Powerful and Effective Presentation Skills: More in Demand Now Than Ever

When we talk with our L&D colleagues from around the globe, we often hear that presentation skills training is one of the top opportunities they’re looking to provide their learners. And this holds true whether their learners are individual contributors, people managers, or senior leaders. This is not surprising.

Effective communications skills are a powerful career activator, and most of us are called upon to communicate in some type of formal presentation mode at some point along the way.

For instance, you might be asked to brief management on market research results, walk your team through a new process, lay out the new budget, or explain a new product to a client or prospect. Or you may want to build support for a new idea, bring a new employee into the fold, or even just present your achievements to your manager during your performance review.

And now, with so many employees working from home or in hybrid mode, and business travel in decline, there’s a growing need to find new ways to make effective presentations when the audience may be fully virtual or a combination of in person and remote attendees.

Whether you’re making a standup presentation to a large live audience, or a sit-down one-on-one, whether you’re delivering your presentation face to face or virtually, solid presentation skills matter.

Even the most seasoned and accomplished presenters may need to fine-tune or update their skills. Expectations have changed over the last decade or so. Yesterday’s PowerPoint which primarily relied on bulleted points, broken up by the occasional clip-art image, won’t cut it with today’s audience.

The digital revolution has revolutionized the way people want to receive information. People expect presentations that are more visually interesting. They expect to see data, metrics that support assertions. And now, with so many previously in-person meetings occurring virtually, there’s an entirely new level of technical preparedness required.

The leadership development tools and the individual learning opportunities you’re providing should include presentation skills training that covers both the evergreen fundamentals and the up-to-date capabilities that can make or break a presentation.

So, just what should be included in solid presentation skills training? Here’s what I think.

The fundamentals will always apply When it comes to making a powerful and effective presentation, the fundamentals will always apply. You need to understand your objective. Is it strictly to convey information, so that your audience’s knowledge is increased? Is it to persuade your audience to take some action? Is it to convince people to support your idea? Once you understand what your objective is, you need to define your central message. There may be a lot of things you want to share with your audience during your presentation, but find – and stick with – the core, the most important point you want them to walk away with. And make sure that your message is clear and compelling.

You also need to tailor your presentation to your audience. Who are they and what might they be expecting? Say you’re giving a product pitch to a client. A technical team may be interested in a lot of nitty-gritty product detail. The business side will no doubt be more interested in what returns they can expect on their investment.

Another consideration is the setting: is this a formal presentation to a large audience with questions reserved for the end, or a presentation in a smaller setting where there’s the possibility for conversation throughout? Is your presentation virtual or in-person? To be delivered individually or as a group? What time of the day will you be speaking? Will there be others speaking before you and might that impact how your message will be received?

Once these fundamentals are established, you’re in building mode. What are the specific points you want to share that will help you best meet your objective and get across your core message? Now figure out how to convey those points in the clearest, most straightforward, and succinct way. This doesn’t mean that your presentation has to be a series of clipped bullet points. No one wants to sit through a presentation in which the presenter reads through what’s on the slide. You can get your points across using stories, fact, diagrams, videos, props, and other types of media.

Visual design matters While you don’t want to clutter up your presentation with too many visual elements that don’t serve your objective and can be distracting, using a variety of visual formats to convey your core message will make your presentation more memorable than slides filled with text. A couple of tips: avoid images that are cliched and overdone. Be careful not to mix up too many different types of images. If you’re using photos, stick with photos. If you’re using drawn images, keep the style consistent. When data are presented, stay consistent with colors and fonts from one type of chart to the next. Keep things clear and simple, using data to support key points without overwhelming your audience with too much information. And don’t assume that your audience is composed of statisticians (unless, of course, it is).

When presenting qualitative data, brief videos provide a way to engage your audience and create emotional connection and impact. Word clouds are another way to get qualitative data across.

