Most PhD projects begin with a literature review, which usually serves as the first chapter of your dissertation. This provides an opportunity for you to show that you understand the body of academic work that has already been done in relation to your topic, including books, articles, data and research papers.

You should be prepared to offer your own critical analysis of this literature, as well as illustrating where your own research lies within the field – and how it contributes something new / significant to your subject.

What is a phd literature review.

A literature review is usually one of the first things you’ll do after beginning your PhD . Once you’ve met with your supervisor and discussed the scope of your research project, you’ll conduct a survey of the scholarly work that’s already been done in your area.

Depending on the nature of your PhD, this work could comprise books, publications, articles, experimental data and more. This body of work is collectively known as the ‘scholarly literature’, on your subject. You won’t have to tackle any novels, poetry or drama during this review (unless, of course, you’re actually studying a PhD in English Literature, in which case that comes later).

The purpose of the PhD literature review isn’t just to summarise what other scholars have done before you. You should analyse and evaluate the current body of work , situating your own research within that context and demonstrating the significant original contribution your research will make.

Planning your PhD literature review

Your supervisor will be able to give you advice if you’re not quite sure where to begin your review, pointing you in the direction of key texts and research that you can then investigate. It’s worth paying attention to the bibliographies (and literature reviews!) of these publications, which can often lead you towards even more specialist texts that could prove invaluable in your research. At the same time, it’s important not to let yourself fall down an academic rabbit hole – make sure that the books and articles you’re surveying are genuinely relevant to your own project.

You should aim to include a broad range of literature in your review, showing the scope of your knowledge, from foundational texts to the most recent publications.

The note-taking process is crucial while you’re in the early stages of your literature review. Keep a clear record of the sources you’ve read, along with your critical analysis of their key arguments and what you think makes them relevant to your research project.

How long should a literature review be?

The length of a PhD literature review varies greatly by subject. In Arts, Humanities and Social Sciences the review will typically be around 5,000 words long, while STEM literature reviews will usually be closer to 10,000 words long. In any case, you should consult with your supervisor on the optimum length for your own literature review.

Structuring a PhD literature review

When you begin to write your PhD literature review, it’s important to have a clear idea of its outline. Roughly speaking, the literature review structure should:

  • Introduce your topic and explain its significance
  • Evaluate the existing literature with reference to your thesis
  • Give a conclusion that considers the implications of your research for future study

The main body of your literature review will be spent critiquing the existing work that scholars have done in your field. There are a few different ways you may want to structure this part of the review, depending on the subject and the nature of your dissertation:

  • Chronologically – If your research looks at how something has changed over time, it may make sense to review the literature chronologically, tracking the way that ideas, attitudes and theories have shifted. This might seem like quite a simple way to structure the review, but it’s also imperative to identify the common threads and sticking points between academics along the way, rather than merely reeling off a list of books and articles.
  • Thematically – If your dissertation encompasses several different themes, you might want to group the literature by these subjects, while also emphasising the connections between them.
  • Methodologically – If you are going to be working with experimental data or statistics, it could be a good idea to assess the different methods that previous scholars have used in your field to produce relevant literature.

Whichever technique you use to structure your literature review, you should take care not to simply list different books, articles and research papers without offering your own commentary.

Always highlight the similarities (and differences) between them, giving your analysis of the significance of these relationships, connections and contrasts.

Writing up a PhD literature review

The process of writing a literature review is different to that of writing the bulk of the dissertation itself. The aim at this point isn’t necessarily to illustrate your own original ideas and research – that’s what the dissertation is for – but rather to show the depth of your knowledge of the field and your ability to assess the work of other scholars . It’s also an opportunity for you to indicate exactly how your dissertation will make an original contribution to your subject area.

These are some tips to bear in mind when writing a literature review:

  • Avoid paraphrasing – instead, offer your own evaluation of a source and its assertions
  • Follow a logical path from one source or theme to the next – don’t make leaps between different books or articles without explaining the connection between them
  • Critically analyse the literature – challenge assumptions, assess the validity of argument and write with authority
  • Don’t be too broad in your scope – it can be easy to get carried away including every piece of related literature you come across, but it’s also important not to let your review become too sprawling or rambling

The fact that you usually begin your literature review right at the start of a PhD means that it’s likely you’ll come across plenty more relevant books and papers during the course of your research and while writing the dissertation. So, it’s useful to think of this first draft as a work-in-progress that you keep up-to-date as you write your thesis.

Finishing a PhD literature review

As you come to the end of your dissertation, it’s vital to take a close look at your initial literature review and make sure that it’s consistent with the conclusions that you’ve reached. Of course, a lot can change over the course of a PhD so it’s entirely possible that your research led you in a different direction than you imagined at the beginning.

The conclusion of your literature review should summarise the significance of the survey that you’ve just completed, explaining its relevance for the research your dissertation will undertake.

Literature reviews and PhD upgrade exams

The literature review is usually one of the first sections of a PhD to be completed, at least in its draft form. As such, it is often part of the material that you may submit for your PhD upgrade exam . This usually takes place at the end of your first year (though not all PhDs require it). Involves you discussing your work so far with academics in your department to confirm that your project is on track for a PhD. The feedback you get at this point may help shape your literature review, or reveal any areas you’ve missed.

What is a literature review? A literature review is a survey of scholarly sources on a specific topic. It provides an overview of current knowledge, allowing you to identify relevant theories, methods, and gaps in the existing research that you can later apply to your paper, thesis, or dissertation topic .

There are five key steps to writing a literature review:

  • Search for relevant literature
  • Evaluate sources
  • Identify themes, debates, and gaps
  • Outline the structure
  • Write your literature review

A good literature review doesn’t just summarize sources—it analyzes, synthesizes , and critically evaluates to give a clear picture of the state of knowledge on the subject.

Before you begin searching for literature, you need a clearly defined topic .

If you are writing the literature review section of a dissertation or research paper, you will search for literature related to your research problem and questions .

Make a list of keywords

Start by creating a list of keywords related to your research question. Include each of the key concepts or variables you’re interested in, and list any synonyms and related terms. You can add to this list as you discover new keywords in the process of your literature search.

  • Social media, Facebook, Instagram, Twitter, Snapchat, TikTok
  • Body image, self-perception, self-esteem, mental health
  • Generation Z, teenagers, adolescents, youth

Search for relevant sources

Use your keywords to begin searching for sources. Some useful databases to search for journals and articles include:

  • Your university’s library catalogue
  • Google Scholar
  • Project Muse (humanities and social sciences)
  • Medline (life sciences and biomedicine)
  • EconLit (economics)
  • Inspec (physics, engineering and computer science)

You can also use boolean operators to help narrow down your search.

Make sure to read the abstract to find out whether an article is relevant to your question. When you find a useful book or article, you can check the bibliography to find other relevant sources.

You likely won’t be able to read absolutely everything that has been written on your topic, so it will be necessary to evaluate which sources are most relevant to your research question.

For each publication, ask yourself:

  • What question or problem is the author addressing?
  • What are the key concepts and how are they defined?
  • What are the key theories, models, and methods?
  • Does the research use established frameworks or take an innovative approach?
  • What are the results and conclusions of the study?
  • How does the publication relate to other literature in the field? Does it confirm, add to, or challenge established knowledge?
  • What are the strengths and weaknesses of the research?

Make sure the sources you use are credible , and make sure you read any landmark studies and major theories in your field of research.

Take notes and cite your sources

As you read, you should also begin the writing process. Take notes that you can later incorporate into the text of your literature review.

It is important to keep track of your sources with citations to avoid plagiarism . It can be helpful to make an annotated bibliography , where you compile full citation information and write a paragraph of summary and analysis for each source. This helps you remember what you read and saves time later in the process.

To begin organizing your literature review’s argument and structure, be sure you understand the connections and relationships between the sources you’ve read. Based on your reading and notes, you can look for:

  • Trends and patterns (in theory, method or results): do certain approaches become more or less popular over time?
  • Themes: what questions or concepts recur across the literature?
  • Debates, conflicts and contradictions: where do sources disagree?
  • Pivotal publications: are there any influential theories or studies that changed the direction of the field?
  • Gaps: what is missing from the literature? Are there weaknesses that need to be addressed?

This step will help you work out the structure of your literature review and (if applicable) show how your own research will contribute to existing knowledge.

  • Most research has focused on young women.
  • There is an increasing interest in the visual aspects of social media.
  • But there is still a lack of robust research on highly visual platforms like Instagram and Snapchat—this is a gap that you could address in your own research.

There are various approaches to organizing the body of a literature review. Depending on the length of your literature review, you can combine several of these strategies (for example, your overall structure might be thematic, but each theme is discussed chronologically).

Chronological

The simplest approach is to trace the development of the topic over time. However, if you choose this strategy, be careful to avoid simply listing and summarizing sources in order.

Try to analyze patterns, turning points and key debates that have shaped the direction of the field. Give your interpretation of how and why certain developments occurred.

If you have found some recurring central themes, you can organize your literature review into subsections that address different aspects of the topic.

For example, if you are reviewing literature about inequalities in migrant health outcomes, key themes might include healthcare policy, language barriers, cultural attitudes, legal status, and economic access.

Methodological

If you draw your sources from different disciplines or fields that use a variety of research methods , you might want to compare the results and conclusions that emerge from different approaches. For example:

  • Look at what results have emerged in qualitative versus quantitative research
  • Discuss how the topic has been approached by empirical versus theoretical scholarship
  • Divide the literature into sociological, historical, and cultural sources

Theoretical

A literature review is often the foundation for a theoretical framework . You can use it to discuss various theories, models, and definitions of key concepts.

You might argue for the relevance of a specific theoretical approach, or combine various theoretical concepts to create a framework for your research.

Like any other academic text , your literature review should have an introduction , a main body, and a conclusion . What you include in each depends on the objective of your literature review.

The introduction should clearly establish the focus and purpose of the literature review.

Depending on the length of your literature review, you might want to divide the body into subsections. You can use a subheading for each theme, time period, or methodological approach.

As you write, you can follow these tips:

  • Summarize and synthesize: give an overview of the main points of each source and combine them into a coherent whole
  • Analyze and interpret: don’t just paraphrase other researchers — add your own interpretations where possible, discussing the significance of findings in relation to the literature as a whole
  • Critically evaluate: mention the strengths and weaknesses of your sources
  • Write in well-structured paragraphs: use transition words and topic sentences to draw connections, comparisons and contrasts

In the conclusion, you should summarize the key findings you have taken from the literature and emphasize their significance.

A literature review is a survey of credible sources on a topic, often used in dissertations , theses, and research papers . Literature reviews give an overview of knowledge on a subject, helping you identify relevant theories and methods, as well as gaps in existing research. Literature reviews are set up similarly to other  academic texts , with an introduction , a main body, and a conclusion .

An  annotated bibliography is a list of  source references that has a short description (called an annotation ) for each of the sources. It is often assigned as part of the research process for a  paper .

Overview of thesis (introduction)

This introductory section is less than two pages long.

The first paragraph:

  • states the overall objective of the thesis
  • defines the introduced term
  • provides broad motivation for interest in the area
  • introduces the sections of the thesis that will address the overall objective.

The other paragraphs describe the content and purpose of each section of the thesis.

Literature review

The literature review is made of up of two chapters.

Chapter 1: Literature review of relevant research

The overall goals of this chapter are to firstly establish the significance of the general field of study, and then identify a place where a new contribution could be made.

The bulk of the chapter critically evaluates the methodologies used in this field to identify the appropriate approach for investigating the research questions.

Purpose

Example

Establish research territory

“Approximately 77,000 individuals are arrested in the United States each year based primarily on eyewitness testimony (ref.). … the pivotal role that eyewitness testimony plays in some trials, whether or not the jury’s faith in this testimony is warranted.”

Establish significance of research territory

“One study has shown that eyewitness errors are the most common cause of false convictions (ref.). Almost all innocent individuals exonerated by DNA evidence had been convicted primarily as a result of erroneous eyewitness evidence (ref.) , a great deal of research has focussed on the unreliability of eyewitness testimony (refs.).”

Establish research niche – discusses what has been found then identifies a gap and points out the inconsistency of results

“The current thesis examines the third way that postevent misinformation may be encountered: through other witnesses. , as the majority of the literature on eyewitness testimony has focussed on the effect of questions and media reports containing misleading information.”

Motivate the next part of literature review

“Yarmey and Morris (1998) suggest that, ‘The capricious results among these investigations are probably due to methodological differences and variability in subject matter’ (p. 1638). co-witness information on eyewitness reports, , in detail, the different methodologies that have been used to investigate this topic.”

Further justify the need to investigate the impact of social influences on memory

“ , researchers in memory have aimed to keep procedures free from contamination, such as other people’s memories (ref.). , such a narrow focus may not fully explain how people remember (ref.). Because such ‘contamination’ is common to memory, understanding its effects enables greater knowledge of memory itself (ref.). … , instead of intentionally avoiding the social aspects of memory, they should be explored in their own right.”

Review the chronological development of research in this area (a chronological approach may not always be appropriate)

Discuss one key paper at a time and for each paper:

“ the above studies provide valuable information regarding the social aspects of memory, exercised before applying these results to the judicial area. the results obtained from studies using stories and word lists as stimuli can be generalised to forensic contexts.” … “That is, the differences found between individuals and groups could simply be due to the participants giving their reports for a second time …” … “ on collaborative memory is that the memory of groups is compared with that of individuals. … group performance should not be compared with individual performance but rather with ‘nominal groups’ comprised of pooled, non-redundant data from the same number of people tested individually.”

Overall conclusion or summary that states why a particular methodological approach has been chosen

“… Most research involving the Experimentally Induced Information methodology seeks to identify the influence of misinformation presented by one witness to another, and therefore the assumption is made that discussion between witnesses is a detrimental process. to also investigate the effects of co-witness information using Natural Discussion Groups . , few studies have used this methodology, and those that have, have yielded mixed findings. , future investigation using the Natural Discussion Group methodology would be helpful to better understand the effects of discussion on memory.”

Chapter 2: Theoretical explanations of memory conformity

Establish a reason for this chapter and state the purpose

“While the misinformation effect is a well-established phenomenon, ‘what remains in dispute is the nature of a satisfactory theoretical explanation’ (ref.). … Therefore, memory conformity occurs, we must draw from both cognitive research on memory and social research on conformity. In this section, relevant cognitive and social theories are discussed (1) explain the occurrence of memory conformity and (2) describe factors that influence memory conformity.”

Introduction/overview of the structure of the review

“Four distinct explanations have been offered for the memory conformity effect: (1) … The empirical evidence relevant to each of these explanations is reviewed in this section.”

Discuss each of the four explanations using the following structure:

“ normative social influence the conformity that occurs in …, memory conformity that may occur when people give individual statements following discussion in the absence of their co-witness. ( )”

Compare explanations and draw synthesised conclusions

“The suggestion that memory conformity is a result of biased guessing the informational influence explanation because in both instances … , the feature between the two explanations is that …” … “Whilst biased guessing account for the misinformation effect that occurs in some instances (refs.), research suggests that it is not the only reason for the occurrence of the misinformation effect. ( ) … the misinformation effect may be due memory impairment, rather than just biased guessing.”

“Informational influence, biased guessing, and modification of memory may help to explain why memory conformity occurs when participants are tested individually, . … these alternative explanations which best explains memory conformity in individual recall following co-witness discussion. ( )”

Discuss methodological issues in achieving aim

“One way to determine whether memory conformity occurs because of biased guessing is to …” “Experiments described in this thesis (Studies 5-7) include a warning for some participants about possible misinformation whether participants report misinformation because of informational influence or memory change.”

Introduce another question of interest and review what has been found so far

“ it has been shown that in some circumstances many people tend to conform to the opinions of others, that some people are able to resist conforming in some situations. For example, … This section of the literature review examines factors influencing whether or not a person is likely to conform that are (1) in the situation, and (2) within the individual.”

Clarify the relevance to the thesis

“Although the experiments described in this thesis do not attempt to manipulate and test the factors that influence conformity, the results obtained and of the findings.”

Chapter 5, Study 3: Co-Witness Contamination

This chapter has the following structure:

  • Introduction
  • Discussion.

The introduction introduces the particular study to be reported on, and includes a three-and-a-half page literature review.

The literature review in this chapter:

  • links back to the relevant general findings of the earlier literature review chapters
  • briefly reviews the broad motivation for this study
  • identifies that two previously used methodologies in this field will be compared to resolve questions about the findings of previous studies which had only used a single methodology
  • uses previous literature to generate specific hypotheses to test
  • reviews additional literature to provide a justification for a second objective to be investigated in the study reported on in this chapter.

How to write a superb literature review

Literature reviews are important resources for scientists. They provide historical context for a field while offering opinions on its future trajectory. Creating them can provide inspiration for one’s own research, as well as some practice in writing. But few scientists are trained in how to write a review — or in what constitutes an excellent one. Even picking the appropriate software to use can be an involved decision (see ‘Tools and techniques’). So Nature asked editors and working scientists with well-cited reviews for their tips.

When I was a research student, review writing improved my understanding of the history of my field. I also learnt about unmet challenges in the field that triggered ideas.

For example, while writing my first review 1 as a PhD student, I was frustrated by how poorly we understood how cells actively sense, interact with and adapt to nanoparticles used in drug delivery. This experience motivated me to study how the surface properties of nanoparticles can be modified to enhance biological sensing. When I transitioned to my postdoctoral research, this question led me to discover the role of cell-membrane curvature, which led to publications and my current research focus. I wouldn’t have started in this area without writing that review.

