How to Structure your Presentation, with Examples

For many people the thought of delivering a presentation is a daunting task and brings about a  great deal of nerves . However, if you take some time to understand how effective presentations are structured and then apply this structure to your own presentation, you’ll appear much more confident and relaxed.

Here is our complete guide for structuring your presentation, with examples at the end of the article to demonstrate these points.

Why is structuring a presentation so important?

If you’ve ever sat through a great presentation, you’ll have left feeling either inspired or informed on a given topic. This isn’t because the speaker was the most knowledgeable or motivating person in the world. Instead, it’s because they know how to structure presentations – they have crafted their message in a logical and simple way that has allowed the audience can keep up with them and take away key messages.

Research has supported this, with studies showing that audiences retain structured information  40% more accurately  than unstructured information.

In fact, not only is structuring a presentation important for the benefit of the audience’s understanding, it’s also important for you as the speaker. A good structure helps you remain calm, stay on topic, and avoid any awkward silences.

What will affect your presentation structure?

Generally speaking, there is a natural flow that any decent presentation will follow which we will go into shortly. However, you should be aware that all presentation structures will be different in their own unique way and this will be due to a number of factors, including:

  • Whether you need to deliver any demonstrations
  • How  knowledgeable the audience  already is on the given subject
  • How much interaction you want from the audience
  • Any time constraints there are for your talk
  • What setting you are in
  • Your ability to use any kinds of visual assistance

Before choosing the presentation’s structure answer these questions first:

  • What is your presentation’s aim?
  • Who are the audience?
  • What are the main points your audience should remember afterwards?

When reading the points below, think critically about what things may cause your presentation structure to be slightly different. You can add in certain elements and add more focus to certain moments if that works better for your speech.

What is the typical presentation structure?

This is the usual flow of a presentation, which covers all the vital sections and is a good starting point for yours. It allows your audience to easily follow along and sets out a solid structure you can add your content to.

1. Greet the audience and introduce yourself

Before you start delivering your talk, introduce yourself to the audience and clarify who you are and your relevant expertise. This does not need to be long or incredibly detailed, but will help build an immediate relationship between you and the audience. It gives you the chance to briefly clarify your expertise and why you are worth listening to. This will help establish your ethos so the audience will trust you more and think you’re credible.

2. Introduction

In the introduction you need to explain the subject and purpose of your presentation whilst gaining the audience’s interest and confidence. It’s sometimes helpful to think of your introduction as funnel-shaped to help filter down your topic:

  • Introduce your general topic
  • Explain your topic area
  • State the issues/challenges in this area you will be exploring
  • State your presentation’s purpose – this is the basis of your presentation so ensure that you provide a statement explaining how the topic will be treated, for example, “I will argue that…” or maybe you will “compare”, “analyse”, “evaluate”, “describe” etc.
  • Provide a statement of what you’re hoping the outcome of the presentation will be, for example, “I’m hoping this will be provide you with…”
  • Show a preview of the organisation of your presentation

In this section also explain:

  • The length of the talk.
  • Signal whether you want audience interaction – some presenters prefer the audience to ask questions throughout whereas others allocate a specific section for this.
  • If it applies, inform the audience whether to take notes or whether you will be providing handouts.

The way you structure your introduction can depend on the amount of time you have been given to present: a  sales pitch  may consist of a quick presentation so you may begin with your conclusion and then provide the evidence. Conversely, a speaker presenting their idea for change in the world would be better suited to start with the evidence and then conclude what this means for the audience.

Keep in mind that the main aim of the introduction is to grab the audience’s attention and connect with them.

3. The main body of your talk

The main body of your talk needs to meet the promises you made in the introduction. Depending on the nature of your presentation, clearly segment the different topics you will be discussing, and then work your way through them one at a time – it’s important for everything to be organised logically for the audience to fully understand. There are many different ways to organise your main points, such as, by priority, theme, chronologically etc.

  • Main points should be addressed one by one with supporting evidence and examples.
  • Before moving on to the next point you should provide a mini-summary.
  • Links should be clearly stated between ideas and you must make it clear when you’re moving onto the next point.
  • Allow time for people to take relevant notes and stick to the topics you have prepared beforehand rather than straying too far off topic.

When planning your presentation write a list of main points you want to make and ask yourself “What I am telling the audience? What should they understand from this?” refining your answers this way will help you produce clear messages.

4. Conclusion

In presentations the conclusion is frequently underdeveloped and lacks purpose which is a shame as it’s the best place to reinforce your messages. Typically, your presentation has a specific goal – that could be to convert a number of the audience members into customers, lead to a certain number of enquiries to make people knowledgeable on specific key points, or to motivate them towards a shared goal.

Regardless of what that goal is, be sure to summarise your main points and their implications. This clarifies the overall purpose of your talk and reinforces your reason for being there.

Follow these steps:

  • Signal that it’s nearly the end of your presentation, for example, “As we wrap up/as we wind down the talk…”
  • Restate the topic and purpose of your presentation – “In this speech I wanted to compare…”
  • Summarise the main points, including their implications and conclusions
  • Indicate what is next/a call to action/a thought-provoking takeaway
  • Move on to the last section

5. Thank the audience and invite questions

Conclude your talk by thanking the audience for their time and invite them to  ask any questions  they may have. As mentioned earlier, personal circumstances will affect the structure of your presentation.

Many presenters prefer to make the Q&A session the key part of their talk and try to speed through the main body of the presentation. This is totally fine, but it is still best to focus on delivering some sort of initial presentation to set the tone and topics for discussion in the Q&A.

The above was a description of a basic presentation, here are some more specific presentation layouts:

Demonstration

Use the demonstration structure when you have something useful to show. This is usually used when you want to show how a product works. Steve Jobs frequently used this technique in his presentations.

  • Explain why the product is valuable.
  • Describe why the product is necessary.
  • Explain what problems it can solve for the audience.
  • Demonstrate the product  to support what you’ve been saying.
  • Make suggestions of other things it can do to make the audience curious.

Problem-solution

This structure is particularly useful in persuading the audience.

  • Briefly frame the issue.
  • Go into the issue in detail showing why it ‘s such a problem. Use logos and pathos for this – the logical and emotional appeals.
  • Provide the solution and explain why this would also help the audience.
  • Call to action – something you want the audience to do which is straightforward and pertinent to the solution.

Storytelling

As well as incorporating  stories in your presentation , you can organise your whole presentation as a story. There are lots of different type of story structures you can use – a popular choice is the monomyth – the hero’s journey. In a monomyth, a hero goes on a difficult journey or takes on a challenge – they move from the familiar into the unknown. After facing obstacles and ultimately succeeding the hero returns home, transformed and with newfound wisdom.

Another popular choice for using a story to structure your presentation is in media ras (in the middle of thing). In this type of story you launch right into the action by providing a snippet/teaser of what’s happening and then you start explaining the events that led to that event. This is engaging because you’re starting your story at the most exciting part which will make the audience curious – they’ll want to know how you got there.

Remaining method

The remaining method structure is good for situations where you’re presenting your perspective on a controversial topic which has split people’s opinions.

  • Go into the issue in detail showing why it’s such a problem – use logos and pathos.
  • Rebut your opponents’ solutions  – explain why their solutions could be useful because the audience will see this as fair and will therefore think you’re trustworthy, and then explain why you think these solutions are not valid.
  • After you’ve presented all the alternatives provide your solution, the remaining solution. This is very persuasive because it looks like the winning idea, especially with the audience believing that you’re fair and trustworthy.

Transitions

When delivering presentations it’s important for your words and ideas to flow so your audience can understand how everything links together and why it’s all relevant. This can be done  using speech transitions  which are words and phrases that allow you to smoothly move from one point to another so that your speech flows and your presentation is unified.

Transitions can be one word, a phrase or a full sentence – there are many different forms, here are some examples:

Moving from the introduction to the first point

Signify to the audience that you will now begin discussing the first main point:

  • Now that you’re aware of the overview, let’s begin with…
  • First, let’s begin with…
  • I will first cover…
  • My first point covers…
  • To get started, let’s look at…

Shifting between similar points

Move from one point to a similar one:

  • In the same way…
  • Likewise…
  • Equally…
  • This is similar to…
  • Similarly…

Internal summaries

Internal summarising consists of summarising before moving on to the next point. You must inform the audience:

  • What part of the presentation you covered – “In the first part of this speech we’ve covered…”
  • What the key points were – “Precisely how…”
  • How this links in with the overall presentation – “So that’s the context…”
  • What you’re moving on to – “Now I’d like to move on to the second part of presentation which looks at…”

Physical movement

You can move your body and your standing location when you transition to another point. The audience find it easier to follow your presentation and movement will increase their interest.

A common technique for incorporating movement into your presentation is to:

  • Start your introduction by standing in the centre of the stage.
  • For your first point you stand on the left side of the stage.
  • You discuss your second point from the centre again.
  • You stand on the right side of the stage for your third point.
  • The conclusion occurs in the centre.

Key slides for your presentation

Slides are a useful tool for most presentations: they can greatly assist in the delivery of your message and help the audience follow along with what you are saying. Key slides include:

  • An intro slide outlining your ideas
  • A  summary slide  with core points to remember
  • High quality image slides to supplement what you are saying

There are some presenters who choose not to use slides at all, though this is more of a rarity. Slides can be a powerful tool if used properly, but the problem is that many fail to do just that. Here are some golden rules to follow when using slides in a presentation:

  • Don’t over fill them  – your slides are there to assist your speech, rather than be the focal point. They should have as little information as possible, to avoid distracting people from your talk.
  • A picture says a thousand words  – instead of filling a slide with text, instead, focus on one or two images or diagrams to help support and explain the point you are discussing at that time.
  • Make them readable  – depending on the size of your audience, some may not be able to see small text or images, so make everything large enough to fill the space.
  • Don’t rush through slides  – give the audience enough time to digest each slide.

Guy Kawasaki, an entrepreneur and author, suggests that slideshows should follow a  10-20-30 rule :

  • There should be a maximum of 10 slides – people rarely remember more than one concept afterwards so there’s no point overwhelming them with unnecessary information.
  • The presentation should last no longer than 20 minutes as this will leave time for questions and discussion.
  • The font size should be a minimum of 30pt because the audience reads faster than you talk so less information on the slides means that there is less chance of the audience being distracted.

Group Presentations

Group presentations are structured in the same way as presentations with one speaker but usually require more rehearsal and practices.  Clean transitioning between speakers  is very important in producing a presentation that flows well. One way of doing this consists of:

  • Briefly recap on what you covered in your section: “So that was a brief introduction on what health anxiety is and how it can affect somebody”
  • Introduce the next speaker in the team and explain what they will discuss: “Now Elnaz will talk about the prevalence of health anxiety.”
  • Then end by looking at the next speaker, gesturing towards them and saying their name: “Elnaz”.
  • The next speaker should acknowledge this with a quick: “Thank you Joe.”

From this example you can see how the different sections of the presentations link which makes it easier for the audience to follow and remain engaged.

Having examples of great presentations will help inspire your own structures, here are a few such examples, each unique and inspiring in their own way.

How Google Works – by Eric Schmidt

This presentation by ex-Google CEO  Eric Schmidt  demonstrates some of the most important lessons he and his team have learnt with regards to working with some of the most talented individuals they hired. The simplistic yet cohesive style of all of the slides is something to be appreciated. They are relatively straightforward, yet add power and clarity to the narrative of the presentation.

Start with why – by Simon Sinek

Since being released in 2009, this presentation has been viewed almost four million times all around the world. The message itself is very powerful, however, it’s not an idea that hasn’t been heard before. What makes this presentation so powerful is the simple message he is getting across, and the straightforward and understandable manner in which he delivers it. Also note that he doesn’t use any slides, just a whiteboard where he creates a simple diagram of his opinion.

The Wisdom of a Third Grade Dropout – by Rick Rigsby

Here’s an example of a presentation given by a relatively unknown individual looking to inspire the next generation of graduates. Rick’s presentation is unique in many ways compared to the two above. Notably, he uses no visual prompts and includes a great deal of humour.

However, what is similar is the structure he uses. He first introduces his message that the wisest man he knew was a third-grade dropout. He then proceeds to deliver his main body of argument, and in the end, concludes with his message. This powerful speech keeps the viewer engaged throughout, through a mixture of heart-warming sentiment, powerful life advice and engaging humour.

