Research Assistant Internships

Applications for the Fall 2024 term are now CLOSED. All applications should have been submitted by August 16.

Internship timelines are generally as follows: Spring: Applications open in November, internships run January through May Summer: Applications open in March, internships run June through August Fall: Applications open in July, internships run September through December  

Research Assistant interns are talented undergraduates, recent graduates, or graduate students who combine part-time hours at the Center with their studies and other activities. Students in this role provide 12-15 hours of research assistance each week to their assigned scholar (the number of hours can be adjusted accordingly to fulfill academic requirements). Students work one-on-one with an expert in their field of study to conduct in-depth, academic analysis of today's most pressing issues. This experience is invaluable for students wishing to develop a deeper understanding of their field of study. In addition to assisting with their scholars' research projects, interns have the opportunity to network with experts in their chosen fields, attend events on relevant topics, and explore how research and public policy intertwine in Washington.

Research Assistant internship opportunities are offered year-round, and are generally consistent with academic semesters. Research Assistants are paid a monthly stipend of $500, and may also complete an internship for academic credit. Students are also encouraged to apply for independent grants or scholarships through their schools or outside sources to financially support them during their internship appointment. In-person, remote, and hybrid opportunities are available, with the specific arrangement determined by the scholar. 

Activities                                                              

Most scholars who come to the Wilson Center spend their time carrying out research, writing books, and making public presentations. Research Assistant interns have the unique opportunity to work directly with these experts, as they examine issues of contemporary public policy or explore topics that provide the historical context behind today’s pressing policy debates. The Wilson Center hosts a diverse cohort of scholars each year, including distinguished university professors, journalists, current and former government officials (such as diplomats and ambassadors) or occasionally executives from the private sector.  In support of the scholars, Research Assistants spend much of their time searching for information using the Wilson Center Library's resources. Other duties include proofreading, editing, compiling bibliographies, writing literature reviews, summarizing research materials, etc. Less than 20% of these tasks are administrative. Consequently, a strong sense of responsibility and the ability to work with a minimum of supervision are strong assets. Foreign language skills are oftentimes useful, and should be noted in the application. While at the Center, all interns are encouraged to fully assimilate into the Wilson Center's community, and go beyond their particular internship responsibilities and to attend our many panel discussions, conferences, symposia, and social events.

Eligibility

This opportunity is open to highly qualified undergraduates, recent graduates, or graduate students. Applicants must have a minimum 3.0 GPA (or equivalent). Applicants must be current students, recent graduates (within one calendar year), and/or have been accepted to enter an advanced degree program. Non-degree seeking students are ineligible. International students studying in the US are eligible, but they must hold a valid F-1 or J-1 visa and appropriate work authorization.  All international students must obtain written permission (or CPT/OPT) from their Designated School Official or Responsible Officer for visas at their university stating that they are in valid immigration status and eligible to do an internship at the Center. The Wilson Center does  NOT sponsor visas for interns. International students that are not already studying in the US on a F-1/J-1 visa must go through a university exchange program or an outside organization (internship placement agency) that will sponsor their visa. New scholars are always arriving at the Wilson Center, and it can be difficult to predict what specific projects will be carried out in the future. For that reason, all interested students are encouraged to apply.

Most scholars arrive and interns start their internships at the beginning of a semester (January, June, September). However, the Intern Coordinator can work individually with students or schools on a quarter system schedule.

Job Summary

We are seeking a motivated and detail-oriented Research Administration Assistant to join our dynamic team. The successful candidate will provide critical administrative support to ensure the smooth operation of research office activities. Due to the varied nature of the work, you should possess strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

The position will report to the Research Process Manager and may receive direction on work assignments from the Associate Dean for Research (ADR) and any member of the school's research administration office.

Responsibilities*

Note that this is a new position for the school, and we anticipate that responsibilities and the percentage of time spent on specific job functions may shift and change over time.

Approximate effort and primary responsibilities are as follows:

Administrative and Logistical Support for Research Office 60%

  • Manage research office events (speakers, workshops, etc.). Will be responsible for coordinating all logistical aspects of the event, including booking hotels, airfare, and seminar rooms, A/V aspects, ordering meals and handling dinner reservations, arranging ground transportation when needed, and arranging payments to speakers, etc.
  • Track and monitor expenses for events budget.
  • Organize and schedule internal meetings.
  • Maintain list of tasks to be completed by ADR and research office with deadlines.
  • Send out emails and/or surveys to faculty to obtain information or to request action on items.
  • Gather information for faculty news announcements from the team and submit.
  • Set up zoom sessions or meetings that require outside participation and/or for research events.
  • Schedule and maintain Associate Dean's calendar.
  • Arrange the Associate Dean's travel plans, travel authorizations and itineraries, and process travel reimbursement.
  • Compile information to assist with reports, nominations, and requests.
  • Maintain several spreadsheets used to track various items (postdocs, internal awards, IDC exceptions, etc.).