A common problem for students writing their first reviews is being overly ambitious. When I wrote mine, I imagined producing a comprehensive summary of every single type of nanomaterial used in biological applications. It ended up becoming a colossal piece of work, with too many papers discussed and without a clear way to categorize them. We published the work in the end, but decided to limit the discussion strictly to nanoparticles for biological sensing, rather than covering how different nanomaterials are used in biology.

My advice to students is to accept that a review is unlike a textbook: it should offer a more focused discussion, and it’s OK to skip some topics so that you do not distract your readers. Students should also consider editorial deadlines, especially for invited reviews: make sure that the review’s scope is not so extensive that it delays the writing.

A good review should also avoid jargon and explain the basic concepts for someone who is new to the field. Although I trained as an engineer, I’m interested in biology, and my research is about developing nanomaterials to manipulate proteins at the cell membrane and how this can affect ageing and cancer. As an ‘outsider’, the reviews that I find most useful for these biological topics are those that speak to me in accessible scientific language.

BOZHI TIAN: Have a process and develop your style

In my lab, we start by asking: what is the purpose of this review? My reasons for writing one can include the chance to contribute insights to the scientific community and identify opportunities for my research. I also see review writing as a way to train early-career researchers in soft skills such as project management and leadership. This is especially true for lead authors, because they will learn to work with their co-authors to integrate the various sections into a piece with smooth transitions and no overlaps.

After we have identified the need and purpose of a review article, I will form a team from the researchers in my lab. I try to include students with different areas of expertise, because it is useful to get a variety of perspectives. For example, in the review ‘An atlas of nano-enabled neural interfaces’ 2 , we had authors with backgrounds in biophysics, neuroengineering, neurobiology and materials sciences focusing on different sections of the review.

After this, I will discuss an outline with my team. We go through multiple iterations to make sure that we have scanned the literature sufficiently and do not repeat discussions that have appeared in other reviews. It is also important that the outline is not decided by me alone: students often have fresh ideas that they can bring to the table. Once this is done, we proceed with the writing.

I often remind my students to imagine themselves as ‘artists of science’ and encourage them to develop how they write and present information. Adding more words isn’t always the best way: for example, I enjoy using tables to summarize research progress and suggest future research trajectories. I’ve also considered including short videos in our review papers to highlight key aspects of the work. I think this can increase readership and accessibility because these videos can be easily shared on social-media platforms.

It is not enough for a review to be a summary of the latest growth in the literature: the most interesting reviews instead provide a discussion about disagreements in the field.

Scientists often centre the story of their primary research papers around their figures — but when it comes to reviews, figures often take a secondary role. In my opinion, review figures are more important than most people think. One of my favourite review-style articles 3 presents a plot bringing together data from multiple research papers (many of which directly contradict each other). This is then used to identify broad trends and suggest underlying mechanisms that could explain all of the different conclusions.

An important role of a review article is to introduce researchers to a field. For this, schematic figures can be useful to illustrate the science being discussed, in much the same way as the first slide of a talk should. That is why, at Nature Reviews, we have in-house illustrators to assist authors. However, simplicity is key, and even without support from professional illustrators, researchers can still make use of many free drawing tools to enhance the value of their review figures.

I started writing the review ‘Biosynthesis of inorganic nanomaterials using microbial cells and bacteriophages’ 4 as a PhD student in 2018. It took me one year to write the first draft because I was working on the review alongside my PhD research and mostly on my own, with support from my adviser. It took a further year to complete the processes of peer review, revision and publication. During this time, many new papers and even competing reviews were published. To provide the most up-to-date and original review, I had to stay abreast of the literature. In my case, I made use of Google Scholar, which I set to send me daily updates of relevant literature based on key words.

Through my review-writing process, I also learnt to be more open to critiques to enhance the value and increase the readership of my work. Initially, my review was focused only on using microbial cells such as bacteria to produce nanomaterials, which was the subject of my PhD research. Bacteria such as these are known as biofactories: that is, organisms that produce biological material which can be modified to produce useful materials, such as magnetic nanoparticles for drug-delivery purposes.

However, when the first peer-review report came back, all three reviewers suggested expanding the review to cover another type of biofactory: bacteriophages. These are essentially viruses that infect bacteria, and they can also produce nanomaterials.

The feedback eventually led me to include a discussion of the differences between the various biofactories (bacteriophages, bacteria, fungi and microalgae) and their advantages and disadvantages. This turned out to be a great addition because it made the review more comprehensive.

Writing the review also led me to an idea about using nanomaterial-modified microorganisms to produce chemicals, which I’m still researching now.

Just before the coronavirus lockdown, my PhD adviser and I decided to write a literature review discussing the integration of medical imaging with genomics to improve ovarian cancer management.

As I was researching the review, I noticed a trend in which some papers were consistently being cited by many other papers in the field. It was clear to me that those papers must be important, but as a new member of the field of integrated cancer biology, it was difficult to immediately find and read all of these ‘seminal papers’.

That was when I decided to code a small application to make my literature research more efficient. Using my code, users can enter a query, such as ‘ovarian cancer, computer tomography, radiomics’, and the application searches for all relevant literature archived in databases such as PubMed that feature these key words.

The code then identifies the relevant papers and creates a citation graph of all the references cited in the results of the search. The software highlights papers that have many citation relationships with other papers in the search, and could therefore be called seminal papers.

My code has substantially improved how I organize papers and has informed me of key publications and discoveries in my research field: something that would have taken more time and experience in the field otherwise. After I shared my code on GitHub, I received feedback that it can be daunting for researchers who are not used to coding. Consequently, I am hoping to build a more user-friendly interface in a form of a web page, akin to PubMed or Google Scholar, where users can simply input their queries to generate citation graphs.

Tools and techniques

Most reference managers on the market offer similar capabilities when it comes to providing a Microsoft Word plug-in and producing different citation styles. But depending on your working preferences, some might be more suitable than others.

Ten Simple Rules for Writing a Literature Review

Literature reviews are in great demand in most scientific fields. Their need stems from the ever-increasing output of scientific publications [1] . For example, compared to 1991, in 2008 three, eight, and forty times more papers were indexed in Web of Science on malaria, obesity, and biodiversity, respectively [2] . Given such mountains of papers, scientists cannot be expected to examine in detail every single new paper relevant to their interests [3] . Thus, it is both advantageous and necessary to rely on regular summaries of the recent literature. Although recognition for scientists mainly comes from primary research, timely literature reviews can lead to new synthetic insights and are often widely read [4] . For such summaries to be useful, however, they need to be compiled in a professional way [5] .

When starting from scratch, reviewing the literature can require a titanic amount of work. That is why researchers who have spent their career working on a certain research issue are in a perfect position to review that literature. Some graduate schools are now offering courses in reviewing the literature, given that most research students start their project by producing an overview of what has already been done on their research issue [6] . However, it is likely that most scientists have not thought in detail about how to approach and carry out a literature review.

Reviewing the literature requires the ability to juggle multiple tasks, from finding and evaluating relevant material to synthesising information from various sources, from critical thinking to paraphrasing, evaluating, and citation skills [7] . In this contribution, I share ten simple rules I learned working on about 25 literature reviews as a PhD and postdoctoral student. Ideas and insights also come from discussions with coauthors and colleagues, as well as feedback from reviewers and editors.

Rule 1: Define a Topic and Audience

How to choose which topic to review? There are so many issues in contemporary science that you could spend a lifetime of attending conferences and reading the literature just pondering what to review. On the one hand, if you take several years to choose, several other people may have had the same idea in the meantime. On the other hand, only a well-considered topic is likely to lead to a brilliant literature review [8] . The topic must at least be:

  • interesting to you (ideally, you should have come across a series of recent papers related to your line of work that call for a critical summary),
  • an important aspect of the field (so that many readers will be interested in the review and there will be enough material to write it), and
  • a well-defined issue (otherwise you could potentially include thousands of publications, which would make the review unhelpful).

Ideas for potential reviews may come from papers providing lists of key research questions to be answered [9] , but also from serendipitous moments during desultory reading and discussions. In addition to choosing your topic, you should also select a target audience. In many cases, the topic (e.g., web services in computational biology) will automatically define an audience (e.g., computational biologists), but that same topic may also be of interest to neighbouring fields (e.g., computer science, biology, etc.).

Rule 2: Search and Re-search the Literature

After having chosen your topic and audience, start by checking the literature and downloading relevant papers. Five pieces of advice here:

  • keep track of the search items you use (so that your search can be replicated [10] ),
  • keep a list of papers whose pdfs you cannot access immediately (so as to retrieve them later with alternative strategies),
  • use a paper management system (e.g., Mendeley, Papers, Qiqqa, Sente),
  • define early in the process some criteria for exclusion of irrelevant papers (these criteria can then be described in the review to help define its scope), and
  • do not just look for research papers in the area you wish to review, but also seek previous reviews.

The chances are high that someone will already have published a literature review ( Figure 1 ), if not exactly on the issue you are planning to tackle, at least on a related topic. If there are already a few or several reviews of the literature on your issue, my advice is not to give up, but to carry on with your own literature review,

The bottom-right situation (many literature reviews but few research papers) is not just a theoretical situation; it applies, for example, to the study of the impacts of climate change on plant diseases, where there appear to be more literature reviews than research studies [33] .

  • discussing in your review the approaches, limitations, and conclusions of past reviews,
  • trying to find a new angle that has not been covered adequately in the previous reviews, and
  • incorporating new material that has inevitably accumulated since their appearance.

When searching the literature for pertinent papers and reviews, the usual rules apply:

  • be thorough,
  • use different keywords and database sources (e.g., DBLP, Google Scholar, ISI Proceedings, JSTOR Search, Medline, Scopus, Web of Science), and
  • look at who has cited past relevant papers and book chapters.

Rule 3: Take Notes While Reading

If you read the papers first, and only afterwards start writing the review, you will need a very good memory to remember who wrote what, and what your impressions and associations were while reading each single paper. My advice is, while reading, to start writing down interesting pieces of information, insights about how to organize the review, and thoughts on what to write. This way, by the time you have read the literature you selected, you will already have a rough draft of the review.

Of course, this draft will still need much rewriting, restructuring, and rethinking to obtain a text with a coherent argument [11] , but you will have avoided the danger posed by staring at a blank document. Be careful when taking notes to use quotation marks if you are provisionally copying verbatim from the literature. It is advisable then to reformulate such quotes with your own words in the final draft. It is important to be careful in noting the references already at this stage, so as to avoid misattributions. Using referencing software from the very beginning of your endeavour will save you time.

Rule 4: Choose the Type of Review You Wish to Write

After having taken notes while reading the literature, you will have a rough idea of the amount of material available for the review. This is probably a good time to decide whether to go for a mini- or a full review. Some journals are now favouring the publication of rather short reviews focusing on the last few years, with a limit on the number of words and citations. A mini-review is not necessarily a minor review: it may well attract more attention from busy readers, although it will inevitably simplify some issues and leave out some relevant material due to space limitations. A full review will have the advantage of more freedom to cover in detail the complexities of a particular scientific development, but may then be left in the pile of the very important papers “to be read” by readers with little time to spare for major monographs.

There is probably a continuum between mini- and full reviews. The same point applies to the dichotomy of descriptive vs. integrative reviews. While descriptive reviews focus on the methodology, findings, and interpretation of each reviewed study, integrative reviews attempt to find common ideas and concepts from the reviewed material [12] . A similar distinction exists between narrative and systematic reviews: while narrative reviews are qualitative, systematic reviews attempt to test a hypothesis based on the published evidence, which is gathered using a predefined protocol to reduce bias [13] , [14] . When systematic reviews analyse quantitative results in a quantitative way, they become meta-analyses. The choice between different review types will have to be made on a case-by-case basis, depending not just on the nature of the material found and the preferences of the target journal(s), but also on the time available to write the review and the number of coauthors [15] .

Rule 5: Keep the Review Focused, but Make It of Broad Interest

Whether your plan is to write a mini- or a full review, it is good advice to keep it focused 16 , 17 . Including material just for the sake of it can easily lead to reviews that are trying to do too many things at once. The need to keep a review focused can be problematic for interdisciplinary reviews, where the aim is to bridge the gap between fields [18] . If you are writing a review on, for example, how epidemiological approaches are used in modelling the spread of ideas, you may be inclined to include material from both parent fields, epidemiology and the study of cultural diffusion. This may be necessary to some extent, but in this case a focused review would only deal in detail with those studies at the interface between epidemiology and the spread of ideas.

While focus is an important feature of a successful review, this requirement has to be balanced with the need to make the review relevant to a broad audience. This square may be circled by discussing the wider implications of the reviewed topic for other disciplines.

Rule 6: Be Critical and Consistent

Reviewing the literature is not stamp collecting. A good review does not just summarize the literature, but discusses it critically, identifies methodological problems, and points out research gaps [19] . After having read a review of the literature, a reader should have a rough idea of:

  • the major achievements in the reviewed field,
  • the main areas of debate, and
  • the outstanding research questions.

It is challenging to achieve a successful review on all these fronts. A solution can be to involve a set of complementary coauthors: some people are excellent at mapping what has been achieved, some others are very good at identifying dark clouds on the horizon, and some have instead a knack at predicting where solutions are going to come from. If your journal club has exactly this sort of team, then you should definitely write a review of the literature! In addition to critical thinking, a literature review needs consistency, for example in the choice of passive vs. active voice and present vs. past tense.

Rule 7: Find a Logical Structure

Like a well-baked cake, a good review has a number of telling features: it is worth the reader's time, timely, systematic, well written, focused, and critical. It also needs a good structure. With reviews, the usual subdivision of research papers into introduction, methods, results, and discussion does not work or is rarely used. However, a general introduction of the context and, toward the end, a recapitulation of the main points covered and take-home messages make sense also in the case of reviews. For systematic reviews, there is a trend towards including information about how the literature was searched (database, keywords, time limits) [20] .

How can you organize the flow of the main body of the review so that the reader will be drawn into and guided through it? It is generally helpful to draw a conceptual scheme of the review, e.g., with mind-mapping techniques. Such diagrams can help recognize a logical way to order and link the various sections of a review [21] . This is the case not just at the writing stage, but also for readers if the diagram is included in the review as a figure. A careful selection of diagrams and figures relevant to the reviewed topic can be very helpful to structure the text too [22] .

Rule 8: Make Use of Feedback

Reviews of the literature are normally peer-reviewed in the same way as research papers, and rightly so [23] . As a rule, incorporating feedback from reviewers greatly helps improve a review draft. Having read the review with a fresh mind, reviewers may spot inaccuracies, inconsistencies, and ambiguities that had not been noticed by the writers due to rereading the typescript too many times. It is however advisable to reread the draft one more time before submission, as a last-minute correction of typos, leaps, and muddled sentences may enable the reviewers to focus on providing advice on the content rather than the form.

Feedback is vital to writing a good review, and should be sought from a variety of colleagues, so as to obtain a diversity of views on the draft. This may lead in some cases to conflicting views on the merits of the paper, and on how to improve it, but such a situation is better than the absence of feedback. A diversity of feedback perspectives on a literature review can help identify where the consensus view stands in the landscape of the current scientific understanding of an issue [24] .

Rule 9: Include Your Own Relevant Research, but Be Objective

In many cases, reviewers of the literature will have published studies relevant to the review they are writing. This could create a conflict of interest: how can reviewers report objectively on their own work [25] ? Some scientists may be overly enthusiastic about what they have published, and thus risk giving too much importance to their own findings in the review. However, bias could also occur in the other direction: some scientists may be unduly dismissive of their own achievements, so that they will tend to downplay their contribution (if any) to a field when reviewing it.

In general, a review of the literature should neither be a public relations brochure nor an exercise in competitive self-denial. If a reviewer is up to the job of producing a well-organized and methodical review, which flows well and provides a service to the readership, then it should be possible to be objective in reviewing one's own relevant findings. In reviews written by multiple authors, this may be achieved by assigning the review of the results of a coauthor to different coauthors.

Rule 10: Be Up-to-Date, but Do Not Forget Older Studies

Given the progressive acceleration in the publication of scientific papers, today's reviews of the literature need awareness not just of the overall direction and achievements of a field of inquiry, but also of the latest studies, so as not to become out-of-date before they have been published. Ideally, a literature review should not identify as a major research gap an issue that has just been addressed in a series of papers in press (the same applies, of course, to older, overlooked studies (“sleeping beauties” [26] )). This implies that literature reviewers would do well to keep an eye on electronic lists of papers in press, given that it can take months before these appear in scientific databases. Some reviews declare that they have scanned the literature up to a certain point in time, but given that peer review can be a rather lengthy process, a full search for newly appeared literature at the revision stage may be worthwhile. Assessing the contribution of papers that have just appeared is particularly challenging, because there is little perspective with which to gauge their significance and impact on further research and society.

Inevitably, new papers on the reviewed topic (including independently written literature reviews) will appear from all quarters after the review has been published, so that there may soon be the need for an updated review. But this is the nature of science [27] – [32] . I wish everybody good luck with writing a review of the literature.

A literature review is a critical analysis of published academic literature, mainly peer-reviewed papers and books, on a specific topic. This isn’t just a list of published studies but is a document summarising and critically appraising the main work by researchers in the field, the key findings, limitations and gaps identified in the knowledge.

  • The aim of a literature review is to critically assess the literature in your chosen field of research and be able to present an overview of the current knowledge gained from previous work.
  • By the conclusion of your literature review, you as a researcher should have identified the gaps in knowledge in your field; i.e. the unanswered research questions which your PhD project will help to answer.
  • Quality not quantity is the approach to use when writing a literature review for a PhD but as a general rule of thumb, most are between 6,000 and 12,000 words.