As you can see from the examples above, and as it has been expressed throughout, a great presentation structure means analysing the core message of your presentation. Decide on a key message you want to impart the audience with, and then craft an engaging way of delivering it.

By preparing a solid structure, and  practising your talk  beforehand, you can walk into the presentation with confidence and deliver a meaningful message to an interested audience.

It’s important for a presentation to be well-structured so it can have the most impact on your audience. An unstructured presentation can be difficult to follow and even frustrating to listen to. The heart of your speech are your main points supported by evidence and your transitions should assist the movement between points and clarify how everything is linked.

Research suggests that the audience remember the first and last things you say so your introduction and conclusion are vital for reinforcing your points. Essentially, ensure you spend the time structuring your presentation and addressing all of the sections.

But what does such a structure actually look like? Here we show you how to best organize your presentation and what a good structure looks like.

Plan your presentation

Before you start creating your presentation, you should always brainstorm. Think about the topic and write all your ideas down. Then think about the message you want to communicate, what your goal is and what you want your audience to remember at the end.

Typical Presentation Structure

The basic structure of a presentation is actually always the same and should consist of:

Introduction

Make sure that the structure of your presentation is not too complicated. The simpler it is, the better the audience can follow.

Personal Introduction

It is best to start your presentation by briefly introducing yourself which helps to build a connection with your audience right away.

Introduce the topic

Then introduce the topic, state the purpose of the presentation and provide a brief outline of the main points you will be addressing.

Mention the length

In the introduction, mention the approximate length of the talk and then also make sure you stick to it.

The introduction should be no longer than two slides and provide a good overview of the topic.

In the last 25%, describe what benefits this solution will bring to your audience and ask them to take a simple but relevant action that relates to the problem being discussed.

In the introduction, introduce a character who has to deal with a conflict. In the main part, tell how he tries to solve his problem but fails again and again. In the end, he manages to find a solution and wins.

When you have something historical to tell, it is always good to use a chronological structure. You always have to ask yourself what happens next.

To make it more interesting and exciting, it is a good idea to start by telling the end of something and after that you explain how you got there. This way you make the audience curious and you can gain their attention faster.

13.6 Creating an Informative Presentation

Learning objectives.

  • Discuss the parts of an informational presentation.
  • Understand the five parts of any presentation.

An informational presentation is common request in business and industry. It’s the verbal and visual equivalent of a written report. Information sharing is part of any business or organization. Informative presentations serve to present specific information for specific audiences for specific goals or functions. The type of presentation is often identified by its primary purpose or function. Informative presentations are often analytical or involve the rational analysis of information. Sometimes they simply “report the facts” with no analysis at all, but still need to communicate the information in a clear and concise format. While a presentation may have conclusions, propositions, or even a call to action, the demonstration of the analysis is the primary function.

A sales report presentation, for example, is not designed to make a sale. It is, however, supposed to report sales to date and may forecast future sales based on previous trends.

An informative presentation does not have to be a formal event, though it can be. It can be generic and nonspecific to the audience or listener, but the more you know about your audience, the better. When you tailor your message to that audience, you zero in on your target and increase your effectiveness. The emphasis is on clear and concise communication, but it may address several key questions:

  • Topic: Product or Service?
  • Who are you?
  • Who is the target market?
  • What is the revenue model?
  • What are the specifications?
  • How was the information gathered?
  • How does the unit work?
  • How does current information compare to previous information?

Table 13.2 “Presentation Components and Their Functions” lists the five main parts or components of any presentation (McLean, S., 2003).

You will need to address the questions to establish relevance and meet the audience’s needs. The five parts of any speech will serve to help you get organized.

Sample Speech Guidelines

Imagine that you have been assigned to give an informative presentation lasting five to seven minutes. Follow the guidelines in Table 13.3 “Sample Speech Guidelines” and apply them to your presentation.

1. Topic Choose a product or service that interests you, research it, and report your findings in your speech.
2. Purpose Your general purpose, of course, is to inform. But you need to formulate a more specific purpose statement that expresses a point you have to make about your topic—what you hope to accomplish in your speech.
3. Audience Think about what your audience might already know about your topic and what they may not know, and perhaps any attitudes toward or concerns about it. Consider how this may affect the way that you will present your information.
4. Supporting Materials Using the information gathered in your search for information, determine what is most worthwhile, interesting, and important to include in your speech. Time limits will require that you be selective about what you use.
5. Organization
6. Introduction Develop an opening that will

7. Conclusion The conclusion should review and/or summarize the important ideas in your speech and bring it to a smooth close.
8. Delivery The speech should be delivered extemporaneously (not reading but speaking), using speaking notes and not reading from the manuscript. Work on maximum eye contact with your listeners. Use any visual aids or handouts that may be helpful.

For presentations to be understood and create a good impression, they can’t be haphazard. It has to have some sort of pre-planned presentation structure that is both logical and simple enough. Depending on the type of presentation you’re doing, there are likely some basic frameworks available that people tend to follow. Before we delve into the format, let’s consider key points to consider when planning a presentation.

How do you structure and plan a presentation?

We plan a presentation by considering the type of presentation, who our audience is, ideating the purpose, and formulating subtopics through research.

Consider the type of presentation

This leads to understanding the ideal flow to convey your content best. For instance, for persuasive presentations, you could use creative ways to convey what is best about a product, such as starting with a story about how it has helped many people achieve something.

On the other hand, for a progress presentation at your workplace, you might have conventions about what is expected, which must be followed precisely.

A few other types of presentations include:

  • Informative presentations
  • Instructive presentations
  • Motivational presentations
  • Analytical presentations

You might also want to consider if you want audience interaction and put that into the structure accordingly. While some allow questions mid-presentation for smaller audiences, it is typically left towards the end.

Consider your audience’s knowledge level and interests

This will determine if you can assume a particular knowledge base and not include it in your presentation structure or if you have to start off with basics and build up on that.

For instance, if you’re teaching 1st-year students about something, you might start with basics. But for graduates, a similar format would be unnecessary as they might have already learned about it.

Similarly, if your purpose is to deliver something entertaining, knowing about the interests and values of your audience helps a ton.

The most simple way is demographics. It’s typically quite easy to find out the expected age group, gender, etc of the audience. This information can help you have a basic idea of the sort of experiences they go through, which helps formulate an understanding.

Consider the purpose of your presentation

While this may seem obvious, many of us lose track of the main purpose and spend too much time on remotely related content. This diverts attention from the topic and might even cause boredom.

For example, if you’re advocating for some social action, it would be beneficial to stay on the topic itself, like the pros, cons, what can be done practically, etc. Instead, if the presenters spend more time criticizing others, the presentation will fall short of its purpose.

5 Ways to Structure Your Presentation

The five ways include ordered, problem-solution, comparative, storytelling, and demonstrating structures.

1. Ordered Structure

The presentation follows a logical sequence starting with an introduction, main points, and then conclusions. This is what this article has focused on, as it’s the most straightforward method and tends to be very clear for the audience. However, for presentations that do not follow a clear progression, this may not be useful.

2. Problem-Solution Structure

This is useful when persuading the audience. You explain the problem (+ its importance and impact) and then provide a solution that motivates the audience to take it. This could be in the form of a product, a particular method of communication, some technical thing, etc. There should be a decent amount of time spent on the benefits of the solution as well as the exact “How?” to implement it to make the audience convinced. It helps to address any questions or barriers you expect them to have during the speech itself.

3. Comparative Method

This is useful when you want to highlight the benefits of something over alternatives . It is ideal to first fully address the alternatives by talking about their benefits and limitations. Then you lastly talk about the solution that you possess that effectively addresses the other limitations or is in some way a better choice than others, based on your arguments.

Alternatively, if you do not want to highlight the benefits of something particular and just form a comparison that demonstrates the pros and cons of different subjects in an unbiased manner, this technique is still used. For instance, how the main benefit of a product is practically useful for the consumer in comparison to the main benefit of another product can be discussed.

4. Storytelling Structure

This is useful when your goal is just to tell a story. This could be to explain the context or history of a company. It could also serve to talk about yourself and how you got there. A story will typically have an introduction, a complicating factor that introduces some challenges, and then an ending that highlights the importance of some action or belief. 

You may also go in a timewise order when explaining a story. This might take away from the thrill but is useful nonetheless when it is required for the audience to properly understand what is being conveyed. Storytelling can be done in various ways, so feel free to find your own structure.

5. Demonstration Structure

This is useful when demonstrating products or services . The benefits of the product/service are highlighted and it is demonstrated showing those capabilities. The goal should be on persuading the audience that it is useful to them for their needs.

How to structure a scientific presentation?

Structuring a scientific presentation typically includes an introduction, methods, results, and discussion.

This typically follows the below format, but depending on the university/conference guidelines, you’ll have to adjust accordingly. The rest of the sub-topics revolves around these sections.

  • Introduction/Background 
  • Literature review (if applicable)
  • Acknowledgments (often optional)

After this, time is given to take questions.

How do you structure a presentation script?

The presentation never includes the full extent of the information. It’s just a concise version of what you’re speaking that adds as a visual aid at times while also highlighting major points. 

The script is where the major content lies. The structure remains the same, but the content is greater in depth .

Next, for leadership positions, where success depends on inspiring and motivating others, public speaking is critical. And in general, you’ll need public speaking in any meeting or any talk you would typically deliver in front of a bunch of people.

In a business setting, you might want your presentation to do two of these things: inform and persuade. If you are a mindset coach for companies, then you might want to entertain and inspire.

The main message should be easy to grasp from the title on your first slide. Think of an appropriate way to word what you want to give your audience in one or two sentences. This can of course be changed later, but having a preliminary title will help get your ideas in order for what comes next.

Fact and Story

The first structure we will look at is Fact and Story . The premise is that the presentation moves back and forth between facts and stories.

Presentation guru Nancy Duarte wrote about this presentation structure in her book " Resonate ." She suggests that mixing storytelling with the relay of facts can help your audience stay interested until the end of your presentation.

According to Duarte, this type of structure should start off with an initial setting of the present reality: the “what is.” From there, an invitation to adventure is presented and the first instance of “what could be” is told as a story to illustrate how the initials facts can be improved.

This comparison of presenting the facts as what they are at the present moment with stories that show how things could be improved is what keeps your audience interested and waiting for more.

The conclusion should end at a high point, considerably higher than where it began. The audience should feel like they learned something and, at the same time, inspired to change.

The Explanation

According to Gavin McMahon, co-founder of fassforward Consulting Group , the presentation structured labeled as The Explanation is meant to teach new insights and abilities.

Its main purpose is to inform about a process or plan to either fix a problem or learn something new. A good way to incorporate storytelling into the structure is to show the progression of the facts along with the progression of a story.

  • The Lay of the Land shows how things stand right now, what the destination is and how you plan to get there. The point is to get the audience excited and on board as quickly as possible by showing them the entire process straight up. Tell a story that relates directly to the introduction.   • The Roadmap is a visual map of how you will get to the final destination and reach the resolution. Set the audience on the right track.
  • The First Step begins the adventure to get where you want to go.
  • T he Next Steps is the middle section of the presentation, where all the steps are laid out one by one.
  • Almost there is the catharsis where you look back at how much has changed and progressed since the first step.

This TED talk by Amy Cuddy about how your body language shapes who you are is a great example of an Explanation structure. She tells us about her experiment on power poses and how they can affect the outcome of a difficult situation.

The presentation starts off with a discussion on the natural animal and human condition of power and ends with a personal invitation to change your life with a 2-minute practice of power posing.

If you are a lover of the show "Grey’s Anatomy," this is the idea behind the power pose that the neurosurgeons do before a big procedure.

The Pitch presentation structure is like a climb uphill that takes you over a hurdle and on to a positive resolution.

It shows how the presenter’s idea can really improve a situation. By using a real and relatable story, the pitch makes more sense and feels more important.

  • The Wind Up is a quick summary of what’s going on right now to presents the facts in a way that is easy to grasp and relatable to the audience.
  • The Hurdle presents the problem that needs to be solved . Relay the problem with a story so that the emphasis is doubled.
  • The Vision presents a glimpse into the main idea on how the problem can be solved.
  • The Options is the moment when two different options are laid out as possibilities to solve the initial problem. The idea is to give an average option first, followed by a great option second. If there have already been tests and experiments to prove these facts, then these are the story.
  • The Close is the point where the ideal option is presented as the best and only option.
  • The Fine Print tells the audience exactly how the problem will be solved, the steps that need to be taken and the tasks to be resolved.
  • The Hook is the uplifting conclusion to the presentation which relays an added bonus to the solution of the problem.