Practice makes perfect You’ve pulled together a perfect presentation. But it likely won’t be perfect unless it’s well delivered. So don’t forget to practice your presentation ahead of time. Pro tip: record yourself as you practice out loud. This will force you to think through what you’re going to say for each element of your presentation. And watching your recording will help you identify your mistakes—such as fidgeting, using too many fillers (such as “umm,” or “like”), or speaking too fast.

A key element of your preparation should involve anticipating any technical difficulties. If you’ve embedded videos, make sure they work. If you’re presenting virtually, make sure that the lighting is good, and that your speaker and camera are working. Whether presenting in person or virtually, get there early enough to work out any technical glitches before your presentation is scheduled to begin. Few things are a bigger audience turn-off than sitting there watching the presenter struggle with the delivery mechanisms!

Finally, be kind to yourself. Despite thorough preparation and practice, sometimes, things go wrong, and you need to recover in the moment, adapt, and carry on. It’s unlikely that you’ll have caused any lasting damage and the important thing is to learn from your experience, so your next presentation is stronger.

Why Great Presentation Skills Are Essential For Leadership Success

Leadership is about having vision. However, that’s only half the battle. If you want to succeed as a leader you need to be able to present your vision in a way that inspires and drives others to help you achieve it, particularly when the going gets tough.

Your presentation skills, or in other words how you communicate, are therefore extremely important. Indeed, research by Peter Miller found that a leader spends 75% – 90% of their time communicating. He argues that ‘everything a leader does to influence others involves communicating’ and ‘good communication skills are the foundation of effective leadership.’ Essentially, these are what you should focus on first when it comes to your development as a leader. Only then should you turn to attributes such as higher-level team and strategic skills that are more readily considered leadership skills.

You could be communicating one-on-one to direct reports or on mass to your employees, shareholders or other external stakeholders. In either case, as a leader you must make sure your presentation skills are accomplished enough to ensure the message you are delivering resonates appropriately in all these instances. Here are some key pointers to help you achieve this.

Know that everyone can learn to communicate better

In a blog he authored on the importance of communication, Richard Branson asserts that “Communication is the most important skill any leader can possess. We have certainly relied on it to drive the success of the Virgin story.”

Taking this one step further, motivational speaker Brian Tracy believes that…

“Communication is a skill that you can learn. It’s like riding a bicycle or typing. If you’re willing to work at it, you can rapidly improve the quality of every part of your life.” Brian Tracy, Motivational Speaker

So being able to communicate well – and by association have effective presentation skills – is not a gift bestowed on the lucky few. It is something we can all accomplish. So, if you are someone whose communication and presentation skills need work, then make a commitment today to devote time and effort to develop them. It will improve your effectiveness as a leader and enhance other areas of your life too.

Know your audience

It has become accepted that to sell a product or service effectively, businesses should spend time understanding their target audience. The same applies to you as a leader wanting to influence and engage others. You should take the time to really understand the groups of people that you are conveying your message to. What are you trying to get them to do? Which content and messaging will resonate most? What would be the most effective way to present it?

Never make assumptions

Following closely from the previous point, when planning what you are going to say make sure you pitch it at the right level for the people you are communicating to. As Lauren Hug, author of the Manager’s Guide to Making Presentations advises when planning what you are going to say, you should make sure you don’t ‘lose your audience by assuming knowledge they don’t have.’

Be confident

Believe in yourself and what you are trying to achieve. Your self-belief will shine through to those you are trying to engage and influence. This is particularly so if the audience is a challenging one. If they sense any self-doubt, you’ll fail on both counts.

The words that follow are those of a storyteller rather than a leading management guru but they sum this point up well. As J.M. Barrie, author of Peter Pan, writes ‘The moment you doubt whether you can fly, you cease forever to be able to do it.’

We are touching on mindset as much as communication here but know the reason for your vision and the ideas that sit behind it. Why are they important to you? Why do you believe in them, and more significantly, why you want others to believe in them too?

