Defending Your Dissertation: A Guide

Dissertation defenses are daunting, and no wonder; it’s not a “dissertation discussion,” or a “dissertation dialogue.” The name alone implies that the dissertation you’ve spent the last x number of years working on is subject to attack. And if you don’t feel trepidation for semantic reasons, you might be nervous because you don’t know what to expect. Our imaginations are great at making The Unknown scarier than reality. The good news is that you’ll find in this newsletter article experts who can shed light on what dissertations defenses are really like, and what you can do to prepare for them.

The first thing you should know is that your defense has already begun. It started the minute you began working on your dissertation— maybe even in some of the classes you took beforehand that helped you formulate your ideas. This, according to Dr. Celeste Atkins, is why it’s so important to identify a good mentor early in graduate school.

“To me,” noted Dr. Atkins, who wrote her dissertation on how sociology faculty from traditionally marginalized backgrounds teach about privilege and inequality, “the most important part of the doctoral journey was finding an advisor who understood and supported what I wanted from my education and who was willing to challenge me and push me, while not delaying me.  I would encourage future PhDs to really take the time to get to know the faculty before choosing an advisor and to make sure that the members of their committee work well together.”

Your advisor will be the one who helps you refine arguments and strengthen your work so that by the time it reaches your dissertation committee, it’s ready. Next comes the writing process, which many students have said was the hardest part of their PhD. I’ve included this section on the writing process because this is where you’ll create all the material you’ll present during your defense, so it’s important to navigate it successfully. The writing process is intellectually grueling, it eats time and energy, and it’s where many students find themselves paddling frantically to avoid languishing in the “All-But-Dissertation” doldrums. The writing process is also likely to encroach on other parts of your life. For instance, Dr. Cynthia Trejo wrote her dissertation on college preparation for Latin American students while caring for a twelve-year-old, two adult children, and her aging parents—in the middle of a pandemic. When I asked Dr. Trejo how she did this, she replied:

“I don’t take the privilege of education for granted. My son knew I got up at 4:00 a.m. every morning, even on weekends, even on holidays; and it’s a blessing that he’s seen that work ethic and that dedication and the end result.”

Importantly, Dr. Trejo also exercised regularly and joined several online writing groups at UArizona. She mobilized her support network— her partner, parents, and even friends from high school to help care for her son.

The challenges you face during the writing process can vary by discipline. Jessika Iwanski is an MD/PhD student who in 2022 defended her dissertation on genetic mutations in sarcomeric proteins that lead to severe, neonatal dilated cardiomyopathy. She described her writing experience as “an intricate process of balancing many things at once with a deadline (defense day) that seems to be creeping up faster and faster— finishing up experiments, drafting the dissertation, preparing your presentation, filling out all the necessary documents for your defense and also, for MD/PhD students, beginning to reintegrate into the clinical world (reviewing your clinical knowledge and skill sets)!”

But no matter what your unique challenges are, writing a dissertation can take a toll on your mental health. Almost every student I spoke with said they saw a therapist and found their sessions enormously helpful. They also looked to the people in their lives for support. Dr. Betsy Labiner, who wrote her dissertation on Interiority, Truth, and Violence in Early Modern Drama, recommended, “Keep your loved ones close! This is so hard – the dissertation lends itself to isolation, especially in the final stages. Plus, a huge number of your family and friends simply won’t understand what you’re going through. But they love you and want to help and are great for getting you out of your head and into a space where you can enjoy life even when you feel like your dissertation is a flaming heap of trash.”

While you might sometimes feel like your dissertation is a flaming heap of trash, remember: a) no it’s not, you brilliant scholar, and b) the best dissertations aren’t necessarily perfect dissertations. According to Dr. Trejo, “The best dissertation is a done dissertation.” So don’t get hung up on perfecting every detail of your work. Think of your dissertation as a long-form assignment that you need to finish in order to move onto the next stage of your career. Many students continue revising after graduation and submit their work for publication or other professional objectives.

When you do finish writing your dissertation, it’s time to schedule your defense and invite friends and family to the part of the exam that’s open to the public. When that moment comes, how do you prepare to present your work and field questions about it?

“I reread my dissertation in full in one sitting,” said Dr. Labiner. “During all my time writing it, I’d never read more than one complete chapter at a time! It was a huge confidence boost to read my work in full and realize that I had produced a compelling, engaging, original argument.”

There are many other ways to prepare: create presentation slides and practice presenting them to friends or alone; think of questions you might be asked and answer them; think about what you want to wear or where you might want to sit (if you’re presenting on Zoom) that might give you a confidence boost. Iwanksi practiced presenting with her mentor and reviewed current papers to anticipate what questions her committee might ask.  If you want to really get in the zone, you can emulate Dr. Labiner and do a full dress rehearsal on Zoom the day before your defense.

But no matter what you do, you’ll still be nervous:

“I had a sense of the logistics, the timing, and so on, but I didn’t really have clear expectations outside of the structure. It was a sort of nebulous three hours in which I expected to be nauseatingly terrified,” recalled Dr. Labiner.

“I expected it to be terrifying, with lots of difficult questions and constructive criticism/comments given,” agreed Iwanski.

“I expected it to be very scary,” said Dr. Trejo.

“I expected it to be like I was on trial, and I’d have to defend myself and prove I deserved a PhD,” said Dr Atkins.

And, eventually, inexorably, it will be time to present.  

“It was actually very enjoyable” said Iwanski. “It was more of a celebration of years of work put into this project—not only by me but by my mentor, colleagues, lab members and collaborators! I felt very supported by all my committee members and, rather than it being a rapid fire of questions, it was more of a scientific discussion amongst colleagues who are passionate about heart disease and muscle biology.”

“I was anxious right when I logged on to the Zoom call for it,” said Dr. Labiner, “but I was blown away by the number of family and friends that showed up to support me. I had invited a lot of people who I didn’t at all think would come, but every single person I invited was there! Having about 40 guests – many of them joining from different states and several from different countries! – made me feel so loved and celebrated that my nerves were steadied very quickly. It also helped me go into ‘teaching mode’ about my work, so it felt like getting to lead a seminar on my most favorite literature.”

“In reality, my dissertation defense was similar to presenting at an academic conference,” said Dr. Atkins. “I went over my research in a practiced and organized way, and I fielded questions from the audience.

“It was a celebration and an important benchmark for me,” said Dr. Trejo. “It was a pretty happy day. Like the punctuation at the end of your sentence: this sentence is done; this journey is done. You can start the next sentence.”

If you're about to complete, or have ever completed a graduate degree, you have most likely come across the term "thesis defense." In many countries, to finish a graduate degree, you have to write a thesis .

A thesis is a large paper, or multi-chapter work, based on a topic relating to your field of study.

Once you hand in your thesis, you will be assigned a date to defend your work. Your thesis defense meeting usually consists of you and a committee of two or more professors working in your program. It may also include other people, like professionals from other colleges or those who are working in your field.

During your thesis defense, you will be asked questions about your work. The main purpose of your thesis defense is for the committee to make sure that you actually understand your field and focus area.

The questions are usually open-ended and require the student to think critically about their work. By the time of your thesis defense, your paper has already been evaluated. The questions asked are not designed so that you actually have to aggressively "defend" your work; often, your thesis defense is more of a formality required so that you can get your degree.

