Despite the fact the terms “orientation” and “onboarding” often get used interchangeably, there are key differences between them. Onboarding is an ongoing process that begins during the hiring process and continues until new hires have settled into their positions. Orientation, on the other hand, is part of the onboarding process.

It’s usually a one-off event that’s hosted on a new hire’s first day. While orientation gives new employees a high-level overview of your company and team, onboarding goes into the details and dives into role-specific processes and procedures. You can think of new hire orientation as a first date and onboarding as the process of dating.

To ensure your new hire orientation is a success, keep these tips and tricks top of mind.

Be strategic about when you schedule your new hire orientation. If you know Mondays and Tuesdays are the busiest days for your company, for example, host your orientation later in the week on a Wednesday or a Thursday. You should be able to focus on your new hires throughout the day with no interruptions. After all, they deserve your undivided attention.

A few days before the orientation, send your new hires the agenda. Make sure it breaks down exactly what it will entail. This can prepare new employees and reduce some of the jitters and uncertainty that come with starting a new job. Also, don’t forget to set up their work areas in advance with a thoughtful welcome note as well as all of the supplies and equipment they’ll need.

Most orientations take place in a group setting. While this gives new hires the chance to meet one another and socialize, one-on-one time is also important. Managers should meet with new employees individually to get to know them on a more personal level and help them feel more comfortable before they begin working.

Before new hires can officially work for you, they’ll need to fill out various legal forms, such as W-4 tax forms, I-9 employment eligibility forms, state tax forms, direct deposit forms and nondisclosure agreements. Since completing all of this paperwork can be tedious and time-consuming, use software that will allow them to automate it.

A physical or digital welcome packet can be a huge asset during your orientation. Depending on your company and goals, it might include an organizational chart, a list of key contacts, your employee handbook and a glossary of terms you frequently use. To take your packet up a few notches, add a few branded items to it, such as a T-shirt or coffee mug.

If possible, get managers and supervisors involved at the start of orientation. By introducing your new hires to them, they’ll be able to put names to faces and feel more comfortable interacting with higher-level colleagues. Managers and supervisors can also go over your company’s mission and get new hires excited about what’s to come.

The last thing you want is an orientation that overwhelms, rather than excites new hires. That’s why it’s a good idea to split orientation sessions over several days, incorporate plenty of breaks and divide extensive topics into digestible chunks of information. Ideally, each session should last no longer than an hour. Not only does this reduce disruption, but it also gives your new employees the chance to absorb each set of information and recharge before the next session.

When your new hires are engaged, they’re more likely to retain information better. While you can stand in front of them and talk the entire orientation, doing so is ineffective. Instead, try to incorporate a mix of presentation styles, such as live lectures, recorded presentations, quizzes, games, explainer videos, Q&A sessions and group discussions. Your goal should be to make the orientation process fun and exciting so it doesn’t feel like a chore.

Even if your new employees will be on a hybrid or remote schedule, it’s important that they know their way around your office, building or campus. Orientation is the perfect time to introduce them to common areas, including the cafeteria, on-site gym, restrooms, vending machines and conference rooms. With an office tour, new hires will be less likely to wander around aimlessly on their first few days.

Your orientation is not set in stone. In fact, it can and should evolve over time. Ask your new hires for feedback so you know what’s working and what needs to be changed. By listening to them, you can identify content gaps, redundancies and other areas for improvement.