What Is the Purpose of a Literature Review?

First, to be clear on what a PhD literature review is NOT: it is not a ‘paper by paper’ summary of what others have done in your field. All you’re doing here is listing out all the papers and book chapters you’ve found with some text joining things together. This is a common mistake made by PhD students early on in their research project. This is a sign of poor academic writing and if it’s not picked up by your supervisor, it’ll definitely be by your examiners.

The biggest issue your examiners will have here is that you won’t have demonstrated an application of critical thinking when examining existing knowledge from previous research. This is an important part of the research process as a PhD student. It’s needed to show where the gaps in knowledge were, and how then you were able to identify the novelty of each research question and subsequent work.

The five main outcomes from carrying out a good literature review should be:

  • An understanding of what has been published in your subject area of research,
  • An appreciation of the leading research groups and authors in your field and their key contributions to the research topic,
  • Knowledge of the key theories in your field,
  • Knowledge of the main research areas within your field of interest,
  • A clear understanding of the research gap in knowledge that will help to motivate your PhD research questions .

When assessing the academic papers or books that you’ve come across, you must think about the strengths and weaknesses of them; what was novel about their work and what were the limitations? Are different sources of relevant literature coming to similar conclusions and complementing each other, or are you seeing different outcomes on the same topic by different researchers?

When Should I Write My Literature Review?

In the structure of your PhD thesis , your literature review is effectively your first main chapter. It’s at the start of your thesis and should, therefore, be a task you perform at the start of your research. After all, you need to have reviewed the literature to work out how your research can contribute novel findings to your area of research. Sometimes, however, in particular when you apply for a PhD project with a pre-defined research title and research questions, your supervisor may already know where the gaps in knowledge are.

You may be tempted to skip the literature review and dive straight into tackling the set questions (then completing the review at the end before thesis submission) but we strongly advise against this. Whilst your supervisor will be very familiar with the area, you as a doctoral student will not be and so it is essential that you gain this understanding before getting into the research.

How Long Should the Literature Review Be?

As your literature review will be one of your main thesis chapters, it needs to be a substantial body of work. It’s not a good strategy to have a thesis writing process here based on a specific word count, but know that most reviews are typically between 6,000 and 12,000 words. The length will depend on how much relevant material has previously been published in your field.

A point to remember though is that the review needs to be easy to read and avoid being filled with unnecessary information; in your search of selected literature, consider filtering out publications that don’t appear to add anything novel to the discussion – this might be useful in fields with hundreds of papers.

How Do I Write the Literature Review?

Before you start writing your literature review, you need to be clear on the topic you are researching.

1. Evaluating and Selecting the Publications

After completing your literature search and downloading all the papers you find, you may find that you have a lot of papers to read through ! You may find that you have so many papers that it’s unreasonable to read through all of them in their entirety, so you need to find a way to understand what they’re about and decide if they’re important quickly.

A good starting point is to read the abstract of the paper to gauge if it is useful and, as you do so, consider the following questions in your mind:

  • What was the overarching aim of the paper?
  • What was the methodology used by the authors?
  • Was this an experimental study or was this more theoretical in its approach?
  • What were the results and what did the authors conclude in their paper?
  • How does the data presented in this paper relate to other publications within this field?
  • Does it add new knowledge, does it raise more questions or does it confirm what is already known in your field? What is the key concept that the study described?
  • What are the strengths and weaknesses of this study, and in particular, what are the limitations?

2. Identifying Themes

To put together the structure of your literature review you need to identify the common themes that emerge from the collective papers and books that you have read. Key things to think about are:

  • Are there common methodologies different authors have used or have these changed over time?
  • Do the research questions change over time or are the key question’s still unanswered?
  • Is there general agreement between different research groups in the main results and outcomes, or do different authors provide differing points of view and different conclusions?
  • What are the key papers in your field that have had the biggest impact on the research?
  • Have different publications identified similar weaknesses or limitations or gaps in the knowledge that still need to be addressed?

Structuring and Writing Your Literature Review

There are several ways in which you can structure a literature review and this may depend on if, for example, your project is a science or non-science based PhD.

One approach may be to tell a story about how your research area has developed over time. You need to be careful here that you don’t just describe the different papers published in chronological order but that you discuss how different studies have motivated subsequent studies, how the knowledge has developed over time in your field, concluding with what is currently known, and what is currently not understood.

Alternatively, you may find from reading your papers that common themes emerge and it may be easier to develop your review around these, i.e. a thematic review. For example, if you are writing up about bridge design, you may structure the review around the themes of regulation, analysis, and sustainability.

As another approach, you might want to talk about the different research methodologies that have been used. You could then compare and contrast the results and ultimate conclusions that have been drawn from each.

As with all your chapters in your thesis, your literature review will be broken up into three key headings, with the basic structure being the introduction, the main body and conclusion. Within the main body, you will use several subheadings to separate out the topics depending on if you’re structuring it by the time period, the methods used or the common themes that have emerged.

The important thing to think about as you write your main body of text is to summarise the key takeaway messages from each research paper and how they come together to give one or more conclusions. Don’t just stop at summarising the papers though, instead continue on to give your analysis and your opinion on how these previous publications fit into the wider research field and where they have an impact. Emphasise the strengths of the studies you have evaluated also be clear on the limitations of previous work how these may have influenced the results and conclusions of the studies.

In your concluding paragraphs focus your discussion on how your critical evaluation of literature has helped you identify unanswered research questions and how you plan to address these in your PhD project. State the research problem you’re going to address and end with the overarching aim and key objectives of your work .

When writing at a graduate level, you have to take a critical approach when reading existing literature in your field to determine if and how it added value to existing knowledge. You may find that a large number of the papers on your reference list have the right academic context but are essentially saying the same thing. As a graduate student, you’ll need to take a methodological approach to work through this existing research to identify what is relevant literature and what is not.

You then need to go one step further to interpret and articulate the current state of what is known, based on existing theories, and where the research gaps are. It is these gaps in the literature that you will address in your own research project.

  • Decide on a research area and an associated research question.
  • Decide on the extent of your scope and start looking for literature.
  • Review and evaluate the literature.
  • Plan an outline for your literature review and start writing it.

A literature review is a document or section of a document that collects key sources on a topic and discusses those sources in conversation with each other (also called synthesis ). The lit review is an important genre in many disciplines, not just literature (i.e., the study of works of literature such as novels and plays). When we say “literature review” or refer to “the literature,” we are talking about the research ( scholarship ) in a given field. You will often see the terms “the research,” “the scholarship,” and “the literature” used mostly interchangeably.

Where, when, and why would I write a lit review?

There are a number of different situations where you might write a literature review, each with slightly different expectations; different disciplines, too, have field-specific expectations for what a literature review is and does. For instance, in the humanities, authors might include more overt argumentation and interpretation of source material in their literature reviews, whereas in the sciences, authors are more likely to report study designs and results in their literature reviews; these differences reflect these disciplines’ purposes and conventions in scholarship. You should always look at examples from your own discipline and talk to professors or mentors in your field to be sure you understand your discipline’s conventions, for literature reviews as well as for any other genre.

A literature review can be a part of a research paper or scholarly article, usually falling after the introduction and before the research methods sections. In these cases, the lit review just needs to cover scholarship that is important to the issue you are writing about; sometimes it will also cover key sources that informed your research methodology.

Lit reviews can also be standalone pieces, either as assignments in a class or as publications. In a class, a lit review may be assigned to help students familiarize themselves with a topic and with scholarship in their field, get an idea of the other researchers working on the topic they’re interested in, find gaps in existing research in order to propose new projects, and/or develop a theoretical framework and methodology for later research. As a publication, a lit review usually is meant to help make other scholars’ lives easier by collecting and summarizing, synthesizing, and analyzing existing research on a topic. This can be especially helpful for students or scholars getting into a new research area, or for directing an entire community of scholars toward questions that have not yet been answered.

What are the parts of a lit review?

Most lit reviews use a basic introduction-body-conclusion structure; if your lit review is part of a larger paper, the introduction and conclusion pieces may be just a few sentences while you focus most of your attention on the body. If your lit review is a standalone piece, the introduction and conclusion take up more space and give you a place to discuss your goals, research methods, and conclusions separately from where you discuss the literature itself.

Introduction:

  • An introductory paragraph that explains what your working topic and thesis is
  • A forecast of key topics or texts that will appear in the review
  • Potentially, a description of how you found sources and how you analyzed them for inclusion and discussion in the review (more often found in published, standalone literature reviews than in lit review sections in an article or research paper)
  • Summarize and synthesize: Give an overview of the main points of each source and combine them into a coherent whole
  • Analyze and interpret: Don’t just paraphrase other researchers – add your own interpretations where possible, discussing the significance of findings in relation to the literature as a whole
  • Critically Evaluate: Mention the strengths and weaknesses of your sources
  • Write in well-structured paragraphs: Use transition words and topic sentence to draw connections, comparisons, and contrasts.

Conclusion:

  • Summarize the key findings you have taken from the literature and emphasize their significance
  • Connect it back to your primary research question

How should I organize my lit review?

Lit reviews can take many different organizational patterns depending on what you are trying to accomplish with the review. Here are some examples:

  • Chronological : The simplest approach is to trace the development of the topic over time, which helps familiarize the audience with the topic (for instance if you are introducing something that is not commonly known in your field). If you choose this strategy, be careful to avoid simply listing and summarizing sources in order. Try to analyze the patterns, turning points, and key debates that have shaped the direction of the field. Give your interpretation of how and why certain developments occurred (as mentioned previously, this may not be appropriate in your discipline — check with a teacher or mentor if you’re unsure).
  • Thematic : If you have found some recurring central themes that you will continue working with throughout your piece, you can organize your literature review into subsections that address different aspects of the topic. For example, if you are reviewing literature about women and religion, key themes can include the role of women in churches and the religious attitude towards women.
  • Qualitative versus quantitative research
  • Empirical versus theoretical scholarship
  • Divide the research by sociological, historical, or cultural sources
  • Theoretical : In many humanities articles, the literature review is the foundation for the theoretical framework. You can use it to discuss various theories, models, and definitions of key concepts. You can argue for the relevance of a specific theoretical approach or combine various theorical concepts to create a framework for your research.

What are some strategies or tips I can use while writing my lit review?

Any lit review is only as good as the research it discusses; make sure your sources are well-chosen and your research is thorough. Don’t be afraid to do more research if you discover a new thread as you’re writing. More info on the research process is available in our "Conducting Research" resources .

As you’re doing your research, create an annotated bibliography ( see our page on the this type of document ). Much of the information used in an annotated bibliography can be used also in a literature review, so you’ll be not only partially drafting your lit review as you research, but also developing your sense of the larger conversation going on among scholars, professionals, and any other stakeholders in your topic.

Usually you will need to synthesize research rather than just summarizing it. This means drawing connections between sources to create a picture of the scholarly conversation on a topic over time. Many student writers struggle to synthesize because they feel they don’t have anything to add to the scholars they are citing; here are some strategies to help you:

  • It often helps to remember that the point of these kinds of syntheses is to show your readers how you understand your research, to help them read the rest of your paper.
  • Writing teachers often say synthesis is like hosting a dinner party: imagine all your sources are together in a room, discussing your topic. What are they saying to each other?
  • Look at the in-text citations in each paragraph. Are you citing just one source for each paragraph? This usually indicates summary only. When you have multiple sources cited in a paragraph, you are more likely to be synthesizing them (not always, but often

The most interesting literature reviews are often written as arguments (again, as mentioned at the beginning of the page, this is discipline-specific and doesn’t work for all situations). Often, the literature review is where you can establish your research as filling a particular gap or as relevant in a particular way. You have some chance to do this in your introduction in an article, but the literature review section gives a more extended opportunity to establish the conversation in the way you would like your readers to see it. You can choose the intellectual lineage you would like to be part of and whose definitions matter most to your thinking (mostly humanities-specific, but this goes for sciences as well). In addressing these points, you argue for your place in the conversation, which tends to make the lit review more compelling than a simple reporting of other sources.

How To Structure Your Literature Review

3 options to help structure your chapter.

Writing the literature review chapter can seem pretty daunting when you’re piecing together your dissertation or thesis. As  we’ve discussed before , a good literature review needs to achieve a few very important objectives – it should:

  • Demonstrate your knowledge of the research topic
  • Identify the gaps in the literature and show how your research links to these
  • Provide the foundation for your conceptual framework (if you have one)
  • Inform your own  methodology and research design

To achieve this, your literature review needs a well-thought-out structure . Get the structure of your literature review chapter wrong and you’ll struggle to achieve these objectives. Don’t worry though – in this post, we’ll look at how to structure your literature review for maximum impact (and marks!).

The function of the lit review

But wait – is this the right time?

Deciding on the structure of your literature review should come towards the end of the literature review process – after you have collected and digested the literature, but before you start writing the chapter. 

In other words, you need to first develop a rich understanding of the literature before you even attempt to map out a structure. There’s no use trying to develop a structure before you’ve fully wrapped your head around the existing research.

Equally importantly, you need to have a structure in place before you start writing , or your literature review will most likely end up a rambling, disjointed mess. 

Importantly, don’t feel that once you’ve defined a structure you can’t iterate on it. It’s perfectly natural to adjust as you engage in the writing process. As we’ve discussed before , writing is a way of developing your thinking, so it’s quite common for your thinking to change – and therefore, for your chapter structure to change – as you write.

Like any other chapter in your thesis or dissertation, your literature review needs to have a clear, logical structure. At a minimum, it should have three essential components – an  introduction , a  body   and a  conclusion . 

Let’s take a closer look at each of these.

1: The Introduction Section

Just like any good introduction, the introduction section of your literature review should introduce the purpose and layout (organisation) of the chapter. In other words, your introduction needs to give the reader a taste of what’s to come, and how you’re going to lay that out. Essentially, you should provide the reader with a high-level roadmap of your chapter to give them a taste of the journey that lies ahead.

Here’s an example of the layout visualised in a literature review introduction:

Your introduction should also outline your topic (including any tricky terminology or jargon) and provide an explanation of the scope of your literature review – in other words, what you  will   and  won’t   be covering (the delimitations ). This helps ringfence your review and achieve a clear focus . The clearer and narrower your focus, the deeper you can dive into the topic (which is typically where the magic lies). 

Depending on the nature of your project, you could also present your stance or point of view at this stage. In other words, after grappling with the literature you’ll have an opinion about what the trends and concerns are in the field as well as what’s lacking. The introduction section can then present these ideas so that it is clear to examiners that you’re aware of how your research connects with existing knowledge .

2: The Body Section

The body of your literature review is the centre of your work. This is where you’ll present, analyse, evaluate and synthesise the existing research. In other words, this is where you’re going to earn (or lose) the most marks. Therefore, it’s important to carefully think about how you will organise your discussion to present it in a clear way. 

The body of your literature review should do just as the description of this chapter suggests. It should “review” the literature – in other words, identify, analyse, and synthesise it. So, when thinking about structuring your literature review, you need to think about which structural approach will provide the best “review” for your specific type of research and objectives (we’ll get to this shortly).

There are (broadly speaking)  three options  for organising your literature review.

The body section of your literature review is the where you'll present, analyse, evaluate and synthesise the existing research.

Option 1: Chronological (according to date)

Organising the literature chronologically is one of the simplest ways to structure your literature review. You start with what was published first and work your way through the literature until you reach the work published most recently. Pretty straightforward.

The benefit of this option is that it makes it easy to discuss the developments and debates in the field as they emerged over time. Organising your literature chronologically also allows you to highlight how specific articles or pieces of work might have changed the course of the field – in other words, which research has had the most impact . Therefore, this approach is very useful when your research is aimed at understanding how the topic has unfolded over time and is often used by scholars in the field of history. That said, this approach can be utilised by anyone that wants to explore change over time .

Adopting the chronological structure allows you to discuss the developments and debates in the field as they emerged over time.

For example , if a student of politics is investigating how the understanding of democracy has evolved over time, they could use the chronological approach to provide a narrative that demonstrates how this understanding has changed through the ages.

Here are some questions you can ask yourself to help you structure your literature review chronologically.

  • What is the earliest literature published relating to this topic?
  • How has the field changed over time? Why?
  • What are the most recent discoveries/theories?

In some ways, chronology plays a part whichever way you decide to structure your literature review, because you will always, to a certain extent, be analysing how the literature has developed. However, with the chronological approach, the emphasis is very firmly on how the discussion has evolved over time , as opposed to how all the literature links together (which we’ll discuss next ).

Option 2: Thematic (grouped by theme)

The thematic approach to structuring a literature review means organising your literature by theme or category – for example, by independent variables (i.e. factors that have an impact on a specific outcome).

As you’ve been collecting and synthesising literature , you’ll likely have started seeing some themes or patterns emerging. You can then use these themes or patterns as a structure for your body discussion. The thematic approach is the most common approach and is useful for structuring literature reviews in most fields.

For example, if you were researching which factors contributed towards people trusting an organisation, you might find themes such as consumers’ perceptions of an organisation’s competence, benevolence and integrity. Structuring your literature review thematically would mean structuring your literature review’s body section to discuss each of these themes, one section at a time.

The thematic structure allows you to organise your literature by theme or category  – e.g. by independent variables.

Here are some questions to ask yourself when structuring your literature review by themes:

  • Are there any patterns that have come to light in the literature?
  • What are the central themes and categories used by the researchers?
  • Do I have enough evidence of these themes?

