Step 4 – Checking the Applicant’s Credit Score

One of the most notable indicators of someone’s ability to pay rent is their credit score. The calculation of this score is based on the individual’s debt, payment history, oldest line of credit, number of accounts, and types of credit. Any deficiencies in these areas can negatively affect their score and indicate that they are not eligible to rent. It is advised that you do not rent to anyone with a credit score lower than 620 . Listed below are the top three (3) consumer credit reporting agencies:

Step 5 – Verifying Employment

The landlord should make sure that the person they select has a steady job. Not only should they be working regularly, but the periodic lease payments should only be around 30% or less than the total amount of income the applicant generates each month . This figure is a rule of thumb for many property owners who want to ensure that their tenant has sufficient means to provide the payments accordingly. Apart from the data collected through the rental application, landlords may request the following:

  • Employment (Income) Verification Letter – A notice containing information regarding a prospective tenant’s occupation, such as the amount of compensation received on a regular basis, their role in the company, and the name & contact information of their supervisor. After the data is provided, their boss should then confirm the information by endorsing the form.
  • Pay Stubs  – You may ask for at least six (6) weeks of pay stubs from the individual’s payroll company.
  • Bank Statement  – If the applicant’s company that they work for does not offer pay stubs, or they are an independent contractor, you may insist on them providing you with a bank statement in order to confirm that they have sufficient funds to keep up with the lease payments.

Step 6 – Reviewing Their Rental History

A good way of predicting how an applicant will behave during the tenancy is to examine their past rental history. The application for occupancy requests that they provide details regarding their current living arrangement and previous ones before. Among the details will be each rental’s location, cost of rent, and term length. This will be followed up with the contact info of all the past landlords. Individuals that are evaluating the applicant should consider executing the following :

  • Contacting the Landlord References – Reach out to verify the information that the applicant has provided as well as to inquire about the individual’s conduct as a tenant, i.e., ask if they paid rent on time, violated any conditions of the lease, were disruptive to other tenants, caused damage, etc.
  • Eviction Records – Instead of paying a fee for a screening service to check whether or not a tenant has been evicted, property holders can search their local court’s database for public eviction records. The location of this information will vary from state-to-state, but the NCSC’s website allows you to select your state to find out more details on where to access the court documents.

( Note : Although the rental application certifies the landlord’s right to verify any of the information provided by the applicant, the Tenant Information Release Form is more specific to the owner’s permission to access details regarding the tenant’s past rentals.)

Step 7 – Running a Criminal Background Check

Some people may wonder if it is illegal to discriminate against renters who have a criminal background. Unless it is a HUD property, the answer is no. It is perfectly fine to try to mitigate the risk of procuring a bad tenant by eliminating those with unlawful tendencies. Property owners should look into an applicant’s past to see if they were involved in any criminal activity . Investigating this aspect of one’s life not only protects you from potential unpaid bills or other damages but also safeguards any neighboring occupants. Individuals trying to rent out their residence should:

  • Perform a Criminal Background Check  – This can be accomplished with the screening services that were previously mentioned. With that being said, it wouldn’t hurt to do your own independent research. Landlords may search the tenant’s name in Google , various social media networks, and the national sex offender database .
  • Examine the Crime  – Some infractions may call for the rejection of the rental application more than others. There are factors that should be taken into account regarding the violation, such as the status of a conviction, degree of severity, date of arrest, and the number of offenses.

Applicants with minor misdemeanors should be considered more than someone with a felony charge. With that being said, it is up to your discretion at the end of the day as to whether you think someone is fit to reside within your dwelling.

Step 8 – Additional Inquiries

After covering the major components of an individual’s background, there may be some further details that you should find out about the applicant. These being:

  • Pets – Do they have any pets that they will be bringing to the new property. If you allow pets on the premises, it is important to acquire a description of the animal in order to confirm if it is suitable to dwell within the property. Specifics such as the type of animal, breed, size, and color all should be specified within the rental application. This can be used to determine the cost associated with the pet being present on the premises.
  • Emergency Contacts  – The applicant should provide the phone number of an emergency contact in case a dire situation is to ever occur involving the tenant.
  • Vehicle Info  – The landlord should be aware of any vehicles that the tenant plans on containing within the boundaries of the property. This would include the make, model, color, year, & license plate number.
  • Referral Information  – For those wondering how an applicant found their available property, they can request which source directing them to the rental unit, e.g., a certain website, person, newspaper ad, etc.