  • Check with your department about requirements and timing.
  • Re-read your thesis.
  • Anticipate questions and prepare for them.
  • Create a back-up plan to deal with technology hiccups.

How long your oral thesis defense is depends largely on the institution and requirements of your degree. It is best to consult your department or institution about this. In general, a thesis defense may take only 20 minutes, but it may also take two hours or more. The length also depends on how much time is allocated to the presentation and questioning part.

Tip: Check with your department or institution as soon as possible to determine the approved length for a thesis defense.

First of all, be aware that a thesis defense varies from country to country. This is just a general overview, but a thesis defense can take many different formats. Some are closed, others are public defenses. Some take place with two committee members, some with more examiners.

The same goes for the length of your thesis defense, as mentioned above. The most important first step for you is to clarify with your department what the structure of your thesis defense will look like. In general, your thesis defense will include:

  • your presentation of around 20-30 minutes
  • questions from the committee
  • questions from the audience (if the defense is public and the department allows it)

You might have to give a presentation, often with Powerpoint, Google slides, or Keynote slides. Make sure to prepare an appropriate amount of slides. A general rule is to use about 10 slides for a 20-minute presentation.

But that also depends on your specific topic and the way you present. The good news is that there will be plenty of time ahead of your thesis defense to prepare your slides and practice your presentation alone and in front of friends or family.

Tip: Practice delivering your thesis presentation in front of family, friends, or colleagues.

You can prepare your slides by using information from your thesis' first chapter (the overview of your thesis) as a framework or outline. Substantive information in your thesis should correspond with your slides.

The committee will ask questions about your work after you finish your presentation. The questions will most likely be about the core content of your thesis, such as what you learned from the study you conducted. Tip: Read your entire thesis in preparation of the questions, so you have a refreshed perspective on your work.

While you are preparing, you can create a list of possible questions and try to answer them. You can foresee many of the questions you will get by simply spending some time rereading your thesis.

Here are a few tips on how to prepare for your thesis defense:

You can absolutely prepare for most of the questions you will be asked. Read through your thesis and while you're reading it, create a list of possible questions. In addition, since you will know who will be on the committee, look at the academic expertise of the committee members. In what areas would they most likely be focused?

If possible, sit at other thesis defenses with these committee members to get a feel for how they ask and what they ask. As a graduate student, you should generally be adept at anticipating test questions, so use this advantage to gather as much information as possible before your thesis defense meeting.

Your thesis defense is a formal event, often the entire department or university is invited to participate. It signals a critical rite of passage for graduate students and faculty who have supported them throughout a long and challenging process.

While most universities don't have specific rules on how to dress for that event, do regard it with dignity and respect. This one might be a no-brainer, but know that you should dress as if you were on a job interview or delivering a paper at a conference.

It might help you deal with your stress before your thesis defense to entrust someone with the smaller but important responsibilities of your defense well ahead of schedule. This trusted person could be responsible for:

  • preparing the room of the day of defense
  • setting up equipment for the presentation
  • preparing and distributing handouts

Technology is unpredictable. Life is too. There are no guarantees that your Powerpoint presentation will work at all or look the way it is supposed to on the big screen. We've all been there. Make sure to have a plan B for these situations. Handouts can help when technology fails, and an additional clean shirt can save the day if you have a spill.

One of the scariest aspects of the defense is the possibility of being asked a question you can't answer. While you can prepare for some questions, you can never know exactly what the committee will ask.

There will always be gaps in your knowledge. But your thesis defense is not about being perfect and knowing everything, it's about how you deal with challenging situations. You are not expected to know everything.

James Hayton writes on his blog that examiners will sometimes even ask questions they don't know the answer to, out of curiosity, or because they want to see how you think. While it is ok sometimes to just say "I don't know", he advises to try something like "I don't know, but I would think [...] because of x and y, but you would need to do [...] in order to find out.” This shows that you have the ability to think as an academic.

You will be nervous. But your examiners will expect you to be nervous. Being well prepared can help minimize your stress, but do know that your examiners have seen this many times before and are willing to help, by repeating questions, for example. Dora Farkas at finishyourthesis.com notes that it’s a myth that thesis committees are out to get you.

Two common symptoms of being nervous are talking really fast and nervous laughs. Try to slow yourself down and take a deep breath. Remember what feels like hours to you are just a few seconds in real life.

  • Try meditational breathing right before your defense.
  • Get plenty of exercise and sleep in the weeks prior to your defense.
  • Have your clothes or other items you need ready to go the night before.
  • During your defense, allow yourself to process each question before answering.
  • Go to dinner with friends and family, or to a fun activity like mini-golf, after your defense.

Allow yourself to process each question, respond to it, and stop talking once you have responded. While a smile can often help dissolve a difficult situation, remember that nervous laughs can be irritating for your audience.

We all make mistakes and your thesis defense will not be perfect. However, careful preparation, mindfulness, and confidence can help you feel less stressful both before, and during, your defense.

Choosing your PhD examiners requires strategic thinking and insightful conversations with your supervisor. It’s a very important decision and can make your PhD defence much smoother. 

During my PhD, I chose examiners that I had cited and based my work on their preliminary investigations. 

But there are more things to think about before you write down their names!

If your thesis spans multiple disciplines, consider choosing examiners from each discipline; it ensures intricate knowledge of each field is utilized.

However, ensure these examiners are open-minded about cross-discipline work, as disciplines tend to have unique ways of presenting their findings.

Listen to your supervisor’s advice.

They have experience in these matters and know who would be best qualified to examine your work.

Even if a scholar is high-profile or an editor of a favored journal, they might not be suitable due to methodological differences or varying research approaches. 

Choosing the right examiner is crucial, as an ill-suited examiner could result in undesired outcomes. The goal is to establish a thoughtful academic conversation about your work.

How to Prepare for Dissertation Defense?

To prepare for your dissertation defense, start by understanding the specific requirements of your institute, as the process can vary across countries.

This could include:

  • a presentation,
  • a conversation with examiners,
  • or a combination of both.

Once you know what to expect, practice vigorously. This should not be your first time discussing your work with others – engage in academic conversation, seek feedback and address challenging questions prior to the defense.

Breakdown your thesis into sections and time yourself on each section to manage length. Focus on the key points and avoid irrelevant details.

Creating a mock defense will be helpful in managing time and getting familiar with the process.

Prepare for potential questions. It’s not about cramming as much information as possible, but about understanding your work inside out. Start by preparing answers to common defense questions. In case of an unexpected question, don’t rush to answer. Take a moment, write down key points, and formulate an organized response.

Remember that the defense is an opportunity to showcase years of hard work.

Be confident, and don’t forget to breathe!

How Long Do Dissertation Defenses Usually Last?

 The length of a dissertation defense can vary depending on factors such as the specific requirements of the institution and the complexity of the research being presented.

On average, a dissertation defense usually lasts between one to three hours.

During this time, the candidate will present their research and findings to a panel of experts, often including faculty members and fellow researchers.

The defense typically begins with an introduction by the candidate, followed by a detailed presentation of the research methodology, results, and conclusions.

Panel members then have the opportunity to ask questions and engage in a discussion with the candidate.

It is not unusual for defenses to be quite intense and challenging, as the panel seeks to assess the depth of the candidate’s knowledge and understanding of their research. In some cases, the candidate may be asked to leave the room while the panel deliberates before ultimately reaching a decision on the acceptance or rejection of the dissertation. 