Option 3: Methodological

The methodological option is a way of structuring your literature review by the research methodologies used . In other words, organising your discussion based on the angle from which each piece of research was approached – for example, qualitative , quantitative or mixed  methodologies.

Structuring your literature review by methodology can be useful if you are drawing research from a variety of disciplines and are critiquing different methodologies. The point of this approach is to question  how  existing research has been conducted, as opposed to  what  the conclusions and/or findings the research were.

The methodological structure allows you to organise your chapter by the analysis method  used - e.g. qual, quant or mixed.

For example, a sociologist might centre their research around critiquing specific fieldwork practices. Their literature review will then be a summary of the fieldwork methodologies used by different studies.

Here are some questions you can ask yourself when structuring your literature review according to methodology:

  • Which methodologies have been utilised in this field?
  • Which methodology is the most popular (and why)?
  • What are the strengths and weaknesses of the various methodologies?
  • How can the existing methodologies inform my own methodology?

3: The Conclusion Section

Once you’ve completed the body section of your literature review using one of the structural approaches we discussed above, you’ll need to “wrap up” your literature review and pull all the pieces together to set the direction for the rest of your dissertation or thesis.

The conclusion is where you’ll present the key findings of your literature review. In this section, you should emphasise the research that is especially important to your research questions and highlight the gaps that exist in the literature. Based on this, you need to make it clear what you will add to the literature – in other words, justify your own research by showing how it will help fill one or more of the gaps you just identified.

Last but not least, if it’s your intention to develop a conceptual framework for your dissertation or thesis, the conclusion section is a good place to present this.

In the conclusion section, you’ll need to present the key findings of your literature review and highlight the gaps that exist in the literature. Based on this, you'll  need to make it clear what your study will add  to the literature.

Why you need an introduction for a literature review

It is crucial to customize the content and depth of your literature review introduction according to the specific format of your academic work.

Academic literature review paper

The introduction of an academic literature review paper, which does not rely on empirical data, often necessitates a more extensive introduction than the brief literature review introductions typically found in empirical papers. It should encompass:

Regular literature review section in an academic article or essay

In a standard 8000-word journal article, the literature review section typically spans between 750 and 1250 words. The first few sentences or the first paragraph within this section often serve as an introduction. It should encompass:

Introduction to a literature review chapter in thesis or dissertation

Some students choose to incorporate a brief introductory section at the beginning of each chapter, including the literature review chapter. Alternatively, others opt to seamlessly integrate the introduction into the initial sentences of the literature review itself. Both approaches are acceptable, provided that you incorporate the following elements:

Example 1: an effective introduction for an academic literature review paper.

To begin, let’s delve into the introduction of an academic literature review paper. We will examine the paper “How does culture influence innovation? A systematic literature review”, which was published in 2018 in the journal Management Decision.

Example 2: An effective introduction to a literature review section in an academic paper

The second example represents a typical academic paper, encompassing not only a literature review section but also empirical data, a case study, and other elements. We will closely examine the introduction to the literature review section in the paper “The environmentalism of the subalterns: a case study of environmental activism in Eastern Kurdistan/Rojhelat”, which was published in 2021 in the journal Local Environment.

Thus, the author successfully introduces the literature review, from which point onward it dives into the main concept (‘subalternity’) of the research, and reviews the literature on socio-economic justice and environmental degradation.

Examples 3-5: Effective introductions to literature review chapters

Numerous universities offer online repositories where you can access theses and dissertations from previous years, serving as valuable sources of reference. Many of these repositories, however, may require you to log in through your university account. Nevertheless, a few open-access repositories are accessible to anyone, such as the one by the University of Manchester . It’s important to note though that copyright restrictions apply to these resources, just as they would with published papers.

The Literature Review: A Guide for Postgraduate Students

This guide provides postgraduate students with an overview of the literature review required for most research degrees. It will advise you on the common types of literature reviews across disciplines and will outline how the purpose and structure of each may differ slightly. Various approaches to effective content organisation and writing style are offered, along with some common strategies for effective writing and avoiding some common mistakes. This guide focuses mainly on the required elements of a standalone literature review, but the suggestions and advice apply to literature reviews incorporated into other chapters.

This article focuses on aspects that are particular to postgraduate literature reviews, containing detailed advice and effective strategies for writing a successful literature review. The Purpose of a Literature Review

After developing your research proposal and writing a research statement, your literature review is one of the most important early tasks you will undertake for your postgraduate research degree. Many faculties and departments require postgraduate research students to write an initial literature review as part of their research proposal, which forms part of the candidature confirmation process that occurs six months into the research degree for full-time students (12 months for part-time students).

For example, a postgraduate student in history would normally write a 10,000-word research proposal—including a literature review—in the first six months of their PhD. This would be assessed in order to confirm the ongoing candidature of the student.

The literature review is your opportunity you show your supervisor (and ultimately, your examiners) that you understand the most important debates in your field, can identify the texts and authors most relevant to your particular topic, and can examine and evaluate these debates and texts both critically and in depth. You will be expected to provide a comprehensive, detailed and relevant range of scholarly works in your literature review.

In general, a literature review has a specific and directed purpose: to focus the reader’s attention on the significance and necessity of your research. By identifying a ‘gap’ in the current scholarship, you convince your readers that your own research is vital.

As the author, you will achieve these objectives by displaying your in-depth knowledge and understanding of the relevant scholarship in your field, situating your own research within this wider body of work , while critically analysing the scholarship and highlighting your own arguments in relation to that scholarship.

A well-focused, well-developed and well-researched literature review operates as a linchpin for your thesis, provides the background to your research and demonstrates your proficiency in some requisite academic skills.

The Structure of Your Literature Review

Postgraduate degrees can be made up of a long thesis (Master’s and PhD by research) or a shorter thesis and coursework (Master’s by coursework; although some Australian universities now require PhD students to undertake coursework in the first year of their degree). Some disciplines involve creative work (such as a novel or artwork) and an exegesis (such as a creative writing research or fine arts degree). Others can comprise a series of published works in the form of a ‘thesis by publication’ (most common in the science and medical fields).

The structure of a literature review will thus vary according to the discipline and the type of thesis. Some of the most common discipline-based variations are outlined in the following paragraphs.

Humanities and Social Science Degrees

Many humanities and social science theses will include a standalone literature review chapter after the introduction and before any methodology (or theoretical approaches) chapters. In these theses, the literature review might make up around 15 to 30 per cent of the total thesis length, reflecting its purpose as a supporting chapter.

Here, the literature review chapter will have an introduction, an appropriate number of discussion paragraphs and a conclusion. As with a research essay, the introduction operates as a ‘road map’ to the chapter. The introduction should outline and clarify the argument you are making in your thesis (Australian National University 2017), as readers will then have a context for the discussion and critical analysis paragraphs that follow.

The main discussion section can be divided further with subheadings, and the material organised in several possible ways: chronologically, thematically or from the better- to the lesser-known issues and arguments. The conclusion should provide a summary of the chapter overall, and should re-state your thesis statement, linking this to the gap you have identified in the literature that confirms the necessity of your research.

For some humanities’ disciplines, such as literature or history (Premaratne 2013, 236–54), where primary sources are central, the literature review may be conducted chapter-by-chapter, with each chapter focusing on one theme and set of scholarly secondary sources relevant to the primary source material.

Science and Mathematics Degrees

For some science or mathematics research degrees, the literature review may be part of the introduction. The relevant literature here may be limited in number and scope, and if the research project is experiment-based, rather than theoretically based, a lengthy critical analysis of past research may be unnecessary (beyond establishing its weaknesses or failings and thus the necessity for the current research). The literature review section will normally appear after the paragraphs that outline the study’s research question, main findings and theoretical framework. Other science-based degrees may follow the standalone literature review chapter more common in the social sciences.

Strategies for Writing an Effective Literature Review

A research thesis—whether for a Master’s degree or Doctor of Philosophy—is a long project, and the literature review, usually written early on, will most likely be reviewed and refined over the life of the thesis. This section will detail some useful strategies to ensure you write a successful literature review that meets the expectations of your supervisor and examiners.

Using a Mind Map

Before planning or writing, it can be beneficial to undertake a brainstorm exercise to initiate ideas, especially in relation to the organisation of your literature review. A mind map is a very effective technique that can get your ideas flowing prior to a more formal planning process.

A mind map is best created in landscape orientation. Begin by writing a very brief version of your research topic in the middle of the page and then expanding this with themes and sub-themes, identified by keywords or phrases and linked by associations or oppositions. The University of Adelaide provides an excellent introduction to mind mapping.

Planning is as essential at the chapter level as it is for your thesis overall. If you have begun work on your literature review with a mind map or similar process, you can use the themes or organisational categories that emerged to begin organising your content. Plan your literature review as if it were a research essay with an introduction, main body and conclusion.

Create a detailed outline for each main paragraph or section and list the works you will discuss and analyse, along with keywords to identify important themes, arguments and relevant data. By creating a ‘planning document’ in this way, you can keep track of your ideas and refine the plan as you go.

Maintaining a Current Reference List or Annotated Bibliography

It is vital that you maintain detailed and up-to-date records of all scholarly works that you read in relation to your thesis. You will need to ensure that you remain aware of current and developing research, theoretical debates and data as your degree progresses; and review and update the literature review as you work through your own research and writing.

To do this most effectively and efficiently, you will need to record precisely the bibliographic details of each source you use. Decide on the referencing style you will be using at an early stage (this is often dictated by your department or discipline, or suggested by your supervisor). If you begin to construct your reference list as you write your thesis, ensure that you follow any formatting and stylistic requirements for your chosen referencing style from the start (nothing is more onerous than undertaking this task as you are finishing your research degree).

Insert references (also known as ‘citations’) into the text or footnote section as you write your literature review, and be aware of all instances where you need to use a reference . The literature review chapter or section may appear to be overwhelmed with references, but this is just a reflection of the source-based content and purpose.

The Drawbacks of Referencing Software

We don’t recommend the use of referencing software to help you with your references because using this software almost always leads to errors and inconsistencies. They simply can’t be trusted to produce references that will be complete and accurate, properly following your particular referencing style to the letter.

Further, relying on software to create your references for you usually means that you won’t learn how to reference correctly yourself, which is an absolutely vital skill, especially if you are hoping to continue in academia.

Writing Style

Similar to structural matters, your writing style will depend to some extent on your discipline and the expectations and advice of your supervisors. Humanities- and creative arts–based disciplines may be more open to a wider variety of authorial voices. Even if this is so, it remains preferable to establish an academic voice that is credible, engaging and clear.

Simple stylistic strategies such as using the active—instead of the passive—voice, providing variety in sentence structure and length and preferring (where appropriate) simple language over convoluted or overly obscure words can help to ensure your academic writing is both formal and highly readable.

Reviewing, Rewriting and Editing

Although an initial draft is essential (and in some departments it is a formal requirement) to establish the ground for your own research and its place within the wider body of scholarship, the literature review will evolve, develop and be modified as you continue to research, write, review and rewrite your thesis. It is likely that your literature review will not be completed until you have almost finished the thesis itself, and a final assessment and edit of this section is essential to ensure you have included the most important scholarship that is relevant and necessary to your research.

It has happened to many students that a crucial piece of literature is published just as they are about to finalise their thesis, and they must revise their literature review in light of it. Unfortunately, this cannot be avoided, lest your examiners think that you are not aware of this key piece of scholarship. You need to ensure your final literature review reflects how your research now fits into the new landscape in your field after any recent developments.

Mistakes to Avoid

Some common mistakes can result in an ineffective literature review that could then flow on to the rest of your thesis. These mistakes include:

  • Trying to read and include everything you find on your topic. The literature review should be selective as well as comprehensive, examining only those sources relevant to your research topic.
  • Listing the scholarship as if you are writing an annotated bibliography or a series of summaries. Your discussion of the literature should be synthesised and holistic, and should have a logical progression that is appropriate to the organisation of your content.
  • Failing to integrate your examination of the literature with your own thesis topic. You need to develop your discussion of each piece of scholarship in relation to other pieces of research, contextualising your analyses and conclusions in relation to your thesis statement or research topic and focusing on how your own research relates to, complements and extends the existing scholarship.

Writing the literature review is often the first task of your research degree. It is a focused reading and research activity that situates your own research in the wider scholarship, establishing yourself as an active member of the academic community through dialogue and debate. By reading, analysing and synthesising the existing scholarship on your topic, you gain a comprehensive and in-depth understanding, ensuring a solid basis for your own arguments and contributions. Literature reviews are a necessary step in a research process and often required when writing your research proposal . They involve gathering, analyzing, and evaluating existing knowledge about a topic in order to find gaps in the literature where future studies will be needed.

Ideally, once you have completed your literature review, you will be able to identify how your research project can build upon and extend existing knowledge in your area of study.

Generally, for my undergraduate research students, I recommend a narrative review, where themes can be generated in order for the students to develop sufficient understanding of the topic so they can build upon the themes using unique methods or novel research questions.

Literature Review Examples

For the following types of literature review, I present an explanation and overview of the type, followed by links to some real-life literature reviews on the topics.

1. Narrative Review Examples

Also known as a traditional literature review, the narrative review provides a broad overview of the studies done on a particular topic.

It often includes both qualitative and quantitative studies and may cover a wide range of years.

The narrative review’s purpose is to identify commonalities, gaps, and contradictions in the literature .

I recommend to my students that they should gather their studies together, take notes on each study, then try to group them by themes that form the basis for the review (see my step-by-step instructions at the end of the article).

Title: Communication in healthcare: a narrative review of the literature and practical recommendations

Citation: Vermeir, P., Vandijck, D., Degroote, S., Peleman, R., Verhaeghe, R., Mortier, E., … & Vogelaers, D. (2015). Communication in healthcare: a narrative review of the literature and practical recommendations. International journal of clinical practice , 69 (11), 1257-1267.

Overview: This narrative review analyzed themes emerging from 69 articles about communication in healthcare contexts. Five key themes were found in the literature: poor communication can lead to various negative outcomes, discontinuity of care, compromise of patient safety, patient dissatisfaction, and inefficient use of resources. After presenting the key themes, the authors recommend that practitioners need to approach healthcare communication in a more structured way, such as by ensuring there is a clear understanding of who is in charge of ensuring effective communication in clinical settings.

2. Systematic Review Examples

This type of literature review is more structured and rigorous than a narrative review. It involves a detailed and comprehensive plan and search strategy derived from a set of specified research questions.

The key way you’d know a systematic review compared to a narrative review is in the methodology: the systematic review will likely have a very clear criteria for how the studies were collected, and clear explanations of exclusion/inclusion criteria. 

The goal is to gather the maximum amount of valid literature on the topic, filter out invalid or low-quality reviews, and minimize bias. Ideally, this will provide more reliable findings, leading to higher-quality conclusions and recommendations for further research.

You may note from the examples below that the ‘method’ sections in systematic reviews tend to be much more explicit, often noting rigid inclusion/exclusion criteria and exact keywords used in searches.

Title: The importance of food naturalness for consumers: Results of a systematic review  

Citation: Roman, S., Sánchez-Siles, L. M., & Siegrist, M. (2017). The importance of food naturalness for consumers: Results of a systematic review. Trends in food science & technology , 67 , 44-57.

Overview: This systematic review included 72 studies of food naturalness to explore trends in the literature about its importance for consumers. Keywords used in the data search included: food, naturalness, natural content, and natural ingredients. Studies were included if they examined consumers’ preference for food naturalness and contained empirical data. The authors found that the literature lacks clarity about how naturalness is defined and measured, but also found that food consumption is significantly influenced by perceived naturalness of goods.

3. Meta-analysis

This is a type of systematic review that uses statistical methods to combine and summarize the results of several studies.

Due to its robust methodology, a meta-analysis is often considered the ‘gold standard’ of secondary research , as it provides a more precise estimate of a treatment effect than any individual study contributing to the pooled analysis.

Furthermore, by aggregating data from a range of studies, a meta-analysis can identify patterns, disagreements, or other interesting relationships that may have been hidden in individual studies.

This helps to enhance the generalizability of findings, making the conclusions drawn from a meta-analysis particularly powerful and informative for policy and practice.

O verview: This study examines the relationship between cholesterol and Alzheimer’s disease (AD). Researchers conducted a systematic search of meta-analyses and reviewed several databases, collecting 100 primary studies and five meta-analyses to analyze the connection between cholesterol and Alzheimer’s disease. They find that the literature compellingly demonstrates that low-density lipoprotein cholesterol (LDL-C) levels significantly influence the development of Alzheimer’s disease.

Other Types of Reviews

  • Scoping Review: This type of review is used to map the key concepts underpinning a research area and the main sources and types of evidence available. It can be undertaken as stand-alone projects in their own right, or as a precursor to a systematic review.
  • Rapid Review: This type of review accelerates the systematic review process in order to produce information in a timely manner. This is achieved by simplifying or omitting stages of the systematic review process.
  • Integrative Review: This review method is more inclusive than others, allowing for the simultaneous inclusion of experimental and non-experimental research. The goal is to more comprehensively understand a particular phenomenon.
  • Critical Review: This is similar to a narrative review but requires a robust understanding of both the subject and the existing literature. In a critical review, the reviewer not only summarizes the existing literature, but also evaluates its strengths and weaknesses. This is common in the social sciences and humanities .
  • State-of-the-Art Review: This considers the current level of advancement in a field or topic and makes recommendations for future research directions. This type of review is common in technological and scientific fields but can be applied to any discipline.

How to Write a Narrative Review (Tips for Undergrad Students)

Most undergraduate students conducting a capstone research project will be writing narrative reviews. Below is a five-step process for conducting a simple review of the literature for your project.