Keep these in mind, especially for those occasions when your vision is challenged. If you keep your self-belief intact you are much more likely to take your audience with you, even if they are reluctant converts.

Teams led by people who communicate with them effectively are more productive. It’s obvious when you think about it but there have been numerous studies to back this up. According to Gallup, poorly managed work groups are on average 50% less productive and 44% less profitable than well-managed groups. Salesforce claims that 96% of execs cite lack of collaboration of ineffective communications for workplace failures.

Have you ever had the experience of going to a talk, presentation, or panel discussion featuring one or more professionals that you admire and come away disappointed by the experience?

It's sometimes surprising to learn that people who excel in certain areas are not necessarily good at public speaking, talking in front of an audience and conveying information.

Their failings can be numerous. They speak too quietly or in a monotone, they are disorganized, or any visuals they bring fail to complement their talk, to name just a few issues.

Being good, even being the best, in one particular area does not necessarily mean being good at all the things that go along with it, but if you have similar ambitions, you probably want to avoid disappointing an audience in the same way.

The ability to give strong presentations is also an important career skill, and being unable to do so can hold you back. Building your overall leadership ability, with communication as part of that, will be critical to your success in almost any career field.

Get a Graduate Degree

While you probably can't get a master's degree in giving presentations, you can get close. If you want this kind of activity at the core of your career, you might look into pursuing a graduate degree in a subject such as management or organizational leadership. You could also consider an MBA. There are a few things to look for in these types of programs.

Reputation is particularly important when it comes to a degree in these areas, and you need to be able to expect to make solid career connections that will help you throughout your professional life. Find out who the professors are and what their industry experience is, and make sure that they actually will be teaching the classes that you are taking. Look at the specific skill sets that are taught and make sure that they are right for what you are after.

Location may be important as well, especially if you want to make business connections within a particular geographical area. While it's important to look at costs, keep in mind that there are a number of different ways to fund your graduate degree. In the U.S. you can take out Earnest graduate student loans to pay for at least some of your expenses. Other possibilities are scholarships, savings, and even getting tuition assistance from your employer.

Watching Others' Presentations

Getting a graduate degree is an excellent option for those whose career trajectory will be enhanced by, or requires a master's, but it isn't the right path for everyone for any number of reasons. One alternative is to teach yourself. This is probably not the best option if you are someone who really has no idea where to start, but if you have a natural talent for public speaking and presentations but need to refine your approach, there are many industry-specific videos, presentations, panels, and seminars online that you can watch for a small fee or for free.

If you take this approach, you need to observe a concrete set of criteria. Make a list ahead of time of all the things that you can think of that should be included when creating presentations like a consultant or professional.  Then add to that list as you watch. Examples of things you might pay attention to include how visuals are used and whether they complement the talk, how quickly or slowly the person speaks, whether the person uses gestures, what they do well, and what they do that is distracting or uninteresting. Notice what parts hold your attention and which ones do not, and why. Take detailed notes. Try to look at a variety of different speakers and approaches to presentations.

It's also a great idea to film yourself doing talks. This can give you insight into things you may do that you are not conscious of.

Practicing on your own like this may also help you practice things that you might feel inhibited trying out in front of an audience. This do-it-yourself approach may also be more appropriate for people in certain fields. If you are a writer who regularly does talks at schools or at literary festivals, you want to work in science communication, or you are in public relations or marketing, spending time and money on a degree in leadership or management does not really make sense.

On the other hand, if you want to go into business or high-level politics, you could combine graduate school with the above suggestions.

Certifications and Other Programs

Somewhere in between graduate school and the self-taught approach is obtaining a certification or participating in another type of program that will build these skills. This can range from a fairly informal group at work or a community organization that helps you build communication and leadership skills to an executive program at a major university.