Wrapping up

As the culmination of the doctoral journey, the PhD defense demands meticulous preparation and understanding of its unique rigors.

This entails knowing the expectations of your dissertation committee, choosing the right examiners who offer constructive feedback, and putting considerable time into preparing for your oral defense.

The defense process isn’t a mere formality; it’s a critical examination of the candidate’s comprehension, originality, and critical thinking skills.

It provides an opportunity to exhibit your research and its contribution to your field, defend your arguments, and validate your years of labor.

Thus, selecting well-qualified examiners, anticipating potential questions, and honing your presentation skills are vital for a successful defense.

Students must be registered for their PhD program and finalize their dissertation prior to the defense, which can last anywhere from one to three hours, depending on the institution and the complexity of the research.

Any corrections or major revisions suggested by the dissertation committee members must be completed and submitted weeks prior to the conferral date.

A PhD defense isn’t just a rite of passage for doctoral candidates—it’s the final, decisive step on the journey to earning a doctorate.

It requires the full commitment of the candidate, their dissertation advisor, the committee chair, and all members involved, ensuring that the graduate studies department’s requirements are met, and that the student is admitted to the next phase of their academic or professional journey.

Picture this: after countless hours of research, writing, and refining, you’re now standing on stage with your cohort, in a gown and funny hat, because … you’ve finally completed that last important milestone in your academic journey – defending your doctoral dissertation. It’s a culmination of years of dedication, determination, and sleepless nights.     You’re not there yet—but you’re close. So how do you make it past this final, nerve-wracking hurdle?  

In this article, we’ll deep-dive into the dissertation defense process, with tips, strategies, and straight-up information. I’ll share my expertise as a coach whose job it is to get people up on that stage.  

What to expect during the dissertation defense

A dissertation defense typically consists of an oral presentation to your dissertation committee, who have already received and read the final draft of your dissertation manuscript. Other members of your cohort and institution, and outside readers or experts, might also be present in the audience.  

Without fail, I see two different reactions to this news from my coaching students: either they are terrified of having their work scrutinized by their committee in public, or they are extremely laid back, knowing that they’ve already done all the hard work in the manuscript. (These later students are the ones paying attention to me).  

You probably already know the general gist of what happens in a defense presentation: you present the highlights of your study, the committee ask questions, and then they vote on whether you pass or need to complete further revision. So, here are some things you might not yet know:

• The oral defense gives the committee the opportunity to ask you about any areas of your study that are still unclear or weak on paper – so that you can prove they are not unclear or weak in real life. In other words, it’s a chance to get anything that got stuck in your head (rather than making it on to paper) out and in front of your committee.

• Your chair or supervisor and committee should not be allowing you to complete the defense process unless they are already confident that the biggest issues with your work have already been resolved.

• Questions are normal – your committee are working with you because your work interests them (hopefully), so questions are as likely to indicate their excitement about your work as a problem they have spotted.

• Revisions are normal – from requests to polish the grammar to insisting you add more supporting sources or develop your recommendations more thoroughly, “pass with revisions” is a normal, common, and expected end result. To pass with no revisions is pretty rare (although I have had a few students achieve this – looking at you, YY!) – like getting 100% on a calculus test in school.

In short, your defense presentation is nothing to be scared of. You are lined up for defense because both you and your committee feel you know your stuff, and now all you need to do is share what you’ve produced and learned and engage people in discussion about it. You got this!

Preparing for Your Dissertation Defense

Still nervous? Ok, that’s fair enough. As with many things, good preparation can help you get those nerves under control, so here are some top tips to help you get ready.

Tick the Boxes

It’s essential to understand the requirements and expectations of your defense committee. Get familiar with the specific guidelines and procedures set by your institution, and make sure you meet all necessary criteria. If you’re giving them what they ask for, you are definitely off to a strong start.

Know Your Stuff

This defense is about you showing off what you know, so before you stand up in front of the crown, take a deep dive into your own research masterpiece. Thoroughly review your dissertation, scrutinizing each chapter, section, and argument. Make notes. Look for anything that might provoke questions or debate. Remember, this is your opportunity to showcase your expertise and demonstrate the depth of your knowledge.

Seek Wise Counsel

Your advisor and committee members are the best resources you could ask for about defense. They set the guidelines, and they judge whether you have done well. Reach out to them for guidance, feedback, and advice—their collective wisdom and support can be instrumental in honing your presentation. And, if they are not all that … well, remember there are others out there who can help, including coaches, mentors, and past students.

Just like any performance, practice makes perfect. Take the time to rehearse your presentation multiple times, refining your delivery and strengthening your command over the content. By doing so, you’ll build confidence and ensure a smoother delivery when the day arrives. Even more importantly, you’ll settle the key points of your study firmly in your brain, making sure you sound like the expert you are.

Anticipate the Unknown

Obviously, you can’t predict every question or comment that will come up during your defense. However, you can still prepare yourself for potential challenges. Get cozy with the research landscape in your field and the interests of your committee members. Step outside of your own perspective and view your work through a stranger’s eyes to anticipate areas of critique or alternative viewpoints. This will enable you to respond thoughtfully and demonstrate your ability to engage in scholarly discourse.

Managing Nerves and Anxiety

You know what’s coming and you know how to prepare – are you still nervous? If so, know that that is completely normal. Here’s how me and two of my students got their dissertation defense nerves under control.

An Awesome Supervisor

For my own dissertation defense (known as a viva voce in the UK), I was incredibly lucky to have a supervisor with whom I had a strong, supportive, and nurturing relationship. Although the main examination of my work was handled by the external reader, who sat across from me behind a big desk, my supervisor sat behind him and nodded and smiled encouragingly every time I said something. Words can’t describe how much that calmed me down and gave me confidence. If you are as lucky as me and have an awesome supervisor, tell your nerves they can stand down – your supervisor’s got your back!

You Can Get Used to Anything

One of my students, who graduated last year, suffered from terrible defense nerves because she was worried about holding so much complex information in her head and delivering it coherently. Her solution? She practiced endlessly, over the course of about a month.

With me as her coach playing the role of audience, or with her kids and other family members, her cohort peers, her dog, and even other academics, she presented that study until she could do so in her sleep. The point was that, by the time the actual defense day rolled around, presenting the study to people was comfortable, familiar territory. Done and dusted!

Temporary Denial

Another student, who graduated shortly after, took completely the opposite approach to managing dissertation defense nerves. This student was burnt out from a huge rush to meet an unexpectedly tight deadline for the final manuscript when her chair decided to retire at the last minute. Rather than burn herself out further, she hit send on the manuscript, paid a designer to polish the design of the presentation rough draft, and then shut down her devices and went on holiday with her family. For one week, she did not look at or talk about her research at all. Instead, she sat on the beach, ate ice cream, and scrolled Instagram (probably). Then, she returned to work (a week before the presentation), refreshed and feeling excited about her work again. The break enabled her to practice and prepare in a calm frame of mind.

Some Parting Thoughts

I won’t walk you through the other obvious stuff, like what makes a good presentation PowerPoint or how body language and appearance can improve your presentation skills—that stuff is what Google is for. You’re an expert by now at finding the information you need, so get out there and find it. However, know that if you need help getting ready for your defense, there are definitely humans around you (and some dogs) who want to help – whether that’s your chair, your family, or a coach like me. I recommend you find them now and let them tell you just how ready for this you are.