Step 9 – Accepting or Denying the Applicant

After receiving the final results of the screening process, it will be time to make your decision as to whether you are going to agree to the tenancy or not. To formally notify a tenant of their acceptance or rejection to lease a specific dwelling, owners/landlords may deliver one of the following:

  • Approval Letter – A notification letter disclosing that the candidate was approved to rent the available unit. This will also come with a list of all the obligatory fees & balances that must be paid upon entering into the rental contract. (Also available in Microsoft Word )
  • Denial Letter – Applicants have the legal right to be notified of the reasons why they were denied, this can be accomplished using this form.

What are valid reasons to deny a rental application.

There are various reasons why a landlord or management company may refuse to lease to someone based on the content of their rental application. When a refusal occurs, the individual responsible for screening the tenant is legally obliged to convey the purpose of the decision. Some of the more common reasons why an applicant can be denied include:

  • Insufficient Income
  • Unsatisfactory References
  • Criminal Offenses
  • Previous Evictions
  • Owning Pets

Should I Call About My Rental Application?

When somebody is on the hunt for a new property to live in, they will want to know as soon as possible whether or not they are qualified to rent the unit they apply for. If you have handed in a rental application for a desired property, you should wait at least 48 hours before phoning the owner or management company. After the aforementioned period of time, you may contact them to see if you met the requirements or not.

Why Does the Rental Application Ask for a Bank Account Number?

It is not unheard nowadays for a rental application to require the tenant’s bank account number. Some parties may feel uncomfortable giving out this information, in which case, they may ask to skip this requirement or look for another property that doesn’t demand this action. The reason some landlords wish to acquire this info is to confirm that you indeed have an active bank account . Also, having this number is kind of like a backup plan should the occupant not pay certain bills. The landlord will not be able to access the account with the number, but it could be presented in court to ensure that any funds within the account will be paid towards the money owed (should the judicial system rule in their favor).

What Do I Bring for a Rental Application?

The best thing an eager tenant can do when going to view an available property is to come prepared. Make sure that you bring any items that can speed up the process of securing the rental. This means that you should have the following materials and information readily available upon visiting the unit:

  • Two (2) Forms of ID
  • Proof of Income (pay stubs, bank statement, verification letter )
  • References  (personal, professional, previous landlords)
  • Vehicle Details  (specs, license plate number, insurance info)
  • Past Addresses
  • Former & Current Job Descriptions
  • Payment (for screening costs)

Can a Rental Application Ask for a Social Security Number?

Yes , in fact, it is one of the key elements needed to run a proper background check on a potential renter. If you are an individual looking for housing but are not comfortable giving someone your SSN, you may run the risk of limiting your options. But, with that said, there may be some positive news for the future. As the world is advancing, many landlords are utilizing the services of online screening companies. Many of these companies make it so that the tenant can provide their information independently without disclosing the information to the landlord. Once they have supplied the needed details, the landlord will receive only the results of the background check.

What Is a Credit Reference for a Rental Application?

When applying to occupy a rental property, the term “credit reference” may appear on the application. A credit reference is when a lender confirms that a borrower has followed through with their obligations in regard to making payments. Now, if a person doesn’t have enough credit history for a report (e.g., they are from another country), they may be able to use another type of credit reference to appease the landlord. Other types of credit references:

  • Bank Letter  – A correspondence from the applicant’s financial institution confirming that they are capable to pay rent.
  • Letter of Support  – If the tenant has someone supporting them monetarily, then they can provide a written statement conveying the details of their arrangement.
  • Proof of Consistent Payments  – If an individual has a lack of credit history, then they could gather any recurring bills that they have paid as evidence of their capacity to pay.

(Applicants who are having trouble passing the rental application process due to their credit situation may want to consider finding someone to co-sign the lease.)

How to Decline a Rental Application?