Like an MBA or other high-level graduate programs in management and leadership, the latter type of program usually requires a certain amount of work experience. In some cases, it might even require a graduate degree as well, making the program something you would pursue at a later stage in your career.

There are a number of seminars and other short programs or courses that last from just a few hours to a few days, and you may want to consider these as well. However, in an era when anyone can put up a webpage and promise a video presentation, it's important to evaluate these carefully.

Will it simply consist of watching someone lecture?

This is not necessarily a waste of time, but you probably shouldn't pay too much money for it, and you would need to supplement it with other activities that allow you to get feedback as well. This point is key in that you need an opportunity to try your skills and have them evaluated and improved. Above all, do your research into any trainings or seminars you are considering signing up for, and make sure they will deliver what you need at a reasonable price.

If you want to be an effective leader , you need to excel in communication. In fact, the success of your business relies on it.

According to a report from the Economist Intelligence Unit (pdf) , poor communication can lead to low morale, missed performance goals, and even lost sales. A separate study found that inadequate communication can cost large companies an average of $64.2 million per year, while smaller organizations are at risk of losing $420,000 annually.

But effective communication impacts more than just the bottom line. For leaders, it’s what enables them to rally their team around a shared vision, empower employees , build trust, and successfully navigate organizational change .

Why Is Communication Important in Leadership?

A leader is someone who inspires positive, incremental change by empowering those around them to work toward common objectives. A leader’s most powerful tool for doing so is communication.

Effective communication is vital to gain trust, align efforts in the pursuit of goals, and inspire positive change. When communication is lacking, important information can be misinterpreted, causing relationships to suffer and, ultimately, creating barriers that hinder progress.

Essential Communication Skills for Leaders

Different communication styles are the most frequently cited cause of poor communication, according to the Economist Intelligence Unit (pdf) , and can lead to more significant issues, such as unclear priorities and increased stress.

It’s essential to identify your leadership style , so that you can better understand how you’re interacting with, and perceived by, employees across the organization. For example, if you’re an authoritative leader , you likely have a clear vision for achieving success and align your team accordingly. While an effective approach for some, it might fall flat for others who seek more autonomy in their role.

Every employee’s motivations are different, so knowing how to tailor your communication is essential to influencing others and reaching organizational goals.

2. Active Listening

Effective leaders know when they need to talk and, more importantly, when they need to listen. Show that you care by asking for employees’ opinions, ideas, and feedback. And when they do share, actively engage in the conversation—pose questions, invite them to elaborate, and take notes.

It’s important to stay in the moment and avoid interrupting. Keep your focus on the employee and what it is they’re saying. To achieve that, you also need to eliminate any distractions, including constant pings on your cell phone or checking incoming emails.

3. Transparency

In a survey by the American Management Association , more than a third of senior managers, executives, and employees said they “hardly ever” know what’s going on in their organizations. Transparency can go a long way in breaking down that communication barrier.

By speaking openly about the company’s goals, opportunities, and challenges, leaders can build trust amongst their team and foster an environment where employees feel empowered to share their ideas and collaborate. Just acknowledging mistakes can encourage experimentation and create a safe space for active problem-solving.

Every individual should understand the role they play in the company’s success. The more transparent leaders are, the easier it is for employees to make that connection.

When communicating with employees, speak in specifics. Define the desired result of a project or strategic initiative and be clear about what you want to see achieved by the end of each milestone. If goals aren’t being met, try simplifying your message further or ask how you can provide additional clarity or help.

The more clear you are, the less confusion there will be around priorities. Employees will know what they’re working toward and feel more engaged in the process.

5. Ability to Ask Open-Ended Questions

If you want to understand employees’ motivations, thoughts, and goals better, practice asking open-ended questions. Jennifer Currence, president of consulting firm The Currence Group, said to the Society of Human Resource Management to use the acronym TED, which stands for:

  • “ T ell me more.”
  • “ E xplain what you mean.”
  • “ D efine that term or concept for me.”