Use The Pitch presentation structure when you want to convince someone that your idea is the best for their problem. This structure also works when a new startup is looking for new funding or sponsorship opportunities.

This TED talk by Enric Sala about how to turn the high seas into the world’s largest natural reserve is a great example of a Pitch structure. He starts off with a story of how a group of fishermen revived an area of the ocean by stopping all the fishing there and turning it into a natural reserve.

Ten years later, that piece of ocean makes more money from scuba diving tourism than it ever did from fishing. He continues to talk about the same problem at a larger scale, the diminishing supply of fish and the destruction of the oceans.

His pitch to solve the impending problem is to turn the high seas into a natural reserve. He finishes by telling the audience that the plan is being pitched to the UN and that every individual can help their country abide by the new agreement if it goes through.

There is a well-known structure in literature called “The Hero’s Journey” which follows the plight of a main character from the beginning of a story to the end and leaves the reader feeling like they've learned a lesson they will never forget.

This type of presentation structure, The Drama , has a strong storytelling aspect. This is often used to tell the story of an influential company from founding days, through trials and tribulations, and then finishes with an inspiring show of success.

Another perfect presentation for The Drama structure is an inspiring personal story.

These are the steps of a Drama style presentation structure:

  • One Fine Day . The introduction sets the stage with a situation where things are not perfect but just average. Imagine as if it were the first page of a book, where the setting is laid out and the audience gets an idea of a time and place.
  • The Challenge. Suddenly a problem appears that can’t be ignored. The things that need to be solved are presented as a challenge.
  • Descending Crisis . At this point, the problem is attacked head on but things gets worse until it hits rock bottom.
  • Rock Bottom. When all seems lost and everything is at its worst, the story arrives at a standstill. As an added bonus, the presenter can pause for effect.
  • The Discovery . This is the moment when a glimmer of light shows up and there is a discovery, a new way of resolving the problem.
  • The Rise . By discovering new abilities, the problem can be tackled in a positive way.
  • The Return . Not only are the problem and challenge resolved, the character and the audience break through and reach an unexpected happiness threshold, opening the world to a whole new range of possibilities.
  • The Lesson . The conclusion is reached with an unforgettable lesson and resolution. The audience will feel inspired, informed and entertained.

This TED talk by Adam Driver about his journey from Marine to actor is the perfect example of The Drama structure.

He begins the story by telling the audience about what his life was like before he joined the Marines and what drove him to do it.

He tells how the Marines became his family, and closest friends. Then, right before deploying to Iraq or Afghanistan, he had an accident that separated him from the Marines for good.

He continues to explain how he went on to become an actor, followed by the creation of his project to unify theater with military service.

His talk ends with an example of the theater pieces he coordinates to be presented at military camps. Listeners are left with their hearts full of a newfound hope for humanity.

Situation - Complication - Resolution

According to Gavin McMahon , co-founder of fassforward Consulting Group, most presentations in the realm of B2B sales and business consultancy follow the Situation - Complication - Resolution structure. It is a three-element storyline linked by the words  but  and  therefore .

The starting point is The Situation , where current conditions are shown in an unbiased and transparent way. The situation connects to the next step through the word but .

A simple example: Our home decor company is selling pretty well this month, but…

This is when The Complication is presented.

In the above example, it could look something like this:

Our home decor company is selling pretty well this month, but  … we have been spending too much on international shipping.

When presenting The Complication , use facts to prove it. Present it as the challenge that needs to be overcome. The Complication is a low point, but from a low point we can only go up.

The final destination is The Resolution , which is connected to The Complication with the word, therefore .

Our home decor company is selling pretty well this month, but we have been spending too much on international shipping. Therefore,  we need to start using a new company that has a better price range and great service.

Back up all of your information with real facts and proof.

Situation - Opportunity - Resolution

A similar structure to the one above, the Situation - Opportunity - Resolution  replaces  Complication with   Opportunity . This three-part structure is also joined by the words  but  and  therefore .

The difference is that instead of the movement going down and then up, it goes slightly up and then levels out.

This structure is perfect when you need to show that something is not that hard to fix; that the problem might not be so big after all and that the solution is easy to grasp.

A presentation that follows this structure could turn out to be quite short, if only the facts are presented, but that would leave the audience feeling like “is that it?” Adding an interesting story to help the audience relate makes the overall presentation more effective.

This TED talk by Adam Galinsky about how to speak up for yourself is a perfect example of the Situation - Opportunity - Resolution presentation structure. He starts off by saying: “Speaking up is hard,” and instantly everyone in the audience can relate.

He gives a few personal stories about times when he should have spoken up and others when he shouldn’t. He gives contextual proof and explanations about how sometimes we feel powerless, other times powerful, and how this affects if we speak up or not.

His solution to the problem is not a huge effort but rather a personal mindset change. The presentation ends with an inspiring quote by the speaker’s father which leaves the audience feeling like they will know exactly when it’s the perfect time to speak up, or not.

Hook, Meat and Payoff

This presentation structure, like The Drama, is deeply founded in the art of storytelling. While the Hero’s Journey is more of a literary technique,  Hook, Meat and Payoff is more like a spoken-word progression.

The idea is that with the Hook , the presenter gives the audience a sense of place and time, plus a situation that will put them at the edge of their seats, wanting more.

The Meat is the middle section and usually the longest part of the presentation where the story progresses and all the information is relayed in an interesting and inviting way.

The Payoff is the inspiring conclusion that circles back to the beginning and leaves the audience feeling inspired.

It's like when you come out of the movie theater: You feel better about yourself and the world around you, as if you've learned something important that will make your life a little better.

This TED talk by Jill Bolte Taylor about her stroke of insight is a perfect example of a Hook, Meat and Payoff presentation structure.

One of the most famous TED talks of all time, this presentation starts with her personal story of the time she suffered a brain hemorrhage and stroke.

She is a neuroanatomist; she studies brains for a living. Her experience of having a stroke is one of the deepest stories you'll ever hear about the union between science and spirituality.

Her presentation hook, a real human brain which she shows to the audience, very much grabs your attention. The meat of the talk is also entertaining and interesting; she has the audience laughing and crying right along with her.

In the end, she recounts the moment when she felt her body die and then woke up feeling like she was a different person. She had lost all capacities with the stroke, and it took her eight years to learn to talk and walk again.

The Payoff is her invitation to everyone to feel like they have Nirvana at their fingertips, that being conscious of the world around us is not an impossible task.

Make a Storyboard

Now that we've looked at the seven different ways that you can structure your presentation with storytelling techniques, it’s time to make a storyboard.

A storyboard is what film makers use to set up the structure of their movie before filming it. It is created with the help of the screenplay, following the flow of the story. Each rectangle in the storyboard is a scene in the film.

Presenters use this process of storyboarding to set up their presentations because it really helps with productivity. A storyboard is essentially a visual draft of your presentation.

(A note for the “un-artistic”: Don’t worry about things looking amazing right now! Uneven squiggles and weird shapes work the same way as perfect squares. The designed and finished look will come later when you set it all up in the Visme editor.)

As you add the story aspect to your presentation, make sure you don’t get too wordy and try using visuals instead of too much text. Use one or two sentences at most for each slide.

The best way to make a storyboard is with index cards, using each card as a slide. You can add things or easily take them away before you even start to design the final draft.

An informational presentation is common request in business and industry. It’s the verbal and visual equivalent of a written report. Information sharing is part of any business or organization. Informative presentations serve to present specific information for specific audiences for specific goals or functions. The type of presentation is often identified by its primary purpose or function. Informative presentations are often analytical or involve the rational analysis of information. Sometimes they simply “report the facts” with no analysis at all, but still need to communicate the information in a clear and concise format. While a presentation may have conclusions, propositions, or even a call to action, the demonstration of the analysis is the primary function.

A sales report presentation, for example, is not designed to make a sale. It is, however, supposed to report sales to date and may forecast future sales based on previous trends.

An informative presentation does not have to be a formal event, though it can be. It can be generic and nonspecific to the audience or listener, but the more you know about your audience, the better. When you tailor your message to that audience, you zero in on your target and increase your effectiveness. The emphasis is on clear and concise communication, but it may address several key questions:

  • Topic: Product or Service?
  • Who are you?
  • Who is the target market?
  • What is the revenue model?
  • What are the specifications?
  • How was the information gathered?
  • How does the unit work?
  • How does current information compare to previous information?

Imagine that you have been assigned to give an informative presentation lasting five to seven minutes. Follow the guidelines in Table 13.3 “Sample Speech Guidelines” and apply them to your presentation.

The Presenter's Guide to Nailing Your Next PowerPoint

Where's the best place to start? Are some steps better to take before others? How can you make sure you aren't missing anything? And how on earth do you master those essential -- yet slightly technical -- design tricks that can take a presentation from good to great?

With the following tips in your arsenal, you'll be able to navigate PowerPoint much more fluidly and give a standout presentation that'll leave your audience wanting more.

How to Structure a Powerpoint Presentation

1. decide on a working title and the main takeaways..

Beyond picking a topic, your first step should be coming up with a working title for your presentation. A working title is more specific than a topic: Think "How the Right Nutrition Can Strengthen Your Kids' Bones" instead of "Raising Healthy Kids." Keep in mind that a compelling presentation title is much like a compelling blog post title : short, accurate, and valuable.

Once you've got your working title, make a list of the main takeaways of your presentation to begin to give it some structure. This'll help you stay focused when writing your outline and elaborating on those sections.

Aja Frost, the Head of English SEO at HubSpot, says, "I try to structure my presentations around a story. Not only does this make the presentation more memorable and engaging, it's also easier to figure out which information is relevant."

To do this, Frost says to pick a protagonist. She adds, "It might be your team, your audience, your customer.... Then, identify the rising action, problem, climax, and falling action. It's just like grade school. This structure works whether you're talking about an accomplishment, a challenge, a big question—anything, really."

2. Create a short text outline with your audience in mind.

Once you have your main takeaways and your story in mind, it's time to begin outlining the content of your presentation in more detail, while keeping your specific audience in mind. A presentation on any topic should sound different if you're speaking to an audience of college students versus an audience of investors, for example. The tone, words, design, and delivery of your presentation should all cater to your specific audience for maximum impact.

Ask yourself: What do your audience members already know? What new information can you teach them? What are they expecting from your presentation? What's going to be interesting to them? What will keep them focused and engaged? Then, make choices during every stage of the presentation process accordingly.

Justin Champion, a content professor at HubSpot, says, "Before diving into a presentation, I create an outline of how it'll flow. I do this by creating an intro (what they're going to learn), the body (what they're learning), and finish with a conclusion (recap what they just learned) I use bullet point slide a lot for talking points I can expand on. Pro tip: use animations to guide the story. For example, instead of showing all the bullets at once, click through to each via animation."

3. Formulate your content as a narrative, if possible.

This may not apply for more formal presentation that have rigid structures (like performance reports), but for presentations that have more flexibility, presenting your content as a narrative can be much more compelling.

Stories appeal to people's emotional side in ways that information, facts, and figures can't. They help you relate to your audience -- and in turn, they'll make you and your message far more interesting to your audience. They also help make complicated concepts more easily understandable to your audience, who may not share the same experience level or work in the same industry.

Kyle Jepson, a senior professor at HubSpot, says, "Since I’m an educator, I always structure my presentations around the learning outcomes I want to achieve. If there are three things I want my listeners to understand at the end of the presentation, I’ll have three sections. Whenever possible, I put some sort of interactive element at the end of each section to assess their understanding. In a virtual event, this might be a poll or a question for people to respond to in the chat. In an in-person setting, workshop activities or small-group discussions work well."

4. Collect data and examples.

While sweeping statements can help you set the stage, supporting those statements with evidence will make your argument more interesting and credible. Data and examples give your argument content, and people will understand what you're saying much better.

But don't just slap random stats on your slides and expect to "wow" your audience. Be sure your data comes from a reputable source and that you're presenting it in a way that's easy to understand, like through accurate charts and graphs.