First, it is important that you are denying them the privilege to occupy the residence for justifiable reasons. This means that you can not discriminate against somebody for any of the purposes established within the Fair Housing Act ( 42 U.S. Code § 3604 ). If you feel that your motive is appropriate, you should perform the following actions :

  • Contact the Rejected Party Immediately – Try to contact the applicant as soon as you receive the results, either by phone or through email. This way, you are not wasting any more of their time that could be used looking for another rental.
  • Denial Letter – Some tenants will request an explanation for why they were rejected. As a landlord, you are required, by law, to specify why they were not eligible to procure the rental. Send them a completed copy of this form to list the factors attributed to their non-approval.

Is a Rental Application Legally Binding?

No , it is merely a preliminary measure taken before entering into a lease agreement (which is a binding contract). Although there is no binding effect, there are still some legal implications attached to the document. Users of this form are required to:

  • Provide Accurate Information – If a tenant provides false details within the application and is granted tenancy under false pretenses, the landlord may be entitled to take them to court for fraudulent information.
  • Clarify the Reasons for Rejection – The landlord is required, by law, to explain why they decided to refuse the tenancy. If an applicant feels they were denied for unlawful reasons, they can sue the owner under the guidelines of the Fair Housing Act ( 42 U.S. Code § 3604 ).

How Can I Make My Rental Application Stand Out?

Apart from having good credit, quality references, no criminal record, and proof of a solid income stream, there is not much else that you can do to separate yourself from the crowd. But, if you really want an extra edge on the other applicants, you can carry out some of the additional measures :

  • Cover Letter for Rental Application – Attach a cover letter to the front of the application that tells them a little bit more about yourself. Giving a friendly personal touch could possibly go a long way.
  • Sell Yourself  – When you meet with the landlord to see the property or to turn in your rental application, make sure that you are dressed nicely and exude a positive attitude. Try to make small talk where you can briefly tell them a little more about yourself and possibly bond over a common interest.

Are Rental Application Fees Legal?

Yes , although some states stipulate a maximum amount that can be charged. The main reason why application fees are required is that it costs money to perform a background check on the applicant, therefore, they are used to compensate for the screening expenses.

Can I Withdraw My Rental Application?

Of course , there is no legal obligation to follow through with the rental of a property before signing a lease. A rental application is just the initial step taken to see if you are qualified to take possession of the dwelling.

6 cover letter tips for a winning rental application

Are you applying for a rental property? Most application forms will give you one free spot to write a cover letter. Don't stuff it up!

It's your chance to stand out and put the human element into your application.

After all, to this point, no machines have yet to approve a rental application. Humans do, so make yourself relatable.

How much do you love the property? Why?

Don't just say we like the outdoor area, be emotive. Explain why you are obsessed with the property.

Why is this important:  The more you love the property, the more likely you'll care for the property and want to stay longer.

Tell them enough about you and your household to build an emotional connection with you.

Warning: Don't tell them your life story - just tell them enough. For example, don't tell them how many properties you have applied for, that's not relevant.

Why are you moving?

Rental managers want to know that you are suitable for the property and that your move makes sense. They want to create a story in their head about why this property is right for you. Knowing why you're moving is a critical element to putting the pieces together.

This might seem like micro managing your life but many people apply for properties because they are desperate, then later on move out because it's not right for them. No owner or manager wants this because it costs them money to find new tenants.

Tie it all together

If you think anything in your application may not make sense to someone reading it or put you in a negative light, mention it in your cover letter. For example, if you don't have proof of income because you have just started at your new job, say it in your cover letter, don't let them make up their own mind.

Sell sell sell

Sell yourself but don't be sleazy, desperate or waffle. Explain why and give any additional evidence to show you will pay the rent, look after the property and be easy to deal with. Just one or two quick liners might be enough.

Keep it as short as possible

It doesn't mean you need to keep it under 100 words, but you want every line to be relevant. So use the least amount of words to covey the above points.

We’ve already revealed how you can leave a good impression at the flat viewing. After the viewing appointment, you’re absolutely sure that you want to move there. Very good, now to the next step. The good impression that you left has to be continued by a written application: the cover letter for rental application. We’ll give you some tips on how to write a successful apartment application.