  • Search for Relevant Literature: Use scholarly databases related to your field of study, provided by your university library, along with appropriate search terms to identify key scholarly articles that have been published on your topic.
  • Evaluate and Select Sources: Filter the source list by selecting studies that are directly relevant and of sufficient quality, considering factors like credibility , objectivity, accuracy, and validity.
  • Analyze and Synthesize: Review each source and summarize the main arguments  in one paragraph (or more, for postgrad). Keep these summaries in a table.
  • Identify Themes: With all studies summarized, group studies that share common themes, such as studies that have similar findings or methodologies.
  • Write the Review: Write your review based upon the themes or subtopics you have identified. Give a thorough overview of each theme, integrating source data, and conclude with a summary of the current state of knowledge then suggestions for future research based upon your evaluation of what is lacking in the literature.

Literature reviews don’t have to be as scary as they seem. Yes, they are difficult and require a strong degree of comprehension of academic studies. But it can be feasibly done through following a structured approach to data collection and analysis. With my undergraduate research students (who tend to conduct small-scale qualitative studies ), I encourage them to conduct a narrative literature review whereby they can identify key themes in the literature. Within each theme, students can critique key studies and their strengths and limitations , in order to get a lay of the land and come to a point where they can identify ways to contribute new insights to the existing academic conversation on their topic.

Drowning in a sea of authors – How to be critical in a PhD literature review.

One of the problems I see often when I proofread PhDs is people being too descriptive and not being critical enough. This is most often the case in the literature review.

Critical thinking is one of the hardest skills to master in the entire PhD. Yet, it’s frustrating that many supervisors and doctoral training programs assume that PhD students are already capable critical thinkers.

To be critical in your PhD literature review doesn’t just mean describing what others have written. Instead, it means evaluating and analysing what it is that is being said.

Easy, right?

So many questions…

When we say ‘you must be critical’, we mean that you must critically evaluate whatever it is you are discussing. Your job when critically evaluating is to think analytically, rather than descriptively.

However, being critical doesn’t mean criticising. Instead it means evaluating.

We saw in our post on how to write a literature review and in the PhD Writing Template that the literature review serves three purposes.

  • To provide sufficient background information so that your own research problem can be contextualised
  • To discuss how, how well, or even if, others have solved similar problems
  • To outline the methods used by others when discussing similar problems

It is the first and second purposes that require critical thinking skills, because you want to be evaluating each work you read and act as an investigator.

A quick and easy way to do so is to ask five standard questions of each thing you read:

1. Who? 2. Where? 3. What? 4. When? 5. Why?

Asking these questions means we don’t just take what is written at face value. Instead, we evaluate, interpret, explain, analyse and comment on the text. These questions are a starting point for you to do that.

You’ll need to expand on these questions in order to go into more depth. You can do this by asking (you’ll find these questions in your PhD Writing Template ):

  • Who wrote this and why?
  • What are the authors trying to say?
  • On what basis are they forming their judgements and arguments?
  • Are they convincing?
  • What theories or perspectives have been used? What alternative ones may have been used instead?
  • What perspective are they coming from? What research tradition? What methods do they use? Are they appropriate?
  • How does this work relate to others in the field?
  • What are others arguing about the same topic?
  • How does it relate to your research question or problem?

Ultimately, you’re asking: so what?

Don’t drown in a sea of authors

Let’s take an example of what not to do. Consider the following paragraph, from my very own PhD, on a theory of environmental politics known as ecological modernisation (that’s what the EM stands for):

We can see that I’ve become lost in the literature. All I’m really doing is listing various different studies. I’ve failed to think analytically and instead I’m just thinking descriptively.

I’m drowning in authors, navigating complex ideas and theories with little care for critically thinking about each of them. Instead I am piling up layers of ‘this person said this’ in order to showcase the field.

I – the academic – do not appear in this text at all. I offer no insight into my own critical reflection on any of the concepts, authors or ideas that I have listed. I have become invisible. I have not used the literature to put forward my own argument about the state of the discipline or to make the case for my own study.

There are two things to take from this:

  • You need to speak with authority. Avoid falling into the trap of ‘he said, she said’, simply listing scholars and becoming invisible in the process.
  • Avoid being overwhelmed by the literature.

How could I have improved my own literature review, using what I know now after years of working as an academic, proofreader and a literature review writer?

Consider the following excerpt from a literature review a colleague and I wrote as part of a journal article we had published . Notice how we aren’t invisible in a sea of authors and a sea of ‘he said, she said’.

Instead, we offer our own voice and put forward our own analysis of the literature. The sentence, ’this article argues, however, that all institutional formations are characterised by a combination or formal rules…’ is just one example of this.

Read, read, read, then write, write, write

Counterintuitively, when you are reading something for the first time, you should do so uncritically. Get a sense of what the writer is trying to do and whether the problem that they are tackling is in itself interesting.

You want to understand at this stage the ‘how’ and the ‘what’.

Once you have read the chapter, article, or book, and once you have a good sense of what it is about, you can then ask the when, why and how.

You can begin to unpack whether the conclusions are valid, whether the methods are appropriate, whether alternative theories or concepts could have been applied, and so on.

It is also at this stage that you can judge the validity of the paper as a whole. You need to ask yourself:

  • Is it an incremental increase in the knowledge in your field, or is it game-changing?
  • Is it a classic, or does it just add a little to what we knew before?

The answer to these questions can impact the significance the article or book plays in your literature review when you come to write.

As you write, you are forced to tackle what might seem like a wide range of literature. You are forced to relate different articles and books to one another and to explain the who, where, what, when and why.

But, you need a filter; much of what you read won’t be relevant to the study you are trying to develop or may be of poor quality.

It is these five questions above that act as your filter and which serve as your guide, against which you relate one piece of literature with another.

Conclusion: Don’t be mean

So, thinking critically involves thinking like a detective in order to understand what others have written, why, and how it relates to that which came before and to your thesis. It involves not taking things at face value and questioning everything.

But, it’s not your job to be mean to other scholars. It’s your job to understand how well something was written and how relevant it is to your purposes. If you just list articles in a descriptive way, you won’t be doing this. You need instead to be critical, to ask questions, to probe the words.

Doing so will give you a voice and avoid you getting lost in sources.

Hello Dr. Max. I must say that I enjoyed in this guide to literature review, and while I initially made the same mistake about just listing different studies, I have corrected that thanks to your guide.

There is one thing that I would like to ask you. How to approach to a thesis that is rarely documented, with very small number of published and relevant papers. Obviously, future PhD. thesis is going to offer better understanding of the matter that is about to be explored by experimental study, but what to do when very small number of researchers is dealing with this subject, or all of the available literature is of old date, but there is nothing new or better than this literature from the 60’s or 70’s.

Hi Faruk, thanks for the kind words. Your struggle is a common one. If there isn’t much literature to review, your literature review will necessarily be shorter than average and that’s okay. Make sure you thoroughly review the literature that goes exist, even if it is old, and make sure that your argument in the literature review chapter is built upon this idea that the literature is poorly developed. In some ways this makes your life easier, as the gap in your literature is so large that it will be easier for you to fill it. Hope this helps!

Thanks for this article. My thesis is on a specific artist about whom very little has been written, relative to other artists. On the other hand, my general approach to the questions I am asking about this artist is interdisciplinary, which means there is a massive literature from about five different fields to review. Do you have any advice about how to manage this. I’ve written about 17,000 words, but my supervisor keeps telling me it’s not enough.

Hi! Without knowing more about your topic it’s hard to say, but I know from my own PhD that blending various literatures together in a review is tough. If you find yourself getting stuck and tied in knots, step away from the chapter/review for a few days and come back with a fresh set of eyes.

Thank you very much for your article. It addresses some of the many struggles PhD students seem to face. Knowing that I am not alone is a good start. I have finished my methodology and currently writing my literature review. I thought I would have enjoyed it more… but it’s a tough one! I must say I am finding it quite overwhelming particularly to organize the chapter. The first part contexualising the research is fine and done, but trying to critique the main text that acted as a springboard to my research is tough.

I am not quite sure whether I should engage with recent research that has adopted the same main text/research I am using and critically discuss those or else fuse the said recent existing research with other broader themes (which I still need to include as part of the lit review).

Getting my head around this is overwhelming!

How to write a good PhD literature review?

I am in the early stages of my PhD and I am trying to put together a literature review of my topic. My intention is that this review will eventually be included in my thesis, something like " the chapter that describes the state of the art in the domain ."

My subject is soft matter physics and a large number of theses have already been written this topic. When looking at the literature reviews included in these other works I've noticed that:

  • The sequence of ideas is often the same (this makes sense, so why not?)
  • Cited papers are always the same, even though 20 years elapsed between the first and last thesis. Moreover, papers from the 30's are cited but no one in my lab seems to have a copy available?

My hypothesis is that these theses are derived from some sort of a Mother of All Thesis , and that paraphrasing the work of the previous student is OK.

So, what makes a good literature review?

How do you notice that a literature review is sloppy?

PS: I posted this question because I assume many of you have experience with this process either in your own PhD work, or as a supervisor where you have had to deal with paraphrasing of your students.

PS2: I am not asking about making proper citations, LaTeX+BibTeX handles that like a charm.

  • I am not sure if your question fits here, if I remove the term "soft matter physics" this can be applied to any thesis in the natural sciences. In general I would recommend against a "review thesis" and keep this section rather short. You should cite only the relevant literature for your scientific argument, not what the whole field generated over the last decades. –  Alexander Commented Oct 12, 2013 at 12:16

The purpose and expectations of a PhD literature review is likely to vary from field to field. My PhD was in Physics, but my views might be taken to apply generally.

There is likely to be some repetition or paraphrasing between students in the same research group, when it comes to the literature review. However, perhaps the comments below might help.

A literature review should be an enjoyable to read (!) introduction, survey and guide to the state of the art. You want to introduce your reader to the field (assuming a clever, but non-expert reader), setting out what has gone before, and perhaps to some extent showing where the gaps are in the research - raising the opportunity for you to present your research as that which fills a gap (Next chapter: "Aims and Objectives", or similar).

My primary hallmarks of a poor, or sloppy literature review is that papers are listed without any helpful context . A dreary literature review, to me, is a listing of papers that we all already know about, without any guide to the reader why the trail leads me to hold the present thesis. No-one much likes reading a dry chronology of papers. I personally, want to be told the story of the research and the literature review plays an important part of that story.

The opportunity exists here to review the field - what are the general trends in the literature? For example, Paper A was the first to introduce the theory that drove the authors of Paper B to perform experiment Z which is now the standard technique. However, Paper C suggests that an alternative method may be more effective, etc.

Note that your review shouldn't attempt to be a complete review of the field - whole standalone papers are written on this, usually by invitation. Your PhD literature review should be more focused, but still a recounting of the Story So Far.

Since your literature review is to be a nice, focused review of the path to your contribution, it is likely that you will read far more papers than you will need to cite in your literature review. Those papers that do not contribute to the Story So Far can be excluded from your literature review. Going off on a tangent, like in any story, can lose and confuse your readers. If you feel a need to refer to these papers, perhaps you can refer to a decent review article which discusses them in detail, for the interested reader.

I think Nikolas' answer is already pretty great. I'm not doing physics, but I'll try and stay as general as I can. Here's some specific advice I got from my supervisor and things I realized while doing my own lit review:

  • It is normal for a big section of referenced papers to be the same across a lot of survey / literature review papers. Those would be the papers that first introduced a problem, a concept, an approach.

In addition to the seminal papers from your (sub)field, you usually want to describe the current state-of-the art . This would be based on current papers based on the original problem, concept or approach that adopt the problem for a different environment, apply a concept for a different purpose or represent an improvement to the approach.

For example, in Computer Science, it would be okay to talk about a structure or a problem ( seminal paper ) and then talk about the current best algorithm(s) to solving the problem ( state-of-the-art ) without mentioning every single "evolution step" of the algorithm.

Basically, to sum up and dump up these two points: you cite the "first" and the "last" paper dealing with the same thing. Of course, there's exceptions to this: if there's any groundbreaking papers between the "first" and the "last" paper, sometimes intermediate papers can also be viewed as "seminal papers" for the subject/field.

This might depend slightly on the type of document you want to produce, but usually it is okay for you to explain the technique / method in detail, while for practical uses of the technique, you just mention (and cite) several successful applications of the technique without going in to detail about how exactly the method was adopted.

Finally, if your goal is to publish your literature review as a survey paper (which is usually worth a shot), you should think about how to "get a new spin on things".

Every paper, including survey papers, is supposed to be a scientific contribution. That means that you have to find something that makes your survey useful , or in some context better, then all the existing surveys. This might be a change of context in which the methods are examined, it might cover more material, offer new classifications of the methods or new links between them.

I would say you have to think of at least one type of reader (a reader with one type of goal) who will take your review and say: "That's it!" , while he can not say that any of the current surveys out there are exactly "it" for him.

References and bibliography are to be read and digested in a progressive manner. References that might have been not so intuitive become useful over time as we gain more experience. One needs to document them in any suitable way and:

  • Add new references and connections with current work.
  • Track these references and revisit them when and where you touch base again with them.
  • Revise the entry with new information or clearer understanding of the subject.
  • Remove any parasite or related paper that you think is no more directly related to your work - clear clutter up - this is important to stop accumulating lots of bibliography which can become non specific!
  • All of the references you might accumulate may not be useful for the final bibiliography. There is need to sort or classify these references as biblio, self learning references, state of art, related (first order, second order) and so on and so forth.

Doing this using a wiki would be advisable - and if there is a team involved group updates would be preferable! Basically one needs a good sense of organization while writing the thesis.

There are couple of points i like to make from my perspective.

Bibliography is something which evolves during your PhD. I would recommend not to write it at the first place. As you read more and more, relevant to your area in Soft matter, you can keep adding it to your bibliography

Soft matter is a really huge area. One who works on Molecular dynamics may not even touch crystal defects while writing his bibliography. In that way it is really topic specific and not the entire area.

You said, you saw some say 30 papers in every thesis. This is not because of magic, this is only because they are path breaking. If you are in MD area (which is mine), and you are using a thermostat, it is 99.9999 % sure that you cite Nose-Hoover paper. It is no magic.

There is no point in saying none from my lab is cited. It depends on how many groups are working in that "specific" area and what impact had the papers published from your lab made in their research.

This all points out to the fact that one does not simply write a bibliography of an entire area :)

3.2 Writing the Literature Review for the Proposal

The literature review you write for your proposal should be a more formal document than the preliminary reviews you may have written as you first read your key sources (see Section 2.1.3), although you can certainly make use of those initial reviews as you draft the formal review. The literature review for your proposal will in most cases also be the first draft of the literature review that will serve as the second chapter of your completed thesis (see Section 1.2.2 and Section 4.3). The review can instead be combined with other parts of the thesis (the introduction, for instance) or be presented more gradually throughout the thesis in association with relevant ideas, methods and results as they arise. In some cases, a student’s engagement with previous research can be established very briefly in a short section of the thesis that provides some background on what has already been done in an area and simply clarifies why the student’s topic and approach are valuable and interesting.

If a separate chapter is required, which will be the case for many theses, the chapter should give readers an accurate and thorough idea of previous scholarship on the topic, problem or phenomenon under investigation; it should summarise and interpret the content of each relevant source; it should evaluate each source critically with regard to the methods used, results achieved and conclusions reached by its author(s); it should reveal what you believe to be the gaps, misconceptions and limitations associated with the existing scholarship as a whole; and it should indicate how your research will provide what is lacking, establish new perspectives and move beyond the traditional limitations. Some of this may have been mentioned briefly in your proposal introduction, but in the literature review you need to discuss these matters in greater detail, make it absolutely clear where your work fits into the larger picture and set the stage for using key sources later in the thesis.

Even a chapter-length literature review for a doctoral thesis often does not need to be completely comprehensive – including, that is, every piece of scholarship ever written on your topic – unless your university, department or thesis committee insists on this or one of the goals of your thesis is specifically to provide a complete review of all scholarship in the area. You should, however, be familiar with all the scholarship dealing with the topic, problem or phenomenon you explore, and if very little has previously been written on it, you should no doubt include all the available scholarship in your review and perhaps even go beyond that to related areas that might enhance your research. Yet it is more likely that you will have to narrow your scope rather than broadening it, since most effective literature reviews are at least somewhat selective.

The criteria for selection vary from thesis to thesis because they are based not only on the specific research topic, but on the aims and objectives of the thesis, as well as on any research questions and hypotheses formulated and used in the thesis. So there will probably be one or more key themes that form the backbone of your discussion, providing both structure and direction, with each of the sources you review considered specifically and often exclusively in terms of those themes and your own thoughts about them. Without key ideas and a focus of this sort to guide your journey through numerous different sources, a literature review can quickly become an excessively long and disorganised trail of summaries and critiques that are more or less relevant to your thesis.

Although approaches to writing a literature review vary enormously depending on the thesis topic and methodology, a practical way to start is with a brief explanation of the topic, problem or phenomenon and a general statement about scholarship in the area (abundant, scarce, outdated, recent, limited in origin and approach, and so on) before moving on to particular sources. The first source you review should be a key one, whether it is the first piece written on the topic or simply the first one relevant to your thesis, and it should establish a position from which you can proceed. Let us say, for instance, that the thesis topic focuses on the ability of marginal commentary in medieval manuscripts to teach the researcher something about the readers of those manuscripts.