Assist with Pre-Award Activities 25%

  • Assist faculty members and researchers in preparing for sponsored-project submissions by compiling grant proposal content from multiple contributors, compiling budget information, completing Proposal Approval Forms (PAF) information, formatting documents and biosketches, and coordinating required approvals authorizations.
  • Request compliance documents from faculty and researchers (PEERRS, M-Inform disclosures, Other Support, etc.)
  • Assist in locating data frequently required by sponsors for proposals.
  • Review basic sponsor guidelines and interpret solicitation requirements.

Assist with Post-Award Activities 15%

  • Maintain faculty Other Support documents.
  • May assist with supporting documentation for journal entries, vouchers, etc.
  • Assist with sponsor progress reports (RPPRs).
  • Assist with summarizing research expenditure data on a quarterly basis.
  • May set-up subcontracts in eResearch system and allocate dollars to internal subawards.
  • Respond to inquiries from researchers, faculty, and staff regarding administrative procedures and policies.

Required Qualifications*

  • Bachelor's degree, or an Associate's degree combined with at least 3 years of administrative assistant experience.

Additional Information

The general salary range for this position is $48,000 - $52,000, with eligibility to participate in the school's 2025 merit program.  An offer may be extended outside of this range based on equity, experience, knowledge, and skills for the position. This is an onsite position with the potential for a hybrid/remote option up to 2 days/week.  Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.

Assistant Director 3, Student Organization Services

The Assistant Director is a member of the Division of Student Life, and reports to the Director, Orientation & Student Leadership Programs. The Assistant Director is responsible for the successful development, implementation, and innovative maintenance of leadership programs which impact students’ academic and personal achievement at Rowan, and is expected to provide overall support to make each program a success. This position specifically works to translate student organization involvement into experiential learning and leadership development for students. The Assistant Director supports the fraternity/sorority community at Rowan University by advising multiple fraternity/sorority council(s) and organizations, as well as providing administrative support and training. The Assistant Director is required to assist with emergencies that occur after normal business hours. In all activities, the Assistant Director recognizes that experiential learning and service to students are top priorities.

Essential Functions/Percentage of Time Spent on Each:

  Leadership Rowan (90%)

  • Supervise all systems and processes related to the University’s Greek organizations, including, but not limited to, organization recognition, governance councils, chapter advising, new/active membership education, Greek Affairs programming, campus/community partnerships, risk management, and serving as a liaison with national offices.
  • Assist in the successful development, implementation, and innovative maintenance of leadership programs and services targeted at developing effective student organizations which provide experiential learning opportunities for undergraduates.
  • Provide training and support for faculty and staff serving as student organization advisors; promote collaborations around student leadership development.
  • Supervise graduate coordinators (2) for fraternity/sorority life and assist in developing programs and services delivered by this staff.
  • Oversee fiscal affairs of the Greek Affairs budget organization.
  • Participate in Leadership Rowan advisory council and planning meetings.
  • Update and revise departmental websites, social media accounts, and printed publications. Advise student organization leaders in the development of publications.
  • Assist in tracking fraternity and sorority membership, events, and chapter records in ProfLink.
  • Lead fraternity and sorority recruitment and new member education programs in conjunction with the Assistant Director for Student Leadership Development.
  • Serves as an advisor for assigned Greek governing boards/councils and individual chapters.
  • Continually expand leadership development, risk management, and community service initiatives.
  • Organize and participate in risk-reduction education and programming.
  • Coordinate Greek leadership retreats and workshops.
  • Meet regularly with chapter advisors and maintain open communication with national/international leadership.

POSITION SUMMARY

Assists in overseeing and coordinating laboratory and/or field operations, assists in planning and designing experiments, conducts experiments and analyzes resultant data in order to participate in conducting research projects.

The mission of the Michigan Natural Features Inventory (MNFI) is to guide the conservation of Michigan’s biodiversity by providing the highest quality scientific expertise and information. MNFI’s vision is to be the authoritative source of information on biodiversity that is widely used to conserve Michigan’s unique natural heritage for current and future generations.

As the Environmental Review Analyst, you will assist in the coordination and evaluation of projects seeking MNFI expertise and insight regarding impacts that may occur for permit applications, land management plans, and other local or statewide projects. The Environmental Review process flags potential impacts with state and federally protected species and high-quality natural communities. In this position, you will assist with field assessments for public and private projects. Field assessments include varied types of species-targeted field work and will be coordinated with additional MNFI staff as needed. Geospatial applications are a foundational aspect of MNFI work. You will be using Michigan’s Natural Heritage Database, GIS, and varied geospatial applications as tools for decision making. Additional duties may include field research, website maintenance or formatting, and creation of information products and reports, depending on skills and program needs.