Finally, don't overwhelm your audience with too much data. According to psychologist George Miller , we can only remember approximately five to nine bits of information in our short-term memory at any given time. Keep that in mind as you collect your evidence.

5. Engage with your audience.

During a presentation, it's important to connect with your audience. But how can you do that when you're just talking at them?

Anni Kim, an INBOUND professor at HubSpot, says, "Staying engaged during a virtual presentation is tough, so provide plenty of opportunities for participation. You should add a slide at the beginning that points out how people can take advantage of the chat and ask questions throughout the presentation."

Once you've set the expectations, keep up on the chat and answer questions as they arise.

Now that you have a structure in mind, you'll start to write the content. Below, we'll give tips for how to start and end your presentation.

How to Start a Powerpoint Presentation

1. start with a story..

Not to be repetitive, but storytelling is one of the best ways to capture your audience's attention in general. Presentations are no different. Starting with a hook is a great way to get your audience invested in your content.

Champion says, "The best way to start a presentation is with an interesting story that connects to the content. A great way to keep you audience engaged is to make the content interesting."

2. Be yourself.

On the other hand, while you want to tell a story, you also want your audience to connect with you as the presenter.

Jepson says, "During the introduction, I think one of the most important things to do is to set expectations for your style as a presenter. You don't always need to start with a joke or a story. Start out by being you, and then keep being you for as long as you’re on stage."

3. Include surprising or unusual information at the beginning.

While you'll most likely use a standard approach with session title, presenter's bio, and an agenda, you don't want your audience to get bored.

Jepson adds "I think the standard approach (session title, presenter’s bio, agenda) is pretty effective except that it’s usually super boring. I try to include the standard information but sprinkle in things that are surprising or unusual."

Some examples include:

  • Adding a photo of your family on the About Me slide. "A lot of presenters put a picture of themselves on their About Me slide. But I think that’s silly because I’m standing right there," Jepson says. "If people don’t know what I look like, they will by the end of the presentation! So I’ve started putting a picture of my wife and kids on that slide and saying something sweet or silly about that."
  • Asking people to use their phones. "A lot of in-person presentations start with a request to silence cell phones," Jepson comments. "Sometimes I’ll do the opposite and say something like, 'Before we get started, I want you all to pull out your phones. You probably think I’m going to ask you to silence them. But I’m not. I’m here from HubSpot, and I’m here to help you however I can. So if there’s anyone from your team who might have questions or need help from a HubSpotter, I want you to send them a message and tell them to send their questions to you before we get to the Q&A section of presentation. To give you time to do this, I’m going to send a text to my wife to let her know I made it here safely.' And then I’ll literally pull out my phone and send a text message on stage."

Now that you've structured your post and have ironed out the details of your introduction, it's time to work on the end of the presentation.

How to End a Powerpoint Presentation

1. recap what the audience has learned..

First and foremost, the end of your presentation should tie everything together.

Champion adds, "Recap what they just learned, explain next steps based on learnings, and offer any associated resources to continue learning."

This will help people remember the content and give them resources to learn more or reach out if they have questions.

2. Q&A.

Another great way to end a presentation is with a Q&A.

Jepson remarks, "I always end with Q&A. The only tricky thing about that is knowing how to cut it off if you’re getting more questions than you have time to answer or if you aren’t getting any questions at all. In both of those situations, I do essentially the same: I cut it off and tell people to come talk to me individually."

For in-person meetings, Jepson will tell the audience to come find him after the presentation to ask more questions. However, for virtual meetings, he'll let people know how to reach him, whether that's via LinkedIn or email.

3. Call to action.

Calls to action are an important component of any piece of content and presentations are no different. What do you want your audience to do with this information?

In your recap, include actionable ways for your audience to incorporate your information into their day-to-day (if applicable). You can also let people know to reach out to you with questions so they know the next steps in case they want to discuss the presentation further.

Now that you have an idea of what you're going to be talking about and how you'll be laying it out, it's time to open up a new PowerPoint presentation and apply those basic design elements.

Outlining Your PowerPoint Design

1. pick a color scheme..

Before you begin translating your text outline into PowerPoint, you'll want to start by adding some very basic design elements to your PowerPoint slides. First, choose a color scheme -- one that has enough contrast between colors to make colors stand out. Whether you decide to use two, three, or four different colors in your presentation is up to you, but certain color combinations go together better than others. 2. Design your slide backgrounds.

In PowerPoint, less is more. You don’t ever want to let the design distract from your message. But at the same time, you want to get more creative than a plain, white background -- even if you're going for a very simple design.

The three main ways to add a background design to a PowerPoint presentation are: 1) to use a predesigned template from PowerPoint; 2) to create a custom background using a solid color; or 3) to create a custom background using an image. Here's how to do each of those things.

How to Browse Predesigned Templates in PowerPoint

PowerPoint comes with a series of predesigned templates to choose from.

To browse these templates on a Mac: Click on the slide or slides you want to add the background to. Then, click the "Themes" tab at the top of the screen.

You can either scroll through your options up there, or you can access the themes gallery in a bigger window by hovering your mouse over the theme previews and clicking the dropdown arrow that appears below them.

Right-click the background style that you want. To apply the background style to the selected slides, click "Apply to Selected Slides." To apply the background style to all of the slides in your presentation, click "Apply to All Slides."

To browse these templates on a PC: Click on the slide or slides you want to add the background to. Then, click the "Design" tab at the top of the screen. In the "Background" group, click the arrow next to "Background Styles" to open up the theme gallery.

Pro Tip: You can also apply any PowerPoint template you already have as a theme, even if it doesn't show up in the theme gallery. To do that, click the "Browse Themes" option you'll find at the bottom of the dropdown themes gallery, and navigate to wherever the given presentation, template, or theme is located on your computer. Then, click "Apply."

How to Create a Custom Background Using a Solid Color

Want your slide background to be a simple, solid color? The steps to do this are almost identical on a Mac and a PC.

Simply right-click the slide(s) you want to add a background color to, then click "Format Background." In the window that appears, click "Fill" and then "Solid." Notice you can also adjust the gradient or make the background a pattern. Click "Apply" at the bottom to apply the changes.

How to Create a Custom Background Using an Image

Sometimes, making the slide background a high-definition image can really make that slide pop. It also encourages you to cut down on text so that only a few keywords complement the image. PowerPoint makes it easy to create a custom background using an image you own.

First, choose your image. Size matters here: Be sure it's high resolution so that it can fill your slide without becoming blurry or distorted. Here are the 17 best free stock photo sites to help you find some large, great quality images.

To create a custom background using an image on a Mac: Click the slide that you want to add a background picture to. To select multiple slides, click a slide and then press and hold CTRL while you click the other slides.

Next, click the "Themes" tab at the top of your screen. In the "Theme Options" group, click "Background," then "Format Background."

In the window that appears, click "Fill," then "Picture or Texture." To insert a picture from a file, click "Choose Picture..." and then locate and double-click the picture you want to insert. If you want to use this picture as a background for just the slides you selected, click "Apply." If you want to use the picture as a background for all the slides in your presentation, click "Apply to All."

To create a custom background using an image on a PC: Click the slide that you want to add a background picture to. To select multiple slides, click a slide and then press and hold CTRL while you click the other slides.

Next, click the "Design" tab at the top of your screen. In the "Background" group, click "Background Styles," then "Format Background."

In the window that appears, click "Fill," then "Picture or texture fill." To insert a picture from a file, click "File" and then locate and double-click the picture you want to insert. If you want to use this picture as a background for just the slides you selected, click "Close." If you want to use the picture as a background for all the slides in your presentation, click "Apply to All."

Filling In the Content

1. fill in the text on your slides using concise language..

Your slides are there to support your speech, not replace it. If your slides contain too much information -- like full sentences or (gasp) paragraphs -- then your audience members won't be able to help but read the slides instead of listening to you. Plus ... that's boring. Instead, use slides to enhance keywords and show visuals while you stand up there and do the real work: telling a story and describing your data.

When it comes to your slide text, focus on the main phrases of a bullet point, and cover details verbally. We recommend using up to three bullet points per slide and making any text as simple and concise as possible. A good rule of thumb is this: If you're using more than two lines per slide or per idea, then you've used too much text. Depending on the type of presentation, two lines might even be a little text-heavy.

Are you planning on sending your slides to your audience afterward? If you're concerned about putting enough information on the slides for people to understand your presentation when they go back to it later, you can always add little details into the slide notes in PowerPoint. You can find the Notes pane at the bottom of your PowerPoint screen, right below your slides. Click and drag the edge of the pane to make it larger or smaller.

2. Brainstorm your final title with someone else.

Once all your content is there, you're ready to finalize your title. First, refine your working title as best you can on your own. Is it compelling and interesting enough to engage your audience from the very start? Does it accurately reflect your presentation?

Filling In Your PowerPoint Design

1. choose a font that's easy to read..

Choose either one font to use throughout your presentation, or two (one for your headers and one for your body text) that contrast each other well. Here's a list of 35 beautiful fonts you can download for free to get you started.

If you decide on two fonts, your header font should be bold and eye-catching, and your body text font should be simple and easy to read. (For more guidance on what fonts work best together, take a look at this visual guide .)

2. Embed your font files.

Fonts changing from one computer to another is one of the most common problems PowerPoint presenters have -- and it can really mess up your presentation and flow. What's actually happening in this case is not that the fonts are changing; it's that the presentation computer just doesn’t have the same font files installed .

If you’re using a PC and presenting on a PC, then there is a smooth workaround for this issue. When you involve Mac systems, the solution is a bit rougher.

On a PC: When you save your PowerPoint file, click "Save As" and then "Save Options." Then, select the "Embed TrueType fonts" check box and press "OK." Now, your presentation will keep the font file and your fonts will not change when you move computers (unless you give your presentation on a Mac).

On a Mac: In PowerPoint for Mac, there's no option to embed fonts within the presentation. So unless you use ubiquitous typefaces like Arial or Tahoma, your PowerPoint is likely going to encounter font changes on different computers. The best way to avoid this is to save the final version of your presentation slides as JPEGs, and then insert those JPEGs onto your PowerPoint slides. In other words, make each slide a JPEG picture of your slide. (Note that the file size of your PowerPoint will increase if your presentation includes a lot of JPEGs.)

Mac users can easily drag and drop the JPEGs into PowerPoint. If you don't use actions in your presentation, then this option works especially well.

If you want your presentation to appear "animated," then you'll need to do a little tinkering. All you need to do is save JPEGs of each "frame" of the animation. Then, in your final presentation, you'll just display those JPEGs in the order you'd like the animation to appear. While you'll technically have several new slides in place of one original one, your audience won't know the difference.

If you're a Mac user and want to use this option, then be sure to add this to your checklist as the final step.

3. Adjust the font sizes.

Once you've chosen your font, you can start playing around with font size. Carefully choose the font sizes for headers and text, and consistently use the same font face and sizes on all your slides to keep things clean and legible. Be sure your font is big enough so even the audience members in the way back of the room can read them.

4. Adjust line and character spacing.

The biggest PowerPoint no-no is using too much text on a slide. The most effective slides use text sparingly and present it in a way that's easy to read. One trick to make text more legible without changing the font size or layout is to increase or decrease the space between each line and each letter.

To adjust line spacing:

Select the text you'd like to adjust. On the "Home" tab, in the "Paragraph" group, click "Line Spacing" and choose "Line Spacing Options." In the Paragraph dialog box's "Spacing" section, click the "Line Spacing" dropdown list and choose "Exactly." In the "At" text box, adjust the value accordingly. Click "OK" to save your changes.

To adjust character spacing:

Select the text you want to change. Then, on the "Home" tab, find and click the "Font" button." Choose "Character Spacing Options" from the dropdown menu. Adjust spacing as needed.

5. Add images.

Great visual cues can have a huge impact on how well your audience understands your message. Using gorgeous images in a slide presentation is the perfect way to keep things interesting.

It's important, though, that you don't use images to decorate. This is a very common mistake. Remember: Images are meant to reinforce or complement your message, but they can be distracting. Focus on finding high resolution images so that they look good when expanded without becoming blurry or distorted.

Pro Tip: If you're finding that the background of an image is distracting, you can actually remove it before putting it into your presentation directly inside PowerPoint -- no Photoshop required. Read this blog post for instructions .