Preparing For Your Dissertation Defense

13 Key Questions To Expect In The Viva Voce

Preparing for your dissertation or thesis defense (also called a “viva voce”) is a formidable task . All your hard work over the years leads you to this one point, and you’ll need to defend yourself against some of the most experienced researchers you’ve encountered so far.

It’s natural to feel a little nervous.

In this post, we’ll cover some of the most important questions you should be able to answer in your viva voce, whether it’s for a Masters or PhD degree. Naturally, they might not arise in exactly the same form (some may not come up at all), but if you can answer these questions well, it means you’re in a good position to tackle your oral defense.

Viva Voce Prep: 13 Essential Questions

  • What is your study about and why did you choose to research this in particular?
  • How did your research questions evolve during the research process?
  • How did you decide on which sources to include in your literature review?
  • How did you design your study and why did you take this approach?
  • How generalisable and valid are the findings?
  • What were the main shortcomings and limitations created by your research design?
  • How did your findings relate to the existing literature?
  • What were your key findings in relation to the research questions?
  • Were there any findings that surprised you?
  • What biases may exist in your research?
  • How can your findings be put into practice?
  • How has your research contributed to current thinking in the field?
  • If you could redo your research, how would you alter your approach?

#1: What is your study about and why did you choose to research this in particular?

This question, a classic party starter, is pretty straightforward.

What the dissertation or thesis committee is assessing here is your ability to clearly articulate your research aims, objectives and research questions in a concise manner. Concise is the keyword here – you need to clearly explain your research topic without rambling on for a half-hour. Don’t feel the need to go into the weeds here – you’ll have many opportunities to unpack the details later on.

In the second half of the question, they’re looking for a brief explanation of the justification of your research. In other words, why was this particular set of research aims, objectives and questions worth addressing? To address this question well in your oral defense, you need to make it clear what gap existed within the research and why that gap was worth filling.

#2: How did your research questions evolve during the research process?

Good research generally follows a long and winding path . It’s seldom a straight line (unless you got really lucky). What they’re assessing here is your ability to follow that path and let the research process unfold.

Specifically, they’ll want to hear about the impact that the literature review process had on you in terms of shaping the research aims, objectives and research questions . For example, you may have started with a certain set of aims, but then as you immersed yourself in the literature, you may have changed direction. Similarly, your initial fieldwork findings may have turned out some unexpected data that drove you to adjust or expand on your initial research questions.

Long story short – a good defense involves clearly describing your research journey , including all the twists and turns. Adjusting your direction based on findings in the literature or the fieldwork shows that you’re responsive , which is essential for high-quality research.

#3: How did you decide on which sources to include in your literature review?

A comprehensive literature review is the foundation of any high-quality piece of research. With this question, your dissertation or thesis committee are trying to assess which quality criteria and approach you used to select the sources for your literature review.

Typically, good research draws on both the seminal work in the respective field and more recent sources . In other words, a combination of the older landmark studies and pivotal work, along with up-to-date sources that build on to those older studies. This combination ensures that the study has a rock-solid foundation but is not out of date.

So, make sure that your study draws on a mix of both the “classics” and new kids on the block, and take note of any major evolutions in the literature that you can use as an example when asked this question in your viva voce.

#4: How did you design your study and why did you take this approach?

This is a classic methodological question that you can almost certainly expect in some or other shape.

What they’re looking for here is a clear articulation of the research design and methodology, as well as a strong justification of each choice . So, you need to be able to walk through each methodological choice and clearly explain both what you did and why you did it. The why is particularly important – you need to be able to justify each choice you made by clearly linking your design back to your research aims, objectives and research questions, while also taking into account practical constraints.

#5: How generalizable and valid are the findings?

This question is aimed at specifically digging into your understanding of the sample and how that relates to the population, as well as potential validity issues in your methodology.

To answer question this well, you’ll need to critically assess your sample and findings and consider if they truly apply to the entire population, as well as whether they assessed what they set out to. Note that there are two components here – generalizability and validity . Generalizability is about how well the sample represents the population. Validity is about how accurately you’ve measured what you intended to measure .

To ace this part of your dissertation defense, make sure that you’re very familiar with the concepts of generalizability , validity and reliability , and how these apply to your research. Remember, you don’t need to achieve perfection – you just need to be aware of the strengths and weaknesses of your research (and how the weaknesses could be improved upon).

#6: What were the main shortcomings and limitations created by your research design?

This question picks up where the last one left off.

As I mentioned, it’s perfectly natural that your research will have shortcomings and limitations as a result of your chosen design and methodology. No piece of research is flawless. Therefore, a good dissertation defense is not about arguing that your work is perfect, but rather it’s about clearly articulating the strengths and weaknesses of your approach.

To address this question well, you need to think critically about all of the potential weaknesses your design may have, as well as potential responses to these (which could be adopted in future research) to ensure you’re well prepared for this question. #7: How did your findings relate to the existing literature?

This common dissertation defense question links directly to your discussion chapter , where you would have presented and discussed the findings in relation to your literature review.

What your dissertation or thesis committee is assessing here is your ability to compare your study’s findings to the findings of existing research . Specifically, you need to discuss which findings aligned with existing research and which findings did not. For those findings that contrasted against existing research, you should also explain what you believe to be the reasons for this.

As with many questions in a viva voce, it’s both the what and the why that matter here. So, you need to think deeply about what the underlying reasons may be for both the similarities and differences between your findings and those of similar studies.

Your dissertation defense needs to compare findings

#8: What were your key findings in relation to the research questions?

This question is similar to the last one in that it too focuses on your research findings. However, here the focus is specifically on the findings that directly relate to your research questions (as opposed to findings in general).

So, a good way to prepare for this question is to step back and revisit your research questions . Ask yourself the following:

  • What exactly were you asking in those questions, and what did your research uncover concerning them?
  • Which questions were well answered by your study and which ones were lacking?
  • Why were they lacking and what more could be done to address this in future research?

Conquering this part dissertation defense requires that you focus squarely on the research questions. Your study will have provided many findings (hopefully!), and not all of these will link directly to the research questions. Therefore, you need to clear your mind of all of the fascinating side paths your study may have lead you down and regain a clear focus on the research questions .

#9: Were there any findings that surprised you?

This question is two-pronged.

First, you should discuss the surprising findings that were directly related to the original research questions . Going into your research, you likely had some expectations in terms of what you would find, so this is your opportunity to discuss the outcomes that emerged as contrary to what you initially expected. You’ll also want to think about what the reasons for these contrasts may be.

Second, you should discuss the findings that weren’t directly related to the research questions, but that emerged from the data set . You may have a few or you may have none – although generally there are a handful of interesting musings that you can glean from the data set. Again, make sure you can articulate why you find these interesting and what it means for future research in the area.

What the committee is looking for in this type of question is your ability to interpret the findings holistically and comprehensively , and to respond to unexpected data. So, take the time to zoom out and reflect on your findings thoroughly.

Discuss the findings in your defense

#10: What biases may exist in your research?

Biases… we all have them.

For this question, you’ll need to think about potential biases in your research , in the data itself but also in your interpretation of the data. With this question, your committee is assessing whether you have considered your own potential biases and the biases inherent in your analysis approach (i.e. your methodology). So, think carefully about these research biases and be ready to explain how these may exist in your study.