What Documents Belong in the Dossier for the Apartment Application?

The cover letter.

As mentioned in the article with tips for  apartment viewing , it’s important to be short and concise.  Don’t write any long stories. The cover letter should not be longer than one page. Introduce yourself – and other cohabitants – in a breezy manner. Describe your job, your family and also mention the reason for your move.

In this cover letter, you should also say why you’re interested in the apartment. Explain to the renter why you should get the flat. It’s also a good idea to explain why you’d fit with the other tenants. Maybe you have a special reason why it’s that flat that you want. Dare to write something personal. In this way, you’ll stand out from the other applicants and the renter will remember you. By the way, you don’t need to hand in a CV.

Application Form

Sometimes there’re application forms lying around at the viewing appointment. You should take a copy. These forms are different depending on the apartment company. If there aren’t any, then you should look for a copy on their homepage. If there aren’t any, then just find a sample on the internet. Now grab that application form and let’s move on!

The information on the application form refers to your personal data, such as contact information, occupation, and annual salary. There are also additional questions: Is it a smoking household? Are there any pets? Interestingly, you’re not obliged to answer the question of whether you smoke or not, but you need to state if you have a pet. They’ll also ask about your creditworthiness. This leads us to the next topic: The debt enforcement register.

Debt Enforcement Register

It’s understandable that your future landlord wants to know if you’re capable of paying your rent every month and on time. That’s why you need a copy of your debt enforcement register. Of course, you could refuse to provide a copy, but then you’ll have little chance to get the flat. It’s necessary to reveal some information for a flat application.

The debt enforcement register will show your ability to pay as a potential tenant. Additionally, the renter will be aware of enforcements. Is there something on the register that wasn’t your fault? Explain the unlucky situation openly to your renter. Sometimes offense is the best defense.

💡 By the way: the debt enforcement register can be obtained at the local collection agency and should not cost more than 20 francs. Don’t hand in a copy but the original.

Stay Permit

You’re not a Swiss resident? Then make sure to include your stay permit in your application dossier. A recommendation letter works wonders too.

Minimal Mission completed: Now to some Extra Stuff

You’ve now completed the minimum requirements for your successful application. That wasn’t difficult, was it? Breath in and out and think about what kind of impression you’re going to leave if you only fulfill the minimum requirements. It might be a good one but often it won’t suffice. Here is some extra stuff that you could include in your apartment application dossier to give it some spice.

Recommendation Letter and References

Do you have a good relationship with your current landlord? Or what about your employer? Maybe one of them is willing to write you a recommendation letter that states that you’re reliable and uncomplicated. Note that you don’t need to give too many references. Your future tenant doesn’t need a whole catalog of information.

Salary Statement and Employment Contract

It’s not necessary to show your salary statement or employment contract to the renter. In an apartment application, it’s all about the extra mile (or being the first) though, when there are many applicants. At some point, you have to make a difference. If you layout this information, you’re playing with open cards and you create trust.

Do’s and Don’ts: What you Should Avoid in your Rental Application

  • Stains on your letter, typos in your references, illegible data in your application forms. These mistakes won’t present you in a positive light. Give some effort to make your documents look flawless.
  • You still haven’t handed in your application one week after the viewing? That’s a no-go. The apartment might already be gone. Being quick is everything. You should hand in your documents on the same day as the viewing day, or at least one day after that. Often, you’re competing against the applicants of the same day. It’s even faster if you compile everything as a PDF document and send it per email.
  • You’ve handed in your documents a week ago? Don’t leave your phone out of sight. You might get a positive call from the renter. You can also leave a good impression by calling one or two days later to make sure that he or she got your documents. In this way, you’re showing your interest for the flat. But don’t be intrusive.
  • You shouldn’t lie. This is also the case for apartment applications. Don’t state something that could be proven wrong. It’s illegal to state false data.

Be Individual: This Is how you Stand out

Of course, you need some luck to get the flat because the number of applicants is high. You can stand out by handing in a creative application. Invest some energy on the cover of your dossier. Include a picture of you of your last vacation, which tells them about your friendliness. Start your letter with a citation. That will stick in your renter’s memory. Or maybe you’ll think of a small anecdote from the viewing day. Or is there a funny detail that you saw? Put it in!