In this role, you will screen projects seeking permits or impact assessments using Michigan’s Natural Heritage Database and other geospatial data layers. You will coordinate reviews with MNFI staff, experts, and agency personnel, maintain and refine applications and datasets, and communicate with applicants, experts, and agencies regarding reviews and updates. You will assist with the development and deployment of the NatureServe Environmental Review Tool and maintenance and expansion of Michigan’s Natural Heritage Database, including implementation of quality control procedures to ensure records meet Natural Heritage standards. You will conduct field surveys and research on rare and declining species and natural communities, as well as collect, analyze, and disseminate ecological information. You will also recruit, train, and direct seasonal staff. It will be important that you develop and maintain good professional relationships, promoting positive public relations for MSU Extension, the Community, Food, and Environment Institute, and the Michigan Natural Features Inventory.

The Environmental Review Analyst will be based in the MNFI MSU Extension office located in downtown Lansing, MI.

This position may be eligible to utilize a flexible work environment; however, there is an expectation to work from the MNFI office in Lansing. The needs, responsibilities, and opportunities of an individual’s position and office location drive the ability and amount of work-location flexibility.

This is a full-time, end-dated appointment, renewable annually based upon continued funding.

CHARACTERISTIC DUTIES/RESPONSIBILITIES

  • Assists in coordinating research and laboratory and/or field operations in order to meet research goals.
  • Performs experimental tests and assays and records and analyzes results in order to provide conclusive data for research projects.
  • Consults with research supervisor in order to assist in planning and designing experiments.
  • Compiles and summarizes results and participates in preparing reports, manuscripts and articles for publication.
  • Acts as a resource person to internal and external individuals regarding research projects and experiments.
  • Performs all field work in order to run experiments.
  • Oversees the compliance to laboratory safety regulations and procedures.
  • Reviews the work of research technicians and student employees.
  • Oversees laboratory/field needs and orders materials, supplies and equipment.
  • Operates, calibrates and maintains laboratory/field instruments and equipment in order to ensure proper functioning, accuracy and compliance with written specifications.
  • Researches literature in order to maintain a current knowledge of laboratory research methods and terminology.
  • Perform other duties or projects as required.

Minimum Requirements

  • Knowledge equivalent to that which would normally be acquired by completing a four-year college degree program in field of research employment, zoology, botany, ecology, geography, or other related science fields.
  • One to three years of related and progressively more responsible or expansive work experience in standard laboratory procedures and safety requirements
  • Or an equivalent combination of education and experience.
  • Performing analytical and research techniques in an area related to research being performed.
  • Requires software specific to the area of research.
  • Other skills and/or physical abilities required to perform duties of the position.
  • This position requires or will require, prior to completion of the probationary period: knowledge of basic personal computer terminology and operations, and the ability to use e-mail and the Internet.

Desired Qualifications

  • Bachelor’s degree from an accredited institution in zoology, botany, ecology, geography, or closely related field, earned by date of hire.
  • One to three years of related and progressively more responsible or expansive work experience in geographic information systems (GIS) and database management.
  • Ability to independently conduct long days of strenuous fieldwork under adverse conditions for prolonged periods of time throughout the State of Michigan.
  • Ability to navigate in remote areas, including experience using a compass, maps, and GPS technology.
  • Demonstrated knowledge of Michigan/Great Lakes region flora and fauna.
  • Knowledge of Natural Heritage methodology and data management.
  • General understanding of National Environmental Policy Act (NEPA) requirements and environmental regulations for Threatened and Endangered species.
  • Experience with the ESRI suite of products and proficiency with ArcGIS Online.
  • Proficiency in use of technology (e.g., web research, Zoom, Qualtrics, Microsoft Office Suite, including use of word processors and spreadsheets, Adobe products, email/calendaring, distance technology, etc.) for day-to-day work, record keeping, reporting, team-based communications, and overall management.
  • Strong interpersonal, oral, and written communication, and organizational skills.
  • Demonstrated drive and initiative, with proven ability to manage multiple responsibilities and tasks simultaneously.
  • Self-motivated with the demonstrated ability to work independently and complete tasks in a deadline driven environment.
  • Actively participate in a variety of professional development opportunities to retain existing skills, and ability to quickly learn new skills and procedures.
  • Thoroughness and attention to detail.
  • Ability to work effectively with multidisciplinary teams in an office or virtual environment, including the ability to serve in both leadership and contributory roles.
  • Demonstrated success in program development and delivery to diverse audiences/communities, and proven ability in establishing and working with a diverse network of constituents and community members across race, color, gender, national origin, gender identity, religion, age, height, weight, disability, political beliefs, sexual orientation, marital status, family status, veteran status, socioeconomic class, and other differences.