In an oral defense, this question is often followed up with a question on how the biases were mitigated or could be mitigated in future research. So, give some thought not just to what biases may exist, but also the mitigation measures (in your own study and for future research).

#11: How can your findings be put into practice?

Another classic question in the typical viva voce.

With this question, your committee is assessing your ability to bring your findings back down to earth and demonstrate their practical value and application. Importantly, this question is not about the contribution to academia or the overall field of research (we’ll get to that next) – it is specifically asking about how this newly created knowledge can be used in the real world.

Naturally, the actionability of your findings will vary depending on the nature of your research topic. Some studies will produce many action points and some won’t. If you’re researching marketing strategies within an industry, for example, you should be able to make some very specific recommendations for marketing practitioners in that industry.

To help you flesh out points for this question, look back at your original justification for the research (i.e. in your introduction and literature review chapters). What were the driving forces that led you to research your specific topic? That justification should help you identify ways in which your findings can be put into practice.

#12: How has your research contributed to current thinking in the field?

While the previous question was aimed at practical contribution, this question is aimed at theoretical contribution . In other words, what is the significance of your study within the current body of research? How does it fit into the existing research and what does it add to it?

This question is often asked by a field specialist and is used to assess whether you’re able to place your findings into the research field to critically convey what your research contributed. This argument needs to be well justified – in other words, you can’t just discuss what your research contributed, you need to also back each proposition up with a strong why .

To answer this question well, you need to humbly consider the quality and impact of your work and to be realistic in your response. You don’t want to come across as arrogant (“my work is groundbreaking”), nor do you want to undersell the impact of your work. So, it’s important to strike the right balance between realistic and pessimistic .

This question also opens the door to questions about potential future research . So, think about what future research opportunities your study has created and which of these you feel are of the highest priority.

Discuss your contribution in your thesis defence

#13: If you could redo your research, how would you alter your approach?

This question is often used to wrap up a viva voce as it brings the discussion full circle.

Here, your committee is again assessing your ability to clearly identify and articulate the limitations and shortcomings of your research, both in terms of research design and topic focus . Perhaps, in hindsight, it would have been better to use a different analysis method or data set. Perhaps the research questions should have leaned in a slightly different direction. And so on.

This question intends to assess whether you’re able to look at your work critically , assess where the weaknesses are and make recommendations for the future . This question often sets apart those who did the research purely because it was required, from those that genuinely engaged with their research. So, don’t hold back here – reflect on your entire research journey ask yourself how you’d do things differently if you were starting with a  blank canvas today.

However, these questions are quite likely to come up in some shape or form in a typical dissertation or thesis defense, whether it’s for a Master’s degree, PhD or any other research degree. So, you should take the time to make sure you can answer them well.

Preparing for the final dissertation defense

A fter all of the work necessary for completing a dissertation, preparing for the final dissertation defense can seem quite difficult. However, in my experience, the final dissertation can be an opportunity to show off your work and bring an appreciation for all that you have accomplished. In today’s post, I will discuss how to prepare for the final dissertation defense to set yourself up for success.

In the final dissertation defense, you and your dissertation committee meet to discuss the dissertation. Typically, these meetings run an hour or two long. The meeting often begins with you making a brief presentation and transitioning to a question-and-answer and discussion period. The defense format generally works similarly to that of the proposal defense, so you should find this process familiar.

At some institutions, defenses are public and open to the campus community; on other campuses, attendance is restricted to the student and committee (Brause, 2012). If your institution allows outside attendees, we highly recommend you attend a defense or two prior to your own.

For your defense, we suggest bringing a colleague as a friendly face and note taker, if permitted. Your committee usually provides a number of areas for edits and changes mixed in with their questions, and the defense will go more smoothly if you only have to worry about answering questions rather than taking notes as well. 

Most institutions mandate that you submit the final dissertation, approved by the chair, to the full committee at least two weeks before the defense. Even if this deadline is not required at your institution, follow a similar guide in order to respect the committee’s time and ensure they have sufficient opportunity to read your dissertation before the defense.

You increase the likelihood of the committee having an in-depth discussion of your work, rather than simply asking clarifying questions when you give the committee sufficient time to read the dissertation before the defense. While the proposal defense likely included edits, suggestions, and revisions to the study, the study is concluded by the time of the final defense. The committee will not ask you to go back and complete more interviews or add a new case study site—those issues were settled at the proposal defense. Giving the committee time to digest the study and ponder the results deeply ensures that the defense represents, in fact, more of a dialogue. 

Additionally, giving the committee adequate time to review the work allows them to raise any glaring issues that may be resolvable before the dissertation defense. If a dissertation committee member has such major issues with your work, these should be addressed before the meeting and, likely, the defense should be rescheduled. Your chair and committee are responsible for identifying major issues and even canceling the defense if necessary. In our view, no student should fail their defense unless they push ahead without their chair or committee’s support.

Neither you nor the chair or committee should put you in a position where failing the defense is a possibility. If your chair and/or committee raises concerns, take them seriously and do not be afraid to push back the defense date, as defending later than planned is much better than having an unsuccessful final defense.

During a successful defense, you will often notice a shift in the focus of conversation and questions during your defense. About halfway or so through, the questions will turn from focusing on your analysis, findings or recommendation to what is next for your work and how the dissertation will inform your future career. This natural progression signals that you have transitioned from a student to a colleague. Beyond this general observation, we find that the final defense tends to focus on four general types of questions. 

Type 1.  Questions About Differences Between Defense Presentation and Dissertation Document

Often, during their presentations, students bring up ideas or information that are not included or receive little attention within the dissertation document. As we have advised earlier, you should not include every single detail in your dissertation; sometimes even important and interesting ideas get left out—and this is okay. The committee may pick up on these ideas, ask questions about them, and ultimately ask that they be added to the dissertation during the post-defense revisions. 

Type 2.  Questions About Clarifying Information 

As in the proposal defense, many questions focus on clarification—particularly at the beginning of the defense. Sometimes an issue is legitimately unclear; other times, the committee wants to ensure you can articulate and defend claims not only in the written document but also orally. In responding to clarifying questions, articulate why you made certain decisions, note any tradeoffs that were made, and defend the research choices to demonstrate understanding of the topic, method, findings, and conclusions. 

Type 3.  Questions That Push You to Expand Your Findings and/or Conclusions

Committees often try to push you to expand your findings and conclusions. We commonly find that students seem timid, fearing being wrong or offering conclusions beyond the data. The committee will ask questions and push to see how far you can take the analysis and conclusions. Not only will this feedback improve the dissertation, but the ensuing dialogue also shows that you know the limitations of the data.

Type 4.  Questions About What’s Next

As noted earlier, the conversation during the final defense will likely turn at some point to the future. Where might you publish your dissertation? How might you put your recommendations into practice? These and similar questions are geared toward helping you think about what comes after graduation and how you can take the dissertation beyond simply an academic requirement for the doctoral program. In some ways, these questions can prove the most challenging, as you may not be sure what you want to do, but students’ answers to these questions can be the most rewarding aspect of the dissertation defense.

Final Defense/Filing a Dissertation

Final examination and filing of the dissertation.