By leveraging those phrases when speaking with your team, you can elicit more thoughtful, thorough responses and ensure you also have clarity around what they need from you to succeed.

There’s a reason empathy has been ranked the top leadership skill needed for success . The better you get at acknowledging and understanding employees’ feelings and experiences, the more heard and valued they’ll feel.

In a recent survey (pdf) , 96 percent of respondents said it was important for their employers to demonstrate empathy, yet 92 percent claimed it remains undervalued. If you want to improve your communication and build a stronger, more productive culture, practice responding with empathy.

7. Open Body Language

Communication isn’t just what you say; it’s how you carry yourself. Ninety-three percent of communication’s impact comes from nonverbal cues, according to executive coach Darlene Price .

To ensure you’re conveying the right message, focus on your body language. If you’re trying to inspire someone, talking with clenched fists and a furrowed brow isn’t going to send the right message. Instead, make eye contact to establish interest and rapport and flash a genuine smile to convey warmth and trust.

8. Receiving and Implementing Feedback

Asking for feedback from your team can not only help you grow as a leader, but build trust among your colleagues. It’s critical, though, that you don’t just listen to the feedback. You also need to act on it.

If you continue to receive feedback from your team, but don’t implement any changes, they’re going to lose faith in your ability to follow through. It’s likely there will be comments you can’t immediately act on—be transparent about that. By letting your employees know they were heard and then apprising them of any progress you can, or do, make, they’ll feel as though you value their perspective and are serious about improving.

Every organisation has its own internal communication culture.

Much of the ‘corporate speak’ our teams hear every day isn’t very helpful.

Stop churning out emails and updates in a language that very few people understand. It’s not how most people speak themselves.

Only send it to those who it’s completely relevant to.

Make it personal, human, relevant and engaging

Whether you are writing it or saying it, make sure that it’s focused on connecting with the team.

3. Show vulnerability

If you want your team to present their ideas with passion, purpose and energy, lead the way.

Show them how to do it first

Help them how to be open and know that it’s fine to feel vulnerable.

Show them how to lighten up, relax and not take everything so seriously. Help them to be themselves rather than simply their job title.

Avoid the ‘corporate speak’ by being yourself

Show them that’s how you want them to be too.

4. ‘I don’t know’

5. Lighten up

Imagine this:

– It’s the monthly management meeting.

– Everyone arrives and sits in exactly the same seat they sit in every month.

– The team takes it in turn to go around the room to share their update.

– They read out the same KPI’s that they do every month in the same voice.

– Each presenter fends off a barrage of questions from the most senior person in the room.

It’s predicatble and tedious

Do whatever it takes to make every meeting different, fun and engaging.

Most of all make them something that your team can look forward to rather than dread.

6. Keep it conversational

No one likes to be lectured to.

As leaders we each have an opportunity to connect with our teams in a far more conversational manner.

Keep your message personal, focused and tailored to the people you are speaking with. Involve them, and ask them how they feel.

Please don’t lecture them.

7. Feelings matter

Be absolutely clear before you begin to speak how you want people to feel.

How do you want them to feel:

– The moment you begin to speak

– All the time they are with you

– The moment they walk out of the door

Most people will forget most of what you said by the time they return to their desk.

They won’t however, forget how you made them feel

Please keep in mind that there is nothing ‘soft’ or easy about communicating effectively.

It’s one of the hardest things we have to do every day.

Help your team to get good at it

Give them the presentation skills to speak with confidence.

Communication skills take on heightened importance for leaders. In fact, take a few minutes to think of a person you consider to be an effective leader. I bet communication skills are one of their traits. Such skills are essential to conveying and showcasing leadership ability. It doesn’t necessarily mean the person is overly loquacious. But, it means even their few words are effectively used.