The first source reviewed will likely (and ideally should) take a strong position on or establish a tradition of thought about the topic, which in early scholarship on manuscripts would probably be to dismiss the importance of marginal annotations altogether (the Victorians, for instance, simply trimmed them off to ‘clean up’ medieval manuscripts when rebinding them). The sources reviewed after this initial source might trace a chronological path of the development of approaches to marginalia and their usefulness in research on readership and reception until arriving at works published in the twenty-first century that take the comments of medieval readers very seriously indeed and explore via those comments medieval conceptions of education, self-knowledge, heresy, gender and many other fascinating topics.

A chronological approach of the kind I have just described can often be effective in providing an extra layer of organisation or, perhaps more accurately, in tracing a meaningful route through complicated and sometimes slippery territory (the distinction between primary and secondary sources might also prove useful, on which see Section 7.1, as might that between theoretical and experimental studies). In the sciences, recent publications (usually those published within the last decade or two) are often prioritised, and some thesis committees will want the literature review to focus on recent scholarship only. No source is too old to be considered if it is important to your research, however, and if you are tracing the history of an idea or approach (one may, for example, want to go all the way back to medieval texts to see what they had to say about marginalia) or if very early sources are central because they establish a long tradition of thought relevant to your topic, they should definitely be included in your review. You need not treat every source you review in the same detail: some might require thorough summaries and a considerable amount of interpretation and discussion (those that significantly overlap your own research should receive such treatment, for instance), whereas others can simply be mentioned in passing or in groups or by focussing only on a couple of key points. The members of your thesis committee, your supervisor in particular, will almost certainly be able to assist you in deciding which sources should or should not be included and which among them might or might not require detailed treatment, as well as suggesting sources of which you may not be aware.

How you might best deal with each source may also change, however, as the results of your research mount up and you discover that you need to emphasise slightly different ideas and approaches than you originally envisioned. Remember that the literature review for the proposal is a draft that can be revisited and revised as necessary, which is not to say that it should be written or presented in an informal way. Like all parts of the proposal, it should be written in correct scholarly English and make consistent use of the editorial guidelines or style guide your department recommends or you and your supervisor have agreed upon, including complete and accurate references (for more information on formal English, formatting and style, and references, see Chapters 5–7). A literature review often closes with a brief summary, especially if the review is a long one, and a statement (or restatement) regarding how your thesis will contribute to the body of scholarship on the topic, problem or phenomenon. Finally, please note that neither ‘the literatures’ nor ‘the researches’ is an appropriate way of referring to the body of literature or scholarship dedicated to a particular topic, problem or phenomenon; ‘articles,’ ‘studies,’ ‘conferences,’ ‘papers’ and ‘books’ are all acceptable in the plural, but when using ‘the literature’ or ‘the research’ to describe such a body of work, the singular is the correct form.

Phd-supervisors experiences during and after the covid-19 pandemic: a case study.

Introduction: The COVID-19 pandemic has significantly impacted the education sector, and this case study examined nearly three hundred PhD supervisors in Norway. The study was driven by the urgent need to better understand the professional, social, and existential conditions faced by doctoral supervisors during extended societal shutdowns. This explorative case study builds on a former study among PhD candidates and investigates the experiences of doctoral supervisors when remote work, digital teaching, and digital supervision suddenly replaced physical presence in the workplace, largely between March 12, 2020, and autumn 2022, due to the COVID-19 pandemic.

Methods: A mixed-methods research approach, incorporating formative dialog research and case study design, was employed to bridge the conceptual and contextual understanding of this phenomenon. The primary data sources were a survey ( N = 298, 53.7% women, 46.3% men, response rate 80.54%) and semi-structured interviews (with nine PhD supervisors). Supplementary data collection was based on formative dialog research. It included field dialog (four PhD supervision seminars), open survey responses ( n = 1,438), one focus group ( n = 5), an additional survey ( n = 85), and document analysis of PhD policy documents and doctoral supervision seminar evaluations ( n = 7). The survey data, interview data, focus group data, and supplementary data focus also retrospectively on the first year of the pandemic and were collected from August 2022 until October 2023.

Results: The findings from the explorative case study revealed that the PhD supervisors faced numerous challenges during the pandemic, both professionally and personally. For PhD supervisors who extensively worked from home over a long period, the situation created new conditions that affected their job performance. These altered conditions hindered their research capacity, their ability to follow up with their PhD candidates, and their capacity to fulfill other job responsibilities. Although the PhD supervisors received some support during the pandemic, it seems that the incremental measures provided were insufficient.

Discussion: The case study results indicate that it is more important than ever to understand the gap between the formulation, transformation, and realization arenas when distinguishing between incremental, semi-structural changes and fundamental changes in PhD regulations and guidelines brought on by societal crises. This highlights the need for better crisis preparedness at the doctoral level in the years to come.

1 Introduction

Effective doctoral supervision is crucial for guiding PhD candidates through the complexities of their research, ensuring academic rigor and the successful completion of their dissertations ( Bastalich, 2017 ; Wichmann-Hansen, 2021 ; Kálmán et al., 2022 ). The role of PhD supervisors during the pandemic and their impact on educational quality at various levels has been an under-researched area both nationally and internationally ( Börgeson et al., 2021 ; Krumsvik et al., 2022 ). Supervisors who have varying experiences and work under diverse conditions are key players in the transformation arena where central policies are applied at the institutional level. Their interaction with PhD-candidates, whether in-person or remotely, shapes partly the quality of PhD-programs and candidates’ learning experiences. The COVID-19 pandemic has influenced the education sector in numerous ways, and this case study examined nearly three hundred PhD-supervisors in Norway with a Mixed Method Research design and different methods and data. The impetus for the study was the urgent need for a better knowledge base to understand the professional, social, and existential conditions for doctoral supervisors when society is shut down for an extended period. This explorative case study builds on our former study among PhD-candidates ( Krumsvik et al., 2022 ) and investigates the experiences of doctoral supervisors when remote work, digital teaching, and digital supervision suddenly replaced physical presence in the workplace (to varying extents).

First, the introduction contextualizes the study; second, the methodology is described; third, the main part presents the results from the survey part of the study; fourth, the data from the interviews and Supplementary data are presented; fifth, the discussion and conclusion are presented.

International policy documents underline the importance of PhD-supervision [ European University Association (EUA), 2010 , 2015 ] and, in Norway, it is crucial to view PhD supervision considering the specific frame factors for the PhD’s and some general trends of changed frame factors in doctoral education over the last 10 years ( Krumsvik, 2016a , 2017 ). It is therefore important to examine such frame factors in light of PhD-supervisors’ experiences during the pandemic, but the current state of knowledge is still limited around this topic. However, “The United Kingdom Research Supervision Survey Report 2021″ found that among the 3,500 PhD supervisors in the United Kingdom, 65% felt that supervisory responsibilities have increased during the pandemic, 32% agreed that “concerns over supervision have kept me awake at night over the last 12 months” and 31% agreed that “supervising doctoral candidates makes me feel anxious over the last 12 months” ( UK Council for Graduate Education, 2021 ). With these abovementioned issues in mind, this doctoral supervision study builds on our previous research on doctoral-level education ( Krumsvik and Jones, 2016 ; Krumsvik and Røkenes, 2016 ; Krumsvik et al., 2016a , b , 2019 , 2021 ; Krumsvik et al., 2022 ) and aims to examine the experiences of PhD supervisors in Norway during the pandemic to answer the research questions below:

1. To what extent has the COVID-19 pandemic impeded the PhD supervisors’ frame factors on the micro-level, and how do they perceive this situation?

2. To what extent has the COVID-19 pandemic influenced PhD supervisors’ frame factors on the meso-level, and how do they perceive this situation?

3. How do the PhD-supervisors experience the more general aspects of their supervision role during and after the pandemic?

1.1 The Norwegian context

To contextualize the research questions to the Norwegian context, one must remember that doctoral candidates in Norway are not students per se but are employees (on a 3–4 years contract) and more regarded as colleagues than students, and in this sense, the roles are more equal than in traditional supervisory relationships at a lower level (supervisor-student). Both by having PhD fellows being considered highly competent adult employees with state employment contracts, where they receive regular salaries, and have regular offices, they are initially part of the work community found within academia with its routines, duties, and rights. Another contextual aspect is that Norwegian PhD-candidates defend their theses relatively late in their careers. The average age for a candidate’s defense is between 37 and 38 years and higher for many candidates within the humanities and social sciences. In comparison, the median age across OECD countries is 29 ( Sarrico, 2022 , p. 1304). Table 1 provides a generalized comparison of doctoral education across Nordic countries, the UK, and the US ( Andres et al., 2015 ; Burner et al., 2020 ). While such broad overviews might exaggerate differences, they provide a framework for understanding doctoral education on a spectrum. This spectrum ranges from countries with significant government influence, where PhD candidates are employed (e.g., Nordic countries), to countries with moderate government influence, where PhD candidates are not employed (e.g., the UK), and finally to countries with minimal government influence, where PhD candidates are also not employed (e.g., the US). Despite these variations, the global trend indicates that doctoral education is becoming increasingly dependent on external funding ( Bengtsen, 2023 , p. 45).

In addition, women defend their theses on average 2 years later than men. Taking into account that the average age for first-time mothers in Norway is now 30.1 years, there is a lot that needs to happen within a few years, and this may sometimes affect the feasibility of their PhD-projects. This can, e.g., be related to the gender differences in Norway about parental leave days during the pandemic which is much higher for women than for men at the universities ( Krumsvik et al., 2022 ) 1 . Another contextual factor that distinguishes doctoral supervision from other supervision (at lower levels) is that over 90% of the doctoral theses in Norway are article-based theses ( Krumsvik, 2016b ; Mason and Merga, 2018 ; Solli and Nygaard, 2022 ), which implies 3–4 published articles and an extended summary or synopsis (a “kappe” in Norwegian, ranging between 50 and 90 pages). This means that the PhD-candidates receive “supervision” and feedback from approximately 8–10 referees in scientific journals on their articles, in addition to feedback from their PhD supervisors. Because of this, many PhD-supervisors are co-authoring their doctoral candidates’ publications. A final contextual aspect is the recent studies indicating a decrease in doctoral disputations nationwide in Norway over the past two years ( Steine and Sarpebakken, 2023 ) – probably as a consequence of the pandemic. In a survey, Ramberg and Wendt (2023 , p. 22) found that about 60 percent of PhD candidates and 50 percent of postdoctoral candidates ( N = 300) were delayed during the autumn of 2022. The study showed that illness or leave, often due to caregiving responsibilities during the pandemic, was the most common reason for delays among PhD candidates and postdoctoral candidates, particularly impacting women more than men. Following illness, reduced access to supervisors, empirical data, research facilities, and external partners were significant factors contributing to delays in their research activities. Nearly a third of delayed candidates reported reduced access to supervisors, and about a fifth faced issues with external partner access, highlighting the critical role of these resources in completing research projects. When it comes to the PhD-supervisors, more specifically, the supervision differs from other types of supervision in that a formal PhD agreement is signed with a binding supervisor contract that lasts for 3–4 years (the PhD period) and is signed by both the supervisor and the candidate. The supervisor also has an overarching responsibility to avoid delays and ensure that the PhD program can be completed within the standard time frame. Supervisors are primarily responsible for guiding doctoral candidates on the specific, content-related aspects of their projects. This includes helping candidates identify the knowledge frontier in their field, position their study within the research field, develop clear and consistent research questions, choose appropriate scientific and methodological approaches, and provide expert guidance in discussing results and addressing ethical issues related to the thesis. This obviously places relatively high competence requirements on the supervisors, both in terms of their academic and research skills, and in relation to the doctoral supervision itself, as poor or inadequate supervision at this level can expose the candidate to a certain “drop-out risk” in the project.

Maintaining education quality during the COVID-19 pandemic has been challenging due to the widespread shift to digital teaching, supervision, and remote work. Many university teachers were unaccustomed to the online, digital learning environment, working with PhD candidates remotely for extended periods. Some taught in hybrid settings, with some PhD candidates quarantined at home while others attended in-person classes. Additionally, others navigated ordinary learning contexts with COVID-19 precautions like masks and social distancing. This situation altered frame factors, adding complexity to the discussion of education quality.

Considering this, the case study seeks to understand if, and potentially how, external factors in pedagogical contexts over which institutions, academics, and teachers have no direct control play out. Lindensjö and Lundgren (2014) find that such external factors might have a significant impact on the outcomes of educational training, teaching, and supervision. Therefore, it is crucial to contextualize the pandemic experiences among PhD supervisors with respect to these factors, as they imply national and institutional frames for their PhD supervision. Though there exist several quantitative, survey-based studies on the impact of COVID-19 on PhD supervision (e.g., Pyhältö et al., 2023 ; Löfström et al., 2024 ), there is still a lack of in-depth qualitative understanding of the impact of COVID-19 on the supervisory relationship. The studies of Löfström et al. (2024) and Pyhältö et al. (2023) indicated that supervisors faced significant challenges in identifying when PhD candidates needed assistance and providing adequate support for their well-being during the shift to remote supervision. Supporting the progress and wellbeing of full-time candidates, who were more adversely affected by the pandemic than their part-time peers, became increasingly difficult. The increase in email communications could overwhelm supervisors, exceeding manageable levels and complicating their ability to offer timely and effective feedback. The lack of spontaneous, informal conversation, previously facilitated by in-person meetings, further hindered their ability to monitor and support the candidates effectively. These challenges were particularly pronounced for supervisors in scientific fields requiring lab work and practical training, which were severely disrupted by the pandemic, and supporting the progress and wellbeing of full-time candidates, who were more adversely affected by the pandemic than their part-time peers, became increasingly difficult. Furthermore, supervisors reported that their PhD candidates’ lack of a scholarly community and inadequate supervision were significant challenges. This reflects the supervisors’ view that the availability of a supportive research environment and adequate supervision are critical for candidates’ success ( Pyhältö et al., 2023 ). The study by Pyhältö et al. (2023) also found that supervisors generally estimated the impact on candidates’ progress and well-being to be more negative than the candidates themselves did, which may imply that supervisors have a broader perspective on the long-term consequences of disruptions like the COVID-19 pandemic. Research prior to the pandemic ( Pyhältö et al., 2012 ) has shown that apart from the importance of having clear and long-term financing, proper research facilities, and sufficient time to pursue a PhD, supervisors also stress the significance of PhD candidates’ motivation, self-regulation, efficacy, and engagement as essential personal regulators for success in the PhD process.

1.2 Theoretical framework

This case study is exploratory and intrinsic ( Stake, 1995 , 2006 ), utilizing an abductive approach to theory with frame factor theory as our theoretical framework ( Lundgren, 1999 ; Lindensjö and Lundgren, 2014 ). Frame factor theory suggests that society’s influence on education manifests through a target system, an administrative system, and a legal system. This theory, used in educational sciences and pedagogy, acts as a lens for planning and analysis, positing that external factors, beyond the control of institutions and educators, significantly affect educational outcomes. We will further explain the contextual application of frame factor theory in this case study below.

Previous research highlights a gap in (doctoral) education between the formalization and realization arenas in frame factor theory ( Lindensjö and Lundgren, 2014 ; Krumsvik et al., 2019 ). Linde (2012) introduces a transformation arena between these two, explaining the difficulty of implementing measures in complex organizations like universities. There is rarely a straightforward relationship between central decisions (formulation arena or macro-level) and their implementation (realization arena or micro-level). Policy documents require interpretation and application by faculty leaders, PhD program leaders, supervisors, and PhD candidates (transformation arena or meso-level) ( Linde, 2012 ).

Given this context, a main focus of this case study was to evaluate how Norwegian PhD supervisors managed changed frame factors and education quality during the pandemic. The Norwegian Agency for Quality Assurance in Education (NOKUT) defines education quality as “the quality of teaching classes, other learning facilities, and students’ learning outcomes in terms of knowledge, skills, and general competence” ( Skodvin, 2013 , p. 2). It is important to differentiate between educational quality, study quality, and teaching quality.

Education quality is a broad concept encompassing everything from the subject/study program level to the government’s education policy. In contrast, study quality is narrower, referring specifically to the educational institution ( Skodvin, 2013 , p. 3). Teaching quality goes further to the micro-level, focusing on course quality, teacher effectiveness, and PhD supervision. This study examined how PhD supervisors experienced COVID-19 restrictions at the micro- and meso-levels, considering two of the three levels. Figure 1 illustrates the analytical lenses in this mixed methods research (MMR) and formative dialog research case study:

2 Methodology

To understand and corroborate conditions faced by doctoral supervisors related to COVID-19 extended societal shutdowns, both in breadth and in depth, we employed a mixed-methods research design, combining quantitative data to show the strength of associations and qualitative data to explore their nature ( Johnson et al., 2007 ; Creswell and Plano Clark, 2017 ). We utilized a three-stage design, QUAL-QUANT-QUAL (qualitative-driven sequential design, Schoonenboom and Johnson, 2017 ), making it a qualitative-dominant mixed-methods study ( Johnson et al., 2007 , p. 124). Using mixed methods research allowed us to explore the complex research problem more comprehensively compared to using either quantitative or qualitative data alone. Though the approach is less common in case studies ( Tight, 2016 , p. 380), the mixed methods are increasingly used (e.g., Ertesvåg et al., 2021 ; Hall and Mansfield, 2023 ; Peters and Fàbregues, 2023 ). Advocates of such approaches consider mixed methods to “complement and extend one another and thus lead to better descriptions, clearer explanations and an enhanced understanding of phenomena, research aims and questions” ( Ertesvåg et al., 2021 , p. 655).