The final Ph.D. requirements are submission of a dissertation and the dissertation defense. A minimum interval of three quarters of academic residency must elapse between advancement to candidacy and final defense and submission of the dissertation. Therefore, you should plan on taking the Final Examination about one year after passing the qualifying exam. The Final Exam is an oral examination, which shall be public and so announced, in which you present and defend your dissertation to your doctoral committee.

  • You must have completed 6 quarters of academic residency, of which 3 quarters must be between advancement and final examination. Residency requirements between advancement to candidacy and completion of the degree may be waived under special circumstances. Please consult an ECE Graduate Student Affairs Advisor on the process involved.
  • You must maintain a GPA of 3.0 or above in upper division and graduate course work, have no more than 8 units of "F" or "U", and resolve all outstanding grading problems.
  • You must be registered and enrolled or file a general petition to pay the filing fee in lieu of registration.
  • You must liaise with the members of your doctoral committee to decide upon a date and time for your examination. Try to set a date and time for your exam six weeks in advance. Faculty members are very busy and are frequently out of town, especially during the summer months. Keep this in mind when planning to schedule your exam.
  • You would normally take the final exam during a regular quarter. You may, however, schedule the exam during the summer or between quarters to accommodate the availability of faculty. In this instance, you will be required to file a general petition to waive registration and pay the filing fee.
  • For a variety of reasons, your doctoral committee may need to be reconstituted. To request a reconstitution of the membership of your committee, you must consult an ECE Graduate Student Affairs Advisor. The Advisor will then submit a Request for Reconstitution of Committee Membership form to Graduate Division, with the reasons for requesting the change. This form must be submitted to Graduate Division at least two weeks prior to your final defense.
  • Date and time of exam
  • Title of your dissertation
  • Names of your committee members Page 2 of 3 Updated 08/2016
  • Room booking
  • Preparation of required forms
  • Preparation of your file for the exam committee
  • An exam confirmation will be sent to you via email once initial arrangements have been made for your exam
  • An exam announcement will be sent to you and your exam committee via email two weeks prior to the exam
  • An exam reminder will be sent to you and your exam committee via email two days prior to the exam
  • Academic Senate policy states that a draft of the doctoral dissertation should be submitted to each member of the doctoral committee at least four weeks before the final examination.
  • The final version of your dissertation must conform to procedures outlined in the publication, Preparation and Submission Manual for Doctoral Dissertations and Master’s Theses, which can be found on the Graduate Division’s website.
  • You must make an appointment with Graduate Division for a preliminary check of your dissertation. At that appointment the format is checked and instructions on the final preparation and submission of the dissertation are given. You may schedule your dissertation formatting review appointment via Graduate Division’s Online Calendar: https://gradforms.ucsd.edu/calendar/index.php
  • For reservations in EBU1, the last 6 digits of your PID will serve as your room code the day of your exam.
  • Complete the Program Exit Questionnaire .
  • 1. Academic Senate policy states that the committee conducts the examination which is to be public and announced as such.
  • All committee members are required to be present at the examination. In the event that a committee member is going to be absent at the time of the examination, this matter should be discussed with an ECE Graduate Student Affairs Advisor and your committee chair. The committee chair and the tenured outside member must always be present at a defense exam. The doctoral committee shall pass on your dissertation and conduct the final oral examination.
  • The final examination is about 2 hours in duration. You should be prepared to present and defend your dissertation before your doctoral committee.
  • Plan to give a practice talk to your advisor and/or fellow students at least one week before your exam. This allows you plenty of time to make revisions and helps to strengthen your advisor’s confidence in you.
  • You will be informed of the outcome following the end of the exam. The Report of the Final Examination and Filing of the Dissertation for the Degree of Doctor of Philosophy form is then signed by members of your doctoral committee. The Final Report and the Signature page of your dissertation must have the original signatures of all members of your doctoral committee. Proxy signatures are not acceptable.   • Schedule your final appointment with Graduate Division for the submission of your final paperwork and dissertation at least a week after your final defense date to allow sufficient time for finalizing your final paperwork and obtaining relevant signatures.
  • The ECE Graduate Student Affairs Advisor will notify you via email when the Report of the Final Examination and Filing of the Dissertation for the Degree of Doctor of Philosophy form is ready for collection. You must submit this form during your final submission appointment with Graduate Division and by the filing deadline.
  • Concurrently, you must submit the dissertation to Graduate Division and, upon approval by the Dean of Graduate Studies, file the dissertation with the university archivist, who accepts it on behalf of the Graduate Council.
  • Acceptance of the dissertation by the archivist, with subsequent second approval by the dean of Graduate Studies, represents the final step in the completion by the candidate of all requirements for the Ph.D. degree.
  • You are not "finished" until the dissertation has been filed with the Library and Graduate Division has signed off on all paperwork.
  • The Ph.D. degree will be awarded in the same quarter that you file your dissertation (except for exams taken between quarters, for which the degree will be awarded at the end of the following quarter).
  • You will receive a letter confirming that you have successfully completed the Ph.D. degree requirements at the end of the same quarter.
  • Your diploma will be mailed 3-6 months after the end of the quarter. The diplomas are mailed directly to your permanent mailing address. Therefore, you must check your address for accuracy on TritonLink ( http://tritonlink.ucsd.edu/ ) to avoid delays in delivery.
  • Collect all mail from your student mailbox, and notify everyone who sends you mail at ECE of your current mailing address. Your mailbox will be cleared at the end of the quarter of your graduation, and all remaining mail will be returned to the sender.
  • UCSD conducts one commencement ceremony each year at the end of Spring quarter. In order to participate in commencement, you must have completed all degree requirements, including the filing of the dissertation by the Spring filing deadline.

Preparing for your dissertation defense is one of the most important things you’ll do as a doctoral candidate. Now that you’ve completed your dissertation, it’s up to you to present the results to your committee.

However, the results aren’t just about your study. Your committee wants to see what you learned through the process and whether you are ready to take on the responsibility of being a scholar.

What is a Dissertation Defense?

When you finish your dissertation and your committee has said you are ready to move forward, there is a formal meeting–your dissertation defense–where you have the opportunity to explain what you did and what you found.

Your committee then has the opportunity to ask questions related to your work, the implications of what you found, and your future. It is a chance for you to stand before your peers and be welcomed into the academy. Defending your dissertation is one of the great rites of passage into the world of academia.

How to Prepare for Your Dissertation Defense

Rather than write a quick list of dissertation defense tips, I thought I’d create a comprehensive guide to defending your dissertation. After chairing and sitting on countless dissertation committees, these are the steps I recommend you take.

Cultivate The Right Attitude

Perhaps the most important thing to have as you prepare to defend your dissertation is a revised view of your academic self. You’ve spent years gaining knowledge on your chosen subject, and now is your time to shine. While it’s natural to be nervous — after all, you’re jumping the highest hurdle in academia — keep in mind that this is your moment to shine and that you are now an expert on the topic.

One way to look at the dissertation defense is as a rite of passage. You are being tested, and just as with any rite of passage, the more rigorous the test, the prouder you will be of making it through.

During the process of your defense, keep this in mind: your committee tests you not only to ensure your worthiness but also to enable you to see just how much you know; to step into your new role as “expert.”

Prepare For Your Committee’s Questions

With this attitude in mind, you will want to prepare to demonstrate your expertise. That means anticipating questions the committee may have about your research.