6. Use multimedia, but sparingly.

Using multimedia in your presentation, like video and audio, can be an effective way to capture your audience's attention and encourage retention of your message. In most cases, it's best to avoid using more than one or two video or audio clips so you don't detract from your talk or your message.

PowerPoint lets you either link to video/audio files externally, or embed the media directly in your presentation. You should embed these files if you can, but if you use a Mac, you cannot actually embed the video. We'll get to that in a second.

PC users: Here are two great reasons to embed your multimedia:

  • Embedding allows you to play media directly in your presentation. It'll look much more professional than switching between windows.
  • Embedding also means that the file stays within the PowerPoint presentation, so it should play normally without extra work (except on a Mac).

Mac users: You need to be extra careful about using multimedia files. You'll always need to bring the video and/or audio file with you in the same folder as the PowerPoint presentation. It’s best to only insert video or audio files once the presentation and the containing folder have been saved on a portable drive in their permanent folder. You can also record voiceovers for your presentation or hire a voice actor through Voice123 .

If your presentation is going to be played on a Windows computer, then Mac users need to make sure their multimedia files are in WMV format . That can get complicated, so if you want to use PowerPoint effectively, consider using the same operating system for designing and presenting no matter what (if that's something you can control).

7. Design your title slide.

The title of your presentation is often the first impression it gives off -- especially if it's going to be on display as people file in to your presentation -- so it's important to put some time and careful thought into its design.

8. Add any consistent elements, like your company logo.

There's a reason this is at the end. If you add things like your logo that you want to be in the same place on every slide, any adjustments you make to individual slides could slightly alter the alignment ... and you'll have to go back and adjust them all over again.

Preparing For the Presentation

1. review and edit your slides..

Spend some time on your own flipping through your slides while practicing your talk. Make sure you can check all of the following off the list:

  • Your slides flow well and align with your talk.
  • Your slides are free of all grammatical, formatting, or design errors.
  • Your multimedia files work.
  • You've double-checked any mathematical calculations you made yourself.
  • You've properly attributed any statistics, data, quotes, ideas, etc. to the original source.
  • You've double-checked you're actually allowed to use the photos/images you used . (Don't skip this step. Here's a cautionary tale about internet copyright law .)
  • You're sure nothing in your presentation could potentially harm any of your partners, stakeholders, audience members, or your company.
  • You've checked with a friend that nothing in your presentation might offend certain people in your audience -- or, if so, that it's worth it.

2. Know your slides inside out.

The best presenters don't read off your slides, so it's important to prepare and practice your presentation ahead of time. You never want to be the person finalizing your talk or presentation half an hour before an event ... that's just poor planning. Plus, what if the projector fails and you have to give your talk without slides? It can happen, and if does, you'll be incredibly happy you spent so much time preparing.

3. Practice using "presenter view."

Depending on the venue, you might have a presenter's screen available to you in addition to the main projected display that your audience can see. PowerPoint has a great tool called "Presenter View," which includes an area for notes, a timer/clock, a presentation display, and a preview of the next slide.

Make sure "Presenter View" is turned on by selecting it in the "Slide Show" tab of your PowerPoint.

To practice using "Presenter View," open the "Slide Show" tab within PowerPoint. In the "Presenter Tools" box, click "Presenter View."

4. Bring your own laptop and a backup copy of your presentation.

This isn't just a bonus step -- it's an essential one. Technology can mess up on you, and you need to be prepared. Between operating systems or even between different versions of Microsoft Office, PowerPoint can get a little wonky. One way to avoid problems is to ensure you have all the right hardware with you. Bring along your own laptop when you're presenting, just in case.

Even if you bring your laptop, but especially if you for some reason cannot, bring a backup copy of your PowerPoint file on a flash drive.

Who is your audience? 

As for every marketing endeavor, the same goes for presentations —know your audience. It does not have to be exact research, but you must know the overall information. 

Age, profession, interests—the more you connect with your audience the more memorable will your presentation be. 

No matter the goal of the presentation, during your pitch, the audience is your client. And as a famous saying goes, “know your client”.

What are the main points?

Right at the beginning, establish the main points that you want your audience to remember. If I would ask one of the presentation participants in a week what was your pitch about—what would he/she answer? 

Presentation style

There are many ways how you can style (structure) your presentation. Which approach you will choose hugely depends on what is required from you. Let’s go over some of the most popular styles of the presentation: 

  • Short Presentation 

If you are one of many presenters that day, you will have a very limited amount of time to present your idea. In addition to that, you may be speaking after many people. So at this point, the audience is already tired and it is important for you to stand out.

In this situation, you must compress your ideas to as few points as possible. Your presentation will probably not have more than 3-5 slides. On these slides, only the main points will be included.

  • Guest Presenter

If you are one of the main participants of the program, you will have more time to present. Though it may not seem so, it is much easier to prepare for a longer presentation than for a short one. 

In this case, you may add more points to each slide, and speak more freely on the topic. 

  • Problem Solving

You may see this approach frequently on TED. Presenters briefly talk about themselves, then they describe the problem that exists there.

To emphasize its importance, they also describe the possible impacts of the problem not being solved. After the stage is set, they describe how they would solve it. 

  • Storytelling

We frequently see this approach in various motivational presentations. Storytelling is a great way to emotionally connect with the audience. All the stories start with an underdog. Why? Because everybody can relate. 

They go through struggles, setbacks, problems. Again—everyone can relate. They end with catharsis in a form of success or justice. For the last part, not many can relate but they can emotionally resonate with it as they too would like such an outcome for themselves. 

  • Demonstration

We all remember the presentation of the iPhone by Steve Jobs in 2007:

Or the unveiling of the Tesla 3 model by Elon Musk:

Rather than the speaker, the center stage is given to the product. This is what good demonstration-presentation should look like.  

The main topic becomes the product, so all the tips that we will discuss in this post must be related to it. 

There are many other niche styles of the presentation, but most of the ones you see (and do) will fall into one of the described categories. 

So since we established the main presentation styles, let’s dive a bit deeper into the way a good presentation would be structured.

Presentation Structure

While in the previous section we established what and to who we will be presenting. In this section, we will go over the main flow of your presentation.

In this section, I will use some examples. All of them come from Piktochart, and they are of course done for illustration purposes only—so please do not judge my creations too critically.

Also, for each section, I will be using a different visual template. Your presentation should of course be coherent in terms of style! 

  • Cover Slide

Through your presentation, you are telling a story and all good stories start at the beginning. Cover slides look professional when you present and they are a must when you are printing or sending.

Nothing too complicated. Brief and to the point. The cover slide is there to establish the topic (or that audience knows that they are in the right room) and set an overall tone to the presentation. 

If you have a longer presentation, an agenda slide should be included. Sure, if you are going with a 5-minute sales pitch—skip this, but it is good to let your audience know what you will cover and how much time it will take.

  • Profile Slide

It is important to establish authority with your audience. Why should they listen to you? What qualifications or experiences do you have? 

The profile slide is a great tool to establish your background and also to connect a bit.

I am not a big fan of jokes in presentations. Particularly when speaking to a bigger audience. What may seem like a witty joke to you, may be taken as not funny or even insulting by your audience. 

But if I would be considering a small joke, it would be in the profile slide. Do not overdo it, or don’t it at all if you are not sure about it. 

  • The Problem

The common pleasantries are behind us and now we are getting to the main part of a good presentation. It opens with The Problem.

For this post, I will not be explaining how to present a quarterly financial report (you may find plenty of report presentations here). But (as you may have noticed) we are rather having a look at how a sales deck, investment pitch, or product presentation may look like.

The problem slide will set out the main point of the presentation. This is when you are trying to seriously connect with your audience. 

In the case of a pitch—you are trying to present the problem in such a way that many people can relate to it. If nobody can relate—nobody will be interested. 

If you are just doing a presentation on the topic (not a sales pitch), you might want to draft this in a way that will explain the overall environment of the topic that you are to tell about—to set the tone of the whole presentation. 

The Solution

After the tone of the presentation is set, or in the case of a pitch—the problem is explained, it is time to deliver what everybody is here for. For the pitch it would be the solution, for the overall presentation—it would be just an explanation of things (or possibly your personal view on the matter).

As with everything else, the provided solution/explanation must be as simple as possible. It must directly tackle the problem/the tone of the presentation that you‘ve set in the earlier slide. 

The Conclusion Slide

After the main talk is done, close the presentation with the final slide. One of the teachings of leadership books (or pseudo-teachings) is that even if you are silent for the whole meeting, but in the end, you recap all that was said by others—you will be seen as a leader. 

Closing statement matters. Ending with a properly chosen inspirational quote is something that worked well for me.

Of course, it will depend on the overall theme and tone of your presentation. But first and last impressions matter. So make sure you close on a strong note. 

Right before the closing slide, it is good to set up a “stop slide” which will remind you that now is a good time to take some questions.

You may start with a couple of pre-written questions to get the discussion going and then see if there are some questions from the public. 

Closing Slide

The final slide of your presentation will be the one with Thank You note and contact information.

Make sure that you include the contact information, so you make it easier for everyone to find you. 

That is it. While it may seem like a lot of work, with Piktochart templates you will be much quicker. The brief slides that you see above took me a couple of minutes to make. 

So while we have the main structure of the presentation behind us, let’s have a look at some actionable tips that you should think of when preparing for your event or a webinar.

Presentation Tips

No matter what type of presentation awaits you, here are some presentation tips that will hopefully help you as much as they helped me:

  • When designing your presentation, make sure to leave space on the left or upper side. This will serve you well if you have to print and bind your presentation. 
  • Font type matters . It sets the tone for your presentation. Piktochart has lots of great combinations to choose from, but when in doubt, Helvetica and possibly Verdana will always look good. For tables with lots of numbers, Arial will be both readable and will fit the cells. 
  • This will force you to put less text on the slide. 
  • Always imagine that you are a 50+ investor sitting in a back row. How readable is your presentation for him/her? 
  • In small groups, take questions as you go . It will help you develop the topic and better feel out what your listeners are thinking about (worried about).
  • In bigger groups, leave the Q&A to the end of the presentation . Otherwise, it will be too messy and you will constantly get interrupted.
  • The presentation podium is an enemy . It will make you stand in one spot, with no movement, and monotonously monolog through your presentation. Do not do it. 
  • Use your voice . It is said that to get into the meditative state of trance, you have to hum on the same low frequency. You do not want that to happen to your listeners right? Do not be overly dramatic or emotional, but do not be afraid to give a rhetorical question or to give color to your presentation with the proper use of your voice. 
  • Do not read from your presentation . Your slides are there just so you can keep track of where you are in your story. Pay attention to the audience, not the presentation.
  • If possible, do not give out your presentation in advance . Your audience will read through it, make their conclusion about it and you will have no chance to explain all the nuances. 

The hardest part of a presentation is to start. When you are staring at a blank slide, it seems like it just can’t be done. You do not know where to put the pictures, how the titles should be, how the text will be laid out.

13.6 Creating an Informative Presentation

An informational presentation is a common request in business and industry. It’s the verbal and visual equivalent of a written report. Informative presentations serve to present information for specific audiences and meet specific goals or functions. Table 7.1 below describes five main parts of a presentation to inform.

Imagine that you have been assigned to give an informative presentation lasting five to seven minutes. Follow the guidelines in Table 7.2 below and apply them to your presentation.

Topic Choose a product or service that interests you (if you have the option of choice) and report findings in your speech. Even if you are assigned a topic, find an aspect or angle that is of interest to research.
Purpose Your general purpose, of course, is to inform. But you need to formulate a more specific purpose statement that expresses a point you have to make about your topic—what you hope to accomplish in your speech.
Audience Think about what your audience might already know about your topic and what they may not know, and perhaps any attitudes toward or concerns about it. Consider how this may affect the way that you will present your information.

Structuring your presentation is pivotal in ensuring that your information is conveyed effectively and coherently.

A well-structured presentation guides your audience through the content logically, making it easier for them to follow and retain the information. 

Start with a clear introduction that sets the context and outlines the objectives of the presentation. This could include a brief overview of the topic, the key questions you’ll address, or the main points you plan to cover. 

The body of your presentation should then follow a logical sequence, with each point or idea building upon the previous one. 

It’s crucial here to segment the information into digestible chunks, using headings or transitions to signal shifts in focus or new sections.