… to be yourself. Don’t lay it on too thick and trust your luck. Then you’ll succeed with your application.

The affordable rental housing crisis in Ontario has forced many people to compete for the few places they can afford. Renters shouldn’t be forced into such situations, but many wonder how to make their rental application stand out. One way to do this is by including a renter cover letter with your application.

Before writing your renter cover letter, it’s important to understand how some information that you provide could be used to discriminate against you, potentially leading to a rejection of your rental application.

To help avoid discriminatory outcomes, the Canadian Centre for Housing Rights (CCHR) has developed this toolkit, including two cover letter templates, to help you put your best foot forward, while avoiding some of the pitfalls that can impact your rental application.

1. What a renter cover letter is and why it can help

A renter cover letter is a way to introduce yourself to a landlord, and to tell them what makes you the tenant they should consider.

Our sample letters outline the types of information that landlords often request from prospective tenants, as well as some helpful information that you may want to provide to help your application stand out:

Unfortunately, there are very few affordable rental homes in Ontario for those living on lower incomes. Many renters are forced to compete with one another for the few places they can afford. Renters should not be forced into such situations, and the long-term solution is for our governments to solve the housing crisis and provide more deeply affordable housing options.

In addition to a lack of affordable housing, discrimination in housing is also unfortunately still present in Ontario. Sometimes, landlords’ or property managers’ prejudices can lead them to deny an apartment to a household inappropriately.

It is important to note that a cover letter will not change discriminatory behaviours or systemic discrimination. Ending discrimination on a systemic level requires cultural shifts in attitudes and better legal protections.

In the meantime, as we work to bring about systemic change, CCHR has designed this renter cover letter toolkit to help you put your best foot forward, while potentially avoiding some of the pitfalls that can impact your application to rent. You should consider our templates as rough guides which should be personalized with the information you are comfortable providing.

2. Types of information that landlords are allowed to request from prospective tenants

The Human Rights Code prohibits discrimination on many grounds, and it also provides rules on what a landlord is allowed to ask a renter about, with the aim of reducing discrimination.

The Code makes it illegal for landlords and property managers to discriminate against renters on the grounds of race, ancestry, place of origin, colour, ethnic origin, citizenship, creed, sex, sexual orientation, gender identity, gender expression, age, marital status, family status, disability and the receipt of public assistance. It is unlawful to discriminate against people in these groups even when they are applying for a place to rent.

In CCHR’s 2009 report, Sorry, it’s Rented , we found that discrimination in housing was widespread, affecting 14% to 34% of renters looking for a home to rent. Our study also found that where renters are members of more than one minority group, they face greater discrimination.

At the same time, the Code protects tenants by stating that, according to law, landlords are only allowed to ask potential renters for :

  • credit references
  • rental history information
  • credit checks

A credit reference is often a credit check but could also be a letter from a lender or acquaintance who can speak to a tenant’s credibility. Landlords are also allowed to ask about income information – but only after asking about the first three pieces of information. Income information can include information about the amount, source and steadiness of a potential tenant’s income .

3. Types of information that could lead to a discriminatory outcome

Sometimes, even the information that landlords are explicitly allowed to request can be used in a discriminatory way. For example:

  • Credit checks can have a discriminatory effect on recent immigrants or young people, who won’t have a significant Canadian credit history.
  • The income source can reveal that someone receives public assistance.
  • The income amount can lead to landlords applying rent to income ratios; however, rent to income ratios have been found to be discriminatory against large numbers of disadvantaged people, in part because these ratios do not take into account all the various resources that renters may have at their disposal.

So, while landlords may use this information in deciding who to rent to, they must take care to not apply the information in a way that tends to systematically exclude particular groups. This can be especially true in places with a shortage of housing options, where landlords can choose who to rent to within a large pool of applicants.

4. What to do if you are asked discriminatory questions

A landlord is not permitted to use information about a protected characteristic (like gender, disability, sexuality, race or whether an applicant receives public assistance) to deny someone a place to rent. They also should not ask questions that give them information about those traits. If a landlord does ask a question that suggests they may illegally discriminate, you can use several potential responses.