If your dissertation asserts the likelihood of a recession in the presence of particular economic indicators, your committee will want to know what socio-political conditions are linked to these indicators. If you found that high achieving students are more likely to have had parents who volunteered in their schools, your committee members will likely ask you to speculate about how to increase parent involvement in schools.

In other words, you’ll need to be able to participate in discourse beyond your results — questions that speak to the relevance and implications of your research.

This kind of preparation goes beyond creating a PowerPoint of your findings (though that is necessary too); it’s part of your stepping into your expert role.

One thing I always tell my students is “Be able to explain your topic to your grandparents,” because to elucidate someone who knows nothing about the topic (no offense to the grandparents!) you must know it inside and out.

Of course, you’ll also want to know your topic well enough to discuss the topic with the top researchers in the field, but at this stage, you’ll have read enough of their work that you’ll feel you know them personally. It’s usually more difficult for academics to simplify than to complicate.

To ready yourself for potential questions, give your abstract to a few friends outside your academic program and have them ask you questions about your study. The advantage is their “outsider” perspective; you’ll have fun answering their questions and will likely have to make a few new neuronal connections to do so. Practicing like this will also help you relax during the actual defense.

Here are some questions you may be asked during your dissertation defense :

  • “What are the strengths and weaknesses of your study?”
  • “What was the most surprising thing you found?”
  • “What will you do next with your results?”
  • “If you could do this over, what would you do differently?”

Organize Your Presentation

Keep in mind that your presentation to your committee can double as your presentation to the faculty at any university to which you apply; your preparation will serve a dual purpose. You’ll need, therefore:

  • a concise overview of the literature in which your study is grounded,
  • a clear description of your study’s purpose, methodology, and findings,
  • and a discussion of the implications of these findings.

Naturally, you will need to consult your department’s and college’s specific requirements, but every dissertation committee (and faculty search committee) will want to fully understand these basic elements of your work.

I have provided a list of questions to help prepare your dissertation defense. If you have time restrictions I would put more emphasis upon your results and the implications of your work. Think of organizing your slides according to these questions:

1. Why did I choose to study this? Don’t be afraid to reveal something personal about your motivation, as long as you can do so with poise and dignity. Your committee members will appreciate this humanizing element but keep it brief!

2. What have other people interested in this topic found? If your study is the next clue in the hunt for answers about this topic, what were the clues that led you here? What paths have past researchers gone down — both fruitful and not? What solid theoretical foundation stands under your study?

This portion of your presentation is the easiest to overdo. You will likely need to edit it again and again to ensure it is both concise and comprehensive. Stick to the major themes in your presentation but be prepared to answer questions about less dominant streams of research.

3. How did my research question evolve? Answering this question links your research to what has already been established, placing your study in the stream of knowledge. Keep it brief but don’t skip this step, as it is key to showing you as an academic, rather than a student.

4. How did I organize my study? This is a description of the basics of your study and the “whys” of these choices. You can expand a bit here, as the decisions you made at this stage demonstrate your ability to think critically about approaching a research question. Why did you choose your particular methodology? What was the benefit of this design over another option you might have chosen?

5. What did I find? You can begin this section with what you expected to find and why, then explain what you actually found. Keep this section simple and factual.

6. What do the findings mean in relation to the question? Whether or not your findings matched your expectations, they tell you and your colleagues something important about the topic. What is it? Can we speculate that this is a promising area of research, or is this a path we might think of as a dead end? What, exactly, does this study tell us?

7. What’s next for me and for the research? You’ll want to give your committee (and any faculty search committee) a preview of your prospective academic career. What new questions has your study sparked for you? What would you hope other researchers would look at next? How do you intend to fit into the academic conversation on this topic?

Depending on your committee and requirements, you may want to include potential grants you will consider applying for to fund your next study. (This inclusion becomes more important when applying for academic positions.)

Prepare Yourself Mentally

Going back to attitude, remind yourself that a dissertation defense is your opportunity to step into your new role. This is your domain now. Breathe deeply and feel the pride that comes with a job well done. Know that you belong in this realm and the dissertation defense is your chance to prove it. Be humble, too; after all, you stand on the shoulders of giants.

Getting enough rest the night before, drinking water and bringing some with you to drink when your mouth gets dry, and being wise about what you consume prior to the defense (maybe go easy on the carbs and caffeine) are all obvious but frequently overlooked pointers. Your committee members want to know you can handle the pressure and take care of yourself under duress .

You might want to give yourself a few minutes of silence and rest before heading in to defend. Take those moments to recognize whatever you’re feeling, then humbly begin your academic career by presenting your most important work to date. And then get ready to roll up your sleeves for the next one. Congratulations, Doctor!

Evaluation Decisions for Doctoral Defense

Doctoral students are required to review the degree plans for their program, along with information about specific degree requirements and estimated timelines to reach various benchmarks for the different degree plan specializations.

There are three possible evaluation decisions for the doctoral defense.  All decisions—with the exception of “fail”—must be unanimous.

“Pass” requires that both the defense and the document (dissertation or treatise) are acceptable. In some cases, the committee may require revisions, which will be checked by the entire committee or by the supervising professor only. This should be agreed upon at the time of the defense and communicated with the student.

While the supervisor should wait to sign the Report of Dissertation Committee until all revisions have been reviewed, the other committee members may choose to sign at the defense. The committee should agree upon the length of time allowed for submission of the revised dissertation; this must be communicated clearly to the student.

The completed Report of Dissertation Committee should be returned to the Graduate School only after the final revisions to the dissertation have been approved and the GSC designee has signed.

If the dissertation and/or defense are not acceptable to all members of the committee, the decision will change to either "re-defend" or "fail" as discussed below:

“Re-defend” indicates that the committee is not satisfied with the dissertation or with the oral examination, but believes that rewriting may make it acceptable. In this case, the fully signed Report of Dissertation Committee should be returned to the Graduate School by the Supervisor, with each member of the committee indicating their decision. Another scheduled defense will be required and a new report will be generated.

Report on Doctoral Dissertation forms

Committee members should submit their individual Report on Doctoral Dissertation forms indicating their dissatisfaction.

“Fail” indicates that at least one member of the committee has decided that the dissertation is unsatisfactory and may not be rewritten. The fully signed Report of Dissertation Committee should be returned to the Graduate School by the supervisor, with each member of the committee indicating their decision.

Committee members should also submit their individual Report on Doctoral Dissertation forms indicating their dissatisfaction. This decision normally results in the termination of a doctoral student’s program.

Documentation

Document a dissertation defense as follows:

The supervisor should bring the Report of Dissertation Committee to the defense.

The scheduling information on the Report must be correct; if the time or location changes, the Graduate School must be informed.

All committee members sign the Report of Dissertation Committee, even if the member was not present at the defense.

Scanned or electronic signatures will be accepted as long as they are legible and dark enough to be imaged. Typed names as a signature are not allowed. Electronic and digitally authorized signatures may be accepted in any font format so long as they include the insignia or logo of the e-signature software used showing authorization.

Once all members have signed the report the Graduate Studies Committee chair or designee should provide the final signature.

The final signature indicates that all coursework and other departmental requirements have been completed. All signatures should be on a single page.

The Report of Dissertation Committee should be submitted to the Graduate School by the student.

Section 10: PhD Dissertation Defense: Final Oral Examination Overview, Committee, and Process

​​​​​​10.1 composition of the final oral examination committee & process.