For example, in a presentation on climate change, you might start with an introduction that highlights the current state of the global climate, followed by sections detailing causes, impacts, and potential solutions.  Each section should be clearly defined and flow naturally into the next. Similarly, in a corporate training presentation on new software, start with an introduction to the software, followed by sections on its features, usage, and benefits.  Conclude with a summary that reinforces the key takeaways and, if applicable, a call to action. This structured approach not only aids in delivering the content more effectively but also helps the audience to process and remember the information presented.

Planning and Presenting an Informative Speech

In this guide, you can learn about the purposes and types of informative speeches, about writing and delivering informative speeches, and about the parts of informative speeches.

Purposes of Informative Speaking

Informative speaking offers you an opportunity to practice your researching, writing, organizing, and speaking skills. You will learn how to discover and present information clearly. If you take the time to thoroughly research and understand your topic, to create a clearly organized speech, and to practice an enthusiastic, dynamic style of delivery, you can be an effective "teacher" during your informative speech. Finally, you will get a chance to practice a type of speaking you will undoubtedly use later in your professional career.

The purpose of the informative speech is to provide interesting, useful, and unique information to your audience. By dedicating yourself to the goals of providing information and appealing to your audience, you can take a positive step toward succeeding in your efforts as an informative speaker.

Major Types of Informative Speeches

In this guide, we focus on informative speeches about:

These categories provide an effective method of organizing and evaluating informative speeches. Although they are not absolute, these categories provide a useful starting point for work on your speech.

In general, you will use four major types of informative speeches. While you can classify informative speeches many ways, the speech you deliver will fit into one of four major categories.

Speeches about Objects

Speeches about objects focus on things existing in the world. Objects include, among other things, people, places, animals, or products.

Because you are speaking under time constraints, you cannot discuss any topic in its entirety. Instead, limit your speech to a focused discussion of some aspect of your topic.

Some example topics for speeches about objects include: the Central Intelligence Agency, tombstones, surgical lasers, Franklin Delano Roosevelt, the pituitary gland, and lemmings.

To focus these topics, you could give a speech about Franklin Delano Roosevelt and efforts to conceal how he suffered from polio while he was in office. Or, a speech about tombstones could focus on the creation and original designs of grave markers.

Speeches about Processes

Speeches about processes focus on patterns of action. One type of speech about processes, the demonstration speech, teaches people "how-to" perform a process. More frequently, however, you will use process speeches to explain a process in broader terms. This way, the audience is more likely to understand the importance or the context of the process.

A speech about how milk is pasteurized would not teach the audience how to milk cows. Rather, this speech could help audience members understand the process by making explicit connections between patterns of action (the pasteurization process) and outcomes (a safe milk supply).

Other examples of speeches about processes include: how the Internet works (not "how to work the Internet"), how to construct a good informative speech, and how to research the job market. As with any speech, be sure to limit your discussion to information you can explain clearly and completely within time constraints.

Speeches about Events

Speeches about events focus on things that happened, are happening, or will happen. When speaking about an event, remember to relate the topic to your audience. A speech chronicling history is informative, but you should adapt the information to your audience and provide them with some way to use the information. As always, limit your focus to those aspects of an event that can be adequately discussed within the time limitations of your assignment.

Examples of speeches about events include: the 1963 Civil Rights March on Washington, Groundhog's Day, the Battle of the Bulge, the World Series, and the 2000 Presidential Elections.

Speeches about Concepts

Speeches about concepts focus on beliefs, ideas, and theories. While speeches about objects, processes, and events are fairly concrete, speeches about concepts are more abstract. Take care to be clear and understandable when creating and presenting a speech about a concept. When selecting a concept, remember you are crafting an informative speech. Often, speeches about concepts take on a persuasive tone. Focus your efforts toward providing unbiased information and refrain from making arguments. Because concepts can be vague and involved, limit your speech to aspects that can be readily explained and understood within the time limits.

Some examples of topics for concept speeches include: democracy, Taoism, principles of feminism, the philosophy of non-violent protest, and the Big Bang theory.

Strategies for Selecting a Topic

In many cases, circumstances will dictate the topic of your speech. However, if the topic has not been assigned or if you are having difficulty figuring out how to frame your topic as an informative speech,the following may be useful.

Begin by thinking of your interests. If you have always loved art, contemplate possible topics dealing with famous artists, art works, or different types of art. If you are employed, think of aspects of your job or aspects of your employer's business that would be interesting to talk about. While you cannot substitute personal experience for detailed research, your own experience can supplement your research and add vitality to your presentation. Choose one of the items below to learn more about selecting a topic.

Learn More about an Unfamiliar Topic

You may benefit more by selecting an unfamiliar topic that interests you. You can challenge yourself by choosing a topic you'd like to learn about and to help others understand it. If the Buddhist religion has always been an interesting and mysterious topic to you, research the topic and create a speech that offers an understandable introduction to the religion. Remember to adapt Buddhism to your audience and tell them why you think this information is useful to them. By taking this approach, you can learn something new and learn how to synthesize new information for your audience.

Think about Previous Classes

You might find a topic by thinking of classes you have taken. Think back to concepts covered in those classes and consider whether they would serve as unique, interesting, and enlightening topics for the informative speech. In astronomy, you learned about red giants. In history, you learned about Napoleon. In political science, you learned about The Federalist Papers. Past classes serve as rich resources for informative speech topics. If you make this choice, use your class notes and textbook as a starting point. To fully develop the content, you will need to do extensive research and perhaps even a few interviews.

Talk to Others

Topic selection does not have to be an individual effort. Spend time talking about potential topics with classmates or friends. This method can be extremely effective because other people can stimulate further ideas when you get stuck. When you use this method, always keep the basic requirements and the audience in mind. Just because you and your friend think home-brew is a great topic does not mean it will enthrall your audience or impress your instructor. While you talk with your classmates or friends, jot notes about potential topics and create a master list when you exhaust the possibilities. From this list, choose a topic with intellectual merit, originality, and potential to entertain while informing.

Framing a Thesis Statement

Once you settle on a topic, you need to frame a thesis statement. Framing a thesis statement allows you to narrow your topic, and in turns allows you to focus your research in this specific area, saving you time and trouble in the process.

Selecting a topic and focusing it into a thesis statement can be a difficult process. Fortunately, a number of useful strategies are available to you.

Thesis Statement Purpose

The thesis statement is crucial for clearly communicating your topic and purpose to the audience. Be sure to make the statement clear, concise, and easy to remember. Deliver it to the audience and use verbal and nonverbal illustrations to make it stand out.

Strategies For Framing a Thesis Statement

Focus on a specific aspect of your topic and phrase the thesis statement in one clear, concise, complete sentence, focusing on the audience. This sentence sets a goal for the speech. For example, in a speech about art, the thesis statement might be: "The purpose of this speech is to inform my audience about the early works of Vincent van Gogh." This statement establishes that the speech will inform the audience about the early works of one great artist. The thesis statement is worded conversationally and included in the delivery of the speech.

Thesis Statement and Audience

The thesis appears in the introduction of the speech so that the audience immediately realizes the speaker's topic and goal. Whatever the topic may be, you should attempt to create a clear, focused thesis statement that stands out and could be repeated by every member of your audience. It is important to refer to the audience in the thesis statement; when you look back at the thesis for direction, or when the audience hears the thesis, it should be clear that the most important goal of your speech is to inform the audience about your topic. While the focus and pressure will be on you as a speaker, you should always remember that the audience is the reason for presenting a public speech.

Avoid being too trivial or basic for the average audience member. At the same time, avoid being too technical for the average audience member. Be sure to use specific, concrete terms that clearly establish the focus of your speech.

Thesis Statement and Delivery

When creating the thesis statement, be sure to use a full sentence and frame that sentence as a statement, not as a question. The full sentence, "The purpose of this speech is to inform my audience about the early works of Vincent van Gogh," provides clear direction for the speech, whereas the fragment "van Gogh" says very little about the purpose of the speech. Similarly, the question "Who was Vincent van Gogh?" does not adequately indicate the direction the speech will take or what the speaker hopes to accomplish.

If you limit your thesis statement to one distinct aspect of the larger topic, you are more likely to be understood and to meet the time constraints.

Researching Your Topic

As you begin to work on your informative speech, you will find that you need to gather additional information. Your instructor will most likely require that you locate relevant materials in the library and cite those materials in your speech. In this section, we discuss the process of researching your topic and thesis.

Conducting research for a major informative speech can be a daunting task. In this section, we discuss a number of strategies and techniques that you can use to gather and organize source materials for your speech.

Gathering Materials

Gathering materials can be a daunting task. You may want to do some research before you choose a topic. Once you have a topic, you have many options for finding information. You can conduct interviews, write or call for information from a clearinghouse or public relations office, and consult books, magazines, journals, newspapers, television and radio programs, and government documents. The library will probably be your primary source of information. You can use many of the libraries databases or talk to a reference librarian to learn how to conduct efficient research.

Taking Notes

While doing your research, you may want to carry notecards. When you come across a useful passage, copy the source and the information onto the notecard or copy and paste the information. You should maintain a working bibliography as you research so you always know which sources you have consulted and so the process of writing citations into the speech and creating the bibliography will be easier. You'll need to determine what information-recording strategies work best for you. Talk to other students, instructors, and librarians to get tips on conducting efficient research. Spend time refining your system and you will soon be able to focus on the information instead of the record-keeping tasks.

Citing Sources Within Your Speech

Consult with your instructor to determine how much research/source information should be included in your speech. Realize that a source citation within your speech is defined as a reference to or quotation from material you have gathered during your research and an acknowledgement of the source. For example, within your speech you might say: "As John W. Bobbitt said in the December 22, 1993, edition of the Denver Post , 'Ouch!'" In this case, you have included a direct quotation and provided the source of the quotation. If you do not quote someone, you might say: "After the first week of the 1995 baseball season, attendance was down 13.5% from 1994. This statistic appeared in the May 7, 1995, edition of the Denver Post ." Whatever the case, whenever you use someone else's ideas, thoughts, or words, you must provide a source citation to give proper credit to the creator of the information. Failure to cite sources can be interpreted as plagiarism which is a serious offense. Upon review of the specific case, plagiarism can result in failure of the assignment, the course, or even dismissal from the University. Take care to cite your sources and give credit where it is due.

Creating Your Bibliography

As with all aspects of your speech, be sure to check with your instructor to get specific details about the assignment.

Generally, the bibliography includes only those sources you cited during the speech. Don't pad the bibliography with every source you read, saw on the shelf, or heard of from friends. When you create the bibliography, you should simply go through your complete sentence outline and list each source you cite. This is also a good way to check if you have included enough reference material within the speech. You will need to alphabetize the bibiography by authors last name and include the following information: author's name, article title, publication title, volume, date, page number(s). You may need to include additional information; you need to talk with your instructor to confirm the required bibliographical format.

Some Cautions

When doing research, use caution in choosing your sources. You need to determine which sources are more credible than others and attempt to use a wide variety of materials. The broader the scope of your research, the more impressive and believable your information. You should draw from different sources (e.g., a variety of magazines-- Time, Newsweek, US News & World Report, National Review, Mother Jones ) as well as different types of sources (i.e., use interviews, newspapers, periodicals, and books instead of just newspapers). The greater your variety, the more apparent your hard work and effort will be. Solid research skills result in increased credibility and effectiveness for the speaker.

Structuring an Informative Speech

Typically, informative speeches have three parts:

Introduction

In this section, we discuss the three parts of an informative speech, calling attention to specific elements that can enhance the effectiveness of your speech. As a speaker, you will want to create a clear structure for your speech. In this section, you will find discussions of the major parts of the informative speech.

The introduction sets the tone of the entire speech. The introduction should be brief and to-the-point as it accomplishes these several important tasks. Typically, there are six main components of an effective introduction:

Attention Getters

Thesis statement, audience adaptation, credibility statement, transition to the body.

As in any social situation, your audience makes strong assumptions about you during the first eight or ten seconds of your speech. For this reason, you need to start solidly and launch the topic clearly. Focus your efforts on completing these tasks and moving on to the real information (the body) of the speech. Typically, there are six main components of an effective introduction. These tasks do not have to be handled in this order, but this layout often yields the best results.