Specifically, an exploratory, sequential mixed-methods design was used to address the research questions ( Fetters et al., 2013 ; Creswell and Plano Clark, 2017 ). This design involves collecting and analyzing qualitative data first (QUAL), using those findings to guide the quantitative data collection and analysis in the second phase (QUANT), and then using the quantitative results to inform further qualitative data collection and analysis in the third phase (QUAL). This method integrates through building, where results from one phase inform the next.

We conducted a cumulative data collection and analysis process ( Creswell and Guetterman, 2021 ), basing survey questions on previously collected data from field dialogues, online observations, seminar evaluations, and document analysis. The questionnaire consisted of a general demographic questions (e.g., gender, educational background and what field(s) the supervisor supervised in), in addition to a range of multiple response items addressing four key themes: (1) important factors to complete a PhD, (2) supervisor challenges, (3) working from home experiences, and (4) perceived need for future competences as supervisors. Finally the questionnaire contained a range of statements measured on a Likert-scale from 1 to 5 where 3 was neutral (e.g., to what extent do you feel that your PhD-candidate(s) are on track with their doctoral project?). The qualitative interview guide ( Kvale and Brinkmann, 2015 ) was developed from the prior quantitative data (survey), and the focus group guide was based on earlier survey and qualitative interview data (see Figure 2 below). We integrated research questions, methods, interpretation, and reporting at various points, using narratives where qualitative and quantitative results are presented in different sections of the same article through the contiguous approach ( Fetters et al., 2013 ). This article primarily examines the coherence between qualitative and quantitative findings based on confirmation , expansion , or discordance ( Fetters et al., 2013 ). The approach used in the study is similar to Hall and Mansfield (2023) and the coherence is derived from joint displays using visual means.

As a consequence of the mixed-methods design, this study combines two approaches in case study research. The first, proposed by Stake (1995 , 2006) and Merriam (2009) and Merriam and Tisdell (2016) , is situated in a social constructivist paradigm, and is attached to the qualitative part (connected to the second part of each research question). The second, based on Eisenhardt (1989) , Flyvbjerg (2011) , and Yin (2012) , approaches the case study from a post-positivist perspective ( Hyett et al., 2014 , p. 1) (connected to the first part of each research question). This intrinsic case study ( Stake, 1995 ) aims to focus on ecological validity:

“Ecological validity is the degree of correspondence between the research conditions and the phenomenon being studied as it occurs naturally or outside of the research setting” ( Gehrke, 2018 , p. 563). Informant selection was based on a purposeful method ( Maxwell, 2013 ), in which we recruited PhD supervisors from Norway.

Next, all interviews were analyzed using reflexive thematic analysis ( Braun and Clarke 2019 , 2021 ) where themes were constructed and presented in this paper (see section 4). In addition, we also conducted a sentiment analysis ( Dake and Gyimah, 2023 ) of the nine interviews (see Supplementary file ).

To answer the research question, we combined formative dialog research ( Baklien, 2004 ) and case study research ( Stake, 2006 ). Data collection consisted of fieldwork (see Supplementary file ), a survey N = 298, 53.7% women, 46.3% men, response rate 80.54%, nine semi-structured interviews (with PhD supervisors), and one focus group ( N = 5). Supplementary data consisted of an additional survey ( N = 85), PhD-policy document analysis ( N = 6), field dialogues (4 PhD supervision seminars), open survey data (1,438 responses), seminar observations ( N = 4), and reviews of relevant documents such as evaluations of doctoral supervisor seminars. We also used policy documents and regulations concerning PhD education in Norway as supplementary sources.

We focused on how PhD supervisors experienced changing frame factors, such as university lockdowns, remote work, digital teaching, digital supervision, doctoral progression, and others, with an emphasis on illuminating the micro-level (course and teaching level) from the PhD supervisors’ perspective. This focus is twofold: the program’s structure and quality directly affected the PhD- supervisors during the pandemic. The second is simply that they conducted several evaluations about matters related to the structure and quality compared with the others. However, PhD- candidates’ opinions are also important, and their views are also interwoven because some of them have been present during field dialogs and participated in the PhD-supervision seminars.

When focusing on how PhD-supervisors experience their supervision, PhD’s research progression, psychosocial aspects, their nearest superior, and the main focus are on illuminating the meso-level (institutional and program level).

2.1 Cumulative research process

In our case study, we brought the experiences and our study among PhD’s ( Krumsvik et al., 2022 ) from the period March 12, 2020, to November 30, 2021, into our design of this study. We executed an excessive cumulative data collection process (including a part during the pandemic) and analysis, especially from August 2022 – October 2023. The relatively long time period allowed the researchers to test their interpretations along the way and detect contrary evidence, e.g., reach saturation during the coding and analysis of the qualitative data ( Creswell and Guetterman, 2021 ).

3.1 Quantitative part (survey)

Above and below are the results of the quantitative part of the study, based on the survey data. This analysis is tentative and covers only the survey results. The interview data and Supplementary data will be presented later in the paper. Two hundred and forty respondents completed the survey ( N = 298, 80.54% response rate). The academic backgrounds of the supervisors were diverse, with the three largest groups coming from natural sciences, humanities, education and teacher training. The largest group of supervisors (41.75%) supervised PhD candidates in education and teacher training (see Table 2 ).

A narrow majority (58.08%) of the supervisors had submitted an article-based dissertation (see more in attachment 5 in the Supplementary file ), in the Supplementary file meaning that approximately four out of ten supervisors have not “hands on” experience with article-based thesis as their thesis in their own doctoral degree. A large majority (81.67%) had supervised PhD candidates before and after the pandemic, while 11.67% had only supervised during and after. 41.27% of the supervisors stated that the coronavirus pandemic (from March 12, 2020 - January 2022) had impeded their candidate(s) progress in their doctoral project. 21.12% agreed (to a large or very large extent) that the PhDs’ publication process of articles to scientific journals has been delayed because of the journal’s peer review process during the pandemic (i.e., journal processing times seemed to increase due to several factors including a lack of available peer reviewers because of heavy workloads, health issues, more teaching, etc.).

3.1.1 Challenges in supervision

Results in Table 3 indicate that the most commonly reported challenges faced by supervisors during the pandemic were balancing work and family life and working from home, each affecting more than a third of the supervisors. Psycho-social aspects, such as loneliness, also emerged as a notable challenge. The cancelation of conference participation and stays abroad were significant issues, reflecting the broader impact on professional development opportunities. Concerns about supervision quality were also prominent. Some supervisors reported no challenges, highlighting a degree of variability in experiences. Other challenges included delays in the peer review process for journals, difficulties with publishing, and issues related to research ethics, though these were less commonly reported.

3.1.2 Challenges in working from home

Results in Table 4 indicated that supervisors faced multiple challenges while working from home during the pandemic. The most common issue was having little contact with colleagues, which affected more than six in ten supervisors. Supervisors also frequently reported having little contact with their PhD candidates. Distractions from others at home were another prevalent challenge. Many supervisors experienced an increased workload due to digital teaching from home, and lacking office equipment, such as desks and office chairs, was also commonly reported. Psycho-social aspects, such as loneliness, were significant issues as well. The lack of space and increased home responsibilities, such as childcare, were notable challenges. A smaller number of supervisors reported having no challenges at all. Other less commonly reported issues included limited access to library services and poor internet access.

3.1.3 Factors PhD candidates need to complete their doctorate

We find that there is a high degree of consistency between what supervisors ( Table 5 ) and PhD candidates ( Table 6 ) consider to be the most important factors for completing the doctorate. In particular, it is persistence, resilience, and the ability to work independently are the most important factors, in addition to supervision and co-writing with supervisors.

Thus, there is considerable agreement between what the supervisors and the PhD candidates report, which may indicate that within the academic tradition, the doctoral journey is primarily seen as an individual endeavor (feat of strength) where the supervisor is the closest supporter.

3.1.4 Appreciation of supervision

The supervisors mostly agreed that both they and the PhD candidates value supervision. 89.91% responded they agree or strongly agree to this question for themselves, and 92.47% responded they agree or strongly agree on behalf of the PhD candidates. In comparison, 61.25% responded similarly to whether the department values supervision, while 24.17% were neutral, and 14.59% responded they disagree or strongly disagree. This may suggest that the supervisory relationship is primarily between the PhD candidate and the supervisor, with less firm ties to the institution.

When it comes to what extent the supervisors think that their institution has been accommodating regarding compensating the loss of progress due to the coronavirus pandemic for their own PhDs, 27.2% stated that this had been done to a small extent or very small extent and 29.39% stated that this had been done to a large extent or very large extent. 30.1% agreed (large extent and very large extent) that supervisory responsibilities have increased during the pandemic. 13.3% expressed (to a large or very large extent) that supervising doctoral candidates makes them feel anxious’ over the last 24 months” (pandemic), but the majority (64.3%) experienced this to a small and very small extent. 9.3% expressed (to a large and a very large extent) that concerns over doctoral supervision have kept them awake at night over the last 24 months (pandemic), but the majority (69.3%) experienced this to a small and very small extent. 56.1% of the supervisors have not discussed any challenges with the progress of their doctoral candidate(s) project due to the coronavirus pandemic with the department’s human resources manager/head.

When asked how many hours they have enshrined in their working plan per semester as the main supervisor per PhD candidate, supervisors state this varies from zero to above 80 h, but for the majority, it is between 20 and 40 h per semester (40.46%). 23.1% state they do not think that their PhD-candidate(s) are on track with their doctoral project, while 50.2% state that their PhD-candidate(s) are on track with their doctoral project. Some PhDs publish their articles in their thesis based on pre-collected data (e.g., as a part of bigger projects), while others publish their articles in their thesis based on data collections done by themselves. 58.77% of the supervisors think this affects the completion time for the last group of PhDs (large and very large extent). 53.4% of the supervisors have been co-authoring their doctoral candidates’ publications.

3.1.5 What competencies supervisors need

As seen from Table 7 , nearly half of the supervisors believed they needed more pedagogical and methodological competence related to supervision. Additionally, about one-third felt they lacked knowledge about formal aspects, such as guidelines, related to the PhD program. The supervisors reported that the guidelines for the doctoral program were somewhat clear, particularly those for article-based dissertations. This perceived clarity was positively correlated ( r = 0.23, p = 0.002) with the extent to which the institution offered “continuing professional development” (CPD), and 39.88% of the supervisors stated that their institution did not provide supervisors with CPD. Thus, while many supervisors recognized the need for enhanced pedagogical and methodological skills, as well as a better understanding of formal guidelines, the availability of CPD programs was associated with clearer doctoral program guidelines. This suggests that increasing access to professional development opportunities could improve supervisors’ competence and clarity regarding program requirements, ultimately benefiting the supervision process.

3.1.6 Female academics with children

About four out of ten supervisors (41.07%) agreed (to a large or very large extent) that female PhDs with children seem to have more home responsibilities than men (e.g., for childcare, household, homeschooling, own children in quarantines, etc.) during the pandemic. About three out of ten (27.77%) agreed (to a large or very large extent) that female PhDs’ (with own children) submission rates to scientific journals have been delayed as a consequence of COVID-19, considering that women seem to have more home responsibilities (e.g., for childcare, household, homeschooling, own children in quarantine, etc.) during the pandemic. About two out of ten (23.64%) agreed (to a large or very large extent) that female supervisors’ (with their own children) submission rates to scientific journals have been delayed as a consequence of COVID-19, considering that women seem to have more home responsibilities (e.g., for childcare, household, homeschooling, own children in quarantine, etc.) during the pandemic.

Cronbach’s alpha ( α = 0.87) indicated a high level of consistency among three statements concerning the increased home responsibilities faced by female researchers with children compared to their male counterparts during the pandemic. These statements highlighted that female researchers with children appeared to bear more responsibilities at home, such as childcare, household tasks, and homeschooling, and as a result, their submission rates to scientific journals had been adversely affected by COVID-19. The average response (mea n = 3.18, standard deviatio n = 0.88) indicated that the supervisors were generally neutral toward these statements. However, closer inspection revealed that female supervisors (mea n = 3.29, standard deviatio n = 0.92) agreed with these statements more than male supervisors (mea n = 3.03, standard deviatio n = 0.79), a difference that was statistically significant ( p = 0.017) but with a small effect size (Cohen’s d = 0.30). There was a positive correlation ( r = 0.23, p = 0.002) between whether the PhD candidate had considered quitting the PhD program and the three statements, which suggests that supervisors who reported that PhD candidates had considered quitting also agreed more with the statements. Conversely, a negative correlation ( r = −0.21, p = 0.002) was found between considering quitting the PhD program and the belief that the institution made sufficient efforts to compensate for the lack of progress during the pandemic, indicating that better institutional support might have reduced the likelihood of candidates considering quitting.

3.2 Qualitative part (interview data and other types of qualitative data)

We conducted a cumulative data collection process where the qualitative interview guide questions were built upon previously collected quantitative data (survey). Based on a snowballing sample ( Patton, 2015 ), we recruited nine doctoral supervisors from the humanities, social-, and educational sciences with diverse experience and approaches to supervising PhD candidates during the pandemic. Using semi-structured interviews ( Brinkmann, 2022 ), each supervisor was interviewed online using Zoom with interviews lasting from 30 to 60 min. All interviews were conducted in Norwegian and later transcribed verbatim. We followed Braun and Clarke’s, (2019 , 2021) approach to reflexive thematic analysis to analyse the interview data. The themes constructed from the analysis of the interview data focus issues, such as “The Impact of the Pandemic on Supervision,” “Home Office Experience,” Workload and Employer Support,” “PhD Candidate Preparation for Article-Based Theses,” “Competence in Supervising Article-Based Theses,” and “Guidelines and Structuring the PhD Process.”

3.2.1 Analyzing the interview with Kyle

Introduction: Kyle, aged 47, specializes in professional ethics. He completed his doctoral degree through a monographic thesis and is relatively new to supervising PhD candidates, currently guiding three, two of whom he is the main supervisor.

Impact of the Pandemic : Kyle wore two hats during the pandemic: as a PhD supervisor and as a leader of a doctoral program. He noted that the pandemic did not significantly impact his supervisees due to well-planned data collection that adapted to digital formats when necessary. His role as the program leader gave him broader insights into how other candidates fared, with some experiencing difficulties in recruiting interviewees and needing to adjust their research plans accordingly.

PhD Supervision During the Pandemic : Kyle’s supervision was largely unaffected by the pandemic as most of it was conducted digitally, catering to students located in different parts of the country. He emphasized the importance of maintaining frequent contact, especially when usual social and professional gatherings were suspended. The pivot to online platforms like Zoom and increased digital communication tools helped maintain the continuity and quality of supervision.

Home Office Experience : Working from home was generally positive for Kyle, who appreciated the reduced distractions and the ability to maintain productivity with a well-equipped home office. However, he missed informal interactions with colleagues, which were hard to replicate through digital means.

Workload and Employer Support : Kyle experienced a slight increase in workload as more effort was required to monitor and support students remotely. His interactions with his Head of Department/direct manager were supportive, helping him navigate the challenges of remote supervision.

PhD Candidate Preparation for Article-Based Theses : Kyle observed that many PhD candidates were unprepared for the intricacies of article writing, including the lengthy processes of submission and peer review. He attributed this to their educational background, which primarily focused on monographic work at the bachelor’s and master’s levels.

Competence in Supervising Article-Based Theses : Although Kyle has not written a synopsis (‘kappe’, i.e., a synthesis chapter for article-based theses) himself, he feels prepared due to his involvement in supervisor training programs that include synopsis writing. He believes in collaborative supervision where co-supervisors with more experience in specific areas can complement his guidance.

Guidelines and Structuring the PhD Process : Kyle praised the clarity of guidelines regarding the synopsis writing at his program, highlighting proactive efforts to discuss and understand these guidelines among candidates and supervisors. He supports the idea of starting the synopsis early in the PhD journey, allowing candidates to develop a clear perspective on how their articles will integrate into their larger thesis narrative.

Summary: Kyle’s approach to PhD supervision during the pandemic was proactive and adapted to the challenges of remote interactions. He emphasizes the importance of clear guidelines, structured support from the academic program, and the benefits of collaborative supervision. His perspective offers valuable insights into managing PhD supervision under crisis conditions and highlights areas for potential improvement in preparing candidates for the demands of article-based theses.

3.2.2 Analyzing the interview with Sally

Introduction: Sally, aged 46, is experienced in the field of educational sciences and professional research, having supervised 15 PhD candidates to completion. She conducted her doctoral research through an article-based thesis.

Impact of the Pandemic on PhD Candidates : Sally observed that the pandemic had a limited impact on most of her PhD candidates, except for 2–3 individuals who experienced delays, partially due to the pandemic. Disputations were delayed for some candidates who preferred physical attendance, affecting their completion timeline.

Adaptations in Supervision Methods: The pandemic made Sally diversify her supervision methods, including more frequent digital meetings with Zoom or Teams and asynchronous communications like email. She shifted from paper-based to digital comments on drafts, which enhanced the efficiency and immediacy of feedback. This change is something she intends to continue using beyond the pandemic.

Home Office Experience: Sally found working from home manageable and returned to the office as soon as feasible, particularly because she needed to balance work with family responsibilities. The transition to the home office did not significantly disrupt her supervision activities, though it introduced minor challenges like occasional distractions from family.

Increased Workload During the Pandemic: Sally reported a slight increase in her workload during the pandemic due to a need for more frequent communication to ensure the continuity and quality of supervision. This was compounded by the timing of her candidates being in critical phases of their thesis work.

Support from Employer: She felt that the focus of her institution’s support during the pandemic was more on ensuring that PhD candidates were well-supported rather than directly supporting the supervisors themselves.