  • Point out the discriminatory conduct and decline to answer . If you are asked a question dealing with any of the grounds of discrimination you can highlight to the landlord that the question seems irrelevant or discriminatory and that you would prefer not to answer that question.
  • Answer the question . It is an option to simply answer the question.
  • Evade and deflect – change the topic . If you are asked whether you receive social assistance, you might say something like, “My income is very steady, I am great at budgeting and have never missed a rent payment. What are the available methods to pay rent?”

Since landlords should not ask discriminatory questions, some advocates say those landlords are not owed a truthful answer. The decision of whether to be deceitful during the tenancy application process is a matter of individual conscience; however, there are risks to lying during a tenancy application and CERA does not condone being deceitful. Tenants thinking about being dishonest during a tenancy application should get legal advice about the risks of doing so.

In any of the above situations, it is prudent to take notes about the questions that you are asked so that you have evidence if you later want to complain about discriminatory conduct.

5. Types of information you may want to include or exclude from your letter

Since it is difficult to find an affordable place to live, renters should consider what type of housing search will work best for them. A renter who provides only the basic information that landlords are allowed to request under the Human Rights Code may be protected against discrimination, but they may have a harder time convincing non-discriminatory landlords to rent to them. In these instances, you may want to opt to provide more information, but this may lead to rejection of your application for discriminatory reasons, which is often hard to prove. Deciding what information to share is a very personal decision.

To account for this, we have produced two cover letter templates that can be adapted for many situations.

Make sure to include your own email address and phone number, and any other contact information you are comfortable sharing.

Rental objective

This should be a brief 2-3 sentence statement about your goals in looking for a new rental. Talk about what you’re looking for, what your long-term goals are and why you are a good fit to live in this rental unit.

This section is where you can introduce yourself. You can talk about your background and why you are moving, and if you have any pets or roommates. Try to include flattering information that makes you stand out, like being someone who is quiet, tidy and responsible. You may also include any accessibility accommodations you may need; however, this information could be used in a discriminatory way, and so you may choose to leave out this information.

Include details about your rental history, including address, relevant dates, rent, and reasons for moving. Make sure you include your current / previous landlord’s contact information unless you do not want your new landlord contacting them. Include the names and contact information of 2-3 positive references. Former landlord references are best, but if those are not available, consider asking trusted employers, teachers or co-workers. You may also consider attaching a separate sheet with your rental history. Such a sheet may look like this:

Landlords are allowed to ask for credit references and credit checks. You can order your credit report and score for free from one of Canada’s two credit reporting agencies. Credit references can include letters from business partners, or others who have made loans to you, or any other information that shows the landlord that you will pay your rent and other costs regularly. If you get a credit report, you can include it with your resume.

Once landlords have asked for rental and credit references, they are also allowed to ask for income information. The Human Rights Tribunal has held that landlords can ask for information like the amount, source and steadiness of a potential tenant’s income . Including this information in your renter’s cover letter allows you to frame that information in a way that works best for you. At a minimum, you should provide the current income your household receives, anything beyond that is your choice to disclose. You can also provide proof of income or make it available upon request. Proof of income could include pay slips/stubs, or an employment letter; but it can also include three months of bank statements. Sensitive information like the account number or your expenses can be blacked out by for instance photocopying a version that you have crossed out with a permanent marker.

In short, mail merge lets you create a document in Microsoft Word that you can personalize with individualized details , such as people's names. There are two ways to do this—you can create the list of personalized variables within Microsoft Word's mail merge feature itself, or you can create the list in another program, such as Excel, and then import the details from that list into Word.

Now, open a blank Word document, and click Mailings > Start Mail Merge > Labels.

To save paper, scroll down to and select "30 Per Page," and click "OK."

Turning on the Show/Hide (¶) option in the Home tab will help you see the layout and positioning of the labels you have just created.

The next step is to import the address list that you created in Excel. To do this, with the Mailings tab still open, click Select Recipients > Use An Existing List.

Use the Select Data Source window that opens to locate the Excel file containing the names and addresses, and click "Open." In the Select Table dialog box, check the checkbox that tells Word that you've used headings in your Excel table, and then click "OK".