The attention-getter is designed to intrigue the audience members and to motivate them to listen attentively for the next several minutes. There are infinite possibilities for attention-getting devices. Some of the more common devices include using a story, a rhetorical question, or a quotation. While any of these devices can be effective, it is important for you to spend time strategizing, creating, and practicing the attention-getter.

Most importantly, an attention-getter should create curiosity in the minds of your listeners and convince them that the speech will be interesting and useful. The wording of your attention-getter should be refined and practiced. Be sure to consider the mood/tone of your speech; determine the appropriateness of humor, emotion, aggressiveness, etc. Not only should the words get the audiences attention, but your delivery should be smooth and confident to let the audience know that you are a skilled speaker who is prepared for this speech.

The crowd was wild. The music was booming. The sun was shining. The cash registers were ringing.

This story-like re-creation of the scene at a Farm Aid concert serves to engage the audience and causes them to think about the situation you are describing. Touching stories or stories that make audience members feel involved with the topic serve as good attention-getters. You should tell a story with feeling and deliver it directly to the audience instead of reading it off your notecards.

Example Text : One dark summer night in 1849, a young woman in her 20's left Bucktown, Maryland, and followed the North Star. What was her name? Harriet Tubman. She went back some 19 times to rescue her fellow slaves. And as James Blockson relates in a 1984 issue of National Geographic , by the end of her career, she had a $40,000.00 price on her head. This was quite a compliment from her enemies (Blockson 22).

Rhetorical Question

Rhetorical questions are questions designed to arouse curiosity without requiring an answer. Either the answer will be obvious, or if it isn't apparent, the question will arouse curiosity until the presentation provides the answer.

An example of a rhetorical question to gain the audiences attention for a speech about fly-fishing is, "Have you ever stood in a freezing river at 5 o'clock in the morning by choice?"

Example Text: Have you ever heard of a railroad with no tracks, with secret stations, and whose conductors were considered criminals?

A quotation from a famous person or from an expert on your topic can gain the attention of the audience. The use of a quotation immediately launches you into the speech and focuses the audience on your topic area. If it is from a well-known source, cite the author first. If the source is obscure, begin with the quote itself.

Example Text : "No day dawns for the slave, nor is it looked for. It is all night--night forever . . . ." (Pause) This quote was taken from Jermain Loguen, a fugitive who was the son of his Tennessee master and a slave woman.

Unusual Statement

Making a statement that is unusual to the ears of your listeners is another possibility for gaining their attention.

Example Text : "Follow the drinking gourd. That's what I said, friend, follow the drinking gourd." This phrase was used by slaves as a coded message to mean the Big Dipper, which revealed the North Star, and pointed toward freedom.

You might chose to use tasteful humor which relates to the topic as an effective way to attract the audience both to you and the subject at hand.

Example Text : "I'm feeling boxed in." [PAUSE] I'm not sure, but these may have been Henry "Box" Brown's very words after being placed on his head inside a box which measured 3 feet by 2 feet by 2 1\2 feet for what seemed to him like "an hour and a half." He was shipped by Adams Express to freedom in Philadelphia (Brown 60,92; Still 10).

Shocking Statistic

Another possibility to consider is the use of a factual statistic intended to grab your listener's attention. As you research the topic you've picked, keep your eyes open for statistics that will have impact.

Example Text : Today, John Elway's talents are worth millions, but in 1840 the price of a human life, a slave, was worth $1,000.00.

Example Text : Today I'd like to tell you about the Underground Railroad.

In your introduction, you need to adapt your speech to your audience. To keep audience members interested, tell them why your topic is important to them. To accomplish this task, you need to undertake audience analysis prior to creating the speech. Figure out who your audience members are, what things are important to them, what their biases may be, and what types of subjects/issues appeal to them. In the context of this class, some of your audience analysis is provided for you--most of your listeners are college students, so it is likely that they place some value on education, most of them are probably not bathing in money, and they live in Colorado. Consider these traits when you determine how to adapt to your audience.

As you research and write your speech, take note of references to issues that should be important to your audience. Include statements about aspects of your speech that you think will be of special interest to the audience in the introduction. By accomplishing this task, you give your listeners specific things with which they can identify. Audience adaptation will be included throughout the speech, but an effective introduction requires meaningful adaptation of the topic to the audience.

You need to find ways to get the members of your audience involved early in the speech. The following are some possible options to connect your speech to your audience:

Reference to the Occasion

Consider how the occasion itself might present an opportunity to heighten audience receptivity. Remind your listeners of an important date just passed or coming soon.

Example Text : This January will mark the 130th anniversary of a "giant interracial rally" organized by William Still which helped to end streetcar segregation in the city of Philadelphia (Katz i).

Reference to the Previous Speaker

Another possibility is to refer to a previous speaker to capitalize on the good will which already has been established or to build on the information presented.

Example Text : As Alice pointed out last week in her speech on the Olympic games of the ancient world, history can provide us with fascinating lessons.

The credibility statement establishes your qualifications as a speaker. You should come up with reasons why you are someone to listen to on this topic. Why do you have special knowledge or understanding of this topic? What can the audience learn from you that they couldn't learn from someone else? Credibility statements can refer to your extensive research on a topic, your life-long interest in an issue, your personal experience with a thing, or your desire to better the lives of your listeners by sifting through the topic and providing the crucial information.

Remember that Aristotle said that credibility, or ethos, consists of good sense, goodwill, and good moral character. Create the feeling that you possess these qualities by creatively stating that you are well-educated about the topic (good sense), that you want to help each member of the audience (goodwill), and that you are a decent person who can be trusted (good moral character). Once you establish your credibility, the audience is more likely to listen to you as something of an expert and to consider what you say to be the truth. It is often effective to include further references to your credibility throughout the speech by subtly referring to the traits mentioned above.

Show your listeners that you are qualified to speak by making a specific reference to a helpful resource. This is one way to demonstrate competence.

Example Text : In doing research for this topic, I came across an account written by one of these heroes that has deepened my understanding of the institution of slavery. Frederick Douglass', My Bondage and My Freedom, is the account of a man whose master's kindness made his slavery only more unbearable.

Your listeners want to believe that you have their best interests in mind. In the case of an informative speech, it is enough to assure them that this will be an interesting speech and that you, yourself, are enthusiastic about the topic.

Example Text : I hope you'll enjoy hearing about the heroism of the Underground Railroad as much as I have enjoyed preparing for this speech.

Preview the Main Points

The preview informs the audience about the speech's main points. You should preview every main body point and identify each as a separate piece of the body. The purpose of this preview is to let the audience members prepare themselves for the flow of the speech; therefore, you should word the preview clearly and concisely. Attempt to use parallel structure for each part of the preview and avoid delving into the main point; simply tell the audience what the main point will be about in general.

Use the preview to briefly establish your structure and then move on. Let the audience get a taste of how you will divide the topic and fulfill the thesis and then move on. This important tool will reinforce the information in the minds of your listeners. Here are two examples of a preview:

Simply identify the main points of the speech. Cover them in the same order that they will appear in the body of the presentation.

For example, the preview for a speech about kites organized topically might take this form: "First, I will inform you about the invention of the kite. Then, I will explain the evolution of the kite. Third, I will introduce you to the different types of kites. Finally, I will inform you about various uses for kites." Notice that this preview avoids digressions (e.g., listing the various uses for kites); you will take care of the deeper information within the body of the speech.

Example Text : I'll tell you about motivations and means of escape employed by fugitive slaves.

Chronological

For example, the preview for a speech about the Pony Express organized chronologically might take this form: "I'll talk about the Pony Express in three parts. First, its origins, second, its heyday, and third, how it came to an end." Notice that this preview avoids digressions (e.g., listing the reasons why the Pony Express came to an end); you will cover the deeper information within the body of the speech.

After you accomplish the first five components of the introduction, you should make a clean transition to the body of the speech. Use this transition to signal a change and prepare the audience to begin processing specific topical information. You should round out the introduction, reinforce the excitement and interest that you created in the audience during the introduction, and slide into the first main body point.

Strategic organization helps increase the clarity and effectiveness of your speech. Four key issues are discussed in this section:

Organizational Patterns

Connective devices, references to outside research.

The body contains the bulk of information in your speech and needs to be clearly organized. Without clear organization, the audience will probably forget your information, main points, perhaps even your thesis. Some simple strategies will help you create a clear, memorable speech. Below are the four key issues used in organizing a speech.

Once you settle on a topic, you should decide which aspects of that topic are of greatest importance for your speech. These aspects become your main points. While there is no rule about how many main points should appear in the body of the speech, most students go with three main points. You must have at least two main points; aside from that rule, you should select your main points based on the importance of the information and the time limitations. Be sure to include whatever information is necessary for the audience to understand your topic. Also, be sure to synthesize the information so it fits into the assigned time frame. As you choose your main points, try to give each point equal attention within the speech. If you pick three main points, each point should take up roughly one-third of the body section of your speech.

There are four basic patterns of organization for an informative speech.

  • Chronological order
  • Spatial order
  • Causal order
  • Topical order

Chronological Order

A speech organized chronologically has main points oriented toward time. For example, a speech about the Farm Aid benefit concert could have main points organized chronologically. The first main point focuses on the creation of the event; the second main point focuses on the planning stages; the third point focuses on the actual performance/concert; and the fourth point focuses on donations and assistance that resulted from the entire process. In this format, you discuss main points in an order that could be followed on a calendar or a clock.

Spatial Order

A speech organized spatially has main points oriented toward space or a directional pattern. The Farm Aid speech's body could be organized in spatial order. The first main point discusses the New York branch of the organization; the second main point discusses the Midwest branch; the third main point discusses the California branch of Farm Aid. In this format, you discuss main points in an order that could be traced on a map.

Causal Order

A speech organized causally has main points oriented toward cause and effect. The main points of a Farm Aid speech organized causally could look like this: the first main point informs about problems on farms and the need for monetary assistance; the second main point discusses the creation and implementation of the Farm Aid program. In this format, you discuss main points in an order that alerts the audience to a problem or circumstance and then tells the audience what action resulted from the original circumstance.

Topical Order

A speech organized topically has main points organized more randomly by sub-topics. The Farm Aid speech could be organized topically: the first main point discusses Farm Aid administrators; the second main point discusses performers; the third main point discusses sponsors; the fourth main point discusses audiences. In this format, you discuss main points in a more random order that labels specific aspects of the topic and addresses them in separate categories. Most speeches that are not organized chronologically, spatially, or causally are organized topically.

Within the body of your speech, you need clear internal structure. Connectives are devices used to create a clear flow between ideas and points within the body of your speech--they serve to tie the speech together. There are four main types of connective devices:

Transitions

Internal previews, internal summaries.

Within the body of your speech, you need clear internal structure. Think of connectives as hooks and ladders for the audience to use when moving from point-to-point within the body of your speech. These devices help re-focus the minds of audience members and remind them of which main point your information is supporting. The four main types of connective devices are:

Transitions are brief statements that tell the audience to shift gears between ideas. Transitions serve as the glue that holds the speech together and allow the audience to predict where the next portion of the speech will go. For example, once you have previewed your main points and you want to move from the introduction to the body of the Farm Aid speech, you might say: "To gain an adequate understanding of the intricacies of this philanthropic group, we need to look at some specific information about Farm Aid. We'll begin by looking at the administrative branch of this massive fund-raising organization."

Internal previews are used to preview the parts of a main point. Internal previews are more focused than, but serve the same purpose as, the preview you will use in the introduction of the speech. For example, you might create an internal preview for the complex main point dealing with Farm Aid performers: "In examining the Farm Aid performers, we must acknowledge the presence of entertainers from different genres of music--country and western, rhythm and blues, rock, and pop." The internal preview provides specific information for the audience if a main point is complex or potentially confusing.

Internal summaries are the reverse of internal previews. Internal summaries restate specific parts of a main point. To internally summarize the main point dealing with Farm Aid performers, you might say: "You now know what types of people perform at the Farm Aid benefit concerts. The entertainers come from a wide range of musical genres--country and western, rhythm and blues, rock, and pop." When using both internal previews and internal summaries, be sure to stylize the language in each so you do not become redundant.

Signposts are brief statements that remind the audience where you are within the speech. If you have a long point, you may want to remind the audience of what main point you are on: "Continuing my discussion of Farm Aid performers . . . "

When organizing the body of your speech, you will integrate several references to your research. The purpose of the informative speech is to allow you and the audience to learn something new about a topic. Additionally, source citations add credibility to your ideas. If you know a lot about rock climbing and you cite several sources who confirm your knowledge, the audience is likely to see you as a credible speaker who provides ample support for ideas.