Of course, communication skills have taken on more importance in this extended telework environment. And, your communication skills must adapt and account for these changed circumstances. If not, you might find yourself fading into the background. But, we can do this! By focusing on the primary goals for which we communicate – to inform, influence and motivate the people around us – we can leverage our abilities and the tools that have been provided to us to make the best of it.

So, to more effectively present our knowledge and expertise, let’s consider the following tips and best practices.

  • Practice effective listening.  Most of us have the ability to hear the sounds around us. But, to listen means we have actively seek to hear and understand something well. And when you listen “effectively,” it means you have focused your attention on the other person so you can understand the message and, at the same time, allow them to feel validated and appreciated. Then when you do respond, you have first been an outstanding audience for them.
  • Balance advocacy of your ideas with inquiry into the interests and concerns of others. No one has all of the answers all of the time. And believing that you do will hinder your ability to obtain more information. It will also prevent you from collaborating and negotiating towards even better results.
  • Project a positive image. Your image is an important part of your communication. Remember, your camera should be on for virtual meetings. In fact, consider what you might be communicating to others with it off.
  • Watch what you convey through body language. We communicate with our eyes, smile, body movements, posture and even our breathing. And these nonverbal cues can intensify or diminish your message, create or negate associations, and command or decrease presence.
  • Organize your thoughts for maximum effectiveness.  As a result, your key message will be stated clearly and concisely. Don’t let rambling be what your audience remembers.
  • Always be audience-focused in your communication. So, be clear on what your audience already knows. Find the sweet spot between giving them too much background, which might bore or insult them, and telling them too little, which might make them miss your point.
  • Find value in every communication. Believe you can learn something from everybody. In fact, consider what the responses you receive tell you about the people you were communicating with. And, use that knowledge to consider how to influence them in the future.

In conclusion, success in the workplace, your community and even in your home largely depends on your ability to communicate.  If we want to inform, influence and motivate those around us, we must spend time honing these skills.

Today’s leaders face a constantly evolving environment. Workplace complexity has increased because of the adoption of remote and hybrid workforces, technological advances (including machine learning and artificial intelligence), a focus on sustainability and social responsibility, and challenges in effective communication and change management.

Discussions on leadership often receive a lukewarm response. Yet, leadership – above all else – drives success. With so much happening globally and in the workplace, it’s crucial to pause and focus on this.

Leadership is fundamentally about people. Few organizations consist of only one person, so leaders must learn to filter and distill the various inputs they receive into concise messages.

Through their behavior, leaders must demonstrate actions that ensure the safety and well-being of their workforce. In doing so, organizations can improve performance and drive toward greater success.

The difference lies in how the leader accomplishes this. There’s no magic solution – leadership requires hard work, dedication and a willingness to dive in.

In the U.S. Navy, for example, all F/A-18 Super Hornet squadrons are resourced similarly and share the same mission: to support the branch’s broader mission of ensuring maritime security and protecting national interests.

Each squadron, consisting of around 200 people, is led by an experienced commanding officer who was chosen because of their past leadership performance.

Every year, the performance of each squadron is reviewed to capture best practices for future application. Safety metrics, combat and maintenance effectiveness, retention, advancement, promotion rates, and physical fitness scores are analyzed.

Interestingly, despite similar resources and missions, one squadron often outperforms the others. The difference? Leadership.

Although all leaders are different, some traits, characteristics and skills propel leaders and their organizations to the top:

  • They know their people. Understanding individual strengths, weaknesses, desires and needs is crucial for forging a unified path to success.
  • They clearly articulate their mission, vision and strategy.
  • They excel in communication, knowing what information is required by whom, at what time and in what format.
  • They understand where and how their organization fits into the bigger picture, allowing for greater flexibility in changing operational requirements.
  • They continuously assess their performance through inspections, audits, evaluations and internal self-assessment.
  • They excel at the feedback loop: planning, briefing, executing and debriefing.
  • Leadership is the key to operational excellence.
  • The best leaders consistently demonstrate a critical set of skills, making a significant difference in their organizations.