Preparedness of PhD Candidates: Sally noted that while the PhD candidates were generally well-prepared academically, they often lacked specific training in writing article-based theses, a significant adjustment from writing monographic theses typical at the bachelor’s and master’s levels.

Competence in Supervising Article-Based Theses: Sally felt confident in her ability to supervise article-based theses despite recognizing the ongoing need to adapt and learn, particularly in managing the synthesis chapter or “kappen.”

Clarity of Guidelines for the Synopsis: She found the guidelines for writing the synopsis at her institution clear and involved in educational efforts to help candidates understand these guidelines better. However, she questioned whether standardization would improve understanding or unnecessarily restrict academic freedom.

Timing for Writing the Synopsis: Reflecting on her experience and current practices, Sally advocated for thinking about the synopsis early in the doctoral process but cautioned against producing extensive texts prematurely. She emphasized the importance of adapting the scope of the synopsis as the research evolves.

Use of Doctoral Committees’ Guidelines: Sally observed that adherence to guidelines varies depending on whether committee members are national or international, with international members often impressed by the candidate’s ability to publish in high-ranking journals.

Overall, Sally’s experiences and insights provide a nuanced view of PhD supervision during the pandemic, highlighting flexibility, adaptation, and the importance of maintaining high standards of communication and support. Her approach demonstrates a balance between structured guidance and allowing academic independence, aiming to foster resilience and adaptability among her PhD candidates.

3.2.3 Analyzing the interview with Gabbie

Introduction: Gabbie, aged 54, specializes in school and teacher education. She has supervised two PhD candidates to completion and is currently guiding four others. Her doctoral thesis was article-based.

Impact of the Pandemic on PhD Candidates : Gabbie observed varied impacts of the pandemic on her PhD candidates. Supervisors of candidates who needed to conduct fieldwork, especially in schools or abroad, faced severe disruptions. As one supervisor noted: “We had to adjust research plans significantly, shifting to alternative data sources and methods where possible.” (Kyle). In contrast, those whose work was more theoretical or could be conducted remotely experienced fewer setbacks. This variance highlighted certain types of research vulnerability to external disruptions, which was a notable point of concern.

3. Underestimation of Emotional Challenges:

• Another well known, but still important aspect was the depth of emotional and psychological impacts on PhD candidates as noted by their supervisors. The extent to which these challenges affected the candidates’ productivity and well-being was significant and perhaps underappreciated by the institutions themselves. This underscores a critical area for future academic support systems to address more robustly.

4. Lack of Institutional Support:

• The widespread sentiment of insufficient institutional support was particularly striking. Several supervisors felt that there was a lack of targeted strategies to support PhD supervision during the pandemic. This lack of support was not just in terms of transitioning to online modes but also in addressing the specific needs of PhD candidates and their projects during such a disruptive period.

5. The Positive Impact of Forced Adaptation:

• Interestingly, some supervisors pointed out that the forced adaptation to new circumstances led to unexpected benefits, such as enhanced focus and productivity in certain cases, and even opportunities for personal and professional growth, such as writing a book or developing new teaching methods. These outcomes, while not universal, were surprising positives that emerged from a generally challenging time.

The sentiment analysis of the 9 interviews (see attachment 4 in the Supplementary file ) showed some individual variations, but that resilience and adaptability among doctoral supervisors during the pandemic were quite common. Supervisors recognized the challenges but overall maintained a positive and proactive stance, focusing on solutions and effective management of their supervisory roles. The objective nature of their responses indicates a practical approach to dealing with the pandemic’s impact, emphasizing the importance of communication, adaptation to remote supervision, and institutional support.

These insights not only highlight the varied experiences of PhD supervisors during the pandemic but also suggest areas for improvement in how institutions support doctoral education in times of crisis. The resilience and innovative approaches developed during this period could inform future policies and practices to better support PhD candidates and supervisors alike.

3.2.11 Integrated analysis: the main findings from the interviews and the open survey responses

To integrate and analyze the findings from the interviews (see attachment 1) and the 1,483 open survey responses (see attachment 2) from the survey among 293 doctoral supervisors, we can draw on several key themes and concerns that emerge consistently across these data sources. This approach will help us understand the broader implications of the insights gathered from different perspectives within the same study.

1. Adaptation to Digital Tools and Platforms:

• Interviews : The interviews highlighted how supervisors adapted to using digital tools for communication and supervision. This was generally seen as effective but lacking in certain qualitative aspects, particularly in building deeper relationships and managing more nuanced discussions.

• Open Survey Responses : The survey also reflected a reliance on digital tools, with many supervisors recognizing their utility in maintaining continuity. However, there was also an acknowledgment of the challenges in fully replicating face-to-face interactions.

2. Ethical and Practical Concerns with Digital Supervision:

• Interviews : Concerns were raised about the relational and ethical implications of the lack of physical presence and interaction, and the extensive use of digital tools in academic settings during the pandemic.

• Open Survey Responses : Similar concerns were noted, with supervisors emphasizing the importance of ensuring academic integrity and the genuine intellectual development of PhD candidates.

3. Impact of the Pandemic on Supervisory Practices:

• Interviews : The pandemic’s impact was a significant theme, affecting the logistical aspects of supervision and the mental well-being of both supervisors and their candidates.

• Open Survey Responses : Responses indicated varied impacts of the pandemic, with some supervisors noting increased stress and difficulty in maintaining research productivity and supervisory quality.

4. Institutional Support and Professional Development:

• Interviews : There was a noted lack of sufficient institutional support for adapting to new modes of supervision and research during the pandemic.

• Open Survey Responses : This theme was echoed in the survey responses, with mixed reports about the availability and effectiveness of continuing professional development (CPD) related to research supervision. Some respondents felt unsupported, particularly in navigating the challenges posed by remote supervision and digital tools.

5. Preparedness of PhD Candidates:

• Interviews : Discussions highlighted concerns about the varying levels of preparedness among PhD candidates, especially in writing the synopsis and adapting to new research methodologies that include digital tools and remote data collection.

• Open Survey Responses : Supervisors expressed a range of experiences regarding candidate preparedness. While some noted their candidates were well-equipped, others pointed out significant gaps, especially in writing the synopsis and article-based theses and handling the referee process, the timeline and complex research independently.

6. Valuation of Supervision:

• Interviews : Supervisors discussed feeling that their efforts were not adequately valued by institutions, with a need for greater recognition and support for their roles.

• Open Survey Responses : This sentiment was reinforced by survey data, where some supervisors felt that their contributions to doctoral training were undervalued by their institutions, particularly when compared to other academic duties.

7. Suggestions for Institutional Changes:

• Interviews : There were calls for institutions to adapt more proactively to the changing landscape of doctoral education, including better training for using digital tools and more robust support systems for both supervisors and candidates.

• Open Survey Responses : Supervisors suggested various improvements, such as more structured professional development opportunities, better guidelines for remote supervision, and enhanced support for mental health and well-being.

3.2.12 Summary

The integrated analysis across interviews and open survey responses suggests a complex landscape of doctoral supervision during and potentially beyond the pandemic era. Key themes highlight both challenges and potential areas for policy and practice enhancements:

• Digital Adaptation and Ethical Concerns : While digital tools have provided necessary solutions for continuity in supervision, they bring up ethical concerns that institutions need to address more thoroughly, particularly concerning academic integrity and the quality of student learning.

• Support and Development Needs : There is a clear need for institutions to offer more targeted support and development opportunities for supervisors, addressing both the technical aspects of digital supervision and the broader pedagogical skills required in a changing academic environment.

• Recognition and Valuation of Supervision : Supervisors feel that their work is not sufficiently valued, suggesting that institutions should reevaluate how they recognize and support supervisory roles within the academic career framework.

• Candidate Preparedness : There is variability in how prepared PhD candidates are for the demands of modern doctoral research, indicating the need for more robust preparatory programs and entry assessments.

• These insights call for a strategic reassessment of doctoral training programs, supervisory support mechanisms, and institutional policies to better align with the evolving needs of both supervisors and their candidates.

4 Limitations and future research

The present study provides in-depths insights into PhD supervision during the pandemic; however, the study also has several limitations apart from inherited limitations of self-reports and interview data. Firstly, the findings might be context-specific to the educational setting in Norway. The unique characteristics of the Norwegian educational system, cultural aspects, and institutional structures may not be entirely generalizable to other countries. However, the globalization of doctoral education, with increasing international collaborations, international publishing, and standardization of academic practices, might mitigate this issue to some extent, making the findings relevant beyond the Norwegian context. Secondly, the study lacks data on PhD supervisors’ experiences prior to the pandemic. This absence of baseline data means we cannot directly compare the pre-pandemic and pandemic periods. Nonetheless, the experiences reported in this study correspond well with prior research on academic supervision ( Pyhältö et al., 2012 , 2023 ; Löfström et al., 2024 ), indicating that the challenges and adaptations observed are not entirely unprecedented, even if intensified by the pandemic context.

Future research should aim to explore the long-lasting impacts of COVID-19 on doctoral education. It is necessary to investigate whether the changes observed in supervisory practices during the pandemic are fleeting or have led to a permanent shift in how supervision is approached. Specifically, studies should examine if new models of remote supervision, increased flexibility, and the use of digital tools will continue to be integrated into doctoral education post-pandemic, or if traditional methods will resume dominance. This is of special interest in cases where PhD supervisors and PhD candidates are located at different institutions. By addressing these questions, future research can contribute to a deeper understanding of the pandemic’s legacy on doctoral education.

5 Conclusion

In this article we examined the experiences of PhD supervisors in Norway during the pandemic to answer the research questions:

1. To what extent has the COVID-19 pandemic impeded the PhD supervisors’ frame factors on the micro- level, and how do they perceive this situation?

2. To what extent has the COVID-19 pandemic influenced PhD supervisors’ frame factors on the meso- level, and how do they perceive this situation?

We conducted a cumulative data collection process and analysis, where survey questions were based on previously collected field dialog data, online observation data, seminar evaluation data, and document analysis data. The qualitative interview guide questions were built upon previously collected quantitative data (survey), and the Supplementary data was based on previously collected quantitative data (survey) and qualitative interview data.

The coherence between qualitative and quantitative findings is mainly examined based on confirmation , expansion , or discordance in this article ( Fetters et al., 2013 ).

The findings from the explorative case study revealed that the PhD supervisors faced numerous challenges during the pandemic, both professionally and personally. They found digital supervision with their PhD fellows via platforms like Teams and Zoom to be convenient and efficient but occasionally lacking in quality. They also encountered difficulties in addressing the psychosocial aspects of their PhD candidates’ experiences and faced various research-related challenges with their PhD-candidates during the pandemic. For PhD supervisors who extensively worked from home over a long period, the situation created new conditions that affected their job performance. These altered conditions hindered their research capacity, their ability to follow up with their PhD candidates and their capacity to fulfill other job responsibilities. Although the PhD supervisors received support during the pandemic, it seems that the incremental measures provided were insufficient. The PhD regulations were established before the pandemic under normal conditions and for normal circumstances. However, it appears that no significant adjustments have been made to accommodate the extraordinary pandemic conditions, which have altered some aspects of their professional roles as academics and PhD supervisors. This was particularly critical for PhD supervisors with young children, especially female supervisors, who had to deal with lockdowns, social distancing, remote work, homeschooling, quarantine for themselves and their children, and COVID-19 illness, since the data showed that they seemed to have more home responsibilities than men during the pandemic. We also found that some supervisors thought that female PhDs’ (with own children) submission rates to scientific journals have been delayed as a consequence of COVID-19, considering that women seem to have more home responsibilities. This slow-motion disaster lasted up to 20 months and can be perceived as an “external intervention” or a naturalistic experiment which was impossible to predict for universities and society. The case study results indicate that it is more important than ever to plan for the unforeseen in order to be better prepared for the next societal crisis. Therefore, it is important to be vigilant and understand the gap between the formulation, transformation, and realization arenas when it comes to the distinction between incremental, semi-structural changes and fundamental changes in PhD regulations and guidelines brought on by societal crises. Although some support from employers has been offered, the overall PhD guidelines, regulations, and supervision norms remained unchanged in the transformation arena (meso- level) during the pandemic. On a general level, this highlights the need for better crisis preparedness at the doctoral level in the years to come.

A common finding related to RQ1 and RQ2 and across the different data sources was that the COVID-19 pandemic has significantly impacted some of the PhD supervisors in different ways on both micro- and meso-levels, and some of them perceive this long-lasting pandemic challenging and difficult, while others have experienced this to a lesser degree. This reveals a confirmation across the quantitative and qualitative data in the study. Also, these findings mostly confirmed and expanded on the understanding of the impact of the pandemic on PhD candidates ( Krumsvik et al., 2022 ), with some minor discordance.

More specifically, the PhD supervisors in the study were somewhat satisfied with the educational quality regarding digital teaching but experienced various supervision, research-related and psycho-social challenges. Although some of the supervisors received support during the pandemic, it seems like the majority did not receive sufficient support and their workload increased significantly during the pandemic. This is due to the high complexity of frame factors that have changed the underlying premises for doctoral education during the pandemic, affecting both the PhD- supervision and the PhD candidates’ feasibility on several levels. The regulations for PhD scholarships and PhD regulations, implemented before the pandemic in 2018, were designed under normal educational and social conditions and may not fully address the challenges faced during the pandemic. Therefore, this study shows that to reduce this gap and strengthen the feasibility of the PhDs and the frame factors for PhD-supervision, the institutions must significantly enhance their preparedness to effectively manage demanding situations at both micro- and meso-levels, ensuring they are fully equipped to address future societal crises of a similar nature.

When it comes to RQ3 we find both confirmation, expansion, and discordance across the quantitative and qualitative data. We find confirmation across the quantitative and qualitative data when it comes to the variability in preparedness of PhD candidates for writing the article-based thesis. Article-based theses present unique challenges compared to traditional monograph-based dissertations, particularly in terms of integration and the breadth of skills required. One of the primary challenges with article-based theses is integrating articles that may cover slightly different aspects of a research topic into a coherent overall thesis. This integration is critical, it requires a high level of academic writing skills and ability to secure the coherence of the synopsis. Candidates often come into PhD programs with varying levels of experience in academic writing and publication. The survey and interviews, as well as Supplementary data , indicate that many candidates are not well-prepared for writing article-based theses, highlighting a need for more targeted training in academic writing and publishing early in the doctoral process. The need for robust supervisory support is acutely felt in guiding article-based theses, where candidates must navigate the complexities of publishing in peer-reviewed journals alongside synthesizing their research in the synopsis. This implies that PhD-candidates both are taking a doctoral degree in the Norwegian context and at the same time are publishing articles for the international research context, which can be challenging.

We find expansion when it comes to the need to have guidelines for the synopsis. Supervisors reported significant variation in the guidelines for the synopsis across institutions, both in the qualitative and quantitative part, which can lead to confusion and inconsistency in expectations for candidates and supervisors. Some respondents found these guidelines sufficient, while others find them unclear or obscure, complicating their task of effectively guiding PhD candidates. Clear, comprehensible guidelines are essential for ensuring that the synopsis effectively synthesizes the research in a manner that meets academic standards ( Wollenschläger et al., 2016 ).

And we find some discordance regarding variability in candidate preparedness where both strands of the data indicated a significant variability in how prepared PhD candidates are when they enroll in doctoral programs. Candidates’ preparedness often depends on their previous educational experiences, which can vary widely regarding exposure to research methods, academic writing, and critical thinking skills. The variability in preparedness suggests a need for more robust preparatory programs to equip all incoming doctoral candidates with the necessary skills and knowledge to succeed in their research endeavors. Implementing comprehensive entry assessments could help identify specific areas where candidates might need additional support, allowing programs to tailor preparatory courses or early doctoral training to address these gaps.

These findings collectively point to a need for doctoral programs to clarify guidelines, particularly for the synopsis in article-based theses, to enhance support for supervisory roles, and to develop preparatory programs that address the broad variability in candidate preparedness. This is also based on research on the need for rubrics ( Wollenschläger et al., 2016 ), which shows that transparency around requirements and guidelines is important for students learning. By tackling these issues, institutions can better prepare PhD candidates for the demands of modern doctoral research, ultimately leading to more consistent and successful outcomes in doctoral education. And despite that only 20 (8.3%) of the supervisors agreed or strongly agreed that they were supervising a PhD candidate who had considered quitting the PhD program during the pandemic, it is important to be vigilant around the (complex) reasons that causes this, since this is in many ways a drastic decision, first of all for the candidate themselves, but also for the supervisors, as well as for the society in general who has invested almost 5 million Norwegian kroner in each PhD-scholarship. Dropping out can partly be related to the observed findings that many PhD candidates were unprepared for the intricacies of article writing, including the lengthy processes of submission and peer review, attached to their educational background, which primarily focused on monographic work at the bachelor’s and master’s levels. This also implies that while PhD’s are perceived, assessed and evaluated as student/candidates when they are completing assignments in a doctoral program, there might be a quite new situation for them when they submit their articles to scientific journals with blind review, where they are evaluated as other researchers (and not only as students/candidates). Such findings (and similar findings) seem to go “under the radar” in doctoral programs in Norway and by taking into account such “tacit knowledge” we might be better prepared to bridge the formulation arena and realization arena within doctoral education in the years to come. This development also demands a vigilance within doctoral education of the importance of theory development within doctoral education since international research shows that doctoral supervision is under-theorized and lacks a solid knowledge base ( Halse and Malfroy, 2010 ; Halse, 2011 ) where also eclectic use of theories ( Dalland et al., 2023 ) can improve this area.