Without these references, your speech is more like a story or a chance for you to say a few things you know. To complete this assignment satisfactorily, you must use source citations. Consult your textbook and instructor for specific information on how much supporting material you should use and about the appropriate style for source citations.

While the conclusion should be brief and tight, it has a few specific tasks to accomplish:

Re-assert/Reinforce the Thesis

Review the main points, close effectively.

Take a deep breath! If you made it to the conclusion, you are on the brink of finishing. Below are the tasks you should complete in your conclusion:

When making the transition to the conclusion, attempt to make clear distinctions (verbally and nonverbally) that you are now wrapping up the information and providing final comments about the topic. Refer back to the thesis from the introduction with wording that calls the original thesis into memory. Assert that you have accomplished the goals of your thesis statement and create the feeling that audience members who actively considered your information are now equipped with an understanding of your topic. Reinforce whatever mood/tone you chose for the speech and attempt to create a big picture of the speech.

Within the conclusion, re-state the main points of the speech. Since you have used parallel wording for your main points in the introduction and body, don't break that consistency in the conclusion. Frame the review so the audience will be reminded of the preview and the developed discussion of each main point. After the review, you may want to create a statement about why those main points fulfilled the goals of the speech.

Finish strongly. When you close your speech, craft statements that reinforce the message and leave the audience with a clear feeling about what was accomplished with your speech. You might finalize the adaptation by discussing the benefits of listening to the speech and explaining what you think audience members can do with the information.

Remember to maintain an informative tone for this speech. You should not persuade about beliefs or positions; rather, you should persuade the audience that the speech was worthwhile and useful. For greatest effect, create a closing line or paragraph that is artistic and effective. Much like the attention-getter, the closing line needs to be refined and practiced. Your close should stick with the audience and leave them interested in your topic. Take time to work on writing the close well and attempt to memorize it so you can directly address the audience and leave them thinking of you as a well-prepared, confident speaker.

Outlining an Informative Speech

Two types of outlines can help you prepare to deliver your speech. The complete sentence outline provides a useful means of checking the organization and content of your speech. The speaking outline is an essential aid for delivering your speech. In this section, we discuss both types of outlines.

The Complete Sentence Outline

A complete sentence outline may not be required for your presentation. The following information is useful, however, in helping you prepare your speech.

The complete sentence outline helps you organize your material and thoughts and it serves as an excellent copy for editing the speech. The complete sentence outline is just what it sounds like: an outline format including every complete sentence (not fragments or keywords) that will be delivered during your speech.

Writing the Outline

You should create headings for the introduction, body, and conclusion and clearly signal shifts between these main speech parts on the outline. Use standard outline format. For instance, you can use Roman numerals, letters, and numbers to label the parts of the outline. Organize the information so the major headings contain general information and the sub-headings become more specific as they descend. Think of the outline as a funnel: you should make broad, general claims at the top of each part of the outline and then tighten the information until you have exhausted the point. Do this with each section of the outline. Be sure to consult with your instructor about specific aspects of the outline and refer to your course book for further information and examples.

Using the Outline

If you use this outline as it is designed to be used, you will benefit from it. You should start the outline well before your speech day and give yourself plenty of time to revise it. Attempt to have the final, clean copies ready two or three days ahead of time, so you can spend a day or two before your speech working on delivery. Prepare the outline as if it were a final term paper.

The Speaking Outline

Depending upon the assignment and the instructor, you may use a speaking outline during your presentation. The following information will be helpful in preparing your speech through the use of a speaking outline.

This outline should be on notecards and should be a bare bones outline taken from the complete sentence outline. Think of the speaking outline as train tracks to guide you through the speech.

Many speakers find it helpful to highlight certain words/passages or to use different colors for different parts of the speech. You will probably want to write out long or cumbersome quotations along with your source citation. Many times, the hardest passages to learn are those you did not write but were spoken by someone else. Avoid the temptation to over-do the speaking outline; many speakers write too much on the cards and their grades suffer because they read from the cards.

The best strategy for becoming comfortable with a speaking outline is preparation. You should prepare well ahead of time and spend time working with the notecards and memorizing key sections of your speech (the introduction and conclusion, in particular). Try to become comfortable with the extemporaneous style of speaking. You should be able to look at a few keywords on your outline and deliver eloquent sentences because you are so familiar with your material. You should spend approximately 80% of your speech making eye-contact with your audience.

Delivering an Informative Speech

For many speakers, delivery is the most intimidating aspect of public speaking. Although there is no known cure for nervousness, you can make yourself much more comfortable by following a few basic delivery guidelines. In this section, we discuss those guidelines.

The Five-Step Method for Improving Delivery

  • Read aloud your full-sentence outline. Listen to what you are saying and adjust your language to achieve a good, clear, simple sentence structure.
  • Practice the speech repeatedly from the speaking outline. Become comfortable with your keywords to the point that what you say takes the form of an easy, natural conversation.
  • Practice the speech aloud...rehearse it until you are confident you have mastered the ideas you want to present. Do not be concerned about "getting it just right." Once you know the content, you will find the way that is most comfortable for you.
  • Practice in front of a mirror, tape record your practice, and/or present your speech to a friend. You are looking for feedback on rate of delivery, volume, pitch, non-verbal cues (gestures, card-usage, etc.), and eye-contact.
  • Do a dress rehearsal of the speech under conditions as close as possible to those of the actual speech. Practice the speech a day or two before in a classroom. Be sure to incorporate as many elements as possible in the dress rehearsal...especially visual aids.

It should be clear that coping with anxiety over delivering a speech requires significant advanced preparation. The speech needs to be completed several days beforehand so that you can effectively employ this five-step plan.

Never underestimate the power of great communication. It can help you land the job of your dreams, attract investors to back your idea, or elevate your stature within your organization. But while there are plenty of good speakers in the world, you can set yourself apart out by being the person who can deliver something great over and over. Here are a few tips for business professionals who want to move from being good speakers to great ones: be concise (the fewer words, the better); never use bullet points (photos and images paired together are more memorable); don’t underestimate the power of your voice (raise and lower it for emphasis); give your audience something extra (unexpected moments will grab their attention); rehearse (the best speakers are the best because they practice — a lot).

How to Write an Informative Speech

An informative speech tells an audience about a process, event, or concept. Whether you’re explaining how to grow a garden or describing a historical event, writing an informative speech is pretty straightforward. Knowing the topic inside and out is key, so start by conducting thorough research. Organize your speech logically so your audience can easily follow, and keep your language clear. Since speeches are recited out loud, be sure to set aside time after writing to perfect your delivery.

Researching the Topic

Step 1 Choose a subject that interests you if the topic isn’t assigned.

  • Suppose your prompt instructs you to inform the audience about a hobby or activity. Make a list of your clubs, sports, and other activities, and choose the one that interests you most. Then zoom in on one particular aspect or process to focus on in your speech.
  • For instance, if you like tennis, you can’t discuss every aspect of the sport in a single speech. Instead, you could focus on a specific technique, like serving the ball.

Step 2 Gather a variety...

  • For example, if your speech is about a historical event, find primary sources, like letters or newspaper articles published at the time of the event. Additionally, include secondary sources, such as scholarly articles written by experts on the event.
  • If you’re informing the audience about a medical condition, find information in medical encyclopedias, scientific journals, and government health websites.

Step 3 Form a clear understanding of the process or concept you’re describing.

  • For instance, if your speech is on growing plants from seeds, explain the process step-by-step to a friend or relative. Ask them if any parts in your explanation seemed muddy or vague.
  • Break down the material into simple terms, especially if you’re addressing a non-expert audience. Think about how you’d describe the topic to a grandparent or younger sibling. If you can’t avoid using jargon, be sure to define technical words in clear, simple terms.

Step 4 Come up with a thesis that concisely presents your speech’s purpose.

  • For example, if your speech is on the poet Charles Baudelaire, a strong thesis would be, “I am here to explain how city life and exotic travel shaped the key poetic themes of Charles Baudelaire’s work.”
  • While the goal of an informative speech isn't to make a defensible claim, your thesis still needs to be specific. For instance, “I’m going to talk about carburetors” is vague. “My purpose today is to explain how to take apart a variable choke carburetor” is more specific.

Step 5 Focus on informing your audience instead of persuading them.

  • For instance, a speech meant to persuade an audience to support a political stance would most likely include examples of pathos, or persuasive devices that appeal to the audience's emotions.
  • On the other hand, an informative speech on how to grow pitcher plants would present clear, objective steps. It wouldn't try to argue that growing pitcher plants is great or persuade listeners to grow pitcher plants.

Drafting Your Speech

Step 1 Write a bare...

  • Delivering memorized remarks instead of reading verbatim is more engaging. A section of a speaking outline would look like this: III. YMCA’s Focus on Healthy Living  A. Commitment to overall health: both body and mind  B. Programs that support commitment   1. Annual Kid’s Day   2. Fitness facilities   3. Classes and group activities

Step 2 Include a hook, thesis, and road map of your speech in the introduction.

  • For example, you could begin with, “Have you ever wondered how a figure skater could possibly jump, twist, and land on the thin blade of an ice skate? From proper technique to the physical forces at play, I’ll explain how world-class skaters achieve jaw-dropping jumps and spins.”
  • Once you've established your purpose, preview your speech: “After describing the basic technical aspects of jumping, I’ll discuss the physics behind jumps and spins. Finally, I’ll explain the 6 types of jumps and clarify why some are more difficult than others.”
  • Some people prefer to write the speech's body before the introduction. For others, writing the intro first helps them figure out how to organize the rest of the speech.

Step 3 Present your main ideas in a logically organized body.

  • For instance, if your speech is about the causes of World War I, start by discussing nationalism in the years prior to the war. Next, describe the assassination of Archduke Ferdinand, then explain how alliances pulled the major players into open warfare.
  • Transition smoothly between ideas so your audience can follow your speech. For example, write, “Now that we’ve covered how nationalism set the stage for international conflict, we can examine the event that directly led to the outbreak of World War I: the assassination of Archduke Franz Ferdinand. Step 4 Review your main points in the conclusion.

  • For instance, your conclusion could point out, “Examining the factors that set the stage for World War I shows how intense nationalism fueled the conflict. A century after the Great War, the struggle between nationalism and globalism continues to define international politics in the twenty-first century.”

Step 5 Write a complete draft to edit and memorize your speech.

  • Typically, speeches aren’t read verbatim. Instead, you’ll memorize the speech and use a bare bones outline to stay on track.

Avoid information overload: When you compose your speech, read out loud as you write. Focus on keeping your sentence structures simple and clear. Your audience will have a hard time following along if your language is too complicated. Perfecting Your Delivery

Step 1 Write the main points and helpful cues on notecards.

  • While it’s generally okay to use slightly different phrasing, try to stick to your complete outline as best you can. If you veer off too much or insert too many additional words, you could end up exceeding your time limit.
  • Keep in mind your speaking outline will help you stay focused. As for quotes and statistics, feel free to write them on your notecards for quick reference.

Memorization tip: Break up the speech into smaller parts, and memorize it section by section. Memorize 1 sentence then, when you feel confident, add the next. Continue practicing with gradually longer passages until you know the speech like the back of your hand.

Step 2 Project confidence with eye contact, gestures, and good posture.

  • Instead of slouching, stand up tall with your shoulders back. In addition to projecting confidence, good posture will help you breathe deeply to support your voice.

Step 3 Practice the speech in a mirror or to a friend.

  • Have them point out any spots that dragged or seemed disorganized. Ask if your tone was engaging, if you used body language effectively, and if your volume, pitch, and pacing need any tweaks.

Step 4 Make sure you stay within the time limit.

  • If you keep exceeding the time limit, review your complete sentence outline. Cut any fluff and simplify complicated phrases. If your speech isn’t long enough, look for areas that could use more detail or consider adding another section to the body.
  • Just make sure any content you add is relevant. For instance, if your speech on nationalism and World War I is 2 minutes too short, you could add a section about how nationalism manifested in specific countries, including Britain, Germany, Austria-Hungary, and Serbia.

Informative speeches are a cornerstone of effective communication, whether in educational settings, professional environments, or public forums.
