be shared; or they may encourage more drug usage. All of those things can be true at once; a reader will want to know about all of these considerations in order to make an informed decision. That is the challenging job of the white paper author.     
 The research you do for your white paper will require that you identify a specific problem, seek popular culture sources to help define the problem, its history, its significance and impact for people affected by it.  You will then delve into academic and grey literature to learn about the way scholars and others with professional expertise answer these same questions. In this way, you will create creating a layered, complex portrait that provides readers with a substantive exploration useful for deliberating and decision-making. You will also likely need to find or create images, including tables, figures, illustrations or photographs, and you will document all of your sources.

Academic Referencing: How to Cite a Research Paper

Learning how to conduct accurate, discipline-specific academic research can feel daunting at first. But, with a solid understanding of the reasoning behind why we use academic citations coupled with knowledge of the basics, you’ll learn how to cite sources with accuracy and confidence.

When it comes to academic research, citing sources correctly is arguably as important as the research itself. "Your instructors are expecting your work to adhere to these professional standards," said Amanda Girard , research support manager of Shapiro Library at Southern New Hampshire University (SNHU).

With Shapiro Library for the past three years, Girard manages the library’s research support services, which includes SNHU’s 24/7 library chat and email support. She holds an undergraduate degree in professional writing and a graduate degree in library and information science. She said that accurate citations show that you have done your research on a topic and are knowledgeable about current ideas from those actively working in the field.

In other words, when you cite sources according to the academic style of your discipline, you’re giving credit where credit is due.

Why Cite Sources?

Citing sources properly ensures you’re following high academic and professional standards for integrity and ethics.

“When you cite a source, you can ethically use others’ research. If you are not adequately citing the information you claim in your work, it would be considered plagiarism ,” said Shannon Geary '16 , peer tutor at SNHU.

Geary has an undergraduate degree in communication  from SNHU and has served on the academic support team for close to 2 years. Her job includes helping students learn how to conduct research  and write academically.

“In academic writing, it is crucial to state where you are receiving your information from,” she said. “Citing your sources ensures that you are following academic integrity standards.”

According to Geary and Girard, several key reasons for citing sources are:

  • Access. Citing sources points readers to original sources. If anyone wants to read more on your topic, they can use your citations as a roadmap to access the original sources.
  • Attribution. Crediting the original authors, researchers and experts  shows that you’re knowledgeable about current ideas from those actively working in the field and adhering to high ethical standards, said Girard.
  • Clarity. “By citing your sources correctly, your reader can follow along with your research,” Girard said.
  • Consistency. Adhering to a citation style provides a framework for presenting ideas within similar academic fields. “Consistent formatting makes accessing, understanding and evaluating an author's findings easier for others in related fields of study,” Geary said.
  • Credibility. Proper citation not only builds a writer's authority but also ensures the reliability of the work, according to Geary.

Ultimately, citing sources is a formalized way for you to share ideas as part of a bigger conversation among others in your field. It’s a way to build off of and reference one another’s ideas, Girard said.

How Do You Cite an Academic Research Paper?

Any time you use an original quote or paraphrase someone else’s ideas, you need to cite that material, according to Geary.

“The only time we do not need to cite is when presenting an original thought or general knowledge,” she said.

While the specific format for citing sources can vary based on the style used, several key elements are always included, according to Girard. Those are:

  • Title of source
  • Type of source, such as a journal, book, website or periodical

By giving credit to the authors, researchers and experts you cite, you’re building credibility. You’re showing that your argument is built on solid research.

“Proper citation not only builds a writer's authority but also ensures the reliability of the work,” Geary said. “Properly formatted citations are a roadmap for instructors and other readers to verify the information we present in our work.”

Common Citation Styles in Academic Research

Certain disciplines adhere to specific citation standards because different disciplines prioritize certain information and research styles . The most common citation styles used in academic research, according to Geary, are:

  • American Psychological Association, known as APA . This style is standard in the social sciences such as psychology, education and communication. “In these fields, research happens rapidly, which makes it exceptionally important to use current research,” Geary said.
  • Modern Language Association, known as MLA . This style is typically used in literature and humanities because of the emphasis on literature analysis. “When citing in MLA, there is an emphasis on the author and page number, allowing the audience to locate the original text that is being analyzed easily,” Geary said.
  • Chicago Manual of Style, known as Chicago . This style is typically used in history, business and sometimes humanities. “(Chicago) offers flexibility because of the use of footnotes, which can be seen as less distracting than an in-text citation,” Geary said.

The benefit of using the same format as other researchers within a discipline is that the framework of presenting ideas allows you to “speak the same language,” according to Girard.

How to Ensure Proper Citations

Keeping track of your research as you go is one of the best ways to ensure you’re citing appropriately and correctly based on the style that your academic discipline uses.

“Through careful citation, authors ensure their audience can distinguish between borrowed material and original thoughts, safeguarding their academic reputation and following academic honesty policies,” Geary said.

Some tips that she and Girard shared to ensure you’re citing sources correctly include:

  • Keep track of sources as you work. Writers should keep track of their sources every time an idea is not theirs, according to Geary. “You don’t want to find the perfect research study and misplace its source information, meaning you’d have to omit it from your paper,” she said.
  • Practice. Even experienced writers need to check their citations before submitting their work. “Citing requires us to pay close attention to detail, so always start your citation process early and go slow to ensure you don’t make mistakes,” said Geary. In time, citing sources properly becomes faster and easier.
  • Use an Online Tool . Geary recommends the Shapiro Library citation guide . You can find sample papers, examples of how to cite in the different academic styles and up-to-date citation requirements, along with information and examples for APA, MLA and Chicago style citations.
  • Work with a Tutor. A tutor can offer support along with tips to help you learn the process of academic research. Students at SNHU can connect with free peer tutoring through the Academic Support tab in their online courses, though many colleges and universities offer peer tutoring.

How to cite a reference in academic writing.

A citation consists of two pieces: an in-text citation that is typically short and a longer list of references or works cited (depending on the style used) at the end of the paper.

“In-text citations immediately acknowledge the use of external source information and its exact location,” Geary said. While each style uses a slightly different format for in-text citations that reference the research, you may expect to need the page number, author’s name and possibly date of publication in parentheses at the end of a sentence or passage, according to Geary.

A longer entry listing the complete details of the resource you referenced should also be included on the references or works cited page at the end of the paper. The full citation is provided with complete details of the source, such as author, title, publication date and more, Geary said.

The two-part aspect of citations is because of readability. “You can imagine how putting the full citation would break up the flow of a paper,” Girard said. “So, a shortened version is used (in the text).”

“For example, if an in-text citation reads (Jones, 2024), the reader immediately knows that the ideas presented are coming from Jones’s work, and they can explore the comprehensive citation on the final page,” she said.

The in-text citation and full citation together provide a transparent trail of the author's process of engaging with research.

“Their combined use also facilitates further research by following a standardized style (APA, MLA, Chicago), guaranteeing that other scholars can easily connect and build upon their work in the future,” Geary said.
