Comb through your original contract and make note of anything that needs altering or has become obsolete. Here are a few items to consider when looking over the original contract:

  • Duration and renewal terms: How long was the duration of the original contract? Did the timing work for your business or would you prefer a longer or shorter contract this time around? 
  • Objectives/Deliverables: Were the objectives met in the original contract? Let's say this is a vendor who was supposed to deliver coffee to your offices on a weekly basis. Was the correct amount delivered in a timely manner each week?
  • Pricing: The price of the coffee has risen since the original contract was drawn up. Because you've been a reliable customer, consider requesting the same price or a discount. One of the benefits of establishing a contractual relationship with a vendor is the increased opportunity for discounted rates. 
  • Other possible vendors: If it's time to renew a contract, this is your opportunity to research and compare the rates of other vendors. When a customer’s contract is coming to an end, you want to ensure that the customer stays subscribed and doesn’t miss out any opportunity they would otherwise miss by ending the subscription early. Usually for this purpose a series of emails or direct letters are sent out to the perspective client to let them know that their contract is almost up.

Usually some enticing benefits or bonuses are thrown in to let them know that they’ll be rewarded for keeping their contract as well. A contract renewal letter is simply an effective tool to keep people bumping their contract when it’s about to expire. For the general purpose of this sample, we’re going to assume you only send one letter out, while some companies send two, you can do both.

Starting to Write

Announce to the customer that the contract is soon going to expire.

Ensure the customer that if they want to continue using the service, they need to continue their contract for another month or year and promptly send payment.