Word is now ready to pull the data across from Excel.

Click "Insert Merge Field," and see that the headings you created in Excel are listed in the drop-down. Start by clicking the item you want to appear on the first line of the address label ("Name"), and then press Enter. Repeat the process for each line of the address label, making sure you press Enter between each one.

If the text runs over the space provided for the labels, increase the label sizes by clicking and dragging the bottom of the label row downwards, then remove any labels that move to the next page .

When you have inserted all merge fields, click "Update Labels." This will apply the merge fields you just added to each of the labels in your document.

Now, click "Preview Results" to check you're happy with how your labels look.

To complete the process, click Finish And Merge > Print Documents.

If you want to make changes to individual addresses, click Finish And Merge > Edit Individual Documents. This will open the labels in a new document, where you can make changes without affecting the other entries.

Then, ensure "All" is selected, and click "OK" to print.

Finally, cut up your labels and stick them onto your envelopes!

While the example we're going to use will be for teachers writing school reports, the same process can be used in many different roles and professions, such as surveying, assessing, managing, and reviewing.

In a Word document, type the foundation of the report, using "[NAME]" where a person's name will go, and "__" wherever an individualized part needs to be added.

Then, copy each sentence into a cell across row 1 of an Excel sheet, making sure you add a "Name" column at the start.

Then, fill in the gaps under each column for each report you want to generate, before pressing F12 to name and save the spreadsheet in a memorable location.

Now, return to your Word document. In the Mailings tab, click Select Recipients > Use An Existing List.

In the Select Data Source window that opens, locate the Excel sheet containing the report details, and click "Open." Then, in the Select Table dialog box, check the checkbox that tells Word that you've used headings in your Excel table, and click "OK".

Now, select the areas where you used [NAME] or inserted blanks in your Word document, click "Insert Merge Field," and choose the appropriate field via the "Insert Merge Field" drop-down to add it to the sentence.

After you have assigned all the fields from Excel, click "Preview Results" to see the first report. You can also use the arrows to flick through all the reports if you wish.

Finally, click "Finish and Merge," which gives you the option to review and amend the documents individually, or print the reports you generated.

It can be frustrating to regurgitate the same information in various cover letters for the many jobs you might apply for. After all, the skills you have can be applied to many different roles. This is where mail merge comes into play.

In row 2, underneath each skill, write a few sentences demonstrating your possession of that skill. These sentences will ultimately be exported into your cover letter, so make sure you write them with this in mind.

Once you have finished detailing your skills, press F12 to name and save the workbook. You can go back in and add to or amend the details in this sheet at any time.

Next, when you've found a job you want to apply for , open a new Microsoft Word document, and type the opening and ending of your cover letter. Then, in the Mailings tab, click Select Recipients > Use An Existing List.

Then, click "Insert Merge Field," and choose the job skill that you detailed in your Excel spreadsheet.

You will then see a placeholder indicating that the text will appear in that position when you complete the mail merge.

When you have added all your skills, click "Preview Results" to check that you are happy with the structure and order of your paragraphs. If not, you can select and reorder your text.

Inevitably, you will want to amend the wording here and there to ensure that the letter is coherent. Using the mail merge technique described in this article forms the basis of your cover letter, but you should always check it through to ensure it runs smoothly. To make changes, click "Finish And Merge," and select "Edit Individual Documents." After you click "OK," your completed cover letter will open in a new document, which you can then amend and save as necessary.

Whether you run a local football team or a kids' activity center, you might want to create certificates for your participants.

First, create your list in Excel, including things like the recipients' names, scores, standards, and whatever other individualized details you want to include. Then, press F12 to name and save these details.

Next, design your certificate in Microsoft Word. If you prefer, you can use a template by clicking File > Home > More Templates.

Now, in the Mailings tab, click Select Recipients > Use An Existing List.

Locate the recipients' details that you created in Excel, click "Open", check "First Row Of Data Contains Column Headers," and click "OK."

Then, click "Insert Merge Field" to add the fields from your Excel sheet to your Word document where appropriate.

Before you finalize your certificates, click "Preview Results" to check that everything looks as it should, and then click Finish And Merge > Print Documents.