The dissertation committee will consist of at least three graduate faculty members, including at least one core BME departmental faculty member, and will be chaired by the research advisor, who must have level-P graduate faculty status in BME. Soon after passing candidacy, students should obtain official approval of a dissertation committee by emailing a brief request, addressed to the BMEGSC, to the Graduate Studies Coordinator at [email protected] . For most students, this simply will be the candidacy committee minus one member. These three BMEGSC-approved dissertation committee members plus one assigned Graduate School Representative comprise the final oral examination committee. Petitions to add external, non-voting members must be completed via gradforms.osu.edu. Students should be sure to work closely with members of their dissertation committee.

It is the student's responsibility, with the approval of the research advisor, to contact all examiners on the dissertation committee and schedule the final oral examination (also called the dissertation defense). Typically the student provides committee members with a dissertation draft when doing this. Students also must take a copy of their dissertation draft to the Graduate School for a required formatting review. When the date and time for the dissertation defense are arranged, students may schedule a room for a 2-hour block of time in BMEC or elsewhere on campus if it is more convenient for the committee. 

The final oral examination committee will examine the student on the research project and dissertation in accordance with regulations in Section 7 of the GSH and must comply with the deadlines published by the Graduate School at the beginning of each term. The examination should not exceed two hours. Only examination committee members may be present during a BME PhD examination; however, students and faculty may attend presentations given before the exam begins. Students are welcome to advertise their presentations.

The graduate faculty representative is assigned by the Graduate School after the student files the Application for Final Oral Examination. This form is to be submitted by the student to the Graduate School via gradforms.osu.edu and approved by the advisor at least two full weeks before the date of the oral examination. Failure to meet this deadline will result in the rescheduling of the exam. The location (or indication of teleconferencing) and 2-hour time block must be listed. (Note that a copy of the dissertation must be sent to the assigned graduate faculty representative at least one full week before the defense, if not longer.) This application generates a link to the Final Oral Examination Report form, which is sent to the osu.edu email addresses of the final oral examination committee. The committee’s decision is recorded by each committee member via gradforms.osu.edu.

The student is considered to have completed the final oral examination successfully only when the decision of the final oral examination committee is unanimously affirmative. A student must be registered for at least three graduate credit hours during the term in which the final oral exam is held. Guidelines for teleconferencing the doctoral defense in the event that a committee member may need to participate off-site can be found in Appendix B of the GSH . If petitioning to include an extra or non-OSU committee member ,  students must get approval from the BMEGSC and then file a peititon via gradforms.osu.edu .  10.2 Dissertation Guidelines

The dissertation should be an original research project that makes a new contribution to the field. Proposals and protocols should be approved by the student’s advisor(s) prior to beginning research. The dissertation must be completed in accordance with Graduate School policies set forth in Section 7.8 of the GSH and must comply with the deadlines published in the Graduate School graduation calendar . Students may reach out to their lab mates, peers from BMEGSA and/or student mentors for advice on completing the dissertation. Students are encouraged to read the Graduate School Newsletter for leads on Graduate School and Writing Center workshops on dissertation writing or to schedule a review at the Graduate School ( Graduation Services area) to learn about formatting and electronic document submission. Visit the Graduate School website for detailed information on the required format.

If a student fails to submit the final copy of the dissertation document to the Graduate School within five years of being admitted to candidacy, their candidacy is cancelled. In such a case, with the approval of the advisor and the Graduate Studies Committee, the student may request to take a supplemental candidacy examination. If the student passes this supplemental candidacy examination, the student is readmitted to candidacy and must then complete a dissertation within two years. Students who do not complete the requirements above within the timeframe may be dismissed from the program.

Final Oral Examination Planning: Sample Timeline

Results for the Defense (Final Oral Examination) and Dissertation must be reported by the Dissertation Committee by Graduate School deadlines. Exam dates should be chosen to meet the deadlines.

  • Application to Graduate : Department Deadline - first day of the intended semester; Graduate School deadline - 3 rd Friday of the semester of graduation
  • Application for Final Oral Exam : File 3-4 weeks ahead of time to ensure meeting Graduate School deadline of at least 2 full weeks before the actual defense 
  • Dissertation Formatting check at Graduate School : as early as possible, aligned with the Application for Final Oral Examination
  • Send copy of dissertation to Graduate Faculty Representative as soon as one is assigned, no less than one full week before the defense

After the Defense:

  • Make sure your Dissertation Committee completes the Exam Report  on gradforms.osu.edu by posted deadline
  • Revise and submit approved Dissertation by posted deadline via Ohiolink
  • Make sure your Dissertation Committee completes the Dissertation Approval  on gradforms.osu.edu by posted deadline

10.3 Required Seminar Presentation & Publication Submissions

PhD students are expected to present an open seminar on their dissertation as part of the BME student seminar series. To avoid delays in graduation, this should be done at least one or two semesters before graduation is anticipated. It is the student’s responsibility to contact the seminar faculty coordinator to get scheduled before all spaces are filled. Students also must advertise the presentation portion of their dissertation defense to be counted as a second presentation, making sure to notify the BMEGSC via email to the graduate studies coordinator who can help advertise. As detailed in the curriculum requirements, PhD students also are expected to have submitted at least two manuscripts (at least one-first author) for publication and to have made one oral or poster presentation at a scientific meeting in order to graduate. This information is to be emailed to the graduate studies coordinator when applying to graduate.

10.4 Graduation for PhD Students

In order to graduate with a Doctoral (PhD) degree students must meet all requirements established by the department and the Graduate School. An Application to Graduate must be filed on gradforms.osu.edu no later than the first day of the term in which a student intends to graduate to allow time for a BME graduation audit and approval by the Advisor and Graduate Studies Committee Chair. Graduating students must be enrolled for at least 3 credit hours in the term of graduation. Visit the graduation checklist for PhD students in their final term of enrollment on the Graduate School website for more information. If requirements go unmet or exam or thesis deadlines are missed, students may be able to meet the Graduate School’s end-of-semester deadlines without having to register the following term. If the E-O-S deadlines are missed, it will be necessary to resubmit a new Application to Graduate the following term.

Degree Completion Reminders for PhD

  • Students & advisors may jointly petition the BMEGSC for waivers of program or committee requirements. These should be accompanied by a proposed or approved program of study whenever possible.
  • Petitions should be submitted in the form of a brief letter addressed to the BMEGSC and sent to [email protected] and will be considered at convened monthly BMEGSC meetings. Last-minute petitions may not be reviewed.
  • Changes to an approved Program or Committee must be reviewed by the BMEGSC at least one full semester  before an Application to Graduate is filed.
  • Applications to Graduate will not be approved unless the student’s final BMEGSC-approved Program and Committees are on file in the Graduate Office and most other graduation requirements, as stated in the GSH and BMEH, are met.
  • Applications to Graduate should be submitted via gradforms.osu.edu in advance of the Graduate School deadline. No forms will be signed by the Chair of the Graduate Studies Committee until a graduation audit has been completed by the BME graduate studies office.
  • Be sure to build in time for a Graduate School review of the formatting of your dissertation draft.
  • Be sure to build in time for any gradforms.osu.edu committee member petitions.
  • Review your advising report each semester and contact your faculty about missing/outstanding grades.
  • Publication and presentation lists should be emailed to the Graduate Studies Coordinator at [email protected] before the end of the semester in which you plan to graduate.
